Every company runs on knowledge that lives in somebody's head, a stale PDF, or a chat thread nobody can find again. Managed Zoho Learn turns that into manuals your team actually searches and courses new hires actually finish. We build the structure, write and migrate the content, set up the quizzes and learning paths, and keep the whole library current as your process changes.

Knowledge your team can actually find
Standing up a knowledge base is easy. Keeping it accurate two years later, when the process has changed four times and half the authors have left, is the part that fails. Training is the same story. Recording a course takes an afternoon and keeping it current takes forever. We treat your manuals and courses as a system with an owner and a review schedule.
Which means every article and every course carries a name and a date by which somebody looks at it again. Content describing a process you no longer follow gets removed rather than left to mislead a new starter, because a knowledge base people have learned to distrust is worse than having none. New material comes from where the questions are actually arriving, which is usually your support queue and your onboarding. Search is tested with the words people really type. And completion is recorded where a manager will see it.
A knowledge base with no hierarchy is a folder of documents. We design the spaces, manuals, and chapters around how your team actually looks things up, then set the permissions so each group sees the right material. Search works because the structure underneath it makes sense.
Most documentation projects stall because the person who knows the process has no time to write it down. We interview them, draft the article, and send it back for a five minute review. You approve, we publish. Nobody has to block out a Friday to write.
A forty slide deck with a quiz on the end is not training. We break material into short lessons, add checks that confirm somebody understood rather than skimmed, and sequence them into paths so a new hire always knows what comes next without asking a manager.
Documentation rots quietly. An article describing last year's approval process is worse than no article, because people follow it. We schedule reviews, flag anything nobody has touched in a set period, and archive what no longer applies instead of leaving it to be found.
Every manual, course, and learner record lives inside your own Zoho subscription under your company name. Nothing sits behind an agency account, so there is no export to negotiate and no leverage held over you. If you bring this back in house, it is already yours.
When a client, an auditor, or an insurer asks who completed which training and when, guessing is not an answer. We keep the assignments, deadlines, and completion records current, then send you the report rather than making you build it from the admin console.
Why internal wikis quietly die
Anybody can create a knowledge base. Keeping a hundred articles accurate, courses current, and completion records defensible while the business keeps changing is a different job, and it is the first thing dropped when a quarter gets busy. Here is how the two approaches compare.

In house, a correction waits on whoever wrote the article, and they moved to another team in March. Under a subscription you send the change and it is published the same day, with the related articles checked for the same mistake.
Nothing breaks when documentation becomes wrong, which is exactly why nobody notices. We run a review cycle on a schedule and flag aging articles, rather than waiting for somebody to follow the wrong steps and cause a problem.
When training lives with a single experienced employee, every new hire gets a slightly different version and a holiday week stalls the whole thing. A course delivers the same material every time, whether or not that person is at their desk.
Without completion records, an audit or an insurance question turns into a search through old email. We keep assignments and completions recorded as they happen, so the answer takes a minute rather than most of a week.
A learning platform on its own has no reason to care where your people data lives. We manage the wider Zoho environment, so courses can key off People and Desk articles can reuse the same source, and we flag when Zoho One costs less than adding apps one by one.
Hourly help makes every small documentation change feel expensive, so people stop asking and go back to keeping private notes. A flat monthly rate makes the cost predictable and puts the incentive on us to keep your library current rather than billable.
Built for teams that keep explaining the same thing
Documentation becomes urgent at a specific moment. The person who knows everything gives notice, headcount doubles in a quarter, or a client asks for proof of training. If onboarding today is a shared drive and one patient senior employee, this is usually the fix. There is also a ceiling on it. Once you want the content in a database you control, or an approval trail somebody outside your team can audit, a documentation platform you host yourself is the next step, and we run that too.

How we work with you
Whether you are starting from nothing or untangling four years of scattered documents, the sequence is the same. We find what exists, rebuild what deserves to stay, then keep it current. Most clients have a working library and their first onboarding path live within a few weeks.
1
We collect everything that counts as documentation today, including the drive folder, the wiki nobody maintains, the onboarding checklist in a spreadsheet, and the process that exists only in somebody's memory. For each piece we note whether it is accurate, who owns it, and whether anyone has opened it recently. Most of it will not survive, and that is the point of looking.
2
We design the structure first, then migrate what is worth keeping and write what is missing, working from short interviews rather than asking your team to draft anything. Training gets built into lessons and paths with checks that confirm understanding. Permissions go on before launch, so internal material stays internal and only customer facing articles are public.
3
From there you send us changes and we make them, usually the same day. We run review cycles on aging articles, add courses as processes change, assign and chase recurring training, and send a monthly summary of what was updated, who completed what, and what is due for renewal. The library stops being a project you keep restarting.
