A Box Alternative for Teams Whose Governance Tools Arrive as Separate Products

Box publishes a plain per user price and lifts the storage ceiling entirely from twenty dollars a head, which is more than anything else on this hub will do. Retention schedules, legal holds, threat detection and security classification are not inside that price. They are Box Governance, Box Shield and Box Keysafe, quoted separately. Zoho WorkDrive is one app inside a suite, and we manage it for five hundred dollars a month per organisation while your licence stays in your name.
What Box costs, and what that price does not include
Twenty dollars a user for unlimited storage, and a shopping list beside it
Box publishes its prices plainly and the headline is genuinely generous. Storage stops being counted at all on the twenty dollar Business plan, which neither Dropbox nor Microsoft will do at any price. The same plans page also lists Box Shield, Box Governance, Box Zones and Box Keysafe as optional add ons carrying their own cost. The distance between the headline and that list is what this page is about.

Unlimited storage from twenty dollars, and we will say that first

Business is twenty dollars per user a month, or fifteen paid annually, with a three user minimum and no storage ceiling at all. Business Plus is thirty three, Enterprise forty seven and Enterprise Plus fifty. Business Starter is seven dollars for up to ten people with a hundred gigabytes. Zoho WorkDrive caps its pools at one, three and five terabytes, so on raw capacity Box wins this comparison outright.
Icon representing governance tools sold as separate add on products

The governance tools are products, not features

Box Shield carries threat detection, native security classifications and classification based access policies. Box Governance carries retention schedules, disposition and legal holds. Box Zones handles data residency across ten regions and Box Keysafe handles customer managed encryption keys. All four sit in the optional add on column against the business plans rather than inside them, and each is priced on request.
Icon representing a five gigabyte cap on a single file upload

The file cap is where unlimited stops

Storage is unlimited but a single upload is not. Five gigabytes on Business, fifteen on Business Plus, fifty on Enterprise. There is also a fair use position of two terabytes per user per month on shared link downloads. Zoho WorkDrive allows ten, fifty and two hundred and fifty gigabyte files across its three plans, so anyone moving video or design masters should check that number before the storage one.
An unlimited headline, and a priced list underneath it
The most generous storage on this hub, and we are not going to argue with it
Box takes storage out of the decision entirely from twenty dollars per user a month, and sixty nine percent of the Fortune 500 file with it. That is a serious product, and if capacity is your constraint it is the answer on this page. What the per user figure does not cover is the person who decides the folder tree, reviews the share links handed out two years ago, and works out whether the retention rules you assumed you held are actually a product nobody bought.

Cascadia

A Team Folder tree and naming convention settled in one pass instead of accumulating, permissions attached to roles rather than to whoever asked first, external sharing rules written down and reviewed every month, a retention position decided deliberately rather than bought as an add on, leavers closed out the week they go, TrueSync where it earns its place, and WorkDrive joined up to Zoho Directory, Flow, Sign and Analytics. Five hundred a month per organisation, thirty days notice. Your WorkDrive licence is bought from Zoho and stays in your name.

Without Cascadia

Unlimited storage filling with folders nobody retired, share links still open years after the project closed, a retention policy that turned out to be a separate purchase, threat detection quoted once and never bought, a departed colleague still named on a dozen shared folders, and an external collaborator bill nobody is totalling. All of it available, and all of it yours to specify, buy and keep current.

Comparison

Cascadia vs Box
Box at twenty dollars a user is cheaper than us until you are past about twenty five people, and at thirty three until about fifteen. What can be compared is who carries the work on either side. Everything in the Cascadia column is included in Managed Zoho WorkDrive at one flat monthly figure.

Somebody decides the Team Folder tree and its naming before every department quietly invents its own

Permissions that follow a role somebody designed, rather than a share link sent in a hurry and never revoked

Someone reviews the guest list, the external links and the connected apps every month, against who actually joined and left

A figure charged per organisation, so hiring five people does not quietly raise what your storage costs

One named person who designed the structure and is still the one who answers when you ring about it

A leaver handled as a process, with their folders and their outstanding share links dealt with the same week

Retention and recovery decided on purpose, rather than whichever version count arrived with the plan you picked

The file sits in the same suite as the ticket, the deal and the project, with no connector for you to keep alive

An honest no on the first call if Box at twenty dollars a user is already doing the job

Classification, retention and threat detection configured inside the fee, rather than quoted as three separate add on products

Where Box fits

If your constraint is capacity, Box is the answer on this hub and it is not close. Unlimited storage from twenty dollars per user a month, a genuine enterprise compliance record, and sixty nine percent of the Fortune 500 already filing with it. It gets harder when the folder sprawl, the standing share links and the departed colleagues become nobody's actual job, and harder again when the governance tooling turns out to be a second purchase. Box does not do that part, and neither does anything else here.

Where the licence stops and the running of it starts

We exist for the business that bought a capable file platform and then found that buying is not configuring. Somebody still has to design the folder tree, hold the sharing model together, work out which add on products are genuinely needed, and be doing all of it a year from now. Once nobody has those hours, the per user rate stops being the number that decides anything.

Where Box is strong

Icon representing storage with no ceiling on any business plan
Storage genuinely stops being a constraint
Unlimited storage on Business, Business Plus, Enterprise and above, starting at twenty dollars per user a month or fifteen paid annually. Nothing else on this hub does that. Microsoft allocates a terabyte per user, Google pools and charges for more, Dropbox starts a team at three terabytes and counts upward. Box simply stops counting, and that is a real advantage rather than a marketing one.
Icon representing an enterprise compliance record and federal accreditation
The compliance record is genuinely enterprise grade
Sixty nine percent of the Fortune 500, SOC 1, SOC 2 and SOC 3, PCI DSS, HIPAA eligibility, and FedRAMP Moderate from the Enterprise plan with FedRAMP High available at additional cost. If you are filling in a security questionnaire for a bank or a federal buyer, Box has answered it before and has the paperwork to show for it.
Icon representing a published price list you can read and buy from
The price list is published and the plans are buyable
Seven dollars for Business Starter up to ten people, twenty for Business, thirty three for Business Plus, forty seven for Enterprise and fifty for Enterprise Plus, all per user per month with a three user minimum. Paid annually those become five, fifteen, twenty five, thirty five and fifty. Google will not quote a Drive price at all and Microsoft sells SharePoint only inside a bundle, so Box is one of only two products here you can price without a phone call.
Icon representing artificial intelligence included in the plan price
The AI tooling is inside the plan rather than beside it
Box AI is integrated on every business plan for single file question and answer, with content generation from Business Plus and multi file work from Enterprise. Enterprise carries a thousand AI units a month and Enterprise Plus two thousand. Whether you want any of that is a separate question, but it arrives in the price rather than as another line on the quote.
All of that is real, and if Box is working and somebody is reviewing access then it is very likely the right home for your files, and we are not going to talk you out of it. What it is not is a platform that configures itself. Every capability on that list assumes somebody on your side to design it, decide who it applies to and keep it current, and several of the governance capabilities assume you noticed they were a separate purchase in the first place. That is a different job, and it is the one our Managed Zoho work is built around.

What five hundred a month covers once somebody owns the file estate

Icon representing one organisation fee with no add on products beside it
One figure for the organisation, and no add on products beside it
Structure and naming, the permission and role model, external sharing controls, storage planning and monthly reporting, the retention and recovery position, data loss prevention and audit trails, the TrueSync rollout, and the migration off whatever you are on now. One figure, no change requests, no separately quoted governance module. Your WorkDrive licence is bought from Zoho and stays in your name.
Icon representing a management fee measured against twenty five seats
Five hundred a month is about twenty five Box Business seats
Worth doing out loud, because Box publishes a number we can divide. Five hundred dollars is roughly twenty five seats on Business at twenty dollars, or fifteen on Business Plus at thirty three. Below those headcounts our fee is larger than your whole Box bill, and we will say so on the call rather than after the invoice. Note also that our figure is the management and not the licence, which you keep buying from Zoho, so this is not a clean like for like swap.
Icon representing one named person answering the phone later
You are not re-explaining the folder tree to a stranger
The same named person who decided which folders exist and who may share outside the company is the one who picks up later. Box gives standard business support on every plan, puts twenty four hour cover on Enterprise Plus only, and quotes Premier Support as a paid extra below that. Zoho WorkDrive gives email and chat around the clock and phone cover on all three plans. Neither of them will tell you why a contractor who finished in 2024 can still open your pricing folder.
Icon representing a file stored beside the record it belongs to
The contract lands where the customer record already is
WorkDrive sits in the same Zoho estate as CRM, Desk and Projects, and we wire it into Zoho Directory, Flow, Sign and Analytics as part of the fee. Box integrates very widely, with fifteen hundred applications available and an MCP server for AI agents, though the entry Business plan permits one enterprise app integration and Business Plus permits ten. The question is whether you want a suite or an assembly.
Box may well be enough, and for a team whose real constraint is capacity it very likely is. What is not in doubt is that the subscription is not where a file platform costs money. The folder tree, the sharing model, the leavers and the person who owns all three are, and none of that appears on any plans page, ours included.

Onboarding process

What the first sixty days look like when unlimited storage finally gets a shape

Most of the work is ours. Every product on this hub will store a file and hand it back reliably, and Box will store more of them than any of the others. What differs is who decided the shape of the thing, who may share outside it, and who revisits both when the business changes.

1

Nothing moves until we have watched how the team actually files

We sit with the person who names everything properly and the person with four hundred untitled items in a personal folder, and we take both seriously. What comes out is where work genuinely gets stored, which on a mature Box account with no storage ceiling is rarely the tidy top level structure somebody set up on day one.

2

We count the folders, the live share links and the external collaborators

The folders opened weekly, the ones created for a project that ended two years ago, every share link still sitting live in somebody's inbox, every outside company holding one, and the files belonging to people who have since moved on. On Box the external collaborator list is usually the surprise, because unlimited storage removes the one pressure that would otherwise have forced a clear out.

3

The structure, the sharing rules and the ownership position all get decided on purpose

Which Team Folders exist, who may create one, who outside the company may be invited in, who owns a file when its author resigns, and how long a deleted item stays recoverable. Coming off Box you will also have a pile of standing share links to expire, and a retention position to write down properly rather than leave sitting as a version count somebody inherited.

4

You run a full month on it, with one live project and one real leaver

The first month of live filing runs with us beside it. Anything that lands in the wrong folder, reaches an outside company that should not have seen it, or leaves a resigned colleague still named on a shared folder gets fixed while it is still fresh.

Testimonials

Don't Take Our Word For It

Two situations where unlimited storage turned out not to be the constraint
These are scenarios, not client stories. A business whose filing has outgrown what a Zoho estate can carry belongs on managed ERPNext, and we would rather say so early than sell you something you will have to leave.
A stack of paperwork with no order anybody could follow

How this plays out

A company that assumed retention was included and found it was a product

They had been on Business for four years because unlimited storage at twenty dollars a head was an easy decision, and it was a reasonable one. The trigger was a legal hold request that arrived with a deadline attached. Retention schedules, disposition and legal holds live in Box Governance, which is an optional add on nobody had ever bought, and the quote took longer to arrive than the deadline allowed.
Hands checking figures on a calculator against a stack of invoices

When this comes up

A company whose outside collaborator bill had quietly outgrown its staff bill

An architecture practice on Box Business had been adding client and contractor accounts one at a time for three years, each one a paid seat because unlimited external collaborators begin at Business Plus. Nobody had ever added them up. When somebody finally did, the outside users cost more than the staff did, and roughly half belonged to projects that had finished.
500

Dollars a month for the whole organisation, stated here, with the licence staying in your name

Every part of it, from the first count of your external collaborators through to the monthly access report, sits inside that one number. Zoho Assist is the single service where we carry the subscription ourselves; on WorkDrive it stays with you.
0

Dollars per seat, per outside collaborator or per gigabyte

The audit, the structure design, the sharing model, the migration and the monthly reporting all sit inside the five hundred. Nothing is metered, and there is no separately quoted governance product holding the controls you assumed you already had.
4-8

Weeks, typically, before the team files in the new structure with nobody watching

Four to eight weeks in most cases, and longer where several years of uncapped storage have to be sorted through rather than carried across wholesale.

Box alternative and managed Zoho WorkDrive FAQs

Frequently Asked Questions

How does Box compare to Google Drive, SharePoint and Dropbox?
Box is the only one of the four with no storage ceiling, starting at twenty dollars per user a month. SharePoint is cheapest at seven, but only inside a Microsoft 365 subscription you cannot unbundle, and it allocates a terabyte per user rather than pooling. Google publishes no Drive price at all. Dropbox publishes fifteen and twenty four and pools storage for the team. Box and Dropbox both hold their deeper administration back, but differently: Dropbox puts it on the Advanced plan, and Box sells much of it as separate products.
Is Box storage really unlimited?
Storage is, on Business and above. Individual files are not. A single upload is capped at five gigabytes on Business, fifteen on Business Plus, fifty on Enterprise and a hundred and fifty on Enterprise Plus. There is also a fair use position of two terabytes per user per month on shared link downloads and a terabyte per user per month on uploads and downloads generally. For most teams none of that binds. For anyone moving video masters, the five gigabyte figure binds on day one.
What does Box actually cost?
Business Starter is seven dollars per user a month for up to ten people with a hundred gigabytes. Business is twenty, Business Plus thirty three, Enterprise forty seven and Enterprise Plus fifty, all per user per month with a minimum of three users. Paid annually those become five, fifteen, twenty five, thirty five and fifty. There is a free Individual tier with ten gigabytes and a fourteen dollar Personal Pro. Enterprise Advanced is quoted on request. Every figure came off the Box plans page this week rather than off a review site.
Which Box capabilities are sold as separate products?
More than the headline suggests. Box Shield carries threat detection, native security classifications and classification based access policies. Box Governance carries retention, disposition and legal holds. Box Zones handles data residency across ten regions and Box Keysafe handles customer managed encryption keys. All four appear in the optional add on column against the business plans and are priced on request. Premier Support is also a paid extra below Enterprise Plus. It is worth reading that column before assuming which controls you hold.
What is not on the published plan list?
Who decides the folder tree and who may create a top level folder. Who expires the share link a client was sent two years ago. Who noticed that Box Governance was never actually bought. Who owns a departing colleague's files, and who checks any of it a second time next quarter. None of that appears on any vendor plans page, ours included, which is why this page exists at all.
We already pay for Box. Why would I pay you five hundred a month?
Often you should not, and we give that answer regularly. If the folder structure is deliberate, the share links get reviewed and somebody owns access, keep your five hundred dollars. You pay us when the platform has quietly become nobody's job, and somebody still has to design the structure, hold the sharing model together, handle leavers and the folders they were named on, decide which add on products are actually required, wire storage into the rest of the estate, and still be doing all of it a year from now.
At what point does Box stop being the cheaper answer?
Around twenty five people on Business and around fifteen on Business Plus, because five hundred dollars is roughly what those seat counts cost at the monthly rate. Paid annually it is closer to thirty three and twenty. Below those headcounts our fee is larger than your entire Box bill and we will say so on the call. Note also that our five hundred is management only and a Zoho WorkDrive licence sits on top of it, so this is not a clean like for like crossover and we are not going to present it as one.
Is Box metered on people, files or storage?
On people and on outside collaborators, and above Business Starter not on storage at all. Every business plan carries a three user minimum and no maximum. External collaborators need their own paid accounts on Business, and become unlimited from Business Plus at thirty three dollars. Zoho WorkDrive is also metered on people, with client users a paid add on at every tier, so neither of us hands outside users over for free. What differs is that Box removes the storage question entirely and Zoho does not.
Is Box a better product than Zoho WorkDrive?
On storage and on enterprise compliance it is the better product and we are not going to pretend otherwise. Unlimited capacity, FedRAMP Moderate, PCI DSS and a Fortune 500 customer list are not things Zoho WorkDrive matches. WorkDrive wins on two counts: it sits in the same estate as CRM, Desk and Projects, and its support does not move with the tier, with email and chat around the clock and phone cover on all three plans. If your problem is capacity, or a federal compliance questionnaire, buy Box.
Does Zoho WorkDrive connect to the rest of Zoho?
That is the reason to choose it. WorkDrive sits alongside CRM, Desk, Projects and People, and we wire it into Zoho Directory, Flow, Sign and Analytics as part of the fee, so a signed contract lands where the record already is. Box integrates with fifteen hundred applications and runs an MCP server for AI agents, which is a genuinely forward looking piece of work. The entry Business plan permits one enterprise app integration and Business Plus permits ten, and each of those joins is a connector somebody has to maintain.
What exactly do you do for five hundred a month?
We design the workspace and Team Folder structure and the naming behind it, build the permission and role model, write down the external sharing rules, settle the retention and recovery position rather than leaving it as a version count, configure data loss prevention and the audit trail, add and remove people as they arrive and leave, roll TrueSync across desktop and mobile, connect WorkDrive to Zoho Directory, Flow, Sign and Analytics, migrate you off whatever you are on now, and send storage planning and access reporting every month. Support for your team is unlimited and costs nothing extra.
Who holds the Zoho WorkDrive licence, you or us?
You do, and that is deliberate. The WorkDrive subscription is bought direct from Zoho in your own name and we manage something you already own. Managed Zoho Assist is the one exception across everything we run, because there the subscription genuinely sits with us. On WorkDrive the licence, the account and the data stay yours throughout, so ending the arrangement means we hand back keys rather than transfer a contract.
Can you move us off Box?
Yes, and it carries two steps a straight file copy does not. Alongside listing the folders people actually use and the ones nobody has opened in a year, we enumerate every standing share link and every external collaborator account and decide which of each should survive the move, because links do not travel and one you forget stays live on the old account. The second step is that unlimited storage usually means nobody has ever pruned anything, so deciding what does not come with you is real work rather than a formality.
Is there a minimum term?
No. Five hundred a month, month to month, thirty days notice, and no setup fee. Your Box agreement is between you and Box, and it is worth checking whether you are on the monthly or the annual rate before assuming you can stop paying for it this quarter.
What if we are only five people?
Then buy Box Business and keep your five hundred dollars, and we would tell you the same on the phone. Five people who all know where the file is do not have a governance problem, and at a hundred dollars a month you are nowhere near the crossover. Come back when the second team starts, or when the first person leaves still named on half the folders.
What happens if we outgrow Zoho?
Some businesses do. Once what you are filing is manufacturing paperwork, field service records or project delivery at scale, the honest answer is ERPNext rather than another Zoho app, and we run that as well.
