Closed Accounts

Part of the MountDev Ops Workspace documentation. Updated October 21, 2026

MountDev Ops Workspace documentation | Updated October 21, 2026

When your account with your provider is closed, you can still sign in and see everything, read only, for years after: your invoices, receipts, reports, agreements, files, past requests, and website history. New requests, chats, and changes are closed.

Our Commitment

MountDev Ops is built security first. Your business data belongs to you, and you can export all of it at any time. We never use analytics or tracking of any kind inside MountDev Ops.

Every update passes all 2,003 automated checks before it ships, plus screen tests on 9 screen sizes for everything it changes.

When an Account Is Closed

An account is closed once its cancellation has ended: the provider canceled every service on it (Cancel Account), service ended, and the account's status became Former. Until then, everything works as usual.

Each time you sign in, your workspace learns whether your account is closed, and it checks again whenever your Managed Services pages load. If a cancellation is withdrawn, or you return as a client, your workspace opens again on its own.

What You Still Can Do

Account Status: Closed sits at the top right of every page (Closed on phones). Select it to see when your account closed, until when you can sign in, until when you can download the final backups of your websites, and how to reach your provider. Until then, you can:

  • See and download your invoices, receipts, and payments. An invoice with a balance can still be paid on its own page.
  • Read your reports, agreements, and your account history, and download your files.
  • Read your past requests and their conversations.
  • See your websites and their history. Each service shows Ended in grey, with the day your account closed, never as active.
  • Download the final backups of your websites from Agreements, Account History, until the date Account Status names. While your account has an open balance, late charges included, the final backups stay locked and say so; they unlock once it is paid.
  • Export your data, change your own settings, add or remove a passkey, and take access away from someone (Remove Access, or revoke an AI agent, a drive key, or an API key).

What Is Closed

Nothing that creates work or a charge is offered, and your workspace refuses it if it is asked anyway:

  • New requests, replies to requests, and Support's live chat. Support shows your provider's email address instead.
  • Add a Service, Add a Website, and setting up Site Email.
  • Accepting a proposal or asking for a new one.
  • Inviting people or changing what they can do.
  • Changes to your workspace's records and settings.

You can always email your provider. Every email you send still reaches their team, and it is kept for the record.

How Long a Closed Account Keeps What

Your provider sets this once for all of its clients, in CRM Settings, Cancellations, Closed Account Access (Cancel Account). It starts at:

  • Sign-in and read-only access: 7 years after service ends, since billing and tax records are kept at least 7 years.
  • Meeting recordings and transcripts: 6 years after service ends. After that, they no longer open; they are not deleted.
  • Final website backups: 180 days after service ends, the backup retention. After that, each one still shows in your account history with the day it was available until.

A longer period set later reaches every closed account; a shorter one never cuts short the date a client was already given.

When sign-in and read-only access ends, signing in is refused with a short message and your provider's email address, so you can still ask for a copy of your records.

Email from a Closed Account

Email from someone whose account is closed lands in Helpdesk like any other email, as a new ticket in the Inbox marked Closed account. It is never closed, filed as spam, or refused because the account is closed. No automatic receipt goes out, since a receipt would promise work; someone on the team answers it if an answer is needed. A ticket is marked when the sender's account says it is closed, or when the sender is a contact of a CRM company whose status is Former.

People Who Left a Company That Is Still a Client

A person marked Former on a company that is still active cannot sign in, as before. Closed account access is for the people of a closed account only.

AI Agents and API Keys

AI agents and API keys follow the same rules: on a closed account they can read, and every action that would change something is refused.
