Most email trouble is not really about email. It is a DNS record nobody checked. It is an admin console that has had no owner since the person who set it up moved on, or a license still being paid for an employee who has already left. We take responsibility for all of it on either platform, and your staff get a person to ask instead of a help center article. Here is what that looks like day to day.

Mailboxes are created, moved and closed on request, with forwarding and delegation set the way you asked rather than the way the default assumed. The records that decide whether your mail is trusted are checked on a schedule instead of left alone after setup. Licenses are reviewed so you stop paying for people who have gone. Migrations run with the old mail intact. And when something is wrong, you send one message and working out which platform caused it becomes our job.

Somebody owns the console

In most small companies the admin console belongs to whoever set it up years ago and nobody has opened it since. We own it, keep it current, and write down what is configured, so how your email works is not stored in one person's memory.

Authentication done properly

SPF, DKIM, and DMARC are the records that prove your mail is really yours. Left half-finished, they quietly route legitimate invoices into junk folders. We publish all three, align them, and revisit them every time you add a new tool that sends on your behalf.

Joiners and leavers same day

A new hire with no mailbox on their first morning is an avoidable bad start, and a former employee with live access is a real risk. Send us the name and the date and both are handled, including releasing the license so you stop being billed for it.

Deliverability watched, not assumed

Most businesses find out about a blocklist entry when a customer mentions they never got the quote. We watch bounce rates, complaints, and authentication failures on your domain and act on them before they cost you a reply that mattered.

Security defaults tightened

Out of the box both platforms are tuned for convenience. We enforce two-factor authentication, and we move people off SMS codes, which Google itself discourages because text messages travel over carrier networks that can be intercepted. Google now enforces 2SV on administrator accounts, so the super admin seat is the one to sort out first. We also close the weak recovery paths and switch the accounts that matter to security keys or passkeys.

Getting started is mostly us working in the background while you carry on using your current email as normal. We plan the move and copy the data, then switch the domain over at a time that suits you. After that it settles into a routine you barely notice.

We start with what you actually have: where mail is hosted now, how many mailboxes and aliases exist, what your DNS records currently say, and which platform and tier make sense going forward. You get a straight recommendation, including the cheaper option when that is the right answer. Nothing changes on your live email while we do this, and there is no charge for the review.

We migrate and configure in the background

We provision the mailboxes, copy mail and folders and contacts across, and publish the authentication records before anything cuts over. Your old system keeps running throughout. We verify the copy against the originals, then schedule the DNS switch for a quiet evening. Propagation can take up to 72 hours, which is why the old system stays live for days afterward.

Free migration from your current host

Mail, folders, contacts and calendars come across from your old provider at no charge. The time actually goes on the part that gets skipped, which is auditing what the old system holds before anything moves. Google's MX record has been a single entry, smtp.google.com at priority 1, since 2023. The older five-record aspmx set still works, so plenty of domains are carrying it and nobody has looked. Zoho publishes its own three. We set the right records, strip the stale ones that break delivery if left behind, and confirm resolution from outside your network before calling it done. Google allows up to 72 hours for an MX change to be recognised, which is why a cutover gets scheduled and not improvised.

SPF, DKIM, and DMARC alignment

All three get published and aligned, which is how a receiving server confirms your mail is really yours. Two details do most of the damage. SPF is capped at ten DNS-querying mechanisms under RFC 7208, and every SaaS tool you authorise spends part of that budget, so domains cross the limit quietly and start returning permerror with no visible symptom. DKIM keys below 1024 bits are rejected outright and 2048 is the standing recommendation. We audit what is published, count the lookups, and fix both.

Sending reputation checks

Bounce rates, authentication failures and spam complaints get watched on your domain. Google publishes the threshold to work to: keep your reported spam rate under 0.10 percent, because 0.30 percent is where reclassification starts. When a number moves we tell you what is behind it, which is usually a marketing tool, a web form, or one compromised account sending in your name. Worth knowing, because most reporting tools imply otherwise: Google does not track open rates and cannot verify anybody else's.

Offboarding with data handover

Access is suspended the day somebody leaves, which is a different thing from deleting the account. Delete first and the mail goes with it. So access closes, mail is delegated or forwarded, files move to whoever inherits the work, and the licence is released last.

Aliases and shared mailboxes

Google gives each user up to 30 aliases at no extra cost, so billing, support and hello cost you nothing in licences. Two limits shape the design. An alias belongs to exactly one user and cannot be shared, so anything a team answers together needs a group or a delegated mailbox. And an alias does not send on its own: the user has to add it as a custom From address in Gmail, which the admin console neither shows you nor can do for them. That is the call we get most often, the alias that receives perfectly and refuses to send.

The technical side of your company email stops being yours. Your people carry on in Gmail or Zoho Mail exactly as before, so the day to day does not change for them. What changes sits upstream of them. When somebody joins, or something breaks, you send one message and it is dealt with.
Do you support both Google Workspace and Zoho Mail?
Yes, and the management is identical either way. Google Workspace suits teams that want the full Docs, Drive, and Meet ecosystem, or that already live in it. Zoho Mail suits teams who want professional email on their own domain at the lowest license cost they can get. We run both to the same standard. The only things that differ are the license we carry for you and the per-user rate.
How much does managed email cost per user?
Ten dollars per user per month on Google Workspace, five on Zoho Mail. The provider licence sits on top at its own rate, which depends on the tier you need. One invoice, from us.
Is the Google Workspace or Zoho Mail license included in the price?
The license is carried by us and billed to you, but it stays separate from the management fee, because the providers price their tiers differently. Google Workspace runs from a basic business plan up to plans with much larger storage and meeting limits. Zoho Mail starts near a dollar per user. We quote your exact license cost up front, and it then appears as a line on the same invoice.
Do you resell Google Workspace and Zoho Mail licenses?
Yes. The subscription relationship with the provider sits with us and the licence passes through to you, which is why one invoice arrives and not three. Renewals, seat changes, billing questions and failed payments all come to us. You keep admin console access and can verify your own subscription whenever you like.
Do you charge a setup fee or require a user minimum?
Neither. No onboarding charge, no migration charge, no minimum headcount. Two people pay for two. Forty pay for forty.
Will you migrate our existing email for free?
Yes, and the mailbox count does not change it. Messages, folder structure, contacts and calendars come off your current provider, and the old system stays reachable until we have confirmed nothing is missing. Most clients arrive from a host they outgrew, so the move is part of onboarding and not a billable project.
How long does an email migration take?
A small team is usually done inside a day, with the DNS cutover scheduled for a quiet hour. Two things set the real timeline. The volume of historical mail, which is the limiting factor on large mailboxes and has nothing to do with setup. And the propagation window: Google allows up to 72 hours for an MX change to be recognised, so the old provider stays live across it. We copy the bulk of the data before switching anything, which keeps the window where mail could be delayed short, and you are told when it is.
Will we lose messages, folders, or calendars during the migration?
No. We copy, we do not move, so the old mailbox stays intact until you release it. Folders, read status, contacts and calendars all come across. Anything that did not transfer, we run again.
Which is better for our business, Google Workspace or Zoho Mail?
It depends on what else you use. If your team leans on Docs, Sheets, Drive, and Meet, Google Workspace earns its higher license. If you mainly need reliable email on your own domain and the cost matters, Zoho Mail does that for a fraction of the price and is a genuinely capable platform. Anything to do with running your email: setup, access problems, spam and delivery issues, aliases, groups, mobile devices, onboarding, offboarding, and questions from individual staff. No per-ticket charge, and no cap on how often your people contact us. Larger projects that sit outside email, such as building an automation or reorganizing your entire file storage, get quoted separately so the monthly fee stays predictable.
Who handles SPF, DKIM, and DMARC?
We do, as part of the service. Those three DNS records are how a receiving mail server confirms that messages from your domain are genuinely yours, and getting them wrong is the most common reason legitimate business email lands in junk. We publish them, align them, and go back to them whenever you add a new sending tool, whether that is a CRM, an invoicing system, or a marketing platform.
What happens when we hire or lose an employee?

For a departure, access is suspended immediately, the mail is forwarded or delegated, any files go to whoever is taking over, and the license is released so it stops being billed. Yes, and it is one of the most common reasons people call us. We check what is published, look for blocklist entries, and inventory every service sending in your name. The answer is usually one of a handful of things: an SPF record that has quietly crossed the ten-lookup limit and started returning permerror, a platform signing with no DKIM key published, a DMARC policy set to reject while something legitimate was still failing, or one compromised account. You get the specific cause and the fix, not a guess.
Do we still control our own domain and data?
Yes. The domain stays registered in your name, the organization account is yours, and you keep admin visibility throughout. We manage it; we do not hold it. If you leave, administrative control is handed over and your mail goes with you.
