What is included in the monthly plan?
The plan covers ongoing management of your Zoho Meeting and Webinar account at a flat rate. That includes host and license administration, session and webinar setup, registration pages and forms, reminder and follow up sequences, recording and transcript management, CRM sync, security configuration, attendance reporting, and host training. Live webinar support is included for sessions you schedule with us in advance.
What is the difference between Zoho Meeting and Zoho Webinar?
They are two modes of the same product. Meeting is a two way session where everybody can talk and share, which suits internal calls, demos, and client work. Webinar is a broadcast where presenters speak and the audience interacts through registration, polls, and questions. Webinar plans carry larger audience limits plus the registration and reporting features events need. We manage both under the same plan.
How much does Zoho Meeting cost?
There are two costs. Zoho charges you directly for the software, licensed per host per month, with Webinar priced separately by audience size. Our management fee is $300 per organization per month regardless of how many hosts you run. Zoho revises its published rates from time to time, so we size the licensing with you during setup and flag it whenever a cheaper configuration exists.
Is Zoho Meeting free?
Zoho offers a free tier with limits on participants, session length, and recording storage, and it is genuinely usable for small internal calls. It runs out quickly once you need webinars, registration, longer sessions, or recordings you intend to keep. Our service manages whichever plan you hold, including the free one, though most clients need paid features within the first month of running real sessions.
How does Zoho Meeting compare to Zoom?
For most teams the in call experience is close enough that the decision comes down to everything around it. Zoho Meeting costs less per host, runs in a browser with no install for attendees, and logs straight into Zoho CRM without a connector. Zoom has broader third party integration and more name recognition with outside participants. If you already run Zoho, Meeting is usually the cheaper and better connected choice.
Do we need Zoho CRM to use this?
No. Zoho Meeting works on its own and we manage it either way. The service is worth more with CRM in place, because meetings, attendees, and webinar registrations log against real records and your activity history stops depending on whether a rep remembered to write a note. Without CRM we still handle scheduling, webinars, recordings, security, and reporting.
Whose account does everything live in?
Yours. The Zoho subscription sits in your company name, and every meeting, recording, registration page, and report lives inside it. We work as an administrator on your account. If you stop the service, nothing has to be exported or handed back, because it was never held anywhere else. You remove our access and everything keeps running as before.
How long does setup take?
Most accounts are configured within two to three weeks. The first week covers the audit, the host provisioning, and the security and recording policy. The second covers CRM sync, calendar integration, and booking links. Webinar work adds about a week when you have an event coming, mostly because registration pages and reminder sequences need your input on the messaging.
Can you migrate us from Zoom, Teams, or GoToMeeting?
Yes, and it is less painful than people expect, because meetings are not really data you have to carry across. We rebuild the recurring sessions, the booking links, and the webinar registration flows in Zoho, update the invites so existing attendees get the new link, and export the recordings worth keeping. Both platforms run in parallel until your last scheduled event on the old one has passed.
How many people can join a meeting or webinar?
That depends on the Zoho plan you hold. Meeting sessions cap at a few hundred participants on the higher tiers, and Webinar scales considerably further, with the audience limit set by the plan you buy. Zoho revises these limits periodically, so rather than quote a number that ages badly, we size the plan against your largest recurring session and your biggest planned event.
Where do recordings live and how long are they kept?
Recordings sit in your Zoho account against the storage your plan includes. We set a retention policy with you during setup, usually keeping client and webinar recordings longer than internal calls, and we archive or remove the rest on that schedule. Storage gets reviewed monthly, so you learn you are near the limit before a session fails to record rather than after.
Do attendees need to install anything?
No. Attendees join from a browser using the link in the invite, on desktop or mobile, with no account and no download. Hosts often prefer the desktop app because screen sharing and controls are smoother, and we set that up for the people running sessions. For webinars this matters a lot, since every install step costs you registrants who never show up.
How do requests and changes work month to month?
You email or message the request and we handle it, usually within a day or two. Scheduling a webinar, adding a host, changing a registration page, fixing a broken calendar sync, and adjusting a recording policy are all part of the plan rather than separate quotes. Live event support needs a few days notice so we can run a rehearsal with your presenters first.
When does Zoho One make more sense than this plan?
Once you run more than about three Zoho apps. Zoho One covers every app under one subscription and one managed plan at $2,000 per month, which usually costs less than stacking separate app subscriptions and separate management fees. Meeting rarely stands alone anyway, since it leans on CRM, Bookings, and Campaigns to be useful. We will tell you when the bundle works out cheaper.
