An Alchemer Alternative for Teams Who Will Hit the Three User Ceiling by Spring

Alchemer sells itself as premium feedback tools without the premium price, and at fifty five dollars a user a month for the entry plan that is a fair description. What the page also says, twice, is that Professional and Full Access hold a maximum of three users, and that the fourth person means a call with sales. We run Zoho Survey at three hundred dollars a month for the whole organisation, with no seat ceiling at all.

The two upper plans carry the words max three users beside the price. None of it tells you who is going to write the first questionnaire.

The fourth user is not a bigger plan, it is a sales call

Their FAQ answers it directly. For more than three users you need to upgrade to a business platform account, and that means contacting sales. There is no published fourth seat and no published platform price. A growing team does not scale up a plan here, it changes category, and it finds that out at the moment it tries to add somebody.

There is no API on any published plan

Their own FAQ says API access is available for business platform accounts. So is a security assessment. If your plan was to push responses into your CRM automatically, or to have your own security team review the vendor, neither is available on anything you can buy from the page, at any of the three published prices.

Their own footnote reads that standard phone support is for Professional and Full Access annual plans only, six in the morning to six at night Mountain Time, Monday to Friday. Collaborator is email only. Round the clock expert support and a dedicated Customer Success Manager are listed under Platform Plans, which is Custom pricing and another sales call.

Alchemer is a serious survey tool with a strong reputation among researchers, recognised in the Gartner Magic Quadrant for Voice of the Customer, and its logic, piping and question types go well past what most companies will ever use. There is a free plan and a seven day trial with no card required. Every criticism below is about the shape of the plans and the ceiling built into them.

Conjoint, card sort, heatmap, open text analysis, SPSS export that carries variable names and labels across properly, offline and kiosk collection. For a genuine research practice these are not decoration, and Zoho Survey does not match them. We would rather say this plainly than pretend the tool is the weak point.

The three user cap is not an oversight, it is the design. Alchemer has built these plans for one to three people who do the research themselves, and the page says as much. If that is your shape and it will stay your shape, the fit is exact.

GDPR, HIPAA, ISO 27001, CCPA, SOC 2 Type 2 and FERPA, with data residency and isolation, end to end encryption and retention controls. For education and healthcare buyers that list matters, and it is a real reason to choose them. The HIPAA business associate agreement is a platform conversation.
None of that is padding, and if you have a researcher who will use those question types properly, Alchemer is very likely the right tool for them. What no survey tool does is decide what is worth asking. Each capability in that list waits for a person on your side to choose the question, word it carefully and act on the answer. Holding that job is separate from buying the seats, and it is the job our Managed Zoho work exists to do.

Most of the work is ours. Every product compared on this hub will collect an answer correctly. What goes wrong is everything arranged around it, so that is where the first two months go.

We ask who will read the results, who will act on them and who will be asked about them in a meeting. That list is almost always longer than three people, which is worth knowing before you choose a plan built around three people.

They started with three people who needed to build and read surveys, which fitted the plan exactly. Within a year the support lead, the head of product and somebody in marketing all wanted the results too. There was no fourth seat to buy, only a category change and a quote. What actually happened is what usually happens. One person kept the login and emailed screenshots to everybody else.

How does Alchemer compare to SurveyMonkey, Qualtrics and Microsoft Forms?
Microsoft Forms publishes no price because it comes with Microsoft 365, and states no response limit anywhere. SurveyMonkey starts at thirty a user a month with a three seat minimum, so ninety is its real floor. Alchemer starts at fifty five a user a month and caps self serve at three users, which is the opposite constraint. Qualtrics publishes no figure at all and meters interactions rather than seats. All four will collect an answer correctly. None of them decides what is worth asking.
What actually happens when we need a fourth user?
You contact their sales team. Alchemer states plainly that more than three users requires upgrading to a business platform account, and business platform pricing is Custom. We will not guess at what it costs, because we have not been quoted one. What we can say is that the fourth colleague is a different conversation rather than a bigger invoice.
What does Alchemer actually cost?
The self serve plans are published clearly. Collaborator is fifty five dollars per user per month, Professional a hundred and sixty five, Full Access two hundred and seventy five. Paid annually they are three hundred and fifteen, one thousand and seventy five, and one thousand eight hundred and ninety five per user per year. Professional and Full Access are capped at three users. Platform Plans are Custom, and there is a free plan and a seven day trial with no card required.
Which Alchemer capabilities sit on the higher plans?
Professional adds custom templates and branding, additional logic, scripting and analysis, and phone support, and raises the annual response allowance from seventy five thousand to a hundred thousand. Full Access adds advanced research question types, advanced statistical analysis and advanced reporting, and raises it to a hundred and twenty five thousand. Omnichannel collection, open text analysis, single sign on, a dedicated Customer Success Manager and the API all sit on Platform Plans, which are Custom.
What is not fixed by moving up a plan?
Whether the question you wrote will get an honest answer. Whether the same customer is being asked by three different teams. Who reads the responses and what they are allowed to change afterwards. Moving from Collaborator to Full Access buys better question types, not better questions. That is a job somebody has to hold.
We already pay for Alchemer. Why would I pay you three hundred a month instead?
Often you should not, and we say so regularly. If one of your three seats belongs to somebody who genuinely writes and runs the research, keep it. Call us when that person leaves, when a fourth colleague needs access, or when you want the answers to reach your CRM without buying a platform account to get an API.
At what point does Alchemer stop being the cheaper answer?
It depends which plan. On Collaborator at fifty five a seat, six people reach our three hundred. On Full Access at two hundred and seventy five, a single seat is already within twenty five dollars of it. For one person on Collaborator, Alchemer is five times cheaper than us and we will say so plainly. The two numbers are not the same kind of thing either. Theirs is software with a three user ceiling. Ours is somebody writing and running it, with no ceiling, and you buy the Zoho Survey licence separately.
Is Alchemer metered on people or on responses?
On both, with a cap on the first. You pay per user per month and no self serve plan allows more than three users. Responses are capped annually per account, at seventy five, a hundred or a hundred and twenty five thousand depending on plan, and their table notes the allowance is based on the highest level licence across all users, with monthly limits applying as well.
Is Alchemer a better product than Zoho Survey?
For research work, yes. Conjoint, card sort, heatmap and SPSS export are real advantages and Zoho Survey does not match them, and we would rather say that than pretend otherwise. Zoho Survey wins on two narrower points. There is no user ceiling, and it already sits inside the estate where your customers, tickets and campaigns live. Bought from us it also arrives with somebody to run it.
Does Zoho Survey connect to the rest of Zoho?
That is a large part of the reason to choose it, and it is the sharpest difference here. Survey writes into CRM, Campaigns, Desk and Analytics directly and it is included. Alchemer reserves API access for business platform accounts, so the equivalent starts with a quote.
What exactly do you do for three hundred a month?
We set up the account and provision users, agree what the survey is for, write the questions, build the skip logic and branching, brand it, distribute by email, link, embed and QR code, watch responses arrive, build the reporting, run your NPS and CSAT programmes, and connect it to CRM, Campaigns, Desk, Analytics and Flow. The figure covers the organisation and does not move when you hire.
Who holds the Zoho Survey licence, you or us?
You do, and that is deliberate. The Survey subscription is bought in your name and stays there. If you stop working with us you keep the account, every question set and every response in it, and carry on without a migration. Zoho Assist is the only service where we carry the licence.
Can you move us off Alchemer?
Yes, with one honest caveat. If you are using conjoint, card sort, heatmap or SPSS export, those have no direct equivalent in Zoho Survey and we will tell you which of your surveys depend on them before you move rather than after. Everything else recreates straightforwardly.
Is there a minimum term?
No. Three hundred a month, month to month, thirty days notice. Alchemer bills monthly or annually, and annual is where the real discount and the phone support both live, so compare the commitment as well as the number.
What if only one person will ever use it?
Then buy one Alchemer Collaborator seat at fifty five dollars and keep your three hundred. For a single person doing their own research, they are five times cheaper than us and better equipped than we are. Come back when a second and third colleague need the results, or when nobody is left who writes the questions.
What happens if we outgrow Zoho?
Some businesses do. Once the research is longitudinal panel work, complex quota sampling or regulated data collection, the ceiling is real and we will say so before you reach it. That is often the point at which Alchemer or a research platform becomes the right answer, and we would rather say so than defend a fit that has stopped working.
