Managed Zoho POS Services for Checkouts Inventory Outlets

Retail breaks at the counter first, the line that moves too slowly, the item that scanned at last month's price, the stock number that stopped matching the shelf. Managed Zoho POS puts billing, inventory, outlets, and payments in one system we configure and run for you. We build your catalog and tax rules, connect the register to Zoho Books, and keep it correct as you add products, staff, and locations.

A register that matches the shelf

What makes our managed Zoho POS service different

A till has to be faster than asking a colleague, or staff stop using it properly and the numbers stop meaning anything. That is the real constraint on a POS build. Not what the software can do, but whether the busiest person in the shop on a Saturday finds it quicker than the workaround.

Stock drift is the failure that compounds. Every mis-scanned item, unrecorded breakage and untracked return widens the gap between the system and the shelf, and once staff stop trusting the number they stop using it to reorder. So counts are reconciled on a cycle rather than annually, and the causes of the variance get fixed rather than adjusted away. Barcodes and modifiers are set up so the till is genuinely faster. Tax rules are maintained as your state changes them. And new products are added properly rather than at the counter.

Why retailers stop doing this alone

Managed Zoho POS vs setting up the register yourself

Anybody can install a point of sale app and ring up a sale. Building a catalog that scans right, tax that reconciles, and stock that stays accurate across outlets is a different job, and it is the part that gets postponed until inventory day. Here is how the two approaches compare.

Getting the catalog right

On your own, the catalog gets imported once and the errors surface at the counter, meaning a wrong price, a missing variant, a barcode that scans nothing. We build it against how you actually sell, then test a full checkout before a customer is standing there waiting.

Sales tax that reconciles

A rate typed in once is fine until you open a second location or sell an exempt item. We configure rates and exemptions per outlet and check that register totals match Zoho Books, so month end closes on schedule rather than turning into a hunt for the difference.

Counting stock every week

When the register and inventory drift apart, somebody spends Sunday recounting shelves. Synced stock, reorder points, and proper transfer and return handling keep the numbers close, and the gaps that remain show up as exceptions rather than as a surprise on count day.

When hardware misbehaves

A printer that stops talking to the till on a Saturday is a queue, not a ticket for Monday. We configure supported hardware, document the setup, and know the device path well enough to fix it quickly instead of starting the diagnosis from scratch.

Growing into the wider Zoho suite

A register alone has no view of accounting, purchasing, or customer work. We manage the wider Zoho environment, so when a checkout problem turns out to be a Zoho Books mapping problem, we say so, and we flag when Zoho One costs less than adding apps one by one.

What it costs next month

Hourly help makes every small change feel expensive, so people stop asking and the catalog slowly goes stale. A flat monthly rate makes the cost predictable and puts the incentive on us to keep the system current rather than to bill hours.

Built for stores past the cash register

Who our managed Zoho POS service fits best

A real point of sale starts paying once a spreadsheet and a card reader stop keeping up, usually at a second location or the first thousand items. If you are pricing from memory, counting stock by hand, or retyping the day's takings into accounting, this is usually the fix.

How we work with you

How our managed Zoho POS service works

Whether you are opening a first store or replacing a system somebody set up three years ago, the sequence is the same. We get the catalog and the checkout right first, then the stock and the tax, then everything else. Most stores are ringing sales on it within a month.

1

We audit and load your catalog

We start with what you have, whether that is a spreadsheet of items, an export from an old system, or a half configured Zoho account. Products, variants, prices, barcodes, customers, and current stock get mapped and loaded so history comes across rather than everyone starting at zero. We check the result against your own counts before a single sale runs through it, because a price that is wrong at the till costs more trust than the migration saved.

2

We configure checkout, tax, and stock

Next come the settings that make the register yours, meaning tax rates and exemptions per outlet, price lists and promotions, payment methods and terminals, receipt layouts, staff roles and permissions, and the reorder points that keep shelves full. We test each one at a live till, then train your counter team before opening day rather than during it.

3

We keep it correct as you grow

From there you get the ongoing work, meaning new products and price changes configured when you make them, new outlets and staff added, the Books and Inventory sync checked every cycle, and a monthly summary of sales, margin, stock exceptions, and anything still open. You send priorities and we build them into the following month.

Everything we manage

Complete managed Zoho POS coverage

Cascadia Web Services logo

Item Catalog & Barcodes

Checkout is only as fast as the catalog behind it. We build your item list with the variants, units, and categories you actually sell, generate or map barcodes so everything scans first time, and load your existing products from a spreadsheet or an old POS export without losing the pricing history attached to them.
Cascadia Web Services logo

Checkout & Receipt Setup

We configure the till the way your counter works, including the item search and scan flow, quick keys for your fastest movers, discount and void rules, and the receipt layout with your logo, tax breakdown, and return policy. Then we run real transactions through it before your staff meet a customer with it.
Cascadia Web Services logo

Price Lists & Promotions

Retail pricing is rarely one number per item. We set up your price lists for wholesale, retail, and member pricing, build the discounts and promotions you run seasonally, and configure how they apply at the till so a cashier does not have to remember which sale is on this week.
Cascadia Web Services logo

Offline Billing & Sessions

A dropped connection should not close the store. We configure offline billing so transactions keep running and sync once you are back online, and set up register sessions so cash in, cash out, and till counts are recorded per shift. The end of day figure then reconciles instead of being estimated.
Cascadia Web Services logo

Stock Sync & Reorder Points

A register that does not talk to inventory becomes a counting problem every week. We sync stock levels between Zoho POS and Zoho Inventory or Books, set reorder points and low stock alerts on the items that matter, and check the mapping so the number on screen matches what is on the shelf.
Cascadia Web Services logo

Multi Outlet & Warehouse Setup

Two locations mean two stock positions and one owner trying to compare them. We configure each outlet with its own stock, staff, tax setup, and registers, connect them to the warehouses that supply them, and build stock transfers so moving product between stores is a recorded action rather than a phone call.
Cascadia Web Services logo

Purchasing, Vendors & Returns

We set up your vendor records, purchase orders, and goods receipt flow so incoming stock updates counts automatically, and configure customer returns and exchanges including restocking and store credit. Both sides of the stock ledger then move on their own instead of being corrected by hand later.
Cascadia Web Services logo

Stock Counts & Adjustments

Shrinkage, damage, and miscounts happen in every store, and the question is whether they are recorded. We configure cycle counts and full stock takes, set up adjustment reasons so write offs are categorized, and build the variance report so you can see where product is actually going.
Cascadia Web Services logo

Payment Methods & Terminals

We configure the payment methods you accept, connect your card terminal to the supported payment provider, and set up split payments so a customer can pay part cash and part card without a workaround. Each method is tested end to end so a declined card is a card problem, not a configuration problem.
Cascadia Web Services logo

Sales Tax Configuration

Sales tax is where retail POS quietly goes wrong, especially across county lines or at a second location. We configure your rates, tax groups, and exemptions per outlet, set which items are taxable, and confirm that printed receipts and the totals posting to Zoho Books agree with each other.
Cascadia Web Services logo

Store Credit & Customer Accounts

We set up customer records at the till, configure credit limits and account sales for the customers you invoice, and build returns into store credit rather than cash where that is your policy. Purchase history then sits against the customer instead of only in a pile of receipts.
Cascadia Web Services logo

Daily Reconciliation to Books

The day should close by itself. We map POS sales, payments, taxes, and refunds into the right accounts in Zoho Books, then check that mapping each cycle rather than assuming a new payment method or tax rate did not break it. Month end becomes a review instead of an investigation.
Cascadia Web Services logo

Hardware Selection & Setup

Scanners, receipt printers, cash drawers, customer displays, and weighing scales all have to agree with each other. We help you choose hardware that Zoho POS supports, configure each device against the register, and test the full checkout path so opening day is not spent troubleshooting a printer behind the counter.
Cascadia Web Services logo

Staff Roles & Permissions

Not everyone at the counter should be able to void a sale or change a price. We configure roles so cashiers, supervisors, and managers each get what the job needs and nothing more, restrict discounts and refunds above your threshold, and make sure every transaction is attributable to a person.
Cascadia Web Services logo

Counter Staff Training

Software your staff avoid is worse than the register you replaced. We train your counter team on the flows they use every day, meaning scanning, discounts, returns, held bills, and closing a session, and leave a short written guide behind so a new hire in three months does not need us.
Cascadia Web Services logo

Go Live & Opening Day Support

The first busy day decides whether people trust the system. We plan the cutover, run the old and new systems in parallel where it makes sense, load opening stock counts, and stay reachable through your first trading days so a queue never waits on a support ticket.
Cascadia Web Services logo

Zoho Books & Inventory Integration

Zoho POS is most valuable when it is not standing alone. We connect it to Zoho Books so sales, taxes, and payments post to your accounting, and to Zoho Inventory so purchasing, warehouses, and stock movements stay in one ledger rather than being reconciled between two systems.
Cascadia Web Services logo

CRM, Commerce & Analytics Integration

We link POS to Zoho CRM so customer purchase history is visible to the people who sell, to Zoho Commerce where you also sell online and need stock to agree across both, and to Zoho Analytics so store performance can be reported next to the rest of the business.
Cascadia Web Services logo

Outside Tool Connections

We connect Zoho POS to the tools you are not replacing, including your payment provider, your loyalty or gift card platform, your ecommerce store, and anything else that fits through Zoho Flow or a webhook. Each connection gets documented so you know what data moves where and when.
Cascadia Web Services logo

Monthly Review & Retail Reporting

Each month you get sales by outlet and category, margin, best and worst movers, stock exceptions, and anything still open, in a short summary written for somebody with a store to run. You reply with priorities and that becomes what we configure or fix in the following month.

Answers to common managed Zoho POS questions

Frequently asked questions
What is managed Zoho POS?
Managed Zoho POS is a subscription where we run your Zoho POS retail point of sale system for you at a flat monthly rate. That covers the initial build, meaning item catalog and barcodes, checkout and receipts, sales tax, payment terminals, stock sync, outlets, and staff roles, plus the ongoing changes as your products, prices, and locations shift. You get a register that works properly and stays correct, without hiring somebody to administer it.
What does Zoho POS actually do?
Zoho POS is Zoho's retail point of sale product, formerly sold as Zakya. It handles billing and checkout at the counter, barcode scanning, multiple payment methods and terminals, offline billing when the internet drops, customer records and store credit, item catalog and pricing, stock across outlets and warehouses, purchasing and returns, and retail reporting. It connects to Zoho Books, Inventory, CRM, Commerce, and Analytics.
How much does managed Zoho POS cost?
Our managed Zoho POS service is $700 per month per organization. That is our fee for building and running the system, and it covers up to 3 retail outlets with catalog and Zoho Books sync included. Your Zoho POS license is billed separately by Zoho on your own account. If you run several Zoho apps alongside the register, the Managed Zoho One bundle at $2,000 per month covers the rest of the suite under one plan.
Is Zoho POS included in Zoho One?
No, and it is worth knowing before you plan a budget. Zoho POS is licensed separately and sits outside Zoho One, along with a handful of other products such as Procurement and ZeptoMail. Almost everything the register depends on is inside Zoho One though, meaning Books, Inventory, CRM, Desk, Commerce, and Analytics. Most retailers end up with a Zoho One subscription plus a POS subscription, and we manage both together.
Is Zoho POS free?
There is a free edition with limited capability, and paid plans start around $15 per outlet per month billed annually, with higher tiers adding features such as multi outlet management and advanced reporting. Zoho publishes current pricing on their site and it changes, so treat those figures as a starting point. Our fee is separate and covers the configuration and ongoing management rather than the license itself.
Do I need my own Zoho POS license?
Yes, and that is deliberate. The subscription is yours, billed to your company, in your own Zoho account. We work inside it as an administrator. Every product record, transaction, and customer belongs to you, so if you ever stop working with us nothing has to be exported out of an agency account or handed back. You keep the system and the data, and we hand over the admin access.
How is Zoho POS different from Zoho Inventory or Books?
They do different jobs and they work together. Zoho POS is the register, meaning the counter, the scan, the payment, and the receipt. Zoho Inventory manages stock, purchasing, warehouses, and fulfillment behind it. Zoho Books is the accounting that the day's sales post into. A retailer usually runs all three, and most of the value comes from the connections between them being configured properly rather than from any one product.
How does Zoho POS compare to Square or Lightspeed?
Square is simpler to switch on and harder to bend, and it takes a cut of every transaction. Lightspeed is strong on retail depth and priced accordingly. Zoho POS sits between them, with real multi outlet and inventory capability at a lower license cost, and its clear advantage is that your accounting, purchasing, CRM, and reporting can live in the same suite. The setup work is what closes the gap, and that is what we do.
What hardware works with Zoho POS?
Zoho POS runs on Windows, Android, and iOS, and connects to standard retail peripherals including barcode scanners, receipt printers, cash drawers, customer facing displays, weighing scales, and supported card terminals. You are not locked into one vendor's hardware. We help you choose devices that are known to work, configure each one against the register, and test the whole checkout path before you open.
Can it keep selling if the internet goes down?
Yes. Zoho POS supports offline billing, so the counter keeps taking sales during an outage and the transactions sync once the connection returns. We configure and test that path as part of the build rather than leaving you to discover it during an outage, and we set up register sessions so cash handling is still recorded per shift while you are offline.
Can you migrate us off our current POS?
Yes, and that is where a lot of these projects start. We take your item list, prices, barcodes, customers, open store credit, and current stock counts from an export or a spreadsheet, map them to the right fields, and load them so history comes across rather than starting everyone at zero. We check the result against your own counts before a single sale runs through the new system.
How long does Zoho POS implementation take?
For a single outlet with a clean product list, expect the register live in two to four weeks. Catalog, checkout, tax, and payment terminals come first, then stock sync and purchasing, then reporting and the wider integrations. Multiple outlets, a messy item list, or migrating from an old system extends that. We sequence it so the parts your staff use every day work first.
Does it handle multiple stores and stock transfers?
Yes. Each outlet gets its own stock position, staff, registers, and tax setup, and transfers between locations are recorded rather than arranged by phone. We configure the warehouses behind them, set reorder points per location, and build the reporting so you can compare stores against each other instead of guessing which one is carrying the group.
What if our Zoho POS is already set up badly?
That is a common starting point and it is usually fixable. We audit what is there, find what is misconfigured or abandoned, and tell you plainly what is worth repairing versus rebuilding. Tax setup, catalog structure, and the Books mapping are the usual problem areas. We correct them without wiping the transaction history you have built up, and you get a written record of what changed and why.
What happens if we want to cancel or bring this in house?
You keep everything. The Zoho subscription is in your name, all products, transactions, and customer records stay in your account, and the configuration remains exactly as it is. We hand over administrator access and documentation of how the catalog, tax rules, hardware, and integrations are built. There is no lock in and no export process, because the system was never sitting inside anything of ours.
