A Formstack Alternative for Teams Paying Enterprise Money for One Builder Seat

Formstack Forms is eighty three dollars a month paid annually, or ninety nine paid monthly, and that buys one builder user and twenty five forms. What the subscription does not include is the person who decides what the form should ask, wires the answer into your CRM, and rebuilds it when the process changes six months later. We do that part, for Zoho Forms, at three hundred dollars a month for the whole organisation.
What Formstack gives you, and what it leaves on your desk
The highest entry price on this hub, one builder seat, and a form nobody has been given to own
Formstack publishes its two self serve plans plainly, which we would rather have than a contact form. Forms is eighty three dollars a month paid annually and ninety nine paid monthly. Suite, which adds document generation and e-signature, is two hundred and fifty annually and two hundred and ninety nine monthly. Salesforce and Enterprise are both custom pricing. None of it tells you who is going to build the first form.
Icon representing one builder seat included on the entry plan

Eighty three dollars a month buys exactly one builder

The Forms plan card lists one builder user, twenty five forms, a thousand submissions per form and two gigabytes of storage. The second person who needs to build something is an add on, and Formstack confirms in its own FAQ that users, features and submissions are bought on top once you have signed up. The headline is a starting figure, not a total.
Icon representing approval routing held to the higher plan

Approval routing does not exist on the Forms plan

Their own comparison table marks route submissions for approval with a grey cross against the Forms plan. Routing an approval starts on Suite, at two hundred and fifty a month. If the reason you are buying a form tool is that somebody has to sign something off, the eighty three dollar plan is not the one that does it.
Icon representing compliance sold as an add on and office hours support

HIPAA is an add on, and support runs office hours

Their table shows compliance requirements as an add on for both Forms and Suite, included only on the Salesforce and Enterprise plans. A dedicated Customer Success Manager is marked with a cross on both self serve plans. Live support is Monday to Friday, eight in the morning to four in the afternoon Eastern, which is an eight hour window five days a week.
Serious software, and a form still unowned
The tool is not the weak point here, and we will not pretend it is
Formstack is the most serious of the four builders on this hub about what happens after a submission arrives. Documents, e-signature, approvals and a genuinely native Salesforce path are all real products rather than integrations, and there is a fourteen day free trial with no card. Every criticism below is about the gap between owning the subscription and having a form that puts the answer where it belongs.

Cascadia

An intake process decided in one pass, by somebody who then stays to rebuild it as the process changes.

Without Cascadia

A builder subscription bought in week one, two forms live by month two, and somebody still retyping submissions into the CRM by hand.

Comparison

Cascadia vs Formstack
Formstack sells you the builder, and then sells the seat, the submissions and the compliance on top of it. What can actually be compared is who does the building afterwards. Everything in the Cascadia column is part of Managed Zoho Forms at one flat monthly figure.

Somebody decides what the form has to ask before the first field gets dragged

The logic, the branching and the validation built for your process rather than offered as settings

A scheduled review of which forms anybody still submits, with the dead ones retired

One figure for the organisation, so publishing forty more forms does not change the invoice

The person who built your intake process is still reachable a year later

A broken integration caught and fixed before a week of enquiries lands nowhere

Notifications and failed handoffs watched on purpose, rather than found through a complaint

The submission lands as a CRM record, rather than as an email somebody has to retype

A straight no on the first call if somebody in your building already builds these

Approval routing, payment collection and spam handling configured for you, not left as options

Where Formstack fits

If your forms feed documents and signatures, or if you run on Salesforce and want something native rather than bolted on, Formstack is a straightforward yes. Nothing on this page argues otherwise.

Where the subscription ends and the building of it begins

We exist for the company that bought a form builder, published three forms in the first month, and has not opened the editor since. The software is fine. The building stopped.

Where Formstack is strong

Icon representing plan limits printed beside the published price
The published price sits next to the actual limits
Both self serve plans print the figure and the constraints on the same card. Forms is eighty three a month annually with one builder, twenty five forms, a thousand submissions per form and two gigabytes. Suite is two hundred and fifty with three builders, a hundred forms, five thousand submissions per form, ten gigabytes and unlimited e-signatures. You can size it without a phone call.
Icon representing documents and signatures built into the same platform
It thinks past the form, which most builders do not
Documents, e-signature with no per envelope fee, approval routing and Salesforce native forms are separate products under one roof, not integrations hanging off the side. If your form is the front door to a contract or a signed agreement, that is the right architecture and we would rather say so than pretend the tool is the weak point.
Icon representing a product aimed at regulated and Salesforce led teams
It is built for regulated and Salesforce heavy teams
Healthcare, education, financial services and government are the industries Formstack leads with, and the Salesforce and Enterprise plans include the compliance features that come with them. For a company already in one of those, the shape of the product is exactly right and the price reflects who it is for.
Icon representing a partner directory for implementation help
They run a partner programme, which concedes the point
Formstack runs a partner programme and a find a partner directory, and points buyers at certified partners for expert help implementing it. Their own commercial model concedes the argument this page is making. What they do not do is include that arrangement in the eighty three dollar plan.
None of that is padding, and if Formstack is already in place with somebody genuinely building in it, it is very likely the right home for your forms. What no form builder does is decide what to ask. Each capability in that list waits for a person on your side to choose the questions, send the answer somewhere useful and rebuild it when the business moves. Holding that job is separate from buying the subscription, and it is the job our Managed Zoho work exists to do.

What three hundred a month buys once building the forms is somebody's job

Icon representing one organisation fee with no seat count beside it
One figure for the whole organisation, with no seat count underneath it
Form design and build, conditional logic, approval routing, payment setup, the integrations into CRM and the rest of the estate, spam handling, and the rebuilds afterwards. Three hundred a month whether you are eighteen people or eighty.
Icon representing a competitor plan priced within fifty dollars of ours
Their Suite plan and our fee are fifty dollars apart
Formstack Suite is two hundred and fifty dollars a month paid annually. We are three hundred. That is the closest any vendor on this hub comes to our figure, and it makes the comparison an unusually clean one, because price has almost stopped being the question. Fifty dollars apart, theirs buys software with three builder seats in it and ours buys somebody building. The Zoho Forms licence is bought separately in your name.
Icon representing one named person still reachable in month fourteen
You are not re-explaining your own intake process to a stranger every year
The same named person who decided which question the form asks and where the answer gets written is the person you reach in month fourteen. No handover to a new account team, and no ticket queue in between.
Icon representing a submission written beside the records it belongs to
The submission lands where the records already live
Zoho Forms writes into CRM, Books, Desk, Projects and Creator directly. The enquiry form and the lead record it ought to become stop being two systems joined by somebody with a keyboard.
Formstack may well be enough. For a team that already has somebody building in it, it usually is, and we will say so on the call rather than after you have signed.

Onboarding process

What the first sixty days look like once the forms finally have an owner

Most of the work is ours. Every product compared on this hub will put a text field on a page correctly. What goes wrong is everything that happens after somebody presses submit, so that is where the first two months go.

1

Nothing gets built until we have watched what happens after somebody presses submit

We sit with the person copying enquiries into the CRM by hand and the one still chasing an approval that never arrived. What actually happens to a submission turns out to be more useful to us than what the process document says happens to it.

2

We count the forms, the re-keying and the ones nobody submits

The forms in daily use, the ones built for an event that finished last spring, and the PDF somebody still emails around because the real form asked the wrong question once. That third group is usually the one that surprises somebody.

3

The fields, the branching and the routing get written down

Which question gets asked when, who is notified, who approves, where the answer is written, and what happens when a submission fails. Decided once, on paper, instead of argued about after a complaint.

4

You run a full month on it, straight through one real busy week

The first month runs with us alongside it. Anything that reads wrong gets changed while we are still there, rather than becoming a field people quietly leave blank for the next two years.

Testimonials

Don't Take Our Word For It

Two situations where the form builder was fine and the building of it was not
Neither of these is a client story. Both are shapes we see often enough to describe. A business whose forms have quietly become an application, with records and approvals and reporting hanging off them, belongs on managed ERPNext instead, and raising that early costs us less than selling you something you will need to leave.
A closed laptop and a cold cup of coffee on a desk nobody has returned to

How this plays out

A company that bought the tool and stopped at two forms

They bought the paid plan after a good demo. Two forms went up in the first six weeks, an enquiry form and an event registration. Then the person who built them changed roles. Eighteen months on, both are still live, both still email a shared inbox, and somebody in operations retypes every submission into the CRM. The renewal was handled. The building was never anybody's job.
A man at a laptop working out how long something has been going wrong

When this comes up

A notification that stopped sending in April and was noticed in July

A thirty person company changed the address their quote request form notified, and the change was made in one place and not the other. The form carried on accepting submissions and carried on thanking people politely. Nobody was watching whether the notification arrived, because watching it was not on anybody's list, and three months of enquiries sat in a database nobody opened.
300

Dollars a month for the whole organisation, and the figure is printed here

Every part of it, from the first count of your forms to the rebuild a year in. Your Zoho Forms licence is bought in your own name and sits separately from this.
0

Dollars charged per form, per user or per submission

The form audit, the logic, the build, the integrations and the rebuilds all sit inside the monthly figure. Publishing six more forms in March does not change it.
4-8

Weeks, typically, before submissions stop being retyped by hand

Four to eight weeks in most cases, and longer where the same question is being asked by four different forms that disagree with one another.

Formstack alternative and managed Zoho Forms FAQs

Frequently Asked Questions

How does Formstack compare to Typeform, Jotform and Google Forms?
Google Forms is free with a Google account and publishes no price of its own. Jotform says paid plans start at nineteen dollars a month. Typeform is thirty nine at the entry plan and caps responses and seats together. Formstack Forms is the dearest of the four at eighty three a month paid annually, and that buys one builder seat, though it is also the only one whose documents and signatures are first class products rather than integrations. All four will put a question on a page. None of them decides which question your business should be asking.
What actually changes between Formstack Forms and Suite?
Capacity and capability both. Forms is one builder user, twenty five forms, a thousand submissions per form and two gigabytes. Suite is three builders, a hundred forms, five thousand submissions per form, ten gigabytes, two hundred and fifty document deliveries a month and unlimited e-signatures. Their comparison table also marks approval routing, document generation and e-signature as absent from the Forms plan entirely, not merely limited on it.
What does Formstack actually cost?
Forms is eighty three dollars a month paid annually or ninety nine paid monthly. Suite is two hundred and fifty annually or two hundred and ninety nine monthly. Formstack says annual billing saves you two months. Salesforce Solutions and Enterprise are both custom pricing behind a form. Note that both published figures are described as starting at, and users, submissions and merges are bought on top.
Which Formstack capabilities are not on the Forms plan?
From their own comparison table, the Forms plan carries a cross against routing submissions for approval, auto generating documents from collected data, collecting e-signatures, Salesforce native forms and a dedicated Customer Success Manager. Compliance requirements are marked as an add on rather than included. Three hundred integrations are there on both self serve plans.
What is not on the published plan list?
Which six questions your enquiry form should actually ask. Whether the answer ought to become a lead, a ticket or a task. Who gets notified, and who notices on the morning the notification stops arriving. What happens to the form when the person who built it changes jobs. None of that is a feature you can buy on any tier of anything. It is a job somebody has to hold.
We already pay for Formstack. Why would we pay you three hundred a month on top?
Often you should not, and we say so regularly. If the one builder seat you are paying for belongs to somebody who owns the forms and rebuilds them when the process changes shape, you would be paying us to duplicate work that is already being done. Call us when that person leaves, or when nobody can name who it is.
At what point does Formstack stop being the cheaper answer?
Sooner than you might expect, and this is the only page on the hub where the arithmetic gets close. Suite at two hundred and fifty a month paid annually is fifty dollars under our three hundred, and Suite is where approval routing starts. Add a second and third builder seat, the compliance add on, or more submissions, and the gap closes or reverses. Even then the two numbers are not the same kind of thing. Theirs is software. Ours is somebody building in it, and you buy the Zoho Forms licence separately.
Is Formstack metered on people or on submissions?
On three things at once. Builder users, the number of forms, and submissions per form, plus storage and document deliveries on Suite. Typeform meters responses and seats together. Jotform meters nine things at once. Google Forms publishes no limits at all. Zoho Forms bought through us is one figure for the organisation with the licence in your name.
Is Formstack a better form platform than Zoho Forms?
For document generation, e-signature and Salesforce native work, yes, and we would rather say that than pretend otherwise. If your forms end in a signed contract inside Salesforce, they have built more of that path than Zoho has. Zoho Forms wins on a narrower point. It is already inside the estate where your customers, your invoices and your tickets live, and bought from us it arrives with somebody to build in it.
Does Zoho Forms connect to the rest of Zoho?
That is the reason to choose it. A submission can create a CRM lead, open a Desk ticket, start a Projects task or raise a Books invoice without an integration platform sitting in the middle, so the enquiry and the record it ought to become are not two systems joined by somebody retyping.
What exactly do you do for three hundred a month?
We design and build the forms, write the conditional logic, set up approval routing, wire submissions into CRM and the rest of your estate, configure payments where you take them, handle spam, set up notifications and autoresponders and test that they actually arrive, report on what comes in, and rebuild when the process changes. The figure covers the organisation and does not move when you hire.
Who holds the Zoho Forms licence, you or us?
You do, and that is deliberate. The Zoho Forms subscription is bought in your name and stays there. If you stop working with us you keep every form, every rule and every submission in it, and carry on without a migration. Zoho Assist is the only service where we carry the licence.
Can you move us off Formstack?
Yes, with one caveat we will raise on the call. Recreating forms, logic and routing is straightforward, and anything asked twice or asked inconsistently gets settled against one set of fields rather than carried across as it stands. If you rely on Formstack Documents or Sign, that part needs a like for like plan before anybody signs anything, and occasionally the honest answer is that you should stay.
Is there a minimum term?
No. Three hundred a month, month to month, thirty days notice. Formstack publishes a monthly price alongside the annual one, so neither of us is forcing a year. Note that their annual discount and their nonprofit discount do not stack, by their own FAQ.
What if we are only five people?
Then take the fourteen day Formstack trial, or start somewhere cheaper still, and keep your three hundred dollars. At five people the forms are few enough for one person to hold in their head. Come back when that stops being true.
What happens if we outgrow Zoho?
Some businesses do. Once a form has quietly become an application, with records, permissions, approvals and reporting hanging off it, a form builder is the wrong shape and we will say so before you reach it. We move clients on to Frappe when that day arrives rather than defending a fit that has stopped working.
