A Qualtrics Alternative for Teams Who Need a Survey Out This Month, Not a Procurement Cycle

Qualtrics does not publish a price. Not a starting figure, not a per seat rate, not a range. What it publishes instead is three suites, nine products and a meter called interactions that you are asked to forecast before anybody will quote you. We run Zoho Survey at three hundred dollars a month for the whole organisation, and you just read that without booking a demo.
What Qualtrics gives you, and what it asks of you first
Three suites, a meter you have to forecast, and no number anywhere on the page
Qualtrics publishes its pricing philosophy at length and its pricing not at all. The page explains that you pay for planned usage, that insights are for everyone, and that you get best in class flexibility. What it does not contain is a figure. Every path leads to Find Your Plan or Get a demo. That is a deliberate choice for an enterprise research platform, and it is a real cost to a company that needs to know by Friday.

There is no price on the pricing page

We fetched it and read it. Three suites, nine products, a pricing philosophy section and a pricing FAQ, and not one dollar figure among them. For a fifteen person company that wants a customer satisfaction survey running properly, the first step is a sales conversation and the second is a quote you cannot sanity check against anything published.
Icon representing a meter based on interactions rather than seats

The meter is interactions, and you are the one forecasting it

Qualtrics defines an interaction as a data record collected or processed to deliver insight. For the customer suite that means survey responses, call records, chat conversations and emails. For the employee suite it is your headcount. For research it is responses plus minutes of video feedback. You are asked to plan your usage before you buy, and to be right about it.
Icon representing an offer that varies by industry and security review

What you are offered can depend on your industry

Their own FAQ says pricing and plans may differ based on industry security requirements and product availability. That is honest of them, and it is also the sentence that tells you this is enterprise procurement. Nothing about it is wrong. It is simply a different purchase from the one most companies asking about a survey tool think they are making.
A serious research platform, and a serious purchase
Capability is not the argument here, and we will not pretend it is
Qualtrics is the most capable thing in this category and we are not going to pretend otherwise. A single identity record spanning every customer and employee interaction, sentiment analysis across channels, automated recommendations, closed loop workflow. If you are running a research function, this is the platform that function gets built on. Every criticism below is about fit, and about what it takes to find out the price.

Cascadia

One person who decides what the survey is for, writes it, sends it and reads what comes back, at a figure printed on the page.

Without Cascadia

A discovery call, a scoping call, a quote resting on an interaction forecast, and a survey still unsent in week six.

Comparison

Cascadia vs Qualtrics
Qualtrics sells a platform and quotes it privately. What can actually be compared is how quickly you get a survey out and what you know about the cost before you start. Everything in the Cascadia column is part of Managed Zoho Survey at one flat monthly figure.

A price you can read on the page before you speak to anybody

The survey written for you, not a platform capability you are licensed to use

A short list of surveys that earn their send, rather than a platform to grow into

A flat monthly figure, with no usage meter anybody has to forecast

The same person who wrote your first survey answers the phone in month fourteen

Question wording checked for bias before the send, not after the results confuse everyone

Response rates watched while the survey is still live, and the reminder sent by us

Answers landing on the customer record in the system you already run the business in

A straight no on the first call if what you actually need is a research platform

Live in weeks, with no procurement cycle standing in front of it

Where Qualtrics fits

If you are standing up a research function, listening across several channels at once, or you need conjoint and panel management with governance around them, Qualtrics is a straightforward yes. Nothing on this page argues otherwise.

Where a platform is more than the question deserves

We exist for the company that wants to know whether its customers are happy, and has been quoted a platform instead. The software is not the problem. The size of the purchase is.

Where Qualtrics is strong

Icon representing unlimited users included on every licence
Unlimited users on every licence, which nobody else here offers
Qualtrics includes its technology for an unlimited number of users on every suite and every product. SurveyMonkey charges per seat with a three seat floor. Alchemer caps its self serve plans at three users. On this one point Qualtrics is not merely ahead of the field, it is ahead of us, and we would rather say so than leave it out.
Icon representing a usage meter built from countable business events
The meter is at least one a business can count
Interactions are survey responses, call records, chat conversations, emails, employee headcount and minutes of video feedback. Those are all things a business can count. Buying a full suite lets you pool them and move consumption between products without a new contract, which is a genuine advantage over buying three separate point solutions.
Icon representing platform depth built for a research function
It is built for an organisation that already listens on several channels
A single identity record spanning every customer and employee interaction, sentiment analysis, automated recommendations and closed loop actions. For an organisation with a research team and several channels to listen on, that is not marketing language, it is precisely the job.
Icon representing a vendor stating plainly that buying is a considered process
They are candid that this is a considered purchase
Qualtrics says plainly that pricing and plans may differ based on industry security requirements and product availability. That is a vendor telling you the truth about what buying them involves. What it also means is that the answer to what does this cost is always a conversation first.
None of that is padding, and if you have a research function to build, Qualtrics is very likely the right home for it. What no platform does is decide what is worth asking. Each capability in that list waits for a person on your side to choose the question, word it so it does not lead, and act on what comes back. Holding that job is separate from buying the platform, and it is the job our Managed Zoho work exists to do.

What three hundred a month buys, and the fact that you can read it here

Icon representing one published fee with no meter attached to it
One published figure, with no meter and no forecast underneath it
Account setup, the decision about what the survey is for, the questions, skip logic and branching, branding, distribution, response monitoring and reporting. Three hundred a month, and no interaction count to estimate before you agree to it.
Icon representing a comparison that cannot be made from published figures
We cannot tell you where Qualtrics becomes the cheaper answer
Because they do not publish a figure, and we are not going to invent one for the sake of a tidy comparison. What we can tell you is ours. Three hundred a month for the organisation, no usage meter, no seat count, thirty days notice. If Qualtrics quotes you less than that for what you actually need, take it, and we will tell you so on the call.
Icon representing one named person answering in month fourteen
You are not restating your requirements to a new account team every year
The same named person who decided what the survey was for and how each question was worded is the person you reach in month fourteen. No handover, no renewal conversation, and no ticket queue in between.
Icon representing an answer landing on the record it belongs to
The answer lands where the customer record already lives
Zoho Survey writes into CRM, Campaigns, Desk and Analytics directly. A rating and the customer who gave it stop being two systems joined by an export somebody has to remember to run.
Qualtrics may well be the right call. For an organisation with a research team and several channels to listen on, it usually is, and we will say so on the call rather than after you have signed.

Onboarding process

What the first sixty days look like when nobody has to raise a purchase order

Most of the work is ours. Every product compared on this hub will collect an answer correctly. What goes wrong is everything arranged around it, so that is where the first two months go.

1

Nothing gets sent until we agree the survey is worth somebody answering

We ask who is going to read the answers and what they are allowed to change as a result. A survey nobody has authority to act on is a survey worth cancelling, and it is cheaper to find that out in week one than after four hundred people have filled it in.

2

We count what you already ask people, and how often you ask them

The automated satisfaction request, the onboarding questionnaire, the form on the website and the annual survey somebody sends by hand. Most companies are asking the same customer four separate times and calling it one programme. That total is usually the thing that surprises somebody.

3

The questions, the audience and the send schedule get written down

What each question is measuring, who receives it and how often, where the answer lands afterwards, and who is on the hook for reading it. Decided once, on paper, instead of argued about after the send.

4

You run a full cycle on it, straight through one real send and its follow up

The first cycle runs with us alongside it. Anything that reads badly gets rewritten while we are still there, rather than becoming a question people quietly skip for the next two years.

Testimonials

Don't Take Our Word For It

Two situations where the platform was capable and the purchase was the wrong size
Neither of these is a client story. Both are shapes we see often enough to describe. A business whose research has genuinely grown past what a Zoho estate can carry belongs on managed Frappe Insights instead, and raising that early costs us less than selling you something you will need to leave.
Hands checking figures on a calculator against a stack of invoices

How this plays out

A twenty person company quoted a platform for one annual survey

They wanted to ask four hundred customers one honest question once a year. Two discovery calls in, the proposal covered three products and a usage forecast nobody in the building could produce, because nobody knew how many chat conversations they had. The project stalled at the forecast, not at the price. Two years later the question has still not been asked.
A closed laptop and a cold cup of coffee on a desk nobody has returned to

When this comes up

A platform bought for nine products and used for one

A services firm bought a suite on the strength of a good demo and a plan to listen across every channel. In practice they ran one quarterly satisfaction survey. The capability was all there and all paid for, and the reason it went unused was not the software. Nobody had been given the job of running a research programme, and buying one does not create the person who runs it.
300

Dollars a month for the whole organisation, and you did not have to ask

Every part of it, from the first count of what you already ask to the question set rewritten a year in. Your Zoho Survey licence is bought in your own name and sits separately from this.
0

Dollars charged per interaction, per response or per channel listened on

The audit, the question set, the distribution, the migration and the revisions all sit inside the monthly figure. A busy quarter that doubles your responses does not change it.
4-8

Weeks, typically, from the first call to a survey in front of real customers

Four to eight weeks in most cases, and longer where the audience lists are scattered across several systems that disagree with one another.

Qualtrics alternative and managed Zoho Survey FAQs

Frequently Asked Questions

How does Qualtrics compare to SurveyMonkey, Alchemer and Microsoft Forms?
Qualtrics is the only one of the four that publishes no price at all, and the only one that meters interactions rather than seats. SurveyMonkey starts at thirty a user a month with a three seat minimum. Alchemer runs from fifty five a user a month and caps self serve at three users. Microsoft Forms arrives inside a Microsoft 365 subscription and states no response limit anywhere. Qualtrics is comfortably the most capable of the four. It is also the only one you cannot cost without a conversation.
Can you tell me what Qualtrics will cost us?
No, and neither can anybody else who has not been quoted. Qualtrics publishes no figure on its pricing page, and their own FAQ notes that plans may differ by industry security requirements. We will not estimate it for you, because a number we invented would be worth less than nothing when your real quote arrives.
What is an interaction, and why does it matter?
It is the unit Qualtrics bills on, and they define it as a data record collected or processed to deliver insight. In the customer suite that includes survey responses, call records, chat conversations and emails. In the employee suite it is your headcount. In the research suite it is responses plus minutes of video feedback. It matters because you are asked to forecast your usage before you buy, which means the accuracy of your quote depends on how well you can predict a year of customer contact.
What do the three Qualtrics suites actually cover?
Customer Experience covers frontline digital, care and locations. Employee Experience covers engagement, lifecycle and people analytics, and is priced on headcount. Strategy and Research covers strategic research, user experience and brand. Buying a whole suite lets you move consumption between its products without a new contract, which is the main reason they push you towards one.
What is not solved by buying a platform of this size?
Whether the question you wrote will get an honest answer. Whether your customers have already been asked three times this quarter by three different teams. Who reads the responses, and what they are permitted to change afterwards. A larger platform makes none of that easier. It is a job somebody has to hold, and no licence creates that person.
We are already talking to Qualtrics. Should we stop?
Not necessarily, and we say so regularly. If you are building a research function and you have somebody to run it, finish that conversation. Talk to us if the quote is out of proportion to one recurring survey, or if you got as far as the usage forecast and realised nobody could produce it.
Is Qualtrics more expensive than you?
We do not know, and any page that tells you it does is guessing. They publish nothing. What we can say is that our figure is three hundred a month for the organisation, printed here, with no meter and thirty days notice, and that the two purchases are not the same kind of thing anyway. Theirs is an enterprise platform. Ours is a person writing and running your surveys inside a tool you already own.
Is Qualtrics metered on people or on responses?
On neither, mostly. Users are unlimited on every licence, which is genuinely to their credit. The meter is interactions, and what counts as one depends on the suite. Employee Experience is the exception and is priced on headcount. So you are not buying seats, you are buying a forecast of how much listening you intend to do.
Is Qualtrics a better product than Zoho Survey?
Yes, and not narrowly. It is a research platform and Zoho Survey is a survey tool, and we would rather say that than pretend otherwise. The question is whether you need a research platform. Zoho Survey wins on a narrower point. It sits inside the estate where your customers, tickets and campaigns already live, it costs a figure you can read, and bought from us it arrives with somebody to run it.
Does Zoho Survey connect to the rest of Zoho?
That is a large part of the reason to choose it. Survey writes into CRM, Campaigns, Desk and Analytics directly, so a rating can land on the contact record and a poor one can raise a ticket without anybody exporting anything.
What exactly do you do for three hundred a month?
We set up the account and provision users, agree with you what the survey is for, write the questions, build the skip logic and branching, brand it, distribute by email, link, embed and QR code, watch responses arrive, build the reporting, run your NPS and CSAT programmes, and connect it to CRM, Campaigns, Desk, Analytics and Flow. The figure covers the organisation and does not move when you hire.
Who holds the Zoho Survey licence, you or us?
You do, and that is deliberate. The Survey subscription is bought in your name and stays there. If you stop working with us you keep the account, every question set and every response in it, and carry on without a migration. Zoho Assist is the only service where we carry the licence.
Can you move us off Qualtrics?
Yes, with one honest caveat. If you are using conjoint, panel management or cross channel listening, some of that has no equivalent in Zoho Survey and we will tell you which parts before you move rather than after. Recreating the surveys themselves is straightforward.
Is there a minimum term?
No. Three hundred a month, month to month, thirty days notice. Qualtrics contracts are negotiated rather than published, so the commitment is one of the things you will be discussing, along with the number.
What if we only want one survey a year?
Then almost certainly do not buy either of us. One survey a year is a job for a free tool and an afternoon. We are worth paying when asking is continuous, when the answers need to reach the customer record, and when nobody currently owns any of it.
What happens if we outgrow Zoho?
Some businesses do. Once the research is longitudinal panel work, complex quota sampling or regulated data collection, the ceiling is real and we will say so before you reach it. That is often the point at which Qualtrics becomes the right answer after all, and we would rather say so than defend a fit that has stopped working.
