How to choose which Zoho apps to turn on

Nobody needs fifty apps. Most businesses run well on six or eight, chosen in the right order and wired to each other. This is the sequence we use, and it is deliberately slow at the beginning.

Start with the one that is costing you money

Not the one that looks most interesting. The app that fixes a problem you can already name, whether that is a pipeline nobody can see or invoices going out late. One app, properly configured, changes how a week feels. Eight apps switched on at once changes nothing except the number of logins.

Wire it to what you already run

An app that does not talk to your accounting or your inbox is just another silo. Before the next one goes in, we connect the first to the systems around it, so a record entered once stops being retyped somewhere else. This is the step that gets skipped, and skipping it is why suites disappoint people.

Add the next app only once the last one stuck

Adoption is the only measure that counts. If your team is still keeping the spreadsheet alongside, the rollout has not finished, and adding another app will not help. We check what has gone quiet each month and fix the cause before anything new gets turned on.

What "managed" actually means here

About the service

On a managed plan we hold the administrator seat and the work that comes with it. Configuration, data migration, user and permission changes, the integrations between apps, and the reports your managers keep asking for. Alongside that sits the steady stream of small requests that would otherwise wait a month in somebody's queue. One monthly fee, no hours to count.

Zoho sells more applications than any business should run, and the bundle makes adding another feel free. It is not. Each one needs somebody to own its settings, its permissions and the automations wired into it, and that ownership decides whether the app gets used or quietly abandoned. Start with the process currently held together by a spreadsheet and leave the rest switched off.

The pattern we see most often is a business that bought the suite for one app, switched on six more because they were included, and now has customer data in three of them that disagrees. That is not a Zoho problem. It is what happens when adoption is free and integration is an afterthought, and untangling it later costs more than discipline at the start would have.

Your Zoho account is registered to your company rather than to us, and every configuration we build lives inside it, so if you take the work in house there is nothing to hand over. Installing any of these takes an afternoon. Deciding what a lead means and who owns it at each stage takes weeks, and that is the same work whichever app you land on.

Most firms charge an implementation fee, then a retainer to look after what they built. Both sit inside the monthly rate here. That puts the incentive on us to get the configuration right the first time, because we are the ones who live with it afterwards.

Zoho ships more than most businesses should run. We check each app against a real process you already have, flag the ones that duplicate something, and set aside the ones not worth the training time. The list you leave with is usually shorter than the one you arrived with.

What does managed Zoho actually cover?

Everything from the first scoping conversation through to the support that follows. Choosing which apps fit, configuring them against how you actually work, moving your existing records across, and training people by role. After launch it becomes a steady stream of smaller work: a custom field, a report a manager asked for, a workflow that needs rerouting. It is one flat monthly price rather than a quote for every change.

Which Zoho apps do you support?

Every app listed on this page, which is the set we consider mature enough to run a business process on. If you ask about something still early or barely maintained, we will tell you that rather than sell you a rollout you will regret.

How much does managed Zoho cost?

Each app page carries its own monthly rate. Single apps run between $300 and $700 depending on how much configuration the app carries. Managed Zoho One is $2,000 a month and covers every app together, which lands cheaper than roughly four individual plans.

Should we buy Zoho One or individual apps?

If you run four or more apps, Zoho One is almost always cheaper, and we will tell you when you cross that line. Below four, individual plans usually win. The licence arithmetic is Zoho's rather than ours, and our fee does not change with your licence choice, so we have no reason to push you either way.

Can you migrate our existing data?

Yes, and it is part of the subscription. Contacts, deals, invoices, tickets, employees, whatever needs to come across. We map your source data, load it into a test environment first, and reconcile the record counts against what you had. A launch waits until those counts agree.

How long does a rollout take?

A single app like Desk or Bookings can be live in two to three weeks. CRM takes longer, usually four to eight, because pipeline stages and layouts need decisions from you. Payroll and Books depend on your finance calendar. The software is rarely the constraint. How quickly your side agrees the process usually is.

Is there a setup fee or a minimum term?

Neither. Billing is monthly and you can cancel with thirty days notice. Unusually large data migrations are occasionally quoted separately, and if that applies to you we will say so before you subscribe rather than after.

Does your fee include the Zoho licence?

No, and we do not mark it up. Zoho bills your subscription directly to an account in your company name. Our fee covers the work we do. Keeping the two separate means you always know what the software costs and what the service costs.

Can you take over a Zoho account somebody else set up?

Yes, and it is common. We start with a review of how each app is configured, what has been customised, and where people are working around it. You get that written up with a recommended order of work before we change anything, because an inherited setup usually needs decisions before it needs edits.

Which app should we start with?

Whichever one is costing you money this month. Sales that cannot see the pipeline points at CRM. Invoicing running on a spreadsheet points at Books. Support drowning in a shared inbox points at Desk. If none of those describe you, you may not need us yet, and we would rather say that early than sell you a rollout.

Do you train our team?

Yes, and it is included. Sessions run against your own configured apps with your own data in them, split by role so nobody sits through an hour about a module they will never open. We record every session, which is how most clients bring new starters up to speed without booking us again.

Can you connect Zoho to the tools we already use?

What happens if we outgrow Zoho?

We tell you. Zoho suits small and mid-sized operations, and businesses with real manufacturing, multi-entity consolidation, or logic too specific for a configuration screen eventually hit the ceiling. When that happens the move is usually to ERPNext, which we also run. Nobody has to change providers to change platforms.

Who owns the account and the data?

You do. The Zoho account is registered to your company, the data is yours, and every configuration we build lives inside your own instance. We work as administrators rather than holding it on your behalf. There is no proprietary layer and no licence tied to us.

What happens if we cancel?

You keep everything. Your account, your configurations, your integrations and your data stay exactly where they are, and we remove our administrative access. We ask for thirty days notice so we can document the current setup and hand your team clean notes rather than leaving them to work it out.
