Managed Zoho Invoice Services for Estimates Payments Reminders

Invoicing is the last step of the work and the first thing that slips. Managed Zoho Invoice puts the templates, the recurring schedules, the payment gateways, and the follow up in one place we run for you. We build the invoices, connect them to CRM and your accounting, chase what is late, and make sure the money you have already earned actually arrives.

Invoices that go out and get paid

What makes our managed Zoho Invoice service different

Sending an invoice takes two minutes. Making sure the right amount reaches the right client on the right day, that the payment lands where your accountant can see it, and that nobody has to make an awkward call about a balance from March, that is the part businesses lose money on. We run billing as a system rather than a monthly chore. Here is the ongoing work behind it.

Late payment is usually a process problem rather than a customer problem. An invoice arriving without a purchase order number sits in somebody's queue untouched. A reminder schedule that starts thirty days after the due date teaches people that thirty days is acceptable. A missing payment link adds friction at the exact moment somebody was willing to pay. So invoices carry what your client's finance team needs to process them, reminders start early and escalate on a schedule, paying takes one click, and what arrived is reconciled against what was billed.

Why billing costs more than it looks

Managed Zoho Invoice vs running your own billing

Anybody can send an invoice. Keeping a whole book of clients billed accurately, chased politely, reconciled against payments, and reported on while the business keeps changing is a different job entirely, and it is usually the one pushed to the end of the week. Here is how the two approaches compare.

Getting billing changed

In house, a new template, a tax rate, or a rate change waits on whoever set it up, and they are usually busy with something else. Under a subscription you send the request and it is done the same day, tested, with the CRM mapping updated to match.

Syncs that quietly break

A field renamed in CRM can stop invoices creating without producing a single error message. We check the connections rather than waiting for somebody to notice the billing stopped, which is usually a month and a closed quarter later.

Balances nobody followed up

Invoices from two quarters ago sit unpaid because the person who sent them left and nobody inherited the list. We run the aging report, chase what is chaseable, and make sure a client never gets quietly forgiven for forgetting.

Knowing what you are owed

Without a current receivables view, cash flow planning turns into a guess and a bank balance. We keep the aging and collections reports accurate and scheduled, so the number reaches your inbox instead of waiting for somebody to go and work it out.

Growing into the rest of Zoho

A billing tool on its own has no reason to care what happens either side of the invoice. We manage the wider Zoho environment, so when a billing problem is really a CRM or Books problem we say so, and we flag when Zoho One costs less than adding apps one at a time.

What it costs next month

Hourly help makes every small billing change feel expensive, so people stop asking and start working around it in spreadsheets. A flat monthly rate makes the cost predictable and puts the incentive on us to keep your billing running rather than billable.

Built for businesses that live on receivables

Who our managed Zoho Invoice service fits best

Invoicing stops being a five minute task once you have recurring clients, several currencies, billable hours to reconcile, or a receivables list long enough that somebody has to own it. If nobody can say today what you are owed and by whom, this is usually the fix.

How we work with you

How our managed Zoho Invoice service works

Whether you are billing twenty clients from a template or untangling a setup that three people have touched, the sequence is the same. We find out how you bill today, rebuild it properly, then run it. Most clients are fully migrated within a few weeks and stop thinking about invoicing after that.

1

We map how you bill today

We start by learning how money actually moves through your business: what you charge, how often, who gets billed, what your terms say, and where each of those things currently lives. We also pull the list of what is outstanding, which is usually longer than anybody expects and is where the fastest wins are hiding.

2

We build and connect

We build your templates, recurring schedules, tax and currency setup, payment gateways, and reminder sequences, then wire Invoice into CRM and whatever handles your accounting. We run the old process alongside until the first cycle is proven, so no client gets billed twice and nobody gets missed.

3

We run it and chase what is late

From there you send us changes and we make them, usually the same day. We watch the integrations, keep the reminder sequences working, review the aging report with you, and flag the accounts drifting toward write off while there is still time to do something about them.

Invoice Templates & Branding

Your invoices carry your logo, your colors, your payment terms, and the wording you actually use with clients. We build the templates in Zoho Invoice, set the default terms and notes, and remove the Zoho branding so what lands in a customer inbox looks like it came from your company.
Cascadia Web Services logo

Estimates & Quote Conversion

Quotes go out on your template with the right line items and expiry dates, and clients accept or decline online instead of through an email thread. Accepted estimates convert to invoices in one step, so nothing gets retyped and nothing quoted at one price gets billed at another.
Cascadia Web Services logo

Recurring Invoices & Subscriptions

Retainers, maintenance plans, and monthly agreements bill themselves. We set the schedule, the amounts, the auto charge rules, and the end dates, then watch the first few cycles to confirm the right clients are billed the right amount on the right day without anyone remembering to do it.
Cascadia Web Services logo

Multi-Currency & Tax Configuration

If you bill across state lines or across borders, the setup matters more than the invoice. We configure your tax rates and rules, set up the currencies you sell in with exchange rate handling, and confirm the totals and the reports come out right before anything reaches a client.
Cascadia Web Services logo

Payment Gateway Setup

Clients pay from the invoice instead of looking up your bank details. We connect Stripe, PayPal, Authorize.net, Square, or whichever gateway fits your rates, test the full path from send through to receipt, and set the surcharge and partial payment rules you want to allow.
Cascadia Web Services logo

Automated Payment Reminders

Late invoices get chased whether or not anyone feels like having that conversation. We build the reminder schedule before and after the due date, write the wording so it stays polite and firm, and set escalation for the accounts that go far enough past due to need a person.
Cascadia Web Services logo

Customer Portal Setup

Your clients get their own login to view invoices, download statements, pay outstanding balances, and approve estimates. That cuts the emails asking for a copy of last March's invoice, and it gives you a record of what each client has actually seen and when they saw it.
Cascadia Web Services logo

Retainer Invoices & Deposits

Work that needs money up front gets billed that way. We set up retainer invoices, deposit requests, and advance payments, then configure how those credits apply against later invoices so the balances stay correct without a spreadsheet running alongside to keep track.
Cascadia Web Services logo

Time Tracking & Timesheets

Billable hours reach the invoice instead of getting reconstructed from memory at month end. We set up your projects, tasks, and billing rates, configure timers and timesheet approval, and connect the logged hours so they arrive on the invoice as line items your client can actually read.
Cascadia Web Services logo

Project & Task Billing

Fixed fee, hourly by project, hourly by task, or by staff rate, each project bills the way you agreed to bill it. We configure the method per project, set budgets and alerts, and make sure what gets invoiced matches the contract rather than whatever the default happened to be.
Cascadia Web Services logo

Expense Capture & Rebilling

Receipts get photographed, categorized, and attached to the right project, then billed on with or without markup as you choose. Mileage, subcontractor costs, and reimbursables stop leaking, which for most service businesses recovers more in a year than this service costs.
Cascadia Web Services logo

Zoho CRM Connection

Deals that close in CRM become estimates and invoices without anyone retyping the customer, the contact, or the line items. We map the fields, set what triggers what, and check that payment status flows back so your sales team can see who has paid without asking accounting.
Cascadia Web Services logo

Zoho Suite Connections

Invoice connects to the rest of what you run, including Projects, Desk, Expense, Campaigns, and Analytics. We build and test each connection you need, then keep them working when Zoho changes something or when somebody renames a field on the other side of the link.
Cascadia Web Services logo

Books & Accounting Handoff

Invoice is not a general ledger, so the numbers have to reach one. We set up the handoff to Zoho Books or to your accountant's system, agree the format with whoever does your bookkeeping, and keep the export running so reconciliation stops being a monthly argument.
Cascadia Web Services logo

API, Zapier & Outside Tools

Not everything you run is Zoho. We connect Invoice to the tools that matter through Zapier, webhooks, or the API, including your website, your scheduling software, and your payment processors, and we monitor those connections so a silent failure does not go unnoticed for weeks.
Cascadia Web Services logo

Receivables & Aging Reports

You get a straight answer on who owes you what and for how long. We build the aging, receivables, and collections reports, schedule them to land in your inbox on the day you want them, and flag the accounts drifting toward write off while there is still time.
Cascadia Web Services logo

Client & Revenue Reporting

Reports that show which clients are worth the effort, which services carry the margin, and how this quarter compares against the last one. We build the views you ask for, keep them current as your service mix changes, and send them to the people who make decisions on them.
Cascadia Web Services logo

Data Migration & Cleanup

Moving from QuickBooks, FreshBooks, Wave, or a folder of spreadsheets, we bring your customers, items, open invoices, and history across. Duplicates get merged, dead contacts get retired, and opening balances get checked against your existing books before you bill anyone from the new system.
Cascadia Web Services logo

Plan & License Advisory

We tell you which Zoho Invoice plan your volume actually justifies, when the free tier is genuinely enough, and when moving to Zoho One would cost less than the apps you already pay for one at a time. That advice is part of the service, not the opening of a sales call.
Cascadia Web Services logo

Monthly Subscription Support

Your subscription covers ongoing management at a flat rate, including template changes, new recurring schedules, gateway adjustments, integration fixes, and reporting as your business shifts. Large one time migrations and heavily custom builds get scoped separately, so your monthly cost stays predictable.

Answers to common managed Zoho Invoice questions

Frequently asked questions
What is managed Zoho Invoice?
Managed Zoho Invoice is a monthly service where we run the invoicing side of your business inside your own Zoho account. We build the templates, set up recurring billing and payment gateways, connect Invoice to CRM and the rest of your systems, chase late payments with automated reminders, and handle the changes you ask for. You send the work out and get paid. We keep the machinery behind that running.
Zoho Invoice is free, so why pay to have it managed?
You are not paying for the software. You are paying for invoices that go out on the day they should, payments that reconcile, reminders that chase late payers without you having that conversation, and integrations that keep working when something upstream changes. Most businesses that struggle to get paid on time do not have a software problem. They have a nobody owns this problem, and that is the part we take on.
What is included in the monthly plan?
Everything on this page: template and branding setup, estimates, recurring invoices, payment gateway configuration, reminder schedules, the client portal, time and expense billing, CRM and suite integrations, receivables reporting, and ongoing changes as your business shifts. Your Zoho license is billed by Zoho directly and is not marked up. Large one time migrations are scoped separately so the monthly rate stays flat and predictable.
How much does managed Zoho Invoice cost?
It is $300 per month per organization on a flat subscription, with no hourly billing for routine work. That covers ongoing management, changes, and support across your invoicing setup. If you run several Zoho apps, the Zoho One bundle at $2,000 per month covers every app under one plan and usually works out cheaper than four individual app subscriptions stacked on top of each other.
What are the Zoho Invoice free plan limits?
Zoho publishes those limits and revises them from time to time, historically capping the number of invoices per year and the number of users. We check the current limits against your actual volume during setup and tell you plainly whether the free tier covers you, whether a paid plan makes sense, or whether Zoho One works out better. We would rather you spend correctly than oversubscribe.
Should we use Zoho Invoice or Zoho Books?
Invoice handles invoicing, estimates, payments, time tracking, and expenses. Books adds full accounting on top: bank reconciliation, a chart of accounts, bills, and financial statements. If your bookkeeper works in QuickBooks or Xero and you just need billing to run cleanly, Invoice is the right fit. If you want your accounting in Zoho too, Books is the better home. We will tell you which your situation calls for.
Can you connect Zoho Invoice to Zoho CRM?
Yes, and it is one of the first things we set up. Closed deals become estimates or invoices without anyone retyping the customer, the contact, or the line items, and payment status flows back into CRM so your sales team can see who has paid without asking accounting. We map the fields, set the triggers, and test both directions before it goes live.
Which payment gateways can you set up?
Zoho Invoice supports a wide set including Stripe, PayPal, Authorize.net, Square, and Braintree, with regional options depending on where you bill. We help you compare processing rates rather than defaulting to whichever is quickest to connect, set up the one you choose, and test the full path from invoice send through payment to receipt before a client ever sees it.
Can you send automatic payment reminders?
Yes. We build a reminder schedule that runs before the due date and at set intervals after it, with wording that stays professional and gets progressively firmer. Accounts that pass a threshold you set get flagged for a person instead of another automated email. Most clients see the average time to get paid drop noticeably within the first two billing cycles.
Can Zoho Invoice handle recurring billing?
Yes. Retainers, maintenance agreements, and subscription work bill on a schedule you set, with automatic card charging where the client has authorized it. We configure the amounts, the frequency, the start and end dates, and what happens when a card fails, then watch the first few cycles to confirm the right clients are billed correctly before stepping back.
Can you move our invoices from QuickBooks or FreshBooks?
Yes. We migrate customers, items, open invoices, and history from QuickBooks, FreshBooks, Wave, Harvest, or spreadsheets. Duplicates get merged, inactive contacts get retired, and opening balances get checked against your existing records before you bill anyone from Zoho. Larger migrations are scoped separately from the monthly subscription, so you know that cost up front rather than after the fact.
Does Zoho Invoice handle multiple currencies and taxes?
Yes. We configure the currencies you bill in with exchange rate handling, and set up your tax rates and rules for the jurisdictions you sell into. Then we test the totals and the reports before anything reaches a client, because a tax setup that looks correct on an invoice and wrong in a report causes problems months later at exactly the wrong time.
Can Zoho Invoice connect to tools outside Zoho?
Yes. We connect Invoice to what you already run through Zapier, webhooks, or the API, including your website, scheduling software, project tools, and payment processors. We also monitor those connections, because an integration that breaks quietly is the kind of thing people discover a month and several unbilled jobs later, when the fix costs a lot more than the check would have.
Do we need Zoho One, or is Zoho Invoice enough?
If invoicing is the only thing you run in Zoho, the standalone plan is enough and we will say so. Once you are paying for three or four apps separately, Zoho One usually costs less and gets managed as one environment rather than several disconnected ones. We look at what you actually use and recommend the cheaper path, even when that is the smaller plan.
Who owns the account and the invoice data?
You do. Everything lives inside your own Zoho subscription under your company name, and we work inside it as a managed provider. Your invoices, customers, payment records, and history belong to you. If you ever decide to move on, you keep the account and the data, and we hand over cleanly. Nothing sits behind a Cascadia login that you cannot reach yourself.
