Managed Zoho Bigin Services for Pipelines Contacts Automations

Zoho Bigin gives a small team a real CRM without the weight of a big one. It still needs someone to shape the pipeline, get your contacts in cleanly, wire up the follow-ups, and keep the data worth trusting six months later. We handle that on a flat monthly plan: pipelines built around how you actually sell, migration done properly, automations that chase what people forget, and changes made when your process shifts.

A CRM your team will actually use

What makes our managed Zoho Bigin service different

Bigin is deliberately small, and that is the entire point of it. So the way it fails is not a missing feature. It is somebody adding twenty fields and six pipelines to make it feel like a proper CRM, and the team quietly giving up on filling any of them in. Keeping it small turns out to be harder than making it big.

Which means keeping the setup tight on purpose. The pipeline is modelled on how your deals really move rather than on a template. Email and calls are connected so activity records itself instead of relying on somebody to log it. Duplicates get cleared on a schedule, because the same lead under three spellings is how a small database stops being trusted. And when you genuinely outgrow it, moving up to full CRM is a migration we handle rather than a wall you hit.

Why teams hand this over

Managed Zoho Bigin vs setting it up yourself

Bigin is easy to sign up for, which is exactly why so many accounts end up half configured and half trusted. Getting real value out of it takes pipeline design, clean data, working automation, and someone maintaining all three. Here is how the two approaches compare across the things that tend to matter.

Getting the pipeline right

Default stages look reasonable until you try to work a real deal through them. We design the pipeline around your actual sales steps and change it whenever the process changes, rather than leaving your team to bend their work around a template.

Moving off spreadsheets

A do-it-yourself import usually lands duplicates, mismatched fields, and dates in the wrong format. We map the data first, deduplicate before it goes in, and reconcile the result against your source, so the first week in the CRM is not spent repairing it.

Inheriting a CRM someone abandoned

Most providers quote a rebuild because it is easier than reading someone else's work. We audit what exists, find the broken workflows and the fields nobody fills in, and tell you honestly which parts are worth repairing and which should be rebuilt clean.

Getting the team to use it

Software nobody opens is just a bill. We set up the mobile app, cut the fields down to what people will really fill in, and keep adjusting until updating a deal is faster than sending somebody a message about it.

Growing into the rest of Zoho

A one-app contractor has no reason to look at what else you run. We manage the wider Zoho ecosystem, so when your pipeline problem is really a Books or Desk problem, we say so, and we will tell you when the Zoho One bundle costs less than adding apps one at a time.

What it costs next month

Hourly work makes every busy month an unpleasant invoice, which quietly discourages you from asking for things. A flat monthly rate makes the cost predictable and puts the incentive on us to keep your setup stable rather than to accumulate billable hours.

Built for small teams that sell

Who our managed Zoho Bigin service fits best

Bigin fits businesses that need a real pipeline without a six-week implementation. If your deals live in a spreadsheet, a shared inbox, or somebody's head, and a full CRM platform feels like more than you want to run, this is usually the right size.

How we work with you

How our managed Zoho Bigin service works

Whether you are starting from an empty account or inheriting one somebody else abandoned, the sequence is the same. We work out how you sell, get your data in clean, then build the automation and keep it current. Your team is working real deals in Bigin within weeks rather than at the end of a quarter.

1

We map how you actually sell

We start with a consultation about how deals move through your business, where they stall, and who touches them along the way. Then we look at the data you are carrying and what it will take to get it in. If your process has a gap nobody has named yet, this is where it surfaces, rather than three months into using the thing.

2

We migrate and structure your data

We map your spreadsheet or your old CRM into Bigin, deduplicate before the import rather than after, and check the result against your source. Then we build the pipeline stages, custom fields, and record layouts around the way you work. Data that goes in messy stays messy, and it is the fastest way to lose a team's confidence in a new system.

3

We automate it and keep it current

We build the workflows, email templates, web forms, and integrations, then roll the whole thing out to your team on desktop and on mobile. From there it stays managed. Automations get adjusted as the process shifts, data gets cleaned, new users get set up, and reporting gets updated as your questions change.

Everything we manage

Complete managed Zoho Bigin coverage

Cascadia Web Services logo

Pipeline Design & Setup

Default stages rarely match how a real business sells. We build your pipeline around the steps your team actually works through, name them in your own language, and set the fields each stage needs, so updating a deal takes seconds instead of guesswork.
Cascadia Web Services logo

Team Pipelines Beyond Sales

Bigin can track more than deals. We set up Team Pipelines for onboarding, delivery, renewals, or support handoffs, so the work that happens after a sale stops living in someone's inbox and starts showing up where the rest of the team can see it.
Cascadia Web Services logo

Stage Hygiene & Deal Reviews

Pipelines rot quietly. Deals sit in a stage nobody has touched in months and the forecast starts lying. We review stale records, flag what needs closing or reviving, and keep stage rules tight enough that the pipeline still reflects reality.
Cascadia Web Services logo

Forecasting & Pipeline Reporting

We build the dashboards and reports that answer what is closing, what is stuck, and who is carrying the number. Reports go out on a schedule to the people who will never open the CRM themselves, so nobody has to chase an update.
Cascadia Web Services logo

Data Migration & Import

Getting the data in is where most CRM rollouts stall. We map your existing spreadsheet, Zoho CRM, HubSpot, or Pipedrive records into Bigin, match the fields properly, and check the import against the source before your team starts working from it.
Cascadia Web Services logo

Duplicate Cleanup & Data Quality

Three records for the same company is how a team stops trusting the CRM. We deduplicate contacts and companies, standardize how names and fields get entered, and run periodic cleanups so the mess does not build back up.
Cascadia Web Services logo

Contact & Company Field Structure

Every business tracks something the default layout does not have. We add the custom fields you need, retire the ones nobody fills in, and lay out the record so the information people actually use is visible without scrolling.
Cascadia Web Services logo

Product Catalog & Quote Setup

If you sell defined products or services, we load them into Bigin with pricing, attach them to deals, and connect quoting through Zoho Books where it fits, so deal values come from the catalog rather than from memory.
Cascadia Web Services logo

Workflow Automation

The follow-up that never happens is usually the deal you lose. We build workflows that assign owners, move deals, send email, and create tasks when a trigger fires, so the routine chasing runs whether anyone remembers it or not.
Cascadia Web Services logo

Email Templates & Sequences

We set up the templates your team sends constantly and the sequences that keep a lead warm without daily effort. Everything stays attached to the deal record, so the whole thread is visible to whoever picks the account up next.
Cascadia Web Services logo

Web Forms & Lead Capture

A lead that arrives by email gets lost. We build web forms on your site that drop straight into the right pipeline with the right owner and stage, and we test them regularly so nothing quietly stops delivering.
Cascadia Web Services logo

Signals, Tasks & Reminders

Bigin can tell you when someone opens an email, replies, or goes quiet. We configure signals, task automation, and reminders so your team gets nudged at the moment it matters instead of scrolling a list hoping to spot something.
Cascadia Web Services logo

Zoho Ecosystem Connections

Bigin gets more useful once it talks to the rest of your stack. We connect Zoho Books, Desk, Campaigns, Flow, and Analytics so invoices, tickets, marketing, and reporting all line up against the same customer record.
Cascadia Web Services logo

Telephony, Email & Messaging

We connect your phone system, mailboxes, and messaging channels including WhatsApp, so calls and conversations log themselves against the right contact. Nobody has to write up what was said afterward, which is the step everyone skips.
Cascadia Web Services logo

Outside Tools & API Work

Not everything you run is a Zoho product. We connect Bigin to outside tools through built-in integrations, Zoho Flow, or the API when a job needs custom logic, so your CRM is not an island your team updates twice.
Cascadia Web Services logo

User, Role & Permission Management

We manage users, roles, and record sharing so people reach their own accounts and their team's work without opening the whole database. Adding or removing someone is a request to us, not a project you have to plan around.
Cascadia Web Services logo

Mobile Rollout & Team Adoption

A CRM only works if the people in the field use it. We set up the mobile app, show your team the few actions they need, and adjust the configuration when it turns out real usage does not match the plan.
Cascadia Web Services logo

Plan & Tier Advisory

Bigin has Free, Express, Premier, and Bigin 360 tiers, and the right one depends on pipelines, users, and automation limits. We watch what you actually use and tell you when moving up, or moving to Zoho CRM, is the honest answer.
Cascadia Web Services logo

Monthly Subscription Support

Your subscription covers ongoing management of up to 10 users and 5 pipelines, including workflow changes, data cleanup, integration upkeep, reporting updates, and small builds as you need them. Large migrations and custom development run as separate scoped projects.

Zoho Bigin Consultation

Before you rebuild a pipeline, it helps to talk through what is actually going wrong. We review how your team sells, where deals stall, and whether the fix is configuration, automation, or a process change nobody has made yet.

Answers to common managed Zoho Bigin questions

Frequently asked questions
What is managed Zoho Bigin?
Managed Zoho Bigin is an ongoing subscription where we run your Bigin CRM for you. That covers pipeline setup and upkeep, data migration and cleanup, workflow automation, integrations with the rest of your stack, user administration, and reporting. Instead of paying a consultant every time your process changes or the data gets messy, you have a team already inside your account handling it month to month.
What is included in the monthly plan?
The plan covers management of up to 10 users and 5 pipelines. Within that we handle pipeline and field changes, workflow and email automation, duplicate cleanup, integration upkeep, user and permission administration, reporting, and consultation on how you sell. Larger pieces of work such as a full migration from another CRM or custom API development are scoped and quoted as separate projects.
Do I still need my own Zoho Bigin license?
Yes. You keep your own Bigin subscription and own the account, the data, and everything built inside it. We work in your environment as an administrator. That matters if you ever change providers, because nothing is locked behind our accounts and there is no export to negotiate. We will also tell you which tier fits your user count and automation needs.
How is Bigin different from Zoho CRM?
Bigin is the smaller, pipeline-first product. It is faster to set up, cheaper per user, and deliberately limited: fewer modules, fewer customization layers, and simpler automation. Zoho CRM is the full platform for larger teams with complicated processes. Most small sales teams are better served by Bigin, and we will say plainly when your requirements have grown past it.
Can you migrate our data from spreadsheets or another CRM?
Yes, and it is usually the first job. We map your existing records from a spreadsheet, Zoho CRM, HubSpot, Pipedrive, or similar, match the fields properly, deduplicate before the import rather than after, and reconcile the result against your source. A standard migration is part of onboarding. A very large or badly structured dataset gets quoted as a project.
Will you build our pipeline stages for us?
Yes. We start from how your team actually sells rather than from Bigin's defaults, then name the stages in your own language and set the fields each one requires. If the process changes later, adjusting it is a request to us rather than a rebuild you have to plan around and pay for separately.
Can Bigin track work that is not sales?
Yes, through Team Pipelines. Onboarding, delivery, renewals, and support handoffs all fit the same stage-based structure, and they are usually the processes currently living in somebody's inbox. We set those up alongside your sales pipeline so the whole customer journey sits in one place instead of two systems and a spreadsheet.
What automations can you set up?
Workflow rules that assign owners, move deals, send email, and create tasks when something happens. Email templates and sequences for the messages your team sends constantly. Web forms that drop leads into the right pipeline. Signals and reminders so follow-ups happen on time. The limits depend on your Bigin tier, and we will tell you where yours sits.
Which other systems can you connect?
Bigin connects natively to Zoho Books, Desk, Campaigns, Analytics, and Flow, plus telephony providers, mailboxes, WhatsApp, and common outside tools. Anything without a prebuilt connector can usually be wired up through Zoho Flow or the API. If a connection turns out not to be worth the effort, we will say so rather than build it anyway.
Do you work with Bigin inside Zoho One?
Zoho One does not include Bigin. It bundles Zoho CRM instead, which is the larger product. Plenty of teams still run Bigin next to other Zoho apps, and we manage it either way. If you already pay for Zoho One, we will look at whether Zoho CRM covers what you need, and our Zoho One plan manages the whole ecosystem rather than one app at a time.
How long does onboarding take?
Most setups are running within two to three weeks. The first week covers access, a review of how you sell, and pipeline design. The second covers migration and cleanup. The third covers automation, integrations, and getting the team using it. A large migration or a messy source system takes longer, and we will tell you that up front.
Do you train our team?
We include practical guidance as part of the service: showing people the handful of actions they need daily, how to work the mobile app, and how to update a deal without thinking about it. That covers most teams. Formal training for a larger group, or admin training so you can make changes yourself, runs as a scoped session.
Is there a contract or minimum term?
The subscription is monthly with no long-term commitment. You can cancel with notice, and because everything lives in your own Zoho account, you keep every pipeline, workflow, form, and record we built. We would rather earn the renewal each month than rely on a contract to hold an unhappy client in place.
Can you fix a Bigin setup someone else built?
Yes, and it is a common starting point. We audit what exists, then find the duplicate records, the workflows firing on the wrong trigger, the fields nobody fills in, and the stages that stopped matching the process. Sometimes the answer is repair and sometimes a clean rebuild is faster. We will tell you which, with reasoning, first.
How do I get started?
Start with a consultation. We look at how your team sells today, where deals go quiet, what data you are carrying, and what else you run. From there we confirm whether the standard plan covers it, collect access, and begin with pipeline design and migration. If your needs turn out bigger than the subscription, we will quote the project rather than overpromise.
