Domain Management Services for Renewals Transfers Portfolios

Losing a domain is one of the few website problems you cannot undo quickly. Our domain management services buy your names, hold them on Cloudflare at registry cost, and take the renewal calendar off your desk. Transfers in are free, and we handle the unlock codes and the waiting. You keep ownership, you see what each domain actually costs, and an expired card never puts your name back on the open market.

Cascadia engineer writing WordPress code across dual monitors.

Domains that never quietly lapse

What makes our domain management different

Most domains sit at a registrar nobody checks until something breaks. A card expires, a notification goes to someone who left, and a name you built a business on drops. We treat the registrar as infrastructure worth watching. Your domains live on Cloudflare at cost, renewals are ours to track, and every change goes through a team that knows which name points where.

Why teams move off self-serve registrars

Managed domain management vs a self-serve registrar account

A retail registrar account works right up until the person who set it up leaves, or the card on file expires during a holiday. The difference is not the domain, it is who is responsible for it. Here is how a managed arrangement compares to the self-serve account most businesses already have.

Who watches the renewal date

We track every expiry and confirm the charge cleared. A self-serve account leaves it to auto-renew and an email alert, which fails silently when the card on file is dead.

What the renewal actually costs

You pay the registry fee with no markup, itemized on your invoice. Retail registrars advertise a cheap first year and renew at three or four times that, which you find out about twelve months later.

Who holds the account credentials

A managed account has two-factor authentication and a team that can act on it. A shared login in a password manager, or worse a former employee's email address, is how domains get lost.

Getting a change made

Ask us and it gets done, including the changes that need registrar side action. Self-serve means learning a control panel you touch twice a year and hoping you picked the right field.

Moving domains in or out

Transfers in are free and we run them for you. Transfers out are released on request. Retail registrars bury the unlock behind support tickets and sometimes charge for the privilege of leaving.

What happens when it lapses

We catch a failed payment inside the grace period. On your own, a lapsed domain enters redemption, where recovery runs well over a hundred dollars if the name is still available at all.

Who this fits

Who our domain management services fit best

Domain management earns its keep when a name matters more than its price, or when there are enough names that tracking dates by memory stops working. If your domains are spread across registrars, or you inherited an account nobody ever documented, this is the cleanup.

How the handover works

How our domain management process works

Bringing domains to us is mostly waiting, and most of the waiting is ours. You tell us what you own, we do the registrar paperwork, and then you stop thinking about it. Nothing about your site or your email changes during the move unless you ask us to change it.

1

We inventory what you actually own

Most businesses are not sure how many domains they have or where they sit. We look up each name, find the current registrar, note the expiry date, and hand you the list. Sometimes that list turns up a domain nobody remembered paying for, and sometimes it turns up one that expires next month.

2

We transfer and lock each name

We request the authorization code, unlock the domain at the old registrar, and start the transfer. The registry enforces a five day window on most transfers, so this is the slow part and there is no way to shorten it. Your existing DNS records are copied across first, so the site and email keep working throughout the move.

3

We renew, watch, and stay reachable

Once a name is with us it renews on schedule against a payment method we maintain, not a card that expires. You get the registry cost and the management fee itemized separately on your invoice. When you need a record changed or a new domain registered, you ask and we handle it.

Confirmed Renewal Payments

Auto-renew failing silently is the usual way a domain gets lost. We hold the payment method and verify each renewal actually cleared, rather than assuming it did.

Advance Expiry Warnings

When a renewal needs a decision from you, such as a domain you may no longer want, we raise it well before the deadline. Nothing lapses because a message arrived too late to act on.

Grace Period Recovery

If a payment does fail, we catch it inside the registry grace window and fix it. That keeps the name out of redemption, where recovery gets expensive and is not always possible.

Registrar Lock

Every domain we manage stays locked against unauthorized transfer. Moving a name requires deliberate action from our team, which closes the most common route a domain hijack takes.

DNSSEC Enabled

DNSSEC is switched on wherever the registry supports it, at no extra cost. Visitors resolving your domain can verify they reached your records and not a spoofed answer injected along the way.

Free WHOIS Privacy

Your name, address, and phone number stay out of the public WHOIS record. Most registrars charge yearly for this. Here it is included by default on every eligible domain.

Two-Factor Account Access

The account holding your domains is protected by two-factor authentication and limited to our team. There is no shared password sitting in a document or tied to a former employee's inbox.

Consolidated Invoicing

Domains spread across several registrars and personal cards become one line on the invoice you already receive. Management fee and registry cost are itemized separately so the numbers are auditable.

Answers to common domain management questions

Frequently asked questions
What are domain management services?
Domain management services take responsibility for the domains your business depends on. That covers registering new names, tracking every expiry date, paying renewals on time, running transfers between registrars, and keeping the account that holds them secure. The point is not the domain itself, which is cheap. It is making sure nobody has to remember it, and that a lapsed card or a forgotten inbox never costs you a name you built a business on.
How long does a domain transfer take?
Most transfers take five to seven days. The registry enforces a five day window on generic domains like .com and .net, and that clock cannot be shortened by us or anyone else. Before it starts we need the domain unlocked and an authorization code from your current registrar, which we request on your behalf. Your existing DNS records are copied over first, so your site and email keep working the whole time.
Who owns the domain if you register it for me?
You do. Your business stays on the registrant record as the legal owner. We hold the account that manages the domain, which is what lets us handle renewals and changes, but that is an administrative role rather than an ownership one. If you ever want the domain moved to an account of your own, we unlock it and give you the authorization code.
What does a domain actually cost through your service?
Two numbers, shown separately on your invoice. The management fee is $1.00 per domain per month on the standard plan, or $2.50 on the Plus DNS plan. On top of that you pay whatever the registry charges for the name itself, passed through at cost. A .com currently runs a little over ten dollars a year at that wholesale rate. We add nothing to it.
Do you charge a fee to transfer domains in?
No. Bringing domains to us is free, however many you have. We request the authorization codes, clear the locks at your current registrar, and run each transfer through. Under registry rules a transfer also adds a year of registration to the domain, and you keep any time you had already paid for. The only cost is that added registration year at the registry rate.
What happens if I want to leave?
We unlock the domain and send you the authorization code, and you move it wherever you want. There is no exit fee, no notice period, and no waiting time beyond what the registry itself requires. Because the registrant record is already in your name, nothing about ownership needs renegotiating. We would rather you leave cleanly than feel stuck.
Why do you use Cloudflare as the registrar?
Cloudflare sells domains at the wholesale registry fee and adds no markup, which is unusual. Registration and renewal cost the same, so there is no cheap first year that quadruples later. It also includes WHOIS privacy, DNSSEC, and SSL at no charge, where most registrars bill separately for each. That combination means the price we quote you is close to the true cost of the name.
Can I keep my DNS with another provider?
Partly. Cloudflare Registrar requires domains registered there to use Cloudflare nameservers, so the apex of the domain resolves through Cloudflare. That is a platform requirement rather than a policy of ours. If you run DNS elsewhere, on DigitalOcean for example, we can delegate a subdomain to your nameservers so those records stay under your control. The apex itself cannot be pointed away.
What happens if a domain expires?
With us it should not, because we watch the dates and confirm each renewal cleared rather than trusting an automated email. If a payment does fail, we catch it inside the registry grace period and fix it. Left unattended, an expired domain moves into a redemption period where recovery costs well over a hundred dollars, and after that it drops and anyone can register it.
Do you handle premium and specialty TLDs?
Yes, subject to what the registrar supports. The management fee stays the same regardless of the extension. The registry cost does not: a .ai or .io can cost several times what a .com does, and some registries require multi-year registration. We quote you the actual registry price before registering anything unusual, so there are no surprises when the invoice arrives.
Can you manage a domain you did not register for me?
Yes, and that is how most clients start. You send us the list of what you own, we look up where each name currently sits and when it expires, and we transfer them in. Domains registered in the last sixty days cannot be transferred under registry rules, so those wait until the window opens. We track them in the meantime.
How do you protect a domain from being hijacked?
Registrar lock is on for every domain we manage, which blocks unauthorized transfer attempts at the registry level. The account itself requires two-factor authentication and is limited to our team, so there is no shared password in a document or tied to a former employee's email. DNSSEC is enabled where the registry supports it, which stops forged responses to lookups for your domain.
Do I get WHOIS privacy?
Yes, at no extra charge on every eligible domain. Your name, address, phone number, and email stay out of the public WHOIS database, replaced by privacy service details. That cuts down the spam and cold calls that follow a new registration, and it keeps your home address off a public record if you registered the domain as a sole proprietor.
Can you transfer a domain to a client or a new owner?
Yes. This comes up often with agencies handing a site over at the end of an engagement. We unlock the domain, generate the authorization code, and pass it to whoever is taking over. If the new owner wants to stay with us instead, we can move it to their own account and billing without the domain ever leaving the registrar.
What is the difference between the standard and Plus DNS plans?
The standard plan at $1.00 per domain per month covers the domain itself: registration, renewals, transfers, and the security around the account. The Plus DNS plan at $2.50 per domain per month adds our managed DNS service at no extra charge, which means we make your record changes for you and handle the DNS side of migrations. If you touch records more than once a year, Plus is the cheaper option.
