Managed Zoho Payments Services for Invoices Checkouts Payouts

Getting paid should not be the slowest part of your business. Managed Zoho Payments puts the gateway, the checkout, the invoice payment links, and the payout reconciliation in one place we run for you. We get you approved, wire payments into Books and CRM, chase the charges that quietly fail, and reconcile every deposit against what you actually invoiced. Your merchant account stays in your name.

Payments that actually reconcile

What makes our managed Zoho Payments service different

Card payments come with deadlines you do not set. A dispute has a response window, a failed charge has a retry window, and both notifications tend to arrive in a mailbox nobody monitors. Miss them and the outcome is decided by default rather than on the merits of your case.

Disputes are the ones with a clock on them. Miss the window and you lose regardless of who was right, having never made an argument. So they are watched and answered with the evidence assembled rather than scrambled for. Deposits are matched back to the invoices inside them, because a lump sum in the bank that nobody can decompose is how reconciliation slips a month behind. Failed recurring charges are retried on a schedule. And approval paperwork is prepared properly the first time, which is what avoids a three week stall.

Why teams stop doing this alone

Managed Zoho Payments vs running payments in house

Anybody can connect a gateway and send an invoice with a pay button. Keeping the reconciliation accurate, recovering failed charges, answering disputes on deadline, and knowing what acceptance actually costs you is a different job, and it is the part that gets dropped once the novelty wears off. Here is how the two approaches compare.

Getting approved to accept

In house, the merchant application sits with whoever has time, and a missing document adds another week to the review. We prepare the paperwork, answer underwriting directly, and keep the file moving. Most clients are live and taking real payments inside two weeks.

Deposits that never balance

Net deposits hide fees, refunds, and disputes, so the bank balance stops matching the books and somebody papers over the gap. We reconcile every payout line by line and post the fees as the expense they actually are.

Failed charges nobody notices

Declined recurring payments pile up because watching for them is nobody's actual job, and the revenue is long gone by the time anyone checks. We run the retry and reminder sequence and escalate the accounts that need a call.

Answering a dispute in time

Chargeback windows are short and a missed deadline is an automatic loss, which is how most in house disputes end. We monitor for them, assemble the evidence that supports your side, and file before the clock runs out.

Growing into the wider Zoho suite

A payment problem is often a billing problem or a CRM problem wearing a disguise. We manage the wider Zoho environment, so when a failed charge traces back to a broken subscription, we say so, and we flag when Zoho One costs less than adding apps one by one.

What it costs next month

Hourly help makes every small billing change feel expensive, so people stop asking and the setup drifts out of date. A flat monthly rate makes the cost predictable and puts the incentive on us to keep the money moving cleanly rather than billing hours.

Built for businesses that invoice

Who our managed Zoho Payments service fits best

Payment work starts paying for itself once enough money moves through the account that a percent matters, or once reconciliation is eating somebody's month end. If you invoice regularly, bill on a subscription, sell online, or already run your books in Zoho, this is usually the fix.

How we work with you

How our managed Zoho Payments service works

Whether you are accepting your first card payment or moving off a processor you have outgrown, the sequence is the same. We get you approved, prove the flow in sandbox, then go live and reconcile. Most clients are taking real payments within two to three weeks.

1

We get you approved and configured

We prepare the merchant application, gather the verification documents underwriting will ask for, and connect your settlement bank account. While that clears, we map how money moves through your business now, which invoices go out, what recurring billing exists, and how payments are being recorded today. That map is what everything after this gets built against.

2

We prove it in sandbox and go live

Before a customer sees anything, we run the full set of test transactions, including declines, refunds, partial captures, and a failed recurring charge, and confirm each one lands correctly in Zoho Books. Then we brand the checkout, wire payment links into your invoice templates, switch you to live, and watch the first real transactions come through.

3

We reconcile and keep it running

From there you get every payout reconciled against the transactions inside it, failed charges chased, disputes answered before the deadline, and a monthly summary of volume, cost of acceptance, and recovered revenue. You send us changes and we make them at the flat rate. The accounting stays clean instead of drifting for a year.

Everything we manage

Complete managed Zoho Payments coverage

Cascadia Web Services logo

Merchant Account Setup

Getting approved is the part that stalls most rollouts. We prepare the application, gather the business verification and ownership documents underwriting asks for, connect and verify your settlement bank account, and chase the review when it goes quiet. You get a working merchant account rather than a half finished form.
Cascadia Web Services logo

Gateway Configuration

We configure the gateway inside your Zoho organization, set the currencies you sell in, define which payment methods appear at checkout, and set the descriptor your customers see on their statement. Getting the descriptor right on day one prevents a steady trickle of disputes from people who did not recognize the charge.
Cascadia Web Services logo

Migration From Your Current Processor

Switching processors breaks things quietly if nobody plans it. We map your existing payment methods, move stored customer profiles and active subscriptions where the processor allows it, run both in parallel until the new one is proven, and retire the old account only after the final payouts have landed and reconciled.
Cascadia Web Services logo

Sandbox Testing And Go Live

Nobody should discover a broken checkout with a real customer in it. We run the full set of test transactions in sandbox, including declines, refunds, partial captures, and failed recurring charges, confirm each one lands correctly in Zoho Books, then move you to live and watch the first real transactions.
Cascadia Web Services logo

Card And Wallet Acceptance

We enable the card networks and digital wallets your customers actually use, test each one end to end, and confirm the funds and fees post correctly on the other side. If you sell to more than one country, we set up the currencies you accept and make sure the conversion is handled where you expect it.
Cascadia Web Services logo

ACH And Bank Transfer Setup

ACH costs a fraction of what cards cost, which matters a lot on larger invoices. We enable bank transfer acceptance, set up the verification flow your customers go through once, explain the settlement timing so nobody thinks a payment failed, and handle the return codes when a transfer bounces.
Cascadia Web Services logo

Hosted Checkout Pages

We build and brand your hosted checkout so it looks like the rest of your site rather than a generic form, set the fields to only what you need, and test it on phones as carefully as on desktop. Fewer fields and a familiar look are the cheapest conversion improvements available.
Cascadia Web Services logo

Payment Links And QR Codes

Not every sale starts on your website. We set up reusable payment links and QR codes your sales and service teams can send from a phone, tie each one back to the right customer record and revenue account, and keep the list tidy so old links stop working when they should.
Cascadia Web Services logo

Invoice Payment Links In Zoho Books

Every invoice you send should be payable in two clicks. We wire the payment link into your Books and Invoice templates, set which customers see which methods, and confirm that a payment marks the invoice paid and posts to the correct account automatically. No more manual matching at month end.
Cascadia Web Services logo

Recurring Billing And Autopay

We set up recurring profiles and autopay authorization so subscription customers are charged on schedule without anybody remembering to send anything. Card expiry updates, plan changes, proration, and cancellation all get configured deliberately, so a plan change midmonth produces the invoice you meant rather than one you have to fix.
Cascadia Web Services logo

Failed Payment Recovery

A failed recurring charge is lost revenue you already earned. We build the retry schedule, set the reminder sequence customers receive, watch for the expired cards and insufficient funds declines that repeat, and escalate the accounts that need a human. Most of that revenue comes back if somebody is actually watching.
Cascadia Web Services logo

Payout And Settlement Reconciliation

The money that hits your bank never matches the invoices you sent, because fees, refunds, and disputes come out of the batch first. We reconcile every payout against the transactions inside it, post the difference correctly in Zoho Books, and flag anything that does not tie out that month.
Cascadia Web Services logo

Processing Fee Accounting

Processing fees are a real expense and most books record them badly or not at all. We set up the accounts and rules so fees post as expense rather than disappearing into a net deposit, which means your revenue figure is accurate and you can see what payment acceptance actually costs you each month.
Cascadia Web Services logo

Monthly Payments Reporting

Each month you get volume by method, effective cost of acceptance, decline rate, refund and dispute totals, and how much failed payment revenue we recovered. It is short and written for somebody with other work to do. If a number moved in the wrong direction, we say what we think caused it.
Cascadia Web Services logo

Chargeback And Dispute Handling

Disputes come with a deadline and most get lost by default because nobody responded in time. We monitor for them, pull the receipts, delivery records, and correspondence that make the case, submit the response before the window closes, and tell you which ones are worth fighting and which are cheaper to concede.
Cascadia Web Services logo

Refunds And Adjustments

We set up who on your team can issue a refund and up to what amount, process full and partial refunds so they post correctly against the original invoice, and handle the credit notes in Zoho Books. Your accounts stay clean and nobody is issuing refunds from a shared login.
Cascadia Web Services logo

PCI And Fraud Controls

We keep your setup on the hosted and tokenized flows that hold card data out of your systems, which is what keeps your compliance scope small. Then we tune the risk rules, set the thresholds that catch fraud without blocking real customers, and review the declines that look like false positives.
Cascadia Web Services logo

Zoho App Integration

Payments only pays off when it connects to the rest of your stack. We tie it into Books, Invoice, Billing, Commerce, and CRM so a payment updates the invoice, the subscription, and the customer record at once, and push the numbers into Analytics so you can see revenue without exporting anything.
Cascadia Web Services logo

API And Webhook Work

When you need payments inside something Zoho does not connect to natively, we build it. That covers webhook handlers for payment and payout events, custom checkout flows, and connections through Zoho Flow or Creator. Every integration gets documented and monitored so a silent failure surfaces before your customers find it.
Cascadia Web Services logo

Monthly Review And Roadmap

We meet monthly to go through what happened, what we fixed, and what is worth changing next. You bring priorities and they become the following month's queue. Between meetings you send requests and we handle them at the flat rate, so small changes never wait on a quote.

Answers to common managed Zoho Payments questions

Frequently asked questions
What is managed Zoho Payments?
It is a monthly service where we run payment acceptance inside your own Zoho account instead of handing you a gateway login and wishing you luck. We handle the merchant account approval, the checkout and payment methods, invoice payment links, recurring billing, payout reconciliation, disputes, and the monthly reporting. The account stays in your name and the work stays with us.
What does Zoho Payments actually do?
Zoho Payments is Zoho's own payment processing service. It lets you accept cards, digital wallets, and bank transfers directly inside Books, Invoice, Billing, Commerce, and Checkout, without stitching in a third party gateway. Payments post against the right invoice automatically, refunds and disputes are handled in the same place, and payouts settle to your bank on a set schedule.
How much does managed Zoho Payments cost?
Management is $500 per month per organization at a flat rate, with no hourly charges for the ongoing work. That covers the gateway setup, checkout and invoice configuration, recurring billing, payout reconciliation, dispute handling, and the changes you send us. Zoho's own processing fees are charged separately by Zoho on the transactions themselves and are never marked up by us.
Does Zoho Payments support ACH?
Yes, and for larger invoices it is usually worth pushing customers toward it. ACH costs far less per transaction than card acceptance, so the savings on a few thousand dollars of invoicing add up quickly. We enable it, set up the one time bank verification your customers go through, and handle the return codes when a transfer fails.
How does Zoho Payments compare to Stripe?
Stripe is the more flexible platform if you are building a custom product and have developers. Zoho Payments wins when your business already runs on Zoho, because the reconciliation into Books is native rather than something you maintain through a connector. If you are on Zoho and mostly invoicing customers, the tighter integration is usually worth more than the extra flexibility.
What are the transaction fees?
Zoho publishes its processing rates by country and payment method, and they differ significantly between card, wallet, and bank transfer. We review your actual mix of transactions during onboarding and tell you what your effective cost of acceptance will be, then report it monthly so you can see it moving. Our management fee is separate and does not scale with volume.
Is Zoho Payments PCI compliant?
Zoho maintains its own compliance for the processing side. What matters more for you is scope, meaning how much card data touches your systems. We keep you on hosted and tokenized flows so raw card numbers never reach your servers or your staff, which keeps your own compliance obligation as small as it can reasonably be.
How do I set up a payment gateway in Zoho Books?
In Books you connect the gateway under payment settings, then enable it per customer or across the board so payment links appear on invoices. The setup itself is not hard. What catches people out is the accounting behind it: fees, refunds, and disputes come out of the payout batch, so the deposit never matches the invoices unless the posting rules are right.
Can customers pay an invoice online?
Yes. Every invoice you send from Books or Invoice can carry a payment link that takes card, wallet, or bank transfer. When the customer pays, the invoice marks itself paid and the entry posts to the correct account with no manual matching. We configure the templates, decide which methods each customer segment sees, and test the whole flow before you send anything.
How long do payouts take to settle?
Settlement timing depends on your country, your payment method mix, and how long your account has been open, and new merchants often start on a longer hold. We confirm your actual schedule during onboarding so your cash flow planning is based on real dates. Bank transfers usually settle slower than cards, which is worth knowing before you push customers toward ACH.
What happens when a customer files a chargeback?
You get a short window to respond, and disputes are lost by default when nobody replies in time. We monitor for them, assemble the invoice, delivery confirmation, and correspondence that support your side, and file the response before the deadline. We also tell you honestly which disputes are worth contesting and which cost more to fight than to concede.
Can you set up recurring payments and autopay?
Yes. We build the recurring profiles, collect autopay authorization from customers, and configure what happens on plan changes, proration, card expiry, and cancellation. The goal is that a midmonth upgrade produces the invoice you actually meant rather than one your bookkeeper has to correct. Subscription billing goes wrong in small ways that compound, so the setup matters.
Do you chase failed payments?
Yes, and this is often where the service pays for itself. Failed recurring charges are revenue you already earned and will quietly lose. We set the retry schedule, run the reminder sequence, watch for the expired cards and insufficient funds declines that keep repeating, and flag the accounts that need somebody to actually call them.
Can you migrate us off our current processor?
Yes. We map your existing payment methods, move stored customer profiles and active subscriptions where the current processor allows an export, and run both systems in parallel until the new one is proven on real transactions. The old account gets closed only after its final payouts have landed and reconciled, so nothing goes missing in the handover.
Do you manage the rest of our Zoho apps too?
Yes, and payments rarely stands alone. Most clients who need this also run Books, Invoice, CRM, or Commerce. If you are managing more than three or four apps, the Zoho One plan at $2,000 per month covers every app under one agreement and usually costs less than stacking individual plans. We will tell you when you cross that line.
