Managed Zoho Contracts Services for Templates Approvals Renewals

Zoho Contracts can hold every agreement your company signs, once someone builds the templates, loads the approved clauses, and routes the approvals the way your business actually works. That part is a job. Our managed Zoho Contracts plan handles it on a flat monthly rate: templates your team can start from, a clause library your counsel has signed off on, approval routing that matches your real thresholds, and renewal alerts that arrive while you still have a choice.

Agreements that stay under control

What makes our managed Zoho Contracts service different

The expensive part of a contract is rarely the negotiation. It is the auto-renewal that fired last Tuesday because the reminder went to somebody who left, or the indemnity wording nobody can trace back to an approval. Contract software solves those only if the dates are watched and the templates are current, and neither of those happens on its own.

So the dates get watched properly. Alerts are tested rather than assumed, and they fire early enough to renegotiate rather than the week before an auto-extension. Templates are kept current with whatever your counsel last approved, so nobody is pasting from an old file on somebody's desktop. Counterparty records get deduplicated, because the same customer under three spellings is how an obligation goes unnoticed. Approval trails are preserved. And the repository is organised so a question about a clause takes a search rather than an afternoon.

Why teams stop running this themselves

Managed Zoho Contracts vs a one-off consultant

A consultant can switch Contracts on, load a few templates, and run one training session. Keeping the clause library current, the approvals routed correctly, and the renewal dates watched as your business changes is a different job, and it is the one that decides whether the system is still trusted a year from now. Here is how the two approaches compare.

Getting the next change made

Every new template, approval threshold, or field change means a fresh quote and a wait when you are billing hourly, which quietly discourages you from asking. Under a subscription, you tell us what you need and we do it. Changes inside your allowance are simply part of the service.

Contracts your CRM never sees

When legal works in one system and sales works in another, the gap between them fills up with email. We connect Contracts to Zoho CRM so a request starts inside the deal it belongs to and its status stays visible there, which removes the thread nobody wants to chase.

Inheriting a repository that is a mess

Most providers quote a rebuild because it is easier than reading someone else's work. We audit what exists, check your contract types and key dates first, and tell you honestly which templates are worth keeping and which should be rebuilt clean.

Renewals nobody is watching

An hourly consultant finishes the project and stops looking, but notice periods keep arriving anyway. We keep the expiry and renewal alerts configured and routed to the account owner, so an agreement you meant to renegotiate gets a decision from you instead of extending itself for another year.

Growing into the rest of Zoho

A contracts-only contractor has no reason to look at what else you run. We manage the wider Zoho ecosystem, so when your approval bottleneck is really a CRM data problem, we say so, and we flag when Zoho One costs less than adding apps one by one.

What it costs next month

Hourly work makes every busy month an unpleasant invoice, which quietly discourages you from asking for things. A flat monthly rate makes the cost predictable and puts the incentive on us to keep your contract process moving rather than to accumulate billable hours.

Built for teams that sign agreements

Who our managed Zoho Contracts service fits best

Zoho Contracts earns its keep once the number of agreements you sign has outgrown a shared drive and a spreadsheet of dates. If your sales team waits days on a routine NDA, or nobody can tell you what renews next quarter, or an auditor has started asking for approval evidence, this is usually the fix.

How we work with you

How our managed Zoho Contracts service works

Whether you are starting from nothing or inheriting a drive full of signed PDFs, the sequence is the same. We work out what you sign today, build the templates and the approval routing alongside your counsel, then connect the systems around it. Your team is working in a managed Zoho Contracts within weeks rather than at the end of a quarter.

1

We map the agreements you sign

We start with a consultation about what you sign, how often, who approves it today, and where the delays actually happen. Then we look at the contract types you need and the fields each one carries. If a template you want turns out to fight your reporting, this is where you find out, rather than after two hundred agreements are already loaded.

2

We build templates, clauses, and approvals

We create the contract types and templates, load the clause library with the approved language and fallback positions your counsel gives us, and build approval routing against your real thresholds. Zoho Sign gets configured here too, with signature fields placed inside the templates rather than dragged on by hand every time.

3

We connect, roll out, and maintain

We connect CRM and the rest of your stack, import your historical agreements, then keep it running from there. Templates get updated when your counsel changes a position, obligation and renewal alerts get watched, counterparty records get cleaned, and new contract types get built as your business picks up new kinds of work.

Complete managed Zoho Contracts coverage

Contract Template Library

Your NDAs, MSAs, and service agreements become reusable templates instead of a folder of copied Word files. We take the agreements you already sign, map the fields that change deal to deal, and build them out so a new contract starts as a form rather than a blank page.
Cascadia Web Services logo

Clause Library & Fallback Language

We load your approved clauses into the library with the fallback positions your counsel will accept. Sales stops inventing terms, legal stops rewriting the same paragraph, and anything outside the approved language is visible immediately instead of surfacing during a review.
Cascadia Web Services logo

Contract Types & Custom Fields

A vendor agreement and a customer MSA do not need the same fields or the same stages. We configure contract types with the fields, stages, and defaults each one needs, so your repository stays reportable rather than turning into a pile of loose documents.
Cascadia Web Services logo

Contract Intake & Request Forms

Most contract delays start before legal ever sees the request. We build the intake form your sales and operations teams use, with the questions that decide the template, the approver, and the term, so requests arrive complete the first time.
Cascadia Web Services logo

Approval Workflow Design

We map who signs off on what, then build it. Routing can key off contract value, type, term length, or how far the language sits from your approved fallbacks. A standard renewal moves without a committee, and a nonstandard indemnity clause never quietly slips through.
Cascadia Web Services logo

Negotiation & Redlining Setup

Zoho Contracts tracks counterparty changes as redlines you can accept, edit, or reject, with every version kept. We configure secure sharing so the other side works in a password protected link without a Zoho account, and set who on your team can act on their edits.
Cascadia Web Services logo

Zoho Sign & E-Signature Configuration

Signing is powered by Zoho Sign, and it comes with your Contracts subscription. We set the signing order, build the signature and initial placement into your templates, configure reminders for signers who go quiet, and confirm the completion certificate lands where your records need it.
Cascadia Web Services logo

Obligation Tracking Setup

Every agreement carries promises with dates attached. We set up the obligations tab on your contract types, assign owners for the one-time and recurring items, and route reminders to the people who have to deliver rather than to a legal inbox nobody reads.
Cascadia Web Services logo

Renewal, Amendment & Termination Rules

Amendments, extensions, and terminations each change a contract in a different way, and each needs its own path. We configure those lifecycle events so an amended agreement keeps its history, a renewal starts from the current terms, and a termination records why it happened.
Cascadia Web Services logo

Expiry Alerts & Notification Routing

An auto renewal you meant to cancel is one of the more expensive things a business misses. We set notice period alerts far enough ahead that you still have a decision to make, and route them to the account owner instead of a shared address.
Cascadia Web Services logo

Zoho CRM Contract Requests

On the plan tiers that support it, your sales team can raise a contract request from inside a CRM deal and watch the status without switching apps. We configure the connection, map the account and contact data across, and decide which deal stages can trigger a request.
Cascadia Web Services logo

Zoho Writer, WorkDrive & Books Connections

Contracts authors in Zoho Writer and your executed agreements need to live somewhere your finance and operations teams can reach. We wire the document editing, storage, and downstream connections so a signed contract is findable from the systems that bill against it.
Cascadia Web Services logo

API & Custom Deluge Development

When the built-in connectors stop short, we build with the API and Deluge. That covers pushing executed contract data into a system Zoho has never heard of, pulling counterparty records from your own database, or triggering something outside Zoho when a contract goes live.
Cascadia Web Services logo

Roles, Permissions & Access Control

Not everyone who touches a contract should see all of them. We set roles so a sales rep can raise a request and follow their own deals, legal can edit language, and salary or acquisition terms stay visible only to the people who negotiated them.
Cascadia Web Services logo

Contract Repository & Retention Rules

We organize the repository so a signed agreement takes seconds to find, then set retention rules that match what your industry requires you to keep. Historical contracts get imported and tagged as part of onboarding, not left in the old shared drive.
Cascadia Web Services logo

Audit Trail & Compliance Reporting

Every action on a contract is recorded, but only if the trail is configured and someone knows how to query it. We turn on the logging your auditors ask about and build the exports, so proving who approved which version takes a report rather than a week.
Cascadia Web Services logo

Counterparty Records & Data Hygiene

Counterparty records go stale quietly. The signatory leaves, the entity name changes after an acquisition, the notice address moves. We review those records on a schedule and clean them up, because a notice sent to the wrong address is still a notice you did not send.
Cascadia Web Services logo

Reporting & Contract Dashboards

We build the reports your leadership actually asks for. Value under contract, agreements expiring this quarter, average time from request to signature, and which approval step is holding everything up. You get numbers you can act on instead of a list of documents.
Cascadia Web Services logo

User, Lite User & Plan Advisory

Zoho Contracts caps contracts, counterparties, and approval workflows by tier, and offers cheaper Lite User licenses for people who only approve or sign. We track your usage against those limits and tell you when a tier change or a licensing mix would save you money.

Monthly Subscription Support

Your subscription covers ongoing management of up to 20 users and 250 active contracts, plus template and clause updates, approval workflow changes, obligation and renewal upkeep, integration monitoring, and configuration changes as you need them. Bulk historical imports and large custom builds run as separate scoped projects.

Answers to common managed Zoho Contracts questions

Frequently asked questions
What is managed Zoho Contracts?
Managed Zoho Contracts is an ongoing subscription where we run your contract lifecycle system for you. That covers your template and clause library, contract types and intake forms, approval routing, Zoho Sign configuration, obligation and renewal tracking, integrations with your other Zoho apps, and the access control and reporting work underneath it. Instead of asking whoever has time to configure a legal system, you have a team already inside your account handling it month to month.
What is included in the monthly plan?
The plan covers up to 20 users and 250 active contracts. Within that, we handle template and clause library updates, contract type and field changes, approval workflow adjustments, Zoho Sign setup, obligation and renewal upkeep, expiry alert routing, roles and permissions, integration monitoring, and your reporting. Bulk imports of historical agreements and large custom API builds get scoped and quoted separately, so your monthly cost stays predictable.
Do I still need my own Zoho Contracts license?
Yes. You keep your own Zoho Contracts subscription and own the account, the templates, the clause library, and every executed agreement in it. We work in your environment as an administrator. That matters more here than with most apps, because these are legal records. If you ever change providers, nothing sits behind our accounts and there is no export to negotiate. We will also advise on which plan tier fits your volume.
Is Zoho Contracts included in Zoho One?
Yes, Zoho Contracts is one of the applications in the Zoho One suite, and a lot of our clients reach it that way rather than buying it standalone. The management work is the same either way. If you already run several Zoho applications, our Zoho One bundle covers the whole ecosystem rather than one app at a time, which usually works out better once you pass two or three apps.
Does this replace our lawyer?
No, and you should be careful with anyone who says otherwise. We are not attorneys and we do not draft or approve contract language. Your counsel decides what the clauses say and which fallback positions are acceptable. Our job is to take those decisions and build them into the system, so the approved language is what your team reaches for by default and anything outside it gets flagged for review.
How does e-signature work in Zoho Contracts?
Signing runs on Zoho Sign, which comes as part of the Contracts subscription rather than as a separate bill. When you subscribe to Contracts, an existing Zoho Sign plan moves across to the matching Contracts tier. We configure the signing order, place signature and initial fields inside your templates, set reminders for signers who stall, and make sure the completion certificate is stored with the agreement.
Can Zoho Contracts connect to Zoho CRM?
Yes, on the plan tiers that include it. Your sales team raises a contract request from inside a deal and follows its status without leaving CRM, which removes the email thread that usually sits between sales and legal. We configure the connection, map account and contact data so nobody retypes it, and decide which deal stages are allowed to trigger a request.
Can you bring our existing contracts into the system?
Yes. Historical agreements get imported, tagged by contract type, and given their real key dates so renewals and obligations start tracking from day one. A repository that only holds contracts signed after go-live tells you very little. The import runs as a scoped project alongside the subscription, because the effort depends entirely on how many agreements you have and what condition the records are in.
How do templates and the clause library work together?
The template is the shape of the agreement and the clause library is the approved language that fills it. We build your common templates from agreements you already sign, then load the clauses your counsel has approved along with the fallback positions they will accept under pressure. A new contract then starts from approved language, and any deviation is visible instead of buried in a paragraph.
How does approval routing work?
We map your real sign-off rules and build them into the workflow. Routing can depend on contract value, contract type, term length, or how far the language has moved from your approved fallbacks. A standard renewal under a threshold can clear without a committee, while an unusual liability clause always reaches the person who should see it. Reporting then shows you which step is slowing things down.
What about renewal dates and obligations?
Both get configured rather than remembered. Obligations are recorded against each contract with an owner and a due date, so the reminder reaches whoever has to deliver instead of a legal inbox. Renewal and notice period alerts fire far enough ahead that you still have a decision to make. An auto renewal you meant to cancel is one of the more expensive things a business quietly misses.
How do you handle security and access to sensitive agreements?
We set roles so people see what their work requires and nothing more. A sales rep can raise requests and follow their own deals, legal can edit language, and acquisition or compensation terms stay restricted to the people who negotiated them. On top of that we configure the audit trail and the exports your auditors ask for, so proving who approved which version takes a report rather than a week.
How is this different from hiring a consultant hourly?
A consultant suits a project with a defined start and end. Contract management is not that. Templates go stale, counterparty records drift, approval thresholds change with your revenue, and renewal dates keep arriving. Each of those becomes a small negotiation when you bill by the hour. A subscription removes that friction, so small changes do not need a quote and we keep context between requests instead of relearning your business.
How long does onboarding take?
Most teams are running on a managed Zoho Contracts within three to four weeks. Week one covers access, a review of the agreements you sign today, and contract types. Week two is templates and the clause library with your counsel. Week three covers approval routing and Zoho Sign. Week four is integrations and rollout. A bulk import of historical agreements runs alongside and takes longer.
Is there a minimum term, and how do we start?
The subscription is monthly with no long-term commitment, and everything we build lives in your own Zoho account, so you keep it either way. Start with a consultation. We look at the agreements you sign, your volume, who approves what today, and what needs to connect to Contracts, then confirm whether the standard plan covers it. If your requirements are bigger, we will say so and quote the work.
