We audit what you have

We start with what actually exists: every mailbox, alias, shared address, forwarding rule, and DNS record touching your domain. That includes the addresses nobody uses, the forwards a former employee set up, and the sending systems missing from your SPF record. That list is usually longer and stranger than anyone expects, and it decides the plan.

We migrate and secure

We move the mail in batches with a sync window, verify counts per mailbox, and rebuild the domain records so authentication is correct before the MX switch. Then we set the security, retention, and access policy deliberately rather than accepting the defaults. The old platform stays reachable until you agree the new one works.

What is managed Zoho Mail?
Managed Zoho Mail is a monthly service where we run your company email inside your own Zoho account. That covers migrating your mailboxes, configuring the domain records, keeping your mail out of other people's spam folders, enforcing the security and retention settings, and handling the day to day administration as staff join and leave. You own the account, the domain, and the data. We do the work and stay accountable for it.
What is included in the monthly plan?
Mailbox and domain administration, DNS and deliverability records, spam and phishing tuning, multi factor and access policy, encryption settings, retention and eDiscovery configuration, archiving and backup, groups and shared mailboxes, storage management, joiner and leaver handling, suite integrations, and ongoing troubleshooting. You also get a monthly summary of deliverability and any security events worth knowing about. Large one time migrations are scoped as separate projects.
How much does managed Zoho Mail cost?
The managed service is $500 per month for your organization, regardless of how many mailboxes you run. That is the management fee only. Your Zoho Mail, Workplace, or Zoho One license is billed by Zoho at their published rates and you see that cost directly rather than through a markup from us. If you run several Zoho apps, the Zoho One bundle is usually the cheaper route.
Can you migrate us from Google Workspace or Microsoft 365?
Yes, and it is the most common reason companies call us. We move messages, folder structure, contacts, and calendars, running the transfer in batches with a sync window so mail arriving during the move is not lost. Mailbox counts get verified before we cut the MX records over. We keep the old platform reachable until the new one is proven, then help you close it down.
How long does a mailbox migration take?
For most small and midsize companies the whole project runs one to three weeks from first call to old platform shutdown. The actual data transfer is usually a few days and happens in the background while everyone keeps working. Very large mailboxes, long archives, or a source platform with throttled export limits add time. We give you a schedule up front rather than a range you have to interpret.
Will we lose email during the migration?
No. We run a sync window so anything arriving during the transfer is captured, and we do not point your MX records at Zoho until the mailboxes are populated and verified. If something does go sideways, the old platform is still live and reachable, so we can reverse the change. The rollback path stays open until you tell us the new setup is working.
Why do our emails go to spam, and can you fix it?
Usually because your SPF record is missing a sender, your DKIM is unsigned, your DMARC policy is absent, or a previous provider left records behind that now contradict each other. Sometimes a compromised mailbox has been sending on your behalf. We diagnose which of those it is, fix the records, work any blocklist delistings, and monitor the reports afterward so it stays fixed.
What are SPF, DKIM, and DMARC, and do we need them?
They are DNS records that prove mail claiming to be from your domain is really yours. SPF lists who is allowed to send, DKIM signs the message, and DMARC tells receiving servers what to do when a message fails. Yes, you need all three. Major providers now filter or reject unauthenticated mail from business domains, so this is no longer optional for anybody sending at volume.
Do you handle our DNS records?
Yes, at whichever registrar or DNS host you use, including Cloudflare, GoDaddy, Namecheap, Route 53, and the rest. We configure MX, SPF, DKIM, DMARC, and autodiscover, confirm propagation, and remove the leftovers from a previous provider that quietly break authentication. You keep ownership of the domain and the account. We document every record so the setup is not a mystery later.
Is Zoho Mail secure enough for a business?
Yes, when it is configured deliberately rather than left at defaults. We enforce two factor authentication, set session and device policies, tune the spam and attachment rules, enable TLS in transit and S/MIME where messages need it, and review the audit logs for suspicious logins and forwarding rules. Most email breaches come from weak configuration and reused passwords, not from the platform itself.
Can Zoho Mail meet HIPAA or GDPR requirements?
Zoho supports HIPAA compliance features on the plans that include them, and Zoho Mail gives you the retention, consent, and access controls GDPR expects. We configure encryption, set retention and deletion rules, restrict who can view or export mail, enable eDiscovery, and document what is stored where for your compliance reviews. Signing a business associate agreement with Zoho is a step you take directly.
What happens when an employee leaves?
We change the password, end their active sessions, remove them from groups and shared mailboxes, and forward or delegate their mail to whoever picks up the work. The mailbox is then archived or converted rather than left open and consuming a license. Handled promptly, that closes the most common route back into a company's email after somebody departs on bad terms.
Do we need Zoho One, or is Zoho Mail enough?
If email is the only Zoho product you use, the standalone plan is fine. Most companies running business email are also using CRM, Desk, or WorkDrive, and at three or four apps the Zoho One license usually costs less than those subscriptions stacked separately. We will tell you which side of that line you fall on rather than guessing in your favor.
Who owns the mailboxes and the data?
You do. The domain, the Zoho organization, every mailbox, and the subscription all sit under your company name. We work inside your account rather than holding your mail in ours. If you stop working with us, nothing needs exporting or handing back, and we document how everything is configured so any other provider can pick it up without starting over.
Do you support Outlook and phones, or only the web app?
All of them. We configure Outlook, Apple Mail, and Thunderbird on desktops, and the Zoho Mail app or native mail client on iPhone and Android. That includes app passwords, calendar and contact sync, and shared mailbox access. When somebody gets a new laptop or phone, setting it up is part of the service rather than something you file a ticket about.
