What does Zoho Practice actually do?
Zoho Practice is Zoho's practice management software for accounting firms. It holds your client roster and engagements, runs jobs from templates with tasks and checklists, tracks deadlines and workload across staff, collects time against clients, raises invoices, requests and stores client documents, and gives clients a portal for uploads, messages, and approvals. It connects to your clients' Zoho Books organizations and to Zoho Payroll, CRM, Sign, and Analytics.
How is Zoho Practice different from Zoho Books?
Zoho Books is the ledger for one organization. Zoho Practice sits above your clients' ledgers and runs your firm. Books answers what a client's numbers are, while Practice answers who is doing that client's work, when it is due, how long it took, and whether it has been billed. Firms typically run Practice for the firm and Books inside each client organization, with the two connected so staff move between them without logging out.
Is Zoho Practice free?
Zoho offers a free tier of Zoho Practice with limits on users and clients, and paid tiers above it. Our managed service fee is separate from whatever you pay Zoho for the software itself. Many firms start on the free tier while they are small and move up as staff and client counts grow. We track your usage against your current tier and tell you before a limit blocks work, rather than after.

We already use spreadsheets and email. Why change?
Spreadsheets work until the firm outgrows the person maintaining them. The usual signs are a deadline that gets caught by luck rather than by process, a client whose work nobody realized had stopped, or a partner who cannot say what is unbilled without asking three people. Practice puts the job list, the deadlines, and the time in one place, so the answer is a screen rather than a Monday morning of asking around.
Can you migrate our existing client list and open work?
Yes. We take whatever you have, usually a spreadsheet plus your billing records plus somebody's working knowledge, and load clients, contacts, engagements, and open jobs into Practice. We reconcile the sources against each other first, because they rarely agree, and give you the list of clients whose details conflict so you can settle them before go live rather than discovering them mid season.
How long does the initial setup take?
Most firms are running live work in Practice within three to five weeks. The first week is discovery and firm structure, the next two build the service catalog, workflow templates, and deadlines, and the last covers client migration, portal setup, and a test run of one full cycle. Firms with many services or a messy client list take longer. We tell you the realistic timeline after discovery, not before it.
Does Zoho Practice work for bookkeeping firms, not just CPAs?
Yes. Bookkeeping firms tend to get more out of it than tax focused firms, because the work is recurring and the deadlines are monthly rather than seasonal. Recurring job generation, time tracking against fixed fee clients, and document chasing are the features that matter most, and all three apply whether or not anybody in the firm signs returns.
Can clients see our internal notes and workload?
No, unless you configure it that way. The client portal shows only what you choose to expose, typically document requests, uploads, messages, approvals, and invoices. Internal tasks, staff assignments, time entries, and notes stay inside the firm. We configure and test this deliberately during setup and check it from a client account before go live, because getting it wrong is the kind of mistake you only make once.
How does Practice connect to our clients' Zoho Books accounts?
Practice links to the Zoho Books organizations your clients run, so staff open a client's books from the job instead of maintaining a separate list of logins. Where your client is not on Zoho Books, the job and time tracking still work, you just lose the direct jump into the ledger. We set up the connections for the clients who have them and document which ones do not.
What happens if a deadline is about to be missed?
We configure escalation so the warning arrives before the date, not after. Reminders go to the assignee first, then to their manager if the job has not moved, and partners get a firm wide view of what is at risk in the coming weeks. The system will not do the work for you, but it stops a missed filing from being a surprise that nobody saw coming.
Who owns the account and the data?
You do. Everything we build lives inside your own Zoho subscription under your firm's ownership. If you stop working with us, the client records, workflow templates, time history, documents, and integrations stay exactly where they are and you keep full administrator access. Nothing sits in an agency account, so there is no export to negotiate and no leverage held over you at renewal.
Do we need Zoho One, or just Practice?
If Practice is the only Zoho product your firm uses, a standalone plan is usually the cheaper answer. Once you are running three or four apps, Zoho One generally costs less than the individual subscriptions stacked together, and our managed Zoho One plan covers the whole suite rather than one app at a time. We tell you which side of that line you are on rather than defaulting to the larger plan.
