An Insightly Alternative For The Team That Found Automation On The Next Tier Up

Insightly Plus is twenty nine dollars a user and it cannot run a workflow, route a lead or fire a webhook. Professional at forty nine can, and the integration engine that connects any of it to your accounting system carries a three thousand dollar setup charge of its own. Managed Zoho CRM is seven hundred a month, flat, up to twenty five people, and the building is ours.
What Insightly costs, and which tier is actually a CRM
Twenty nine a seat is real, and so is what the twenty nine dollar tier leaves out
Insightly publishes every seat price and the whole feature table behind them, which is more than most vendors on this hub do. Read the table rather than the price row. The gap between Plus and Professional is not a convenience feature or two, it is whether the system can act on its own.

For a small team with a simple pipeline, Plus at twenty nine a seat is the right buy

Five people on Plus is a hundred and forty five dollars a month against our seven hundred, with phone and email support included and project management sitting alongside the CRM. If nothing in your process needs to happen on its own, buy it and run it yourself. We would say the same thing on a call.
Icon representing automation arriving only on the tier above

Plus has no workflow automation, no lead routing and no webhooks

Two roles, fifty custom fields, no custom objects and no AppConnect support. The first time somebody asks for a stage change to create a task or notify delivery, the answer is Professional at forty nine a seat, for every seat, not just the person who asked.
Icon representing an integration engine sold as a separate product

The integration engine is a separate product with a required setup fee

AppConnect is how Insightly reaches QuickBooks, Xero, Slack or anything else you run, and its published pricing carries a required technical setup charge of three thousand dollars on top of a monthly task allowance. The All in One bundle adds guided onboarding at fifteen hundred and a premier support line with a three thousand dollar annual floor.
One platform that prices the software, the setup and the connectors separately, one service that does not
Insightly prices the licence, the onboarding and the integrations. We price the result.
Insightly is a capable system with project delivery and marketing attached, which is genuinely unusual at this price. The arithmetic only holds if you add every published line before you compare, and the tier that looks cheapest is the one that cannot automate anything.

Cascadia

Zoho CRM shaped around the way your deals actually move, built, migrated and maintained by us, at one flat monthly figure that does not change when you hire.

Without Cascadia

A capable CRM with project and marketing tooling attached, priced per seat, with the automation on the tier above and the connectors sold as a separate product.

Comparison

Cascadia vs Insightly
Insightly is the smallest of the four platforms on this hub and the only one that sells its integration engine as a separate product with its own setup charge. The rows below are not features, they are the questions that decide whether a CRM is still being looked after a year later. Our managed Zoho CRM service answers them as a service rather than a licence.

Workflow automation and webhooks from day one, not held back for the tier above

Configuration, automation and reporting shaped around how your deals actually move

Migration and configuration inside the monthly fee rather than a separate engagement

Somebody outside your sales team owning the build and the upkeep of it

A named team that already knows your configuration when something needs changing

The person who built your automation is the person who answers about it later

One monthly invoice, with no seat arithmetic and no separately priced add ons

The wiring into your accounting and support tools done as part of the service

Being told plainly that Plus at twenty nine a seat is the right buy for a team of five

Support and the connector work inside one price, with no setup charge and no annual floor

Where Insightly fits

If your pipeline is simple and somebody is content to own the configuration, Insightly at twenty nine a seat is a sensible and genuinely cheap answer.

Where the seat ladder stops describing the work

We are for the case where the problem is the shape of the pipeline and who maintains it, not the ceiling of the software.

Where Insightly is strong

A CRM, project delivery and marketing under one login
Insightly carries native project management, a marketing product and a support desk on the same data. If you sell work and then have to deliver it, having the pipeline and the project in one system is worth real money, and most rivals at this price do not offer it.

Every seat price published, along with the whole feature table
Twenty nine, forty nine and ninety nine, billed annually, with a row by row comparison of what each tier includes sitting on the same page. You can work out exactly where the gaps are before you talk to anybody, which is more than most vendors on this hub allow.

A bundle price for very small teams that beats the per seat arithmetic
All in One is three hundred and forty nine a month for two users, or eight hundred and ninety nine for five, with CRM, marketing, service and a connector allowance included. If your headcount sits on one of those lines the bundle is the cheaper way in.
Icon representing a simple setup for a team with a linear pipeline
Quick to stand up when the process is already simple
There is less to configure here than in the enterprise platforms on this hub, so a small team with a linear pipeline can be running inside a fortnight without help. That is a real advantage, and it is the case where we are the wrong purchase.
All of that is real and none of it is grudging. For a small team with a simple pipeline and somebody willing to own the configuration, Insightly is a sensible purchase and we will say so plainly. Where it stops fitting is the point where the cheap tier cannot act on its own and the connectors become a project of their own. Closing that distance is the whole point of our Zoho practice.

What seven hundred a month buys when there is no seat count inside it

One figure covering the design, the migration and every change that comes after it
Implementation, configuration, customization, integration and the ongoing work all sit inside the same seven hundred. Hiring does not reprice it and neither does growth, up to twenty five people.

One tier, so there is no ceiling to hit and no ladder to climb
Seven hundred a month is the whole of it, up to twenty five users. There is nothing above it we can move you onto, and no cap that forces the move.
Icon representing the implementer and the support desk being the same people
The people who built your pipeline are the people who answer about it later
You are not routed to a support queue that has never seen your configuration, and there is no separate success plan to buy for the privilege.

One suite, when the rest of the business already lives in it
Zoho CRM sits alongside Books, Desk, Projects and the rest of the suite, so the accounting and the support desk are wired in rather than integrated after the fact.
Insightly will hold a straightforward pipeline well, at a price we do not try to match. We are the answer when the honest problem is that nobody in the building owns the CRM.

Onboarding process

What the first sixty days look like when nobody is billing the implementation separately

The work is mostly ours. Every CRM in this comparison will hold a contact record. The difference is who sits down and works out what your pipeline actually looks like before anything gets configured.

1

Nothing gets built until we have watched a real deal move end to end

We sit with the people who qualify, quote and close, and we write down what actually happens rather than what the process document says happens.

2

Contact and deal history moves across and is reconciled before anyone logs in

Accounts, contacts, open deals, closed history and the notes attached to them. If you are coming off Insightly the record export itself is clean, and the custom objects are the part that has to be rebuilt rather than moved.

3

Only the parts of the platform your team will actually use get switched on

Zoho CRM carries far more than most companies need. We enable what your process uses and leave the rest off, because an unused module is a training cost with no return.

4

You run a complete cycle in it, including a real quote and a real close

The first month of live use runs with us alongside it. Whatever the sales team trips over gets changed while the memory of tripping is still fresh.

Testimonials

Don't Take Our Word For It

Two ways a low seat price turns into a project
Two situations, one shared cause. In neither case did the software fail, and in both the fix was a person taking ownership of the configuration. If the business has already outgrown what a sales system on its own can hold, the same argument runs a level up at Frappe CRM, where the deal record lives inside the wider system rather than beside it.
Hands checking figures on a calculator against a stack of invoices

How this plays out

Plus fitted the budget, and then somebody asked for a workflow

Five people on Plus at twenty nine a seat, a hundred and forty five a month, and nobody unhappy. Then sales wanted a closed deal to create a delivery task and notify the person doing the work. That is workflow automation, which Plus does not have. Professional is forty nine for every seat, so the bill becomes two hundred and forty five, and the automation still has to be built by somebody who understands the pipeline.
A stack of paperwork with no order anybody could follow

When this comes up

The integration was priced after the CRM was already bought

The CRM went in and it worked. Six weeks later finance asked why every deal was being retyped into the accounting system. Connecting the two runs through AppConnect, which is a separate product with its own required technical setup charge, and by then the person who had configured the CRM had moved to another job. The software was never the problem.
700

Dollars a month, flat, with the build and the upkeep inside it

Everything from the first process read to the monthly report is in that figure. Zoho bills your licences to you directly and we take no margin on them.
0

Dollars charged separately for onboarding, connectors or a support tier

The process read, the build, the integrations and the support all sit inside the seven hundred. There is no separate onboarding invoice, no connector setup charge and no support plan to upgrade onto.
4-8

Weeks, in most cases, before a complete sales cycle runs inside it

Four to eight weeks in most cases, and longer where several years of history have to be reconciled before anybody is willing to trust a forecast built on it.

Insightly alternative and managed Zoho CRM FAQs

Frequently Asked Questions

What is an Insightly alternative?
Anything that holds the deal record and runs the sales process without being Insightly. On this hub that means Pipedrive, HubSpot, Salesforce and Zoho CRM. The useful question is not which product has the longer feature table, it is which arrangement leaves somebody responsible for the configuration after the first month.
How is Cascadia different from Insightly?
Insightly sells software with a set of services priced around it. We sell a running system. The seven hundred covers the process read, the build, the migration, the integrations and the monthly upkeep, and the people who configured it are the people who answer when you call.
How does your price compare to theirs?
Seven hundred a month, one tier, up to twenty five users, with your Zoho licences billed to you directly by Zoho at their own rates. We take no margin on those. Insightly is twenty nine, forty nine or ninety nine a seat billed annually, so at twenty five seats Professional alone is one thousand two hundred and twenty five a month before any connector or onboarding line.
Is Insightly cheaper than this?
For a small team, yes, comfortably, and we are not going to dress that up. Five people on Plus is a hundred and forty five a month against our seven hundred. What changes the sum is whether you need the pipeline to do anything by itself, because that is Professional at forty nine for every seat, and whether it has to talk to your accounting system, because that is AppConnect with its own required setup charge.
What is not included in the seven hundred?
Your Zoho licences, which Zoho bills to you directly at their published rates, and anything genuinely outside the CRM such as building a website or running a campaign. Everything involved in making the CRM work and keeping it working is inside the figure.
Why not just buy Insightly Plus and run it ourselves?
If you are five people with a pipeline that already works and nothing in it has to happen automatically, do exactly that. Plus at twenty nine a seat is a real answer and we would tell you so on the call. The reason people stop doing it is that the first automation request arrives, and the tier that can serve it costs more than the licence saving did.
Should we buy this at all?
Often not, and finding that out now is far cheaper than finding it out in month four. If your deals live in a spreadsheet and there are three of you, a CRM is a solution looking for a problem. We would rather say so on the first call than sell you a year of something you do not need.
Do we have to migrate everything at once?
No. Accounts, contacts and open deals move first, because those are what people touch daily. Closed history and attachments follow once the live pipeline is behaving. Splitting it that way means nobody waits on a full migration before they can work.
Does anything break while you take over?
Nobody stops selling and nothing goes dark. Your existing system stays exactly where it is until the new one has run a complete cycle and the numbers reconcile. Cutting over is a decision you make after you have watched it work, not a date we impose on you.
What if we already run Insightly and want to move?
It is a common route here and the record export itself is straightforward. Where it gets fiddly is custom objects and anything AppConnect was moving between systems, because those have to be rebuilt rather than exported. We map that before anybody signs anything, so the work is known rather than discovered.
Do you own the system or the data?
No to both, and the arrangement is deliberately dull. The Zoho account is in your name, the records are yours, and if you stop working with us you keep all of it and carry on. Nothing about leaving is designed to be awkward.
What exactly is included?
One flat figure with nothing metered behind it. Seven hundred a month covers the process read, the configuration, the migration, the integrations into whatever else you run, the changes you ask for as the business shifts, and a monthly report on what actually happened.
Do you guarantee the implementation will go to plan?
No, and be wary of anybody who does. A migration meets data nobody has looked at properly in years, and a process read usually turns up two things the business had never written down. What we will commit to is that those surprises are ours to absorb rather than yours to be invoiced for.
What does the monthly report actually contain?
What changed in the system, what we built or configured, what is queued next, and what the pipeline actually did. It is a page rather than a deck, and it is written so somebody who never opens the CRM can still tell whether it is working.
How long before we see a difference?
Four to eight weeks to a first complete cycle in most cases, and longer where several systems have to be reconciled first. The honest variable is not our speed, it is how quickly your team can answer questions about how deals really move.
What if we want to leave?
Thirty days notice ends it and nothing is stranded. The Zoho account stays in your name, the configuration stays exactly as it is, and the documentation comes with you. There is no exit fee and no data to prise out of us, because it was never ours to hold.
