Managed Zoho Marketplace Services for Extensions Integrations Custom Builds

An extension takes two minutes to install and can quietly break a workflow for a year. Managed Zoho Marketplace puts the choosing, the installing, the configuring, and the upkeep in one place we run for you. We vet what you are about to add, set it up so it fits the way you already work, build a custom extension when nothing in the catalog does, and keep every one of them current.

Extensions that earn their place

What makes our managed Zoho Marketplace service different

Zoho Marketplace has thousands of listings and no way to tell which ones are still maintained. Anybody can install one. The work that matters is knowing which extension solves your problem, what data it reads, whether the publisher still answers support tickets, and what happens to your process when it updates. We do that evaluation before anything touches your account, then own it afterward. Here is the ongoing work behind it.

An abandoned extension is the real hazard, because it keeps working right up until it does not. So before anything is installed we check when the listing was last updated, whether the publisher responds, and what permissions it asks for against what it plausibly needs. After installation it is inventoried rather than forgotten, so you can see what has access to your data. Updates are tested before they reach production. And when an extension is abandoned upstream, we tell you and propose the replacement rather than waiting for the failure.

Why teams stop doing this themselves

Managed Zoho Marketplace vs installing extensions yourself

Installing an extension is a two minute job, which is exactly why it gets done without much thought. Keeping a dozen of them configured correctly, updated safely, scoped to the right permissions, and actually still useful is a different job. Here is how the two approaches compare.

Choosing between similar listings

On your own you compare screenshots and a review count. We check update history, publisher responsiveness, and what the extension actually reads from your account, then recommend one and say plainly why the others lost.

An update that breaks a workflow

Publishers push updates whenever they like, straight into your live organization. We test upgrades in a sandbox first and hold anything that changes behavior until your team knows what is coming.

Extensions nobody remembers installing

A trial gets installed, the person leaves, and the extension keeps its data access for years. We inventory every one, remove what is dead, and keep the list down to what your team actually uses.

When the catalog has no answer

In house that usually means a spreadsheet workaround or a project that never finished. We build the extension in Zoho Sigma instead, scoped to the one job, and install it privately to your organization.

Growing into the rest of Zoho

An extension problem is often really a CRM or Flow problem wearing a costume. We manage the wider Zoho environment, so we say so, and we flag when Zoho One costs less than adding apps one by one.

What it costs next month

Hourly help makes every small change feel expensive, so people stop asking and install things unreviewed instead. A flat monthly rate makes the cost predictable and puts the incentive on us to keep your setup clean rather than billable.

Built for teams running on Zoho

Who our managed Zoho Marketplace service fits best

Marketplace stops being a convenience once several extensions run at once, once one of them holds data you care about, or once somebody asks what a listing is allowed to read. If nobody can say which extensions are installed or who added them, this is usually the fix.

How we work with you

How our managed Zoho Marketplace service works

Whether you are starting clean or untangling extensions that three different people installed, the sequence is the same. We find out what is connected, fix or remove what should not stay, then run it. Most clients are sorted within two to three weeks and stop thinking about it after that.

1

We inventory what is installed

We start by listing every extension and connection across your Zoho organization, including the trial somebody installed two years ago that still holds an API token. For each one we record who added it, what it reads and writes, whether the publisher still maintains it, and whether anyone actually uses it. That list is usually longer and messier than anyone expects.

2

We clean up and configure

We remove what is dead, then set up the extensions worth keeping properly: field mappings, sync direction, triggers, and permissions scoped to the team that needs them. Where the catalog has no answer, we build the extension in Zoho Sigma. Everything gets tested in a sandbox with real records before it reaches your live organization.

3

We run it and keep it current

From there you send us requests and we handle them, usually within a day or two. We track publisher updates, test upgrades before they land, review permissions when scopes change, and tell you when an extension has been abandoned and what replaces it. Each month you get a summary of what changed and what we removed.

Extension Vetting & Recommendations

Before anything touches your account we check the publisher, the update history, the support record, and the permissions a listing asks for. You get a plain recommendation with the reasoning attached, including which similar extensions we ruled out and why they lost.
Cascadia Web Services logo

Requirement Scoping

Most extension searches start from a symptom rather than a requirement. We work out what the process actually needs to do, which fields have to move, and where the handoffs sit, then search the catalog against that. It often turns out you need one extension instead of three.
Cascadia Web Services logo

Build vs Buy Analysis

A paid extension with a monthly fee is not always cheaper than a small custom build you own outright. We compare the listing cost over two years against the build effort, factor in the risk of the publisher walking away, and tell you which way the numbers point.
Cascadia Web Services logo

Publisher & Support Review

Marketplace does not tell you whether a publisher still answers tickets. We check when the listing last shipped an update, how the publisher handles reported issues, and whether the extension has kept pace with Zoho API changes. Abandoned listings get flagged before you depend on one.
Cascadia Web Services logo

Installation & Provisioning

We install the extension into your organization, connect it to the right Zoho apps, and set it up under an account your company controls. Access gets granted to the teams that need it rather than everyone, so the extension is not visible to people who have no use for it.
Cascadia Web Services logo

Field Mapping & Sync Configuration

Extensions install with defaults that suit nobody. We map every field, set the sync direction, decide what triggers what, and handle the picklist values and date formats that break quietly. Custom fields on your side get mapped properly rather than dropped into a notes field.
Cascadia Web Services logo

Sandbox Testing Before Go Live

Nothing reaches your live organization untested. We run the extension against real record shapes in a sandbox, check what it writes back, confirm it does not duplicate records, and verify the failure behavior. Only then does it get installed where your team works.
Cascadia Web Services logo

Flow & Webhook Gap Filling

Extensions often cover most of a process and stop short. We fill the remainder with Zoho Flow steps, custom functions, or webhooks, so the workflow completes end to end instead of leaving somebody to copy the last field by hand every time.
Cascadia Web Services logo

Custom Extension Development in Sigma

When the catalog has no answer, we build the extension in Zoho Sigma. The build gets scoped to the one job you need, developed against your real data model, and tested in a sandbox. You get something that fits your process rather than a workaround held together by a spreadsheet.
Cascadia Web Services logo

Private Installation to Your Organization

Custom extensions get installed privately to your organization, so nothing you paid to build is visible to anyone else. The code and the listing stay under your company name, and you keep the ability to move it if you ever take this work back in house.
Cascadia Web Services logo

Marketplace Publishing & Review Submission

If an extension you own is worth offering publicly, we prepare the listing, the screenshots, the description, and the privacy and support documentation, then handle the Zoho review submission and any changes the reviewers ask for. You keep publisher ownership throughout.
Cascadia Web Services logo

Version Tracking & Release Notes

Publishers ship updates on their schedule, not yours. We track the version of every extension you run, read the release notes as they land, and work out which changes affect your configuration. You hear about the ones that matter and nothing about the ones that do not.
Cascadia Web Services logo

Upgrade Testing & Controlled Rollout

Updates that change behavior get tested in a sandbox before they reach the people who rely on the extension. Where an upgrade breaks a mapping or removes a feature you use, we sort the configuration first, then roll it out with your team told what changed.
Cascadia Web Services logo

Deprecation & Abandonment Monitoring

Extensions get abandoned quietly. We watch for listings that stop updating, publishers that go silent, and Zoho API changes that will strand an old integration. When one is heading for trouble you get told early, with a replacement already evaluated and costed.
Cascadia Web Services logo

Permission & Scope Auditing

An extension installed for one team can often read far more than that team's data. We audit what each one has access to, cut the scopes back where we can, and check permissions again whenever an update changes what an extension is asking for.
Cascadia Web Services logo

Connection & Token Management

Every extension holds a connection tied to somebody's account, and those break when that person leaves. We move connections onto service accounts your company controls, track which credentials each extension uses, and revoke the tokens belonging to anything we remove.
Cascadia Web Services logo

Data Access Documentation

If you answer to a client contract or an auditor, you need to be able to explain what reads your data. We document what each extension accesses, what it sends outside your organization, and where that data goes, and keep the record current as things change.
Cascadia Web Services logo

Extension Inventory & Ownership

We keep one live list of every extension and connection across your Zoho apps, who requested it, what it does, and whether anyone still uses it. Trials that nobody adopted get removed rather than left holding an API token for another two years.
Cascadia Web Services logo

License & Renewal Tracking

Paid extensions renew on their own schedules and rarely appear on anybody's budget. We track what each one costs, when it renews, and how many seats you are paying for, then flag the ones whose usage no longer justifies the spend.
Cascadia Web Services logo

Monthly Change Summary

Each month you get a short written summary of what we installed, updated, reconfigured, or removed, which permissions changed, and anything we are watching. It is written to be read by somebody who does not administer Zoho, so you can pass it straight to a manager.

Answers to common managed Zoho Marketplace questions

Frequently asked questions
What is managed Zoho Marketplace?
Managed Zoho Marketplace is a monthly service where we run the extensions and integrations inside your own Zoho organization. That covers choosing them, installing and configuring them, reviewing what they are allowed to access, testing updates before they land, removing the ones nobody uses, and building custom extensions in Sigma when the catalog has no answer. You own the account, the connections, and anything we build.
What is included in the monthly plan?
Extension evaluation and recommendations, installation and provisioning, field mapping and sync configuration, sandbox testing, Flow and webhook work where an extension falls short, permission and scope audits, version tracking and upgrade testing, deprecation monitoring, connection and token management, license and renewal tracking, and custom extension development in Sigma. You also get a monthly written summary. Large one time data migrations are scoped separately.
How many extensions does the plan cover?
The standalone plan covers up to 15 installed extensions across your Zoho organization, which is more than most companies run. Custom builds in Sigma are included rather than counted separately. If you are past that, or running extensions across a lot of apps at once, the Zoho One bundle is usually the better fit and we will say so rather than upselling you into overage.
Do you charge for the extensions themselves?
No. Paid extensions are billed by their publisher, and your Zoho license is billed by Zoho. Neither is marked up. Our monthly fee covers the work of running them. We do track what each paid extension costs and when it renews, and we will tell you when one is no longer earning its price.
What is Zoho Sigma and when would we need it?
Sigma is the platform for building custom Zoho extensions. You need it when the catalog has no listing that does what you want, or when the closest one costs more over two years than a small build you own outright. We scope the work first, tell you which way the numbers point, and only build when it is the cheaper answer.
Can you build an extension we then sell publicly?
Yes. We build it in Sigma under your publisher account, prepare the listing, screenshots, description, and the privacy and support documentation, then handle the Zoho review submission and any changes the reviewers ask for. You keep publisher ownership and any revenue. Most clients start with a private install and decide about publishing later.
How do you decide whether an extension is safe to install?
We look at four things. When the publisher last shipped an update, how they handle reported issues, what permissions the extension asks for against what it actually needs, and where your data goes once it leaves your organization. An extension that reads your whole CRM to do one small job gets rejected even if it works.
What happens when a publisher updates an extension?
We track the version of everything you run and read the release notes as they land. Updates that change behavior get tested in a sandbox before they reach your live organization. If an upgrade breaks a field mapping or removes something you depend on, we fix the configuration first, then roll it out with your team told what changed.
What if an extension we rely on gets abandoned?
We watch for listings that stop updating, publishers that go quiet, and Zoho API changes that will strand an older integration. You get told early rather than on the day it stops working, with a replacement already evaluated and costed, or a Sigma build proposed if nothing in the catalog covers it.
Can you audit the extensions we already have installed?
That is where every engagement starts. We list every extension and connection across your Zoho apps, record who added it, what it reads and writes, whether the publisher still maintains it, and whether anyone uses it. Dead trials get removed and their tokens revoked. The list is usually longer and messier than clients expect.
Who owns the connections and API tokens?
You do. Everything lives inside your own Zoho organization under your company name. Where a connection is currently tied to an individual employee account, which breaks the moment that person leaves, we move it onto a service account your company controls. Nothing sits behind an agency login, so there is no export to negotiate if you leave.
Do you work with extensions across all Zoho apps?
Yes. Marketplace extensions exist for CRM, Desk, Books, Projects, Mail, Recruit, and most of the rest, and the same integration often gets installed three different ways across three apps. We keep one inventory covering everything and standardize how each connection is set up so they behave consistently.
How fast do you turn around a request?
Most requests are handled within a day or two. Installing and configuring a vetted extension is usually same week. Anything that needs sandbox testing or touches a live sync gets scheduled so your team knows when it is happening. A custom Sigma build is scoped and quoted on timeline before we start.
How is this different from hiring a Zoho consultant hourly?
Hourly work makes every small question feel expensive, so people stop asking and install things unreviewed instead. A flat monthly rate removes that friction and puts the incentive on us to keep your setup clean rather than billable. You also get the ongoing parts, version tracking and permission reviews, that nobody buys by the hour.
When does the Zoho One bundle make more sense?
Once you are managing extensions across several Zoho apps, an extension problem is usually a CRM, Flow, or Desk problem wearing a costume, and fixing it properly means touching more than Marketplace. The Zoho One bundle covers every app under one monthly plan and works out cheaper than about four individual app plans, which is where most multi-app teams end up.
