Managed Zoho Survey Services for NPS Programs Response Reports CRM Sync

Surveys are easy to send and hard to get right. Managed Zoho Survey covers the question writing, the branching logic, the branding, and the distribution, all inside the Zoho account your company owns. We watch where people drop off and fix it, run your NPS and CSAT programs on a schedule, and push every response into Zoho CRM against the right record so feedback reaches the person who can act on it.

Feedback you can actually act on

What makes our managed Zoho Survey service different

The worst outcome of a survey is not a low response rate. It is a confident answer to a question you asked badly, because you will act on it. A leading question returns the reply you were hoping for, and nothing in the results will warn you that is what happened.

So the wording gets more care than the design. Questions are written neutrally and tested on a few people before the send goes out. Length is kept to what somebody will genuinely finish, since an abandoned survey tells you nothing at all. Reminders go to non-responders rather than to everybody. And the results come back with what they mean and what they do not, including the times the sample is too small to carry the conclusion you were hoping for.

Why teams stop doing this alone

Managed Zoho Survey vs running surveys yourself

Anybody can put a survey together in an afternoon. Writing questions that do not lead the answer, getting enough completions to trust the number, and doing something with the results a month later is the part that usually never happens. Here is how the two approaches compare.

Getting the survey out at all

Half finished surveys sit in drafts everywhere, because the person building it also has a job. We run the build to a question list and a send date, come back to you for review and approval, and get it in front of the right audience on the day we agreed.

Questions that skew the answer

Leading wording, double barreled questions, and unbalanced answer scales quietly produce numbers you cannot use. We edit every question for those problems before it goes out, then read the first batch of responses to confirm people understood it the way you intended.

Where a response ends up

Responses sitting in a survey tool get read once and forgotten. We push each one into Zoho CRM on the right record, with the score and the free text attached, so your account team sees the feedback the next time they open that account.

Response rates that stop sliding

Send it, get twelve percent back, shrug, repeat next quarter. We read the drop off report to find the question people quit on, rewrite it, test send times, and chase non responders only. Completion usually moves more from that than from any incentive.

When you outgrow the tool

Some research genuinely needs a specialist platform. Because we do not resell Zoho licenses, we will say so rather than building a workaround, and we will help you move if that is the right call. We also flag when Zoho One costs less than separate app plans.

What it costs next month

Hourly help makes every small survey feel expensive, so people stop asking and the feedback program quietly stops. A flat monthly rate makes the cost predictable and puts the incentive on us to keep the program running rather than to bill hours against it.

How we work with you

How our managed Zoho Survey service works

Whether you are starting with no feedback program at all or inheriting one that stalled two years ago, the sequence is the same. We get the questions right first, then the distribution, then the reporting. Most programs are sending within two to three weeks.

1

We design and build your surveys

We start with the decision you are trying to make, not with a question list. From there we draft the questions, cut the ones that will not change anything, and build the survey in your own Zoho account with your branding on it and your own domain in the address bar. If you are moving from another tool, we rebuild the existing surveys with the wording intact so your trend data still lines up.

2

We wire up logic, sending, and Zoho

Next come the pieces that make the survey earn its keep, meaning skip logic and branching tested on every path, fields prefilled from the CRM record, distribution set up across email, links, embeds and QR codes, and responses written back into Zoho CRM, Desk, and Analytics. We test each route with real records first, because a survey nobody checked is feedback nobody receives.

3

We keep it running and reported

From there you get the ongoing work, meaning reminder waves sent to non responders, drop off analysis and question fixes, new surveys as you need them, recurring NPS and CSAT cycles, and a monthly review of response rates, scores, and what moved. You send priorities and we build them into the following month.

Everything we manage

Complete managed Zoho Survey coverage

Survey Build & Question Writing

Most surveys fail because of how the questions are worded, not the tool. We draft the question set with you, cut the ones that will not change a decision, fix leading language, and build the whole thing in your own Zoho Survey account. You review a live preview link before a single response comes in.
Cascadia Web Services logo

Branding, Themes & Custom Domains

A survey that looks like a stock form gets abandoned. We apply your logo, colors, typography, and button styles to the theme, set the welcome and thank you pages, and put the survey on your own subdomain so respondents never see a generic Zoho URL in the address bar.
Cascadia Web Services logo

Reusable Templates & Question Banks

If you run the same survey every quarter, it should not be rebuilt every quarter. We turn your recurring surveys into templates and keep a shared question bank so wording stays consistent year over year. That consistency is what makes trend comparisons meaningful instead of noisy.
Cascadia Web Services logo

Mobile & Accessibility Review

More than half of your responses will arrive on a phone. We test every page on small screens, check that matrix questions and long option lists stay usable, confirm contrast and label text work with screen readers, and shorten anything that pushes a respondent to abandon partway through.
Cascadia Web Services logo

Skip Logic & Branching

Nobody should answer questions that do not apply to them. We map the branching rules, set page and question level skip logic, and test every path end to end so a respondent who picks one answer never lands in a dead end or a section written for somebody else.
Cascadia Web Services logo

Piping, Variables & Prefilled Fields

Do not ask people for information you already hold. We pass known values into the survey through URL variables, prefill fields from your CRM record, and pipe earlier answers into later question text so the survey reads like a conversation rather than a form.
Cascadia Web Services logo

Quotas, Scoring & Randomization

Research surveys need controls. We set response quotas so one segment does not swamp your sample, randomize option order to reduce position bias, and build scoring rules where you need a calculated result such as a readiness score or a qualification band at the end.
Cascadia Web Services logo

Email, Link & QR Distribution

We set up the distribution channels that fit the audience: tracked email invitations, public or private links, QR codes for print and packaging, and SMS where you have consent. Each channel is tagged so you can see later which one actually produced the responses you care about.
Cascadia Web Services logo

Website & In App Embeds

Surveys placed where people already are get better response rates. We embed surveys inline on your site, as a popup timed to behavior, or as a slide in on a specific page. We also set the frequency rules so the same visitor is not asked the same question twice.
Cascadia Web Services logo

Reminders & Response Rate Work

A first send is rarely enough. We schedule reminder waves to non responders, test subject lines and send times, and watch the drop off report to find the question where people quit. Then we fix that question. Small changes there usually move completion more than a bigger incentive does.
Cascadia Web Services logo

Multilingual & Regional Delivery

If you serve more than one language, one survey should cover all of them. We set up translated versions inside a single survey, route respondents by browser language or by a link parameter, and keep the reporting merged so you analyze one dataset instead of three separate ones.
Cascadia Web Services logo

Dashboards & Scheduled Reports

You should not have to log in to see results. We build the report views your team needs, filtered by segment, region, or time period, and schedule them to arrive by email on whatever cadence suits you. Anyone who needs a live view gets a shared dashboard link instead of a spreadsheet export.
Cascadia Web Services logo

NPS & CSAT Programs

We set up recurring NPS and CSAT measurement properly: consistent wording, a fixed sampling rule, and a follow up question that captures the reason behind the score. Detractor responses get routed to a person, not a folder, so a bad score turns into a conversation the same week.
Cascadia Web Services logo

Cross Tab & Trend Analysis

The interesting answer is usually a comparison. We build cross tabulations that break results down by segment, plan tier, region, or tenure, and track the same questions across survey waves so you can see movement over time rather than a single snapshot with no reference point.
Cascadia Web Services logo

Zoho CRM Sync

Responses belong on the record, not in a separate tool. We push completed surveys into Zoho CRM against the matching lead, contact, or account, map answers to the fields your team actually filters on, and trigger workflows for the answers that need someone to act on them.
Cascadia Web Services logo

Campaigns, Desk & People Handoffs

We connect Survey to the rest of your Zoho stack: Campaigns for invitation sends and list segmentation, Desk for post ticket satisfaction surveys tied to the ticket, and People for employee feedback and onboarding surveys. Each handoff is tested with real records before it goes live.
Cascadia Web Services logo

Analytics, Flow & Webhooks

When the built in reporting is not enough, we move the data. Responses feed Zoho Analytics for blended reporting against CRM and finance data, and Zoho Flow or webhooks handle anything that needs to reach a system outside Zoho. You keep one dataset with several destinations.
Cascadia Web Services logo

Access, Roles & Permissions

We set who can build surveys, who can only view results, and who can export raw response data. Departments get their own workspace where that makes sense. When someone leaves, we handle the transfer of ownership so no survey is stranded on a deactivated user account.
Cascadia Web Services logo

Anonymous Responses & Data Retention

Some surveys only work if people trust them. We configure genuinely anonymous collection where you need it, turn off IP and email capture on those surveys, write the consent language on the welcome page, and set retention rules so response data is not held longer than your policy allows.
Cascadia Web Services logo

Named Support & Change Requests

You get a named contact who knows your account, not a queue. Send a change request and we handle it: a new survey, a wording fix, a report change, or a distribution that needs to go out this afternoon. Routine requests are turned around within one business day.

Answers to common managed Zoho Survey questions

Frequently asked questions
What is managed Zoho Survey?
It is a subscription where we run your survey program for you at a flat monthly rate. That covers survey design and question writing, branding and themes, skip logic and branching, distribution by email, link, embed and QR code, reporting dashboards, NPS and CSAT programs, and the integrations into Zoho CRM, Campaigns, Desk, and Analytics. It also covers the ongoing changes, so surveys stay current instead of being rebuilt from scratch each quarter.
What does Zoho Survey actually do?
It is Zoho's survey builder. You get over twenty question types, skip logic and branching, response quotas, scoring, multilingual surveys, white labeling on your own domain, and reporting with cross tabulation and trend views. Because it sits inside the Zoho ecosystem, responses flow directly into Zoho CRM, Campaigns, Desk, People, and Analytics without a paid third party connector sitting in the middle.
How much does managed Zoho Survey cost?
Managed Zoho Survey is $300 per month per organization. That is our fee for running the program and it is not tied to the number of surveys, responses, or editors you have. Your Zoho Survey license is billed separately by Zoho and stays in your name. If you also run other Zoho apps, the Zoho One bundle covers your whole stack for one monthly fee instead of app by app pricing.
Do I need my own Zoho Survey license?
Yes. The license stays in your name and is billed by Zoho directly, which means you own the account, the surveys, and every response in it. We work inside your account as a user with the access we need. If you ever stop working with us, we hand back full control and remove our access. Nothing is trapped in an agency account you cannot reach.
Can you migrate our surveys from SurveyMonkey or Typeform?
Yes. We rebuild your existing surveys in Zoho Survey, carry across the question wording so trend data stays comparable, and set up equivalent logic and branding. Historical responses can usually be exported from the old platform and loaded into Zoho Analytics alongside new results, so you keep the history even though the collection tool has changed.
How long does the initial setup take?
A single survey with straightforward logic is usually live within a week. A full program with several surveys, CRM sync, and recurring NPS measurement typically takes two to three weeks, most of which is agreeing on the question set with you rather than building. We work in the open and share preview links early, so you see progress before anything is sent.
Will responses show up in Zoho CRM?
Yes, and that is usually the point. We match completed responses to the right lead, contact, or account and write the answers into fields your team can filter and report on. Where an answer needs action, such as a low satisfaction score or a request for a call back, we set a workflow that assigns it to a person with a due date.
Can surveys be truly anonymous?
Yes. For surveys where anonymity matters, such as employee feedback or exit surveys, we turn off IP capture and email tracking, disable any prefilled identifying fields, and set the survey so responses cannot be traced back to an individual. The consent language on the welcome page states plainly what is and is not recorded, which is what actually gets people to answer honestly.
Do you write the survey questions or do we?
Either, though it works best as a conversation. You tell us the decision you are trying to make and we draft the question set around it, then you review and adjust. If you already have questions written, we edit them for leading language, double barreled wording, and unusable answer scales. Most first drafts we see can lose about a third of their questions with no loss of insight.
How do you improve response rates?
Shorter surveys, better timing, and fixing the specific question people quit on. We check the drop off report to find where abandonment happens and rewrite or move that question. We test send times and subject lines, run reminder waves to non responders only, and put surveys where the audience already is rather than relying on one email blast to do all the work.
Can we run NPS or CSAT on a recurring schedule?
Yes. We set up the measurement so it runs on a fixed cadence with consistent wording, which is what makes the trend line trustworthy. Sampling rules stop the same customers being asked every month. Detractor responses are routed to an owner in CRM or Desk the moment they arrive, so a low score reaches a person while the experience is still recent.
What about surveys tied to support tickets?
We connect Zoho Survey to Zoho Desk so a satisfaction survey fires when a ticket closes, with the ticket, agent, and category attached to the response. That lets you report satisfaction by agent, by issue type, or by resolution time instead of one blended number that tells you nothing about where the problem actually is.
Can you handle surveys in more than one language?
Yes. We build translated versions inside a single survey rather than creating separate ones, then route respondents automatically by browser language or by a link parameter. Reporting stays merged, so you analyze one dataset covering every language. If you need the translations produced as well as configured, we can arrange that as a separate piece of work.
What is included in support and how fast do you respond?
You get a named contact who knows your account rather than a general queue. Routine change requests such as a wording fix, a new report view, or a distribution that needs to go out today are handled within one business day. Larger pieces of work, like a new survey with fresh logic, are scoped and scheduled with you so you know the date before we start.
Should we buy this or the Zoho One bundle?
If Survey is the only Zoho app you rely on, the standalone plan is the right fit. If you are already running CRM, Campaigns, Desk, or Books alongside it, the managed Zoho One bundle covers your entire stack for one monthly fee and is almost always cheaper than adding up individual app plans. We are happy to work through both options against your actual app list.
