Most companies hand chat administration to whoever is least busy that month. This is the alternative: a team already inside your account, who saw the workspace last week and will see it again next week.

Do I still need my own Zoho Cliq license?
Yes. You keep your own Zoho Cliq subscription and own the account, the channels, the history, and everything built inside it. We work in your environment as an administrator. That matters if you ever change providers, because no bots, integrations, or message history sit behind our accounts and there is no export to negotiate. We will also advise on which plan tier fits your user count.
How is Zoho Cliq different from Slack?
Cliq covers the same ground as Slack for channels, calls and integrations, usually at a lower per user cost. The real difference is what sits next to it. Be precise about how close, though. Cliq connects natively to Zoho People, Calendar and Notebook on Standard, adds Zoho Projects at Professional, and reaches CRM, Desk and Books through extensions or the developer platform. Those work well and we build them, but they are a build. If you already run Zoho, that connection is still the argument. If you do not, Slack is a fair fight and we will not pretend otherwise.
Can you migrate us from Slack or Microsoft Teams?
Yes. We plan the cutover, move the user accounts, import the channel history and files that can be imported, and rebuild the integrations and bots that cannot come across directly. Both tools usually run in parallel for a couple of weeks so nobody loses a conversation mid-project. Migrations run as a scoped project alongside the subscription, because the size varies enormously with how much history and automation you carry.
Does Zoho Cliq connect to Zoho CRM?
Yes, through an extension or the developer platform, not a native toggle. The distinction matters when you are budgeting, because Standard caps you at 10 extensions across the whole organization. Once it is built, a stage change or an approval request posts into the channel that owns it with enough context to act on, and your sales team can look a record up from a slash command without switching tabs. For most of our clients this is still the reason to choose Cliq.
What can Cliq bots actually do?
Bots handle the small repetitive things. The common ones post form submissions into a channel, collect a daily standup, page whoever is on call, or push an alert when a payment fails. We build them against your real process and test with a small group before anyone else sees them. If a bot turns out to be noise, we kill it. Nobody here is attached to their own work.
Can we bring clients or contractors into Cliq?
Yes. Cliq supports external guest access, so clients and contractors can join specific channels without seeing the rest of your workspace. We configure what guests can view, share, and search, and we build the offboarding step so access ends when the engagement does. This is usually cheaper and cleaner than emailing files back and forth for the length of a project.
How do you handle security and sensitive data?
It depends on your tier, and you should know that before anyone promises you a security posture. Custom roles start at Professional. Data loss prevention and audit history are Enterprise only, with no partial version below it. On Professional we can put channel creation and app installs behind the right people and give you usage reports going back 60 days. On Enterprise we add the DLP patterns, the audit trail, and the exports your compliance team will ask for. If you need the Enterprise controls and are not on Enterprise, you will hear that from us on the first call.
What happens to chat history when someone leaves?
Access is cut the same day, and ownership of the channels and files they held moves to someone still there. We build that into a repeatable offboarding routine, because the usual failure is a disabled account quietly holding the only copy of something the team needs. Retention settings decide how long their message history stays searchable, and on the Free plan that history is capped at the last 10,000 messages for the entire workspace.
How is this different from hiring a consultant hourly?
A consultant suits a defined project with a start and an end. A chat workspace is not that. People join and leave, channels multiply, bots break when an integration changes, and permissions drift. Each of those becomes a small negotiation when you bill by the hour. A subscription removes the friction: monitoring is continuous, small changes do not need a quote, and we keep context between requests.
Do you work with Zoho Cliq inside Zoho One?
Yes, and it is usually the better deal. Zoho One includes the Cliq Enterprise plan with all of its features, which means the data loss prevention, audit history and eDiscovery you would otherwise pay to upgrade for arrive with the bundle. If you already run several Zoho applications, our Zoho One service covers the whole ecosystem and this page is probably not the one you want.
How long does onboarding take?
Most teams are working in a managed Cliq within two to three weeks. Week one covers access, a review of how your teams communicate now, and the channel structure. Week two covers roles, permissions, guest access, and the Zoho app connections. Week three is bots, commands, and rollout to everybody. A migration from Slack or Teams takes longer, and we will say so up front.
Is there a contract or minimum term?
Monthly, with no long-term commitment. Cancel with notice and you keep every channel, bot, integration and message we built, because all of it lives in your own Zoho account. We would sooner earn the renewal each month than hold an unhappy client to a term.
How do I get started?
Start with a consultation. We look at how your teams communicate now, what tools you are trying to replace, how many users you have, and what needs to connect to Cliq, then confirm whether the standard plan covers it. From there we collect access, build the channel structure, and set up permissions and integrations. If your requirements turn out to be bigger than the subscription, we will say so and quote the project.
What is managed Zoho One?
Managed Zoho One is an ongoing subscription where we run the whole suite for you. Instead of handing one person fifty-odd applications and hoping, you have a team already inside your organization running it month to month.

One flat monthly fee per organization covers every Zoho One application you have live. Within that we handle configuration changes across apps, new Flow automations and Deluge functions, integration monitoring, user provisioning and offboarding, roles and permissions, data clean-ups, and your cross-app reporting. Bulk data migrations from your existing systems and large custom builds get scoped and quoted separately, so the recurring cost stays predictable.
Do I still need my own Zoho One license?
Yes. You hold your own Zoho One subscription and own the organization, the configuration and every record inside it. We work in your environment as administrators. If you ever move to another provider, nothing sits behind our accounts and there is no data to negotiate for. We can carry the licenses on your invoice alongside the management fee if you would rather receive one bill.
How is Zoho One priced, and does the all-employee rule apply to us?
Zoho One is normally sold under an all-employee model, meaning you license every employee rather than only the people who will log in. There is a more expensive flexible-user option for organizations where that does not fit. This is the single biggest surprise in Zoho One budgeting, particularly for businesses carrying field crews, seasonal staff or a large hourly workforce. We work out your real billable count before you commit to anything.
Which apps should we actually turn on?
Far fewer than you have access to. Most businesses run well on six to eight applications, and the ones that stall are usually the ones that tried to deploy twenty. We map how work moves through your business first, then pick the applications that carry it and sequence them. The rest stay available and switched off until there is a reason to open one.
Is Zoho One cheaper than buying the apps individually?
Usually, once you are past about four applications, and that is the honest threshold. Below it, individual app subscriptions are frequently the better buy, particularly if only a handful of your staff need access. The calculation turns on your employee headcount rather than your user count. We will run it against your current spend and tell you if the answer comes back against Zoho One.
How long does a Zoho One implementation take?
A focused rollout of six to eight applications generally runs eight to twelve weeks, phased rather than delivered in one go. The first phase covers org structure, identity and the core application your business runs on. Later phases add finance, support, projects and reporting, each with its own go-live. Businesses with heavy data migration or several trading entities should expect longer, and we will say so at the start.
Can you migrate us from our current systems?
Yes. We move data out of Salesforce, HubSpot, QuickBooks, Xero, Zendesk, Monday, spreadsheets and older Zoho organizations into the matching Zoho One applications, with owners, dates, history and attachments preserved. Will you work with the Zoho One setup we already have?
Usually, yes. The common quote is a rebuild, because reading somebody else's configuration is harder than starting over. We audit what exists first, look at your org structure, the apps in use, the automation and the state of the data, then tell you which parts are sound and which should be rebuilt properly. Plenty of organizations need a structural repair and a clean-up rather than a fresh start.
Can you connect Zoho One to systems outside Zoho?
Yes, and most organizations need it. Bank feeds, payment processors, shipping platforms, e-commerce storefronts and the line-of-business application nobody intends to replace all have to reach the suite. We use the published API where a connector exists and build the integration ourselves where it does not. Keeping a system you rely on is a legitimate decision, not a failure to standardize.
How do you handle security across so many applications?
Identity comes first. We configure Zoho Directory as the single source, wire single sign-on, and drive provisioning from it, so accounts are created and removed in one action rather than app by app. On top of that sits one role and profile model applied consistently everywhere, field-level restrictions on sensitive data, configured audit trails, and access reviews on a schedule so old permissions do not accumulate.
What happens if we outgrow Zoho One?
Some businesses do, and it is better to hear that now than in year three. Zoho One is built for standard business processes done well. When you need genuinely custom data models, manufacturing depth, complex multi-entity consolidation or software you own outright rather than rent, the ceiling shows. That is the point at which we would move you onto Frappe and ERPNext, and we run those too, so the conversation stays with the same team rather than starting over with a new one.
Do we get reporting across applications?
That is where the suite earns back its cost. Zoho Analytics reads from every application you run, so questions that span apps become answerable. Cost per acquisition needs Campaigns, CRM and Books together. Project profitability needs Projects, People and Books. We build the data sources, the joins and the dashboards for each leadership role, and add new reports as the questions change.
