Managed Zoho Campaigns Services for Newsletters Automation Deliverability

Zoho Campaigns can run your whole email program, once someone builds the templates, cleans the lists, and keeps your sending domain trusted. That part is a job. Our managed Zoho Campaigns plan handles it on a flat monthly rate: campaigns built and sent on schedule, lists segmented so people get mail they asked for, journeys that fire at the right moment, and deliverability checked after every send.

Email that keeps sending

What makes our managed Zoho Campaigns service different

An email list decays at roughly a quarter of its addresses a year whether or not anybody is watching. People change jobs, domains get retired, and a slice of what you are still mailing has not existed for months. Keep sending to it and mailbox providers draw the obvious conclusion about you, which is how a healthy open rate halves without anybody changing the campaigns.

List hygiene does more for an email programme than any subject line test. Addresses that hard bounce are suppressed rather than mailed again next month. People who have opened nothing in a year are re-engaged once and then removed, because continuing to send to them is what teaches a provider to filter you. Authentication is rechecked whenever your stack changes. Sends are scheduled around what you can realistically produce. And the reporting says whether the campaign made money, not merely whether it was opened.

Why teams stop running this themselves

Managed Zoho Campaigns vs a one-off consultant

A consultant can build you a template and send one campaign. Keeping your list clean, your domain authenticated, and your journeys relevant as your buyers change is a different job, and it is the one that decides whether your email still reaches an inbox a year from now. Here is how the two approaches compare.

Getting the next campaign out the door

Every send means a fresh quote and a wait when you are billing hourly, which quietly discourages you from mailing at all. Under a subscription, you tell us what is going out and we build it. Campaigns inside your allowance are simply part of the service.

Engagement that never reaches your CRM

A standalone sending tool leaves opens and clicks stranded where your sales team never sees them. We sync Campaigns with Zoho CRM so engagement lands against the right contact, lead, or deal, and whoever picks up the phone knows what marketing sent last week.

Inheriting a setup that is a mess

Most providers quote a rebuild because it is easier than reading someone else's work. We audit what exists, check your authentication records and list health first, and tell you honestly which templates and journeys are worth keeping and which should be rebuilt clean.

Who can send to your whole list

Sharing one login is common and genuinely risky, because a send to 25,000 people cannot be recalled. We manage roles so drafting, approving, and sending sit with different people, and nobody keeps access after they have left the company.

Growing into the rest of Zoho

An email-only contractor has no reason to look at what else you run. We manage the wider Zoho ecosystem, so when your open rate problem is really a CRM data problem, we say so, and we flag when Zoho One costs less than adding apps one by one.

What it costs next month

Hourly work makes every busy month an unpleasant invoice, which quietly discourages you from asking for things. A flat monthly rate makes the cost predictable and puts the incentive on us to keep your email performing rather than to accumulate billable hours.

Built for teams that run on email

Who our managed Zoho Campaigns service fits best

Zoho Campaigns earns its keep when your list is large enough that a mistake gets expensive, or when the same customers need different messages. If you still export contacts to a spreadsheet before every send, or watch open rates fall without knowing why, this is usually the fix.

How we work with you

How our managed Zoho Campaigns service works

Whether you are starting from an empty account or inheriting lists somebody else built, the sequence is the same. We work out what you want to send and to whom, get your domain authenticated and your lists clean, then build the templates and journeys and keep them running. You see a campaign go out within weeks rather than at the end of a quarter.

1

We map what you send and to whom

We start with a consultation about what you sell, who buys it, and how often those people should reasonably hear from you. Then we look at where your contacts come from and what shape that data is in. If a segment you want turns out to be impossible with the fields you collect, this is where you find out, rather than after the first send.

2

We authenticate, clean, and connect

We set up SPF, DKIM, and DMARC on your sending domain, deduplicate the lists, strip the addresses that will only bounce, then connect Zoho CRM so contacts stay aligned. Authentication needs DNS changes and a little propagation time, which is why it happens early rather than the day before you want to mail.

3

We build, send, and keep it running

We build your templates and segments, send the first campaign, and set the automation journeys running. From there it stays managed. Placement gets watched after every send, bounces and complaints get acted on, lists get cleaned as they decay, and new campaigns get built and scheduled as you need them.

Everything we manage

Complete managed Zoho Campaigns coverage

Cascadia Web Services logo

Campaign Build & Send

You tell us what is going out and we build it. Copy laid into a template, links tagged, preview text written, test sends checked, and the schedule set for when your list actually opens email rather than when it happened to be finished.
Cascadia Web Services logo

Email Template Design & Build

We build branded templates in the Zoho Campaigns editor that match your site, load fast, and survive being forwarded. Reusable layouts mean the next newsletter takes an hour instead of a day, and nobody rebuilds the header from scratch every month.
Cascadia Web Services logo

Inbox & Mobile Rendering Checks

Outlook breaks layouts that look fine everywhere else, and most of your list reads on a phone. We test rendering across the major clients before a send goes out, so your newsletter does not arrive as a stack of broken images and stretched tables.
Cascadia Web Services logo

A/B Testing & Send Timing

Subject lines, sender names, and send times all move open rates, and guessing at them wastes your list. We run structured A/B tests, keep a record of what won, and apply the result to the next send instead of starting the argument again.
Cascadia Web Services logo

List Import & Cleanup

Most lists arrive as a mess of duplicates, dead addresses, and spreadsheet columns nobody can explain. We import, deduplicate, normalize the fields, and strip the addresses that will only generate bounces, because a clean list is what protects your sending reputation.
Cascadia Web Services logo

Segmentation Rules Setup

Sending everything to everyone is the fastest way to train people to ignore you. We build segments from the data you already hold, such as purchase history, engagement, lifecycle stage, or CRM fields, so each message goes to the people it was written for.
Cascadia Web Services logo

Signup Forms & Landing Pages

We build and embed signup forms on your website, set up hosted landing pages where you need them, and connect the fields to the segments they feed. Growth stops being accidental once the form asks for the data your segments depend on.
Cascadia Web Services logo

Consent & Unsubscribe Handling

We configure double opt-in where it applies, keep unsubscribe links working, and set up preference options so people can take less email instead of leaving entirely. Consent records stay clean, which matters when someone asks how an address got on your list.
Cascadia Web Services logo

Workflow & Journey Building

We build the automated sequences in Zoho Campaigns: welcome series, re-engagement, post-purchase follow-up, and abandoned interest. Each one gets entry rules, exit rules, and timing that reflect how your buyers behave rather than a template someone copied from a blog post.
Cascadia Web Services logo

Autoresponder Series Setup

A new subscriber is at their most interested on day one. We set up autoresponder series that use that window, with the sequencing, gaps, and content built around what you want the reader to do rather than around how many emails you happen to have.
Cascadia Web Services logo

CRM-Triggered Campaigns

Marketing email works better when the CRM drives it. We configure triggers from Zoho CRM so a stage change, a closed deal, or a stalled lead can start or stop a campaign automatically, which keeps sales and marketing from talking over each other.
Cascadia Web Services logo

Domain Authentication Setup

We set up SPF, DKIM, and DMARC records for your sending domain and verify them properly. Without these, Gmail and Microsoft increasingly reject bulk mail outright, and no amount of good copy gets you past a failed authentication check.
Cascadia Web Services logo

Bounce & Complaint Monitoring

We watch hard bounces, soft bounces, and spam complaints after every send, then act on what they show. Rising complaint rates get traced back to the segment or the acquisition source that caused them, before your sending reputation takes the damage.
Cascadia Web Services logo

Sender Reputation & Warmup

New domains and dormant lists both need volume built gradually. We manage the ramp, keep sending patterns steady, and monitor placement so your mail lands in the inbox rather than the promotions tab or the spam folder.
Cascadia Web Services logo

Zoho CRM Sync Setup

We connect Campaigns to Zoho CRM with two-way sync, so contacts, leads, and custom fields stay aligned and email engagement shows up against the record. Your sales team then sees what marketing sent before they pick up the phone.
Cascadia Web Services logo

Ecommerce & Form Connections

We connect the systems that already collect your customers, including Zoho Commerce, Shopify, and your website forms, so new contacts flow into the right list with the right tags. Manual CSV uploads stop being part of anyone's week.
Cascadia Web Services logo

API & Custom Deluge Development

When the built-in connectors run out, we build with the Zoho Campaigns API and Deluge. That covers contacts pushed from a system Zoho does not support, custom sync logic, or campaign data pulled somewhere your reporting actually lives.
Cascadia Web Services logo

Reporting & Performance Reviews

We review opens, clicks, unsubscribes, and revenue attribution periodically and tell you what the numbers mean. Sometimes the fix is the subject line, sometimes the segment, and sometimes you are sending to people who were never going to buy.
Cascadia Web Services logo

User, Plan & Credit Advisory

Zoho Campaigns bills by contact count and email credits, and the tiers cap automation and users. We track your usage against your plan and flag a change before a limit blocks a send you needed out that week.

Monthly Subscription Support

Your subscription covers ongoing management of up to 25,000 contacts and 6 campaigns per month, plus list hygiene, automation upkeep, deliverability monitoring, and configuration changes as you need them. Larger builds and migrations run as separate scoped projects.

Answers to common managed Zoho Campaigns questions

Frequently asked questions
What is managed Zoho Campaigns?
Managed Zoho Campaigns is an ongoing subscription where we run your Zoho Campaigns environment for you. That covers building and sending campaigns, keeping lists clean and segmented, building automation journeys, protecting deliverability, and keeping the Zoho CRM connection honest. Instead of hiring someone every time a send needs building or open rates drop, you have a team already inside your account handling it month to month.
What is included in the monthly plan?
The plan covers management of up to 25,000 contacts and 6 campaigns per month. Within that, we handle campaign builds, template work, list imports and hygiene, segmentation, automation journeys, deliverability monitoring, CRM integration upkeep, and reporting reviews. Larger pieces of work such as a migration from Mailchimp or a custom API build get scoped and quoted as separate projects, so your monthly cost stays predictable.
Do I still need my own Zoho Campaigns license?
Yes. You keep your own Zoho Campaigns subscription and own the account, the contacts, and everything built inside it. We work in your environment as an administrator. That matters if you ever change providers, because no templates, lists, or automations sit behind our accounts and there is no export to negotiate. We will also advise on which plan tier fits your contact count and email volume.
Do you write the email copy as well?
We build, schedule, and send the campaigns, and we will edit and lay out copy you provide. If you want the writing done for you as well, that is our Managed Content service rather than this one. Plenty of clients run both together. Keeping them separate means you are not paying for writing you already have covered in house.
How many emails can I send each month?
That depends on your Zoho Campaigns plan rather than ours. Zoho meters by contact count on subscription plans and by credits on pay as you go. Our plan covers building and sending 6 campaigns per month across up to 25,000 contacts. We watch your usage against your Zoho tier and tell you before a limit blocks a send you needed out that week.
Can Zoho Campaigns connect to Zoho CRM?
Yes, and it is usually the reason to choose Campaigns over a standalone tool. We set up two-way sync so contacts, leads, and custom fields stay aligned, and email engagement appears against the CRM record. From there you can trigger campaigns from a stage change or a closed deal, which stops sales and marketing sending contradictory messages to the same person.
What do you do about deliverability?
First we authenticate your sending domain with SPF, DKIM, and DMARC, because Gmail and Microsoft now reject a lot of bulk mail that fails those checks. Then we monitor bounces, complaints, and placement after every send. If complaints rise, we trace it back to the segment or the signup source that caused it rather than guessing at subject lines.
Can you clean up a list I already have?
Yes, and it is often the first thing worth doing. Old lists carry duplicates, typos, role addresses, and people who have not opened anything in three years. We deduplicate, normalize the fields, and remove the addresses that will only generate bounces. A smaller list that actually engages outperforms a large one that quietly damages your sender reputation.
What kind of automation can Zoho Campaigns run?
Welcome series, re-engagement sequences, post-purchase follow-up, birthday and renewal reminders, and multi-step journeys with branching based on how someone behaves. We build the entry rules, the exit rules, and the timing around your actual sales cycle. Automation set up badly sends people the wrong message at the wrong moment, which is worse than sending nothing.
How is this different from hiring a marketer hourly?
An hourly marketer suits a defined project with a start and an end. Email is not that. Lists decay, deliverability shifts, journeys need adjusting, and sends happen on a rhythm. Each of those becomes a small negotiation when you bill by the hour. A subscription removes the friction: monitoring is continuous, small changes do not need a quote, and we keep context between sends.
Can you migrate me from Mailchimp or another platform?
Yes. We move your lists, rebuild templates in the Zoho Campaigns editor, recreate automations, and re-authenticate your sending domain so deliverability does not fall off a cliff on the switch. Migrations run as a scoped project alongside the subscription rather than inside it, because the size varies enormously depending on how much automation you are carrying.
Do you work with Zoho Campaigns inside Zoho One?
Yes. Zoho Campaigns is included in Zoho One, and many of our clients reach it that way. The management work is the same either way. If you run several Zoho applications, our Zoho One bundle covers the whole ecosystem rather than one app at a time, which usually works out better once you are managing more than a couple of apps.
How long does onboarding take?
Most setups send their first managed campaign within three weeks. Week one covers access, a review of your current lists and templates, and domain authentication, which needs DNS changes and a little propagation time. Week two covers list cleanup, segments, and template builds. Week three is your first send. A migration from another platform takes longer, and we will say so up front.
Is there a contract or minimum term?
The subscription is monthly with no long-term commitment. You can cancel with notice, and because everything lives in your own Zoho account, you keep every template, list, segment, and automation we built. We would rather earn the renewal each month than rely on a contract to hold an unhappy client in place.
How do I get started?
Start with a consultation. We look at your current lists, what you send now, where your contacts come in, and whether your domain is authenticated, then confirm whether the standard plan covers it. From there we collect access, clean the lists, and build your templates and segments. If your requirements turn out to be bigger than the subscription, we will say so and quote the project.
