Files that stay where they belong
File storage is where a company's access decisions go to be forgotten. A folder gets shared with a contractor for one project, the project ends, and the share stays exactly where it was. Multiply that by three years and nobody can tell you who outside the business can currently read what.
So external links get audited on a schedule and expired once the reason for them has passed. The migration preserves your structure rather than dumping files into a flat list nobody can navigate afterwards. Permissions follow teams, so a leaver is removed once rather than in eleven places. Desktop sync gets onto every machine rather than most of them. And the folder structure is designed before anything moves, because reorganising later means breaking every link somebody saved.
Agencies usually quote a project fee to move your files across, then a retainer to look after the result. We fold both into one monthly rate with no separate setup charge. That puts the incentive on us to migrate cleanly the first time, because we are the ones who live with the folder structure afterward.
Nobody should file a ticket to find last quarter's contract. We train your staff on TrueSync, sharing, and search, train your admins on the settings they own, and leave written notes behind for the next hire. You handle the daily work and send us the structural changes.
WorkDrive suits a lot of teams and suits some badly. We have no commercial reason to push you either way. We will look at your file volume, your compliance obligations, and what you need to integrate, then tell you plainly whether it fits or whether Google Drive or SharePoint would serve you better.
Most shared drives become one flat pile of folders within a quarter, because the structure was never decided. We map Team Folders, subfolders, and permission levels to how your teams actually work before the first file moves, so access is granted by role from day one instead of being untangled a year later.
Your WorkDrive organization, your files, your version history, and your Zoho subscription all sit in an account registered to your company. Nothing lives behind an agency login, and we hold no copy of your data. If you bring this back in house, there is nothing to hand over because it was never ours.
A file system your directory cannot see is another user list to maintain by hand. We align WorkDrive with Zoho Directory so accounts come from one source, build filing and approval workflows in Zoho Flow, and connect Zoho Sign so contracts get signed without leaving the folder they live in.
Why teams stop doing this alone
Anybody can create a Team Folder and start uploading. Getting the whole company off a shared drive, keeping permissions tidy as people change roles, and still passing a security questionnaire two years later is the part that usually never gets finished. Here is how the two approaches compare.

Every file system fills up and almost nobody works out why. We review consumption by Team Folder monthly, archive what does not need to sit in live storage, and tell you before a plan change is forced on you. No hourly rate to think about first.
Some teams need formal records management or a digital asset library, which WorkDrive does not cover. Because we run the wider Zoho stack as well, we will say so rather than forcing a workaround. We also flag when Zoho One costs less than separate app plans.
Hourly help makes every small permission change feel expensive, so people stop asking and go back to emailing attachments. A flat monthly rate makes the cost predictable and puts the incentive on us to keep the file system tidy rather than to bill hours against it.
Built for teams sharing files
A managed file system pays off once more people need access than anyone has time to administer. If your team emails attachments back and forth, nobody is sure which version is current, or a client keeps sending you a security questionnaire, this is usually the fix. There is a limit to it. When the files that matter are attachments on orders, tickets and projects rather than documents in folders, a standalone drive becomes a second place to look, and storage that sits inside the business system is the better shape.

Whether you are starting from a network drive nobody has tidied since 2018 or moving off Google Drive, the sequence is the same. We get the structure right first, then the sync and integrations, then the reporting. Most teams are live within two to four weeks.

We start with what you have, whether that is a network drive, Google Drive, Dropbox, SharePoint, or all of them at once. We agree the workspace and Team Folder structure, set the sharing and permission rules, then export, clean, and import your content. Duplicates and abandoned versions get dropped rather than carried across, and your admins are set up before anybody else is invited.

Next come the pieces that make the file system hold up, meaning TrueSync on Windows and Mac, the iOS and Android apps, directory sync with Zoho Directory, Active Directory, Microsoft Entra ID, Okta, or Google Workspace, single sign on, enforced two factor, external sharing and link policies, and retention rules. We test each one with your team before you rely on it.

From there you get the ongoing work, meaning new user provisioning, offboarding and file ownership transfers, permission and sharing changes, monthly storage and external access reviews, audit exports when somebody asks for them, and a written summary of who can reach what. You send priorities and we build them into the following month.
