A Wave Alternative For The Business That Ran Out Of Road Doing The Books By Hand

Wave Starter is free, and it is free because it is manual. Bank feed import, automatic transaction matching, a second user and any integration at all sit on Pro at nineteen dollars a month per business. Managed Zoho Books is five hundred a month, and what that buys is not software. It is somebody keeping the ledger straight.
What Wave costs, and what the free tier quietly leaves out
Free is real, it is unlimited, and the manual work is the price
Wave publishes a full feature grid beside the two plan prices, and it rewards reading line by line rather than looking at the zero. The gap between Starter and Pro is not cosmetic. It is whether the bookkeeping happens on its own or whether somebody sits down and types it in.

For a sole trader with a handful of invoices, Wave Starter is the right answer and it is free

Nothing on Starter is metered. Unlimited invoices, unlimited estimates, unlimited bookkeeping records, no trial clock and no card at signup. If you are one person billing a few clients a month, that is the correct purchase, and we would tell you so on the call rather than sell you a service you do not need.

Starter has no bank feed, no automatic matching and no second user

Importing transactions from the bank, merging and categorizing them automatically, granting anyone else admin or editor access, and connecting any third party tool at all are Pro features on Wave's own comparison grid. On Starter the transactions arrive in the ledger because somebody typed them there.

Wave sells the bookkeeping too, and it starts at a hundred and forty nine a month

Wave Advisors is their own answer to nobody in the business having time to keep the books, and it is priced from a hundred and forty nine a month on Pro or a hundred and ninety nine on Starter, with the plan underneath it still to pay. That is the line worth setting against us, not the zero on the front page.
One product that is free until the work starts, one service where the work is the whole product
Wave prices the software at nothing and the bookkeeping separately. We only price the bookkeeping.
Wave is a genuinely good free ledger, and the free tier is not a trap or a countdown to one, which is rarer than it sounds. The comparison only becomes real when you notice that the two parts doing the actual work, the bank connection and the person reconciling it, are the two things Wave charges for.

Cascadia

Zoho Books set up around how your business actually bills and spends, with the chart of accounts, the bank rules and the monthly close all ours, at one flat figure.

Without Cascadia

A free ledger that will faithfully hold anything you type into it, with the bank feed on the paid tier and the person who reconciles it sold separately.

Comparison

Cascadia vs Wave
Wave is the only platform on this hub that costs nothing to start and the only one that meters nothing at all. The rows below are not features, because Wave will happily hold every one of them if somebody enters it. They are the questions that decide whether the books are still trustworthy at year end. Our managed Zoho Books service answers them with a person rather than a feature grid.

A bank connection and automatic transaction matching switched on in the first week

A chart of accounts built around how your business actually earns and spends

Somebody reconciling the accounts every month whether or not you remember to

The books closed on a schedule rather than the week before somebody needs them

A named person who already knows your ledger when the accountant asks a question

Bank rules written once for the transactions that repeat, not sorted one at a time

One monthly figure, with no add on for receipts, payroll or a second set of eyes

The wiring into your billing, payments and payroll tools done as part of the service

Being told plainly that Wave Starter is the right buy while you are still billing alone

Books an accountant can pick up at year end without a reconstruction project first

Where Wave fits

If you are billing a few clients a month and you do not mind entering the transactions yourself, Wave Starter is a sensible answer and it costs nothing at all.

Where free stops describing the work

We are for the case where the problem is that nobody has time to keep the ledger straight, not the price of the software holding it.

Where Wave is strong

Icon representing a free plan with no trial clock and no card required
Free that is genuinely free, with nothing metered behind it
Unlimited invoices, unlimited estimates, unlimited bills and unlimited bookkeeping records, on a plan that costs nothing and does not expire. No trial countdown, no card at signup and no seat to add. Very few vendors in accounting give away this much, and Wave has been doing it since twenty ten.
Icon representing a paid tier priced per business rather than per person
Pro is nineteen a month for the business, not for each person in it
Nineteen dollars a month, or a hundred and ninety a year, and Wave says plainly in its own pricing FAQ that the fee is per business rather than per owner. Nobody on this hub is cheaper as you grow, because growing does not move the number at all.
Icon representing a full feature grid published beside the plan prices
The whole feature grid published, including what the free tier does not do
Wave lists every line side by side and marks honestly which ones need Pro. The bank feed, the extra users and the integrations are all shown as paid rather than buried. You can find the gaps before you talk to anybody, which is more than several vendors on this hub allow.
Icon representing a straightforward setup for a business with simple books
Quick to start when the books are genuinely simple
There is far less to set up here than in the other platforms on this hub, so a sole trader can be invoicing the same afternoon without anybody's help. That is a real advantage, and it describes precisely the case where we are the wrong purchase.
All of that is real and none of it is grudging. For one person billing a handful of clients, Wave is the right purchase and we will say so plainly, because there is no price argument here for us to win. Where it stops fitting is the point where somebody has to reconcile a bank account every month and nobody in the business does. Closing that distance is the whole point of our Zoho practice.

What five hundred a month buys when the bookkeeping itself is the product

Icon representing one monthly figure covering setup, reconciliation and reporting
One figure covering the setup, the monthly close and every change that comes after it
The chart of accounts, the invoicing and recurring billing, the bank feeds and reconciliation rules, the financial reporting, the integrations and the user permissions all sit inside the same five hundred. A busier month does not reprice it and neither does a heavier ledger.
Icon representing one tier with nothing above it to be moved onto
One tier, so there is no plan above this one to be sold to you later
Five hundred a month is the whole of it. There is nothing above it we can move you onto, and nothing held back on a tier we have not sold you yet.
Icon representing the person who set up the ledger also answering about it
The people who set up your ledger are the people who answer about it later
You are not routed to a support queue that has never seen your chart of accounts, and there is no separate advisor package to buy for the privilege.
Icon representing accounting sitting inside the same suite as sales and billing
One suite, when the sales records and the invoices already live together
Zoho Books sits alongside CRM, Desk, Projects and the rest of the suite, so the deal and the invoice are the same record rather than two systems reconciled by hand.
Wave will hold a simple set of books well, at a price we cannot match and will not pretend to. We are the answer when the honest problem is that nobody in the building is doing the bookkeeping.

Onboarding process

What the first sixty days look like when nobody is billing the setup separately

The work is mostly ours. Every product in this comparison will hold an invoice. The difference is who sits down and works out what your accounts should look like before anything gets entered into them.

1

Nothing gets entered until we have followed the money through a real month

We sit with whoever raises the invoices and whoever pays the bills, and we write down what actually happens rather than what the accountant assumed was happening.

2

History moves across and is reconciled before anybody enters a new transaction

Opening balances, outstanding invoices, unpaid bills and the bank history behind them. If you are coming off Wave the export itself is straightforward, and the part that takes the time is agreeing what the opening position actually was.

3

The chart of accounts gets built for your business rather than accepted as a default

A default chart of accounts produces reports nobody reads. We build one that matches how you actually earn and spend, so the profit and loss answers a question somebody was already asking.

4

You run a full month in it, including a real close and a real set of reports

The first month of live use runs with us alongside it. Whatever looks wrong in the first close gets fixed while everybody still remembers the transactions behind it.

Testimonials

Don't Take Our Word For It

Two ways a free ledger turns into a year end problem
Two situations, one shared cause. In neither case did the software fail, and in both the fix was a person taking responsibility for the ledger. If the business has already outgrown what a standalone accounting package can hold, the same argument runs a level up at ERPNext, where the ledger sits inside the wider system rather than beside it.
A closed laptop and a cold cup of coffee on a desk nobody has returned to

How this plays out

Free fitted the budget, and then nobody reconciled it for nine months

Starter costs nothing, so it was never a line anybody reviewed. It also has no bank feed, so every transaction had to be entered by hand, and by March nobody had. The software worked perfectly throughout. What was missing was twenty minutes a week that nobody in the business had agreed to own.
A calendar with a date circled that nobody acted on

When this comes up

The accountant asked for the year end file and got a shoebox in software form

Every invoice was in there and every payment was in there. What was not in there was any structure connecting them, because the categories had been picked one transaction at a time by whoever happened to be doing it that week. The rebuild took longer than the bookkeeping would have, and it was billed at accountant rates.
500

Dollars a month, flat, with the setup and the monthly close inside it

Everything from the first look at how you bill to the monthly financial reporting sits inside that figure. Zoho bills your licences to you directly at their own rates and we take no margin on them.
0

Dollars charged separately for setup, receipt capture or an advisor package

The review, the chart of accounts, the bank rules, the integrations and the support all sit inside the five hundred. There is no separate onboarding invoice, no receipts add on and no advisor package to upgrade onto.
4-8

Weeks, in most cases, before a complete month closes cleanly inside it

Four to eight weeks in most cases, and longer where several years of history have to be reconciled before anybody is willing to trust a balance sheet built on it.

Wave alternative and managed Zoho Books FAQs

Frequently Asked Questions

What is a Wave alternative?
Anything that keeps the ledger and produces the reports without being Wave. On this hub that means QuickBooks, Xero, FreshBooks and Zoho Books. The useful question is not which product has the longer feature grid, because at this end of the market they will all hold an invoice. It is who enters the transactions and who reconciles them.
How is Cascadia different from Wave?
Wave sells software and gives most of it away. We sell the work. The five hundred covers the chart of accounts, the setup, the migration, the bank rules, the integrations and the monthly reconciliation, and the people who built it are the people who answer when you call. Wave's own nearest equivalent is Wave Advisors, not the free plan.
How does your price compare to theirs?
On price it is not close, and dressing that up would waste your time. Wave Starter is zero and Wave Pro is nineteen a month for the whole business. We are five hundred a month, one tier, with your Zoho licences billed to you directly by Zoho at their own rates and no margin taken by us. If this decision is being made on price alone, Wave wins it outright.
Is Wave cheaper than this?
Yes, by five hundred dollars a month, and there is no version of this page where that changes. Starter is free and stays free, and Pro is nineteen a month for the entire business however many people use it. What you are weighing is not two prices. It is whether the bookkeeping is going to get done, and by whom.
What is not included in the five hundred?
Your Zoho licences, which Zoho bills to you directly at their published rates, and anything that is properly an accountant's job rather than a bookkeeper's, such as filing a tax return or signing off statutory accounts. Everything involved in making the books work and keeping them right is inside the figure.
Why not just use Wave and run it ourselves?
If you are billing a handful of clients and you are willing to sit down every week and enter the transactions, do exactly that. Starter is free and it is a genuinely good product for that case. The reason people stop doing it is not that Wave failed them. It is that the weekly twenty minutes quietly stopped happening somewhere around month four.
Should we buy this at all?
Often not, and finding that out now is far cheaper than finding it out in month four. If you invoice a few clients a month and your bank balance already tells you most of what you need to know, five hundred a month of bookkeeping is a solution looking for a problem. We would rather say so on the first call.
Do we have to migrate everything at once?
No. Opening balances, outstanding invoices and unpaid bills move first, because those are what the business is actually chasing. Older closed history follows once the live position reconciles. Splitting it that way means nobody waits on a full migration before they can raise an invoice.
Does anything break while you take over?
Nobody stops invoicing and nothing goes dark. Your existing Wave account stays exactly where it is until the new ledger has closed a full month and the two agree. Cutting over is a decision you make once you have seen the numbers match, not a date we impose on you.
What if we already run Wave and want to move?
It is a common route here and the export itself is straightforward. Where it gets fiddly is agreeing the opening position, because a ledger nobody has reconciled in a while does not really have one yet. We work that out before anybody signs anything, so the tidying up is known rather than discovered.
Do you own the system or the data?
No to both, and the arrangement is deliberately dull. The Zoho account is in your name, the ledger is yours, and if you stop working with us you keep every record and carry on. Nothing about leaving is designed to be awkward.
What exactly is included?
One flat figure with nothing metered behind it. Five hundred a month covers the chart of accounts, the invoicing and recurring billing setup, the bank feeds and reconciliation rules, the financial reporting, the integrations into whatever else you run, and the user permissions.
Do you guarantee the implementation will go to plan?
No, and be wary of anybody who does. A migration meets transactions nobody has looked at properly in years, and a first reconciliation usually turns up two things the business had never noticed. What we will commit to is that those surprises are ours to absorb rather than yours to be invoiced for.
What does the monthly report actually contain?
What came in, what went out, what is still owed to you and what you still owe, alongside anything we changed in the ledger and anything odd enough to be worth mentioning. It is a page rather than a deck, and it is written so somebody who never opens the accounting system can still tell how the business is doing.
How long before we see a difference?
Four to eight weeks to a first clean monthly close in most cases, and longer where several years of unreconciled history have to be sorted out first. The honest variable is not our speed, it is how quickly somebody can answer questions about transactions from two years ago.
What if we want to leave?
Thirty days notice ends it and nothing is stranded. The Zoho account stays in your name, the chart of accounts stays exactly as it is, and the documentation comes with you. There is no exit fee and no data to prise out of us, because it was never ours to hold.
