A Personio Alternative For The HR Team That Has To Book A Demo Before It Sees A Price

Personio publishes two plans, a complete feature grid, and a price for neither of them. What it does publish is the meter. Every active user counts towards your licence count, a one time fee arrives when the account is created and is sized to your company, and the yearly term runs a minimum of twelve months. Managed Zoho People is seven hundred a month, and the number is on this page.
What Personio costs, which is the one question its pricing page does not answer
Two plans, a full feature grid, and not one number anywhere on it
Personio does something unusual. It publishes the entire feature grid, cap by cap, and marks honestly what each plan withholds. Then it puts Book a demo where both prices should be. You can learn precisely what you are buying and nothing at all about what it costs.
Icon representing a licence count that follows every active user

The meter is every active user, and Personio says so plainly under the comparison grid

The line beneath the plan comparison reads that all active users of the software count towards the number of licenses. That is the clearest statement about money anywhere on the page. It tells you the shape of the bill, which is per head and rising with the company, without telling you the size of it.
Icon representing a one time fee that is never given a number

There is a one time fee on account creation, sized to your company and never priced

Personio's own billing FAQ answers this directly. There are no other monthly costs on top of the basic fee, and when you initially set up the account there is a one time fee dependent on your company size. Both halves of that are worth having. The first says the monthly figure is the whole monthly figure. The second says the first invoice is not.
Icon representing a twelve month term agreed before the price is known

The yearly subscription carries a twelve month minimum, and the discount is for paying it upfront

Ten percent comes off the software services if you pay the year upfront, and the yearly plan has a minimum run time of twelve months. Neither of those is unusual on its own. What is unusual is the order they arrive in, because the term and the commitment are published on the pricing page and the price they attach to is not.
One product that will not name its price, one service that puts the price in the headline
Personio sells a European HR platform and quotes it privately. We sell the running of Zoho People and quote it publicly.
Personio is a serious HR system with sixteen thousand companies on it, and the parts it does publish it publishes better than most of its category. The comparison becomes real at the point where you notice you cannot make it, because one side is a number and the other side is a meeting. We are not claiming to be the better HR platform. We are claiming to be the one you can price without booking anything.

Cascadia

Zoho People set up around how your company actually hires, onboards and books time off, with the records, the policies, the approval chains and the reporting all ours, at one flat figure.

Without Cascadia

A capable HR platform that will faithfully hold every employee record you load into it, licensed per active user, with nobody at all included to decide what your policies should be.

Comparison

Cascadia vs Personio
Personio is the only vendor on this hub that publishes its whole feature grid, and like the other three it publishes no price at all. The rows below are not features, because Personio can be configured to do nearly all of them once somebody sits down and does it. They are questions about who that somebody is. Our managed Zoho People service answers them with a person rather than a plan tier.

Your real leave policies, approval chains and probation rules built in rather than left at the defaults

Onboarding and offboarding workflows written around how your company actually hires

Somebody revisiting the workflows each month as the headcount and the policies move

A document set and handbook kept current rather than left at whatever was uploaded on day one

A named person who already knows your org chart when a reorganisation lands mid quarter

Approval flows written once for the requests that repeat, rather than chased by email each time

One monthly figure, published, with no one time setup fee arriving on the first invoice

The wiring into your finance system, your payroll provider and your other Zoho apps done as part of the service

Being told plainly when a full HR platform is more than a company your size needs yet

Reporting that answers the question you were actually asking about the workforce

Where Personio fits

If you want one European HR platform with recruiting, performance and compensation available inside it, and you have somebody to run it, Personio is a serious answer and sixteen thousand companies agree.

Where a private quote stops being comparable

We are for the case where the problem is that nobody has time to decide how the HR system should behave, not which platform holds the employee records.

Where Personio is strong

Icon representing a published feature grid with every cap named on it
The whole feature grid published, cap by cap, with no price on it
Core gives you one legal entity, six hundred work schedules and eSignature workflows capped at eight percent of your employees. CorePro lifts all three to unlimited and adds position management, workforce planning and API access for custom integrations. Every one of those limits is printed where you can find it before you talk to anybody, which is more than the other three vendors on this hub allow.
Icon representing a single monthly fee with nothing metered behind it
Their billing FAQ says there are no other monthly costs on top of the fee
Asked plainly whether anything else arrives each month, Personio answers no. The apps you add sit inside the subscription rather than as a meter running quietly underneath it, and job advertisement fees are passed through at their negotiated rates. Of the four vendors on this hub, Personio is the clearest about what the monthly bill is made of. It simply will not say what it comes to.
Icon representing a platform that scales from ten employees to ten thousand
It is a real platform, and the apps around it are real products
Recruiting, performance and development, compensation management, surveys, whistleblowing and employer of record are all sold as apps around the core, with more than two hundred integrations behind them. Personio says it suits companies from ten to ten thousand employees. If you want one system doing hiring and reviews as well as records, that is a genuine product and it is not one we sell.
Icon representing an HR system built for a European footprint
If your people are in Europe, it was built for exactly that
Personio is a German company selling to European HR teams, and its published payroll route runs through preliminary payroll, its own payroll product and integrations with Xero and Sage 50. If your headcount sits in Europe and you want the HR system to match it, that is a sound reason to choose Personio and nothing below argues otherwise.
All of that is real and none of it is grudging, and there is one place we cannot follow them at all. Personio publishes no United States payroll product, and neither Zoho People nor this service files American payroll taxes. If payroll is the requirement then neither of us is the answer and you want a payroll bureau. Where Personio stops fitting is the point where the policies, the approvals and the documents need an owner and nobody in the business has the time. Closing that distance is the whole point of our Zoho practice.

What seven hundred a month buys when running the HR system is the product

Icon representing one monthly figure covering setup, tuning and reporting
One figure covering the setup, the monthly tuning and every change that comes after it
The employee records, the leave and attendance policies, the onboarding and offboarding workflows, the approval chains, the document templates, the reporting and the integrations with the rest of your Zoho apps all sit inside the same seven hundred. A hiring month does not reprice it and neither does the tenth person joining.
Icon representing one tier with nothing above it to be moved onto
One tier, so there is no plan above this one to be sold to you later
Seven hundred a month is the whole figure. There is no tier above it to be moved onto later, no one time fee on the first invoice, and nothing held back on a plan we have not sold you.
Icon representing the person who configured the system also answering about it
The people who set up your HR system are the people who answer about it later
You are not handed to an account manager who has never seen your approval chains, and there is no implementation partner to engage separately before anything can start.
Icon representing the employee record sitting inside the same suite as sales and billing
One suite, when the employee record and the rest of the business already live together
Zoho People sits alongside CRM, Books, Projects and the rest of the suite, so the person booking the leave and the person on the timesheet are the same record rather than two systems reconciled by hand.
Personio will run a European HR department well, at a price neither of us can quote you today. We are the answer when the honest problem is that nobody in the building is running the HR system.

Onboarding process

What the first sixty days look like when no setup fee is waiting on the first invoice

The work is mostly ours. Every product in this comparison will hold an employee record. The difference is who sits down and works out what your policies actually are before anybody is loaded into it.

1

Nothing gets configured until we have followed a real hire and a real leaver end to end

We sit with whoever sends the offer and whoever chases the paperwork afterwards, and we write down what actually happens rather than what the handbook says happens.

2

Records move across and are checked before anybody books a day off inside the new system

Employee records, contracts, leave balances and the documents behind them. If you are coming off Personio the export itself is straightforward, and the part that takes the time is agreeing which of the old workflows deserve to survive the move.

3

The policies and the approval chains get built for your business rather than accepted as defaults

A default leave policy produces reports nobody reads. We build the policies and the approvals around how the company actually works, so the reporting answers a question somebody was already asking.

4

You run a full month in it, including a real payroll cutoff and a real set of reports

The first month of live use runs with us alongside it. Whatever approval sits in the wrong place gets fixed while everybody still remembers the request behind it.

Testimonials

Don't Take Our Word For It

Two ways an unquoted HR platform turns into a budget conversation
Two situations, one shared cause. In neither case did the software fail, and in both the fix was a person taking responsibility for how the system behaved. If HR is one part of a business that has outgrown a set of separate tools, the same argument runs a level up at Frappe HR, where the employee record sits inside the wider system rather than beside it.
Hands checking figures on a calculator against a stack of invoices

How this plays out

The quote fitted the budget, and then the licence count included everybody with a login

The figure that came back from the demo looked reasonable against the headcount at the time, so nobody modelled it past that year. Then two contractors needed profiles, then the warehouse supervisors did, and every one of them was an active user. The software worked perfectly throughout. What nobody had priced was that an HR system quietly reaches everybody who works there.
A closed laptop and a cold cup of coffee on a desk nobody has returned to

When this comes up

It was configured during the implementation and then nobody revisited it for two years

Every employee was in there and every contract was in there. What was not in there was any relationship to how the company had since started working, because two reorganisations and a new leave policy had all happened outside the system. Untangling it took longer than configuring it properly would have, and it happened in the week before an audit.
700

Dollars a month, flat, with the configuration and the monthly tuning inside it

Everything from the first look at how hiring and leave work to the monthly reporting sits inside that figure. Zoho bills your licences to you directly at their own rates and we take no margin on them.
0

Dollars charged separately as a setup fee, an implementation partner or an extra licence

The review, the configuration, the policies, the approval chains and the documents all sit inside the seven hundred. There is no one time fee on the first invoice, no per licence line and no app to add on later.
4-8

Weeks, in most cases, before the HR system runs a full month without us inside it

Four to eight weeks in most cases, and longer where years of spreadsheets and inherited contract templates have to be reconciled before anybody is willing to trust the records built on them.

Personio alternative and managed Zoho People FAQs

Frequently Asked Questions

What is a Personio alternative?
Anything that holds the employee records and produces the reports without being Personio. On this hub that means Paylocity, Paycor, ADP and Zoho People. The useful question is not which product has the longer feature grid, because at this end of the market they will all hold a record. It is who decides what your policies are, and who is accountable when nobody has looked at them in a year.
How is Cascadia different from Personio?
Personio sells a licence in a platform, quoted privately. We sell the work, quoted publicly. The seven hundred covers the records, the leave and attendance policies, the onboarding workflows, the approval chains, the documents, the reporting and the integrations, and the people who built it are the people who answer when you call. Personio has no equivalent to that on either plan, because it is not what they sell.
How does your price compare to theirs?
We cannot do that arithmetic, and neither can you, which is the honest answer and rather the point of this page. Personio publishes two plans and a price for neither, and the licence count follows every active user, so the figure depends on your headcount and on a negotiation. There is also a one time fee at account creation, sized to your company and unpublished. We are seven hundred a month, one tier, with your Zoho licences billed to you directly by Zoho at their own rates and no margin taken by us. If their quote comes back below that for your headcount, that is a real answer and you should take it.
Is Personio cheaper than this?
Possibly, and we have no way of knowing until you ask them. For a small company on Core it very likely is, and we will not pretend otherwise. What we can tell you is that this is not a comparison of two prices, because only one of the two has been published, and only one of them has somebody's time inside it. Get the quote, then read this page again.
What is not included in the seven hundred?
Your Zoho licences, which Zoho bills to you directly at their published rates, and payroll, which we do not run. Everything involved in making the HR system work and keeping it working is inside the figure.
Why not just use Personio and run it ourselves?
If you have somebody who owns HR operations and wants to own the configuration too, do exactly that. It is a good platform and that person will get more out of it than we would. The reason people stop is not that Personio failed them. It is that the person who set it up moved on, and nobody inherited the workflows.
Should we buy this at all?
Often not, and finding that out now is far cheaper than finding it out in month four. If you have twelve people and everybody already knows how leave gets approved, seven hundred a month of HR system management is a solution looking for a problem. We would rather say so on the first call.
Do we have to migrate everything at once?
No. Current employees, contracts and leave balances move first, because those are what the business is actually working from. Historic leavers and older documents follow once the live records are settled. Splitting it that way means nobody waits on a full migration before they can book a day off.
Does anything break while you take over?
Nobody stops working and nothing goes dark. Your existing Personio account stays exactly where it is until the new system has run a full month with nothing falling through it. Cutting over is a decision you make once you have watched it work, not a date we impose on you. Do check your own notice terms, because the yearly plan carries a twelve month minimum.
What if we already run Personio and want to move?
It is a common route here and the export itself is straightforward. Where it gets fiddly is deciding which of the existing workflows and document templates are worth carrying over, because most HR systems accumulate a few that nobody remembers writing. We work that out before anybody signs anything, so the tidying up is known rather than discovered.
Do you own the system or the data?
No to both, and the arrangement is deliberately dull. The Zoho account is in your name, the employee records and the documents are yours, and if you stop working with us you keep every record and carry on. Nothing about leaving is designed to be awkward.
What exactly is included?
One flat figure with nothing metered behind it. Seven hundred a month covers the employee records, the leave and attendance policies, the onboarding and offboarding workflows, the approval chains, the document templates, the reporting, and the integrations with the rest of your Zoho apps.
Do you guarantee the implementation will go to plan?
No, and be wary of anybody who does. A migration meets contracts nobody has looked at properly in years, and a first month of live approvals usually turns up two kinds of request the business had never named. What we will commit to is that those surprises are ours to absorb rather than yours to be invoiced for.
What does the monthly report actually contain?
Who joined, who left, what leave was taken, what is sitting unapproved and what took longest, alongside anything we changed in the policies and anything odd enough to be worth mentioning. It is a page rather than a deck, and it is written so somebody who never opens the HR system can still tell how it is doing.
How long before we see a difference?
Four to eight weeks to a full month running cleanly in most cases, and longer where years of spreadsheets and inherited templates have to be sorted out first. The honest variable is not our speed, it is how quickly somebody can decide what the policy ought to be where nobody has ever written it down.
What if we want to leave?
Thirty days notice ends it and nothing is stranded. The Zoho account stays in your name, the policies and the documents stay exactly as they are, and the documentation comes with you. There is no exit fee, no twelve month minimum and no data to prise out of us, because it was never ours to hold.
