History follows the record

In detail

What each part will do

The same extension the Zoho CRM and Zoho Desk versions run, built for subscriptions and customers. It is written in Deluge and runs inside your own Zoho Billing, with no dashboard of ours in between. Renewals, failed payments and plan changes all need a nudge that gets read. A text from the billing record keeps that nudge with the account it belongs to.

Sending from the record

Open a customer record, choose a number and send. The message goes from the record your team is already working, rather than from a separate app they have to keep open.

Sending to many at once

Select the records you want, by hand or from a filtered view, and send once. Every recipient gets their own history entry, so the result can be reviewed person by person rather than as one batch.

Templates and dynamic fields

Reusable messages live in their own module and can carry placeholders. Each placeholder is replaced with that record’s value when the message is prepared, so a saved message still reads as specific to the person receiving it.

On a bulk send the placeholders are resolved separately for each recipient.

Scheduling

A message can be held for a date, time and timezone you choose. It is written to history as pending, then sent when it is due and marked as sent, with failures recorded rather than swallowed.

Replies that land on the record

When someone texts back, the reply is logged automatically and linked to the matching record in your Zoho Billing, so the thread stays with the customer rather than sitting in a separate inbox.

Numbers and history

The extension reads the phone fields the record actually holds instead of assuming one, and lets the sender pick. Sent, received, scheduled and failed messages all sit in your own Zoho account under your own permissions.

Your Twilio account, your credentials. You bring your own Twilio account and numbers, so Twilio bills you directly at their rates and no messaging is resold through us. This extension is not on the Marketplace yet. The Zoho CRM and Zoho Desk versions are.

Texting inside Zoho Billing compared with a third party SMS platform

On paper this looks like a feature list. In practice it is about where your subscriber data goes, because that list is effectively your revenue ledger and every platform that touches it is one more vendor to account for.

What to compareHow it works here
Data stays in Zoho vs data leaves ZohoThis extension works on the records where they already sit. Most alternatives first copy your contacts and accounts to their own platform, leaving a second customer list on servers you neither own nor can audit.
Your Twilio account vs resold messagingYou pay Twilio directly and keep your numbers. A reseller folds the carrier cost into its own per-message price, so you cannot see what you are paying for, and walking away often means losing the numbers.
Flat org price vs per user seatsOne price covers the whole organization. With seat pricing, every person you add to the send list raises the bill, even when the number of messages stays the same.
Replies on the record vs a separate inboxReplies are filed on the Zoho Billing record. A separate inbox leaves someone reconciling two systems, and the next person to open the account only sees half of what was said.
No vendor access vs vendor holds your dataYour messages never reach us, so there is nothing on our side for anyone to read.
Native Deluge vs an embedded web appThe extension is written in Deluge and runs on the Zoho platform, with no embedded third party interface or outside web app for your data to pass through.

Cost

How it will be priced

This one is not on the Zoho Marketplace yet. Here is how the pricing works across the family, so there are no surprises when it lands.

The extension

Priced for the organization rather than per user, and bought through the Zoho Marketplace. Adding another person who needs to text does not change it.

The messages

Twilio bills you directly at their own rates, on your own account. We never resell messaging, so there is no margin added between you and the carrier.

Right now

Talk to us and we will tell you when it is listed, with the price at launch. Nothing to pay and nothing to install yet.

Recovering failed subscription payments

A declined card usually means the card stopped working, not that the customer wants to leave. A request to update payment details gets buried in a busy inbox; a text gets read.

Subscription teams handling renewals and changes

A two-line text gets noticed before one more billing email does. Pick a template, let the dynamic fields pull the details from the record, and schedule it to go out ahead of the renewal date.

Companies audited on how payment data is handled

Sooner or later a security questionnaire asks which vendors can see the phone number of a paying subscriber and where the message text is stored. Here the answer is short: nobody new, and inside Zoho.

1. Install from the Zoho Marketplace

Install it into your organization from the Zoho Marketplace like any other extension. The ten day free trial lets you try it on real work before you commit.

2. Connect your own Twilio account

Enter your Twilio credentials on the setup screen and choose the numbers to send from. The account stays in your name, so Twilio bills you at its own rates and the delivery records stay in your console.

3. Text a record and watch the reply land

Open a contact or account, choose the number, and send. Messages you use often can come from a saved template, with dynamic fields completing the details from the record.

Answers to common Zoho Billing SMS questions

What is this Zoho Billing SMS integration?
It is an extension for Zoho Billing that sends texts to your contacts and accounts through your own Twilio account. Look up one customer and send a single message, or select a group and message them together. Each reply is filed in the SMS History module on the record it came from, so you can read the full exchange without leaving Zoho Billing.
The built-in notifications send documents out, and a customer who answers has nowhere sensible for that answer to go. This extension records the reply on the customer record and lets you message many records in one go, so texting becomes a two-way channel with your subscribers.
Yes. The extension sends through your Twilio account and your numbers, so Twilio charges you directly at its rates and we add no margin. Your message records sit in your own Twilio console, and you are free to change numbers or providers at any time.
Contacts and accounts. Messages attach to the customer, not to a single invoice or renewal, so the thread stays in one readable place however many documents the account collects over the years.
Yes. Select the records, write the message once, and each person gets their own copy, logged on their own record. You can also send to a saved list or view, which saves time when you message the same group regularly.
They appear in the SMS History module as a new entry linked to the record that sent them. There is no separate inbox to check and nothing to copy over, and whoever takes over the account later can read the whole exchange on the record.
No. The extension cannot phone home. It runs inside your Zoho environment and sends none of your records, phone numbers or message text to us, we keep no copy, and no dashboard on our side gathers data in the background. That design is the biggest difference from most alternatives.
Only on the Zoho platform. It is written in Deluge, with no embedded third party screen, outside web app or extra service in the path. Everything runs in your own Zoho Billing, so explaining the data boundary to an auditor or security reviewer takes one sentence.
Yes. Dynamic text fills in values from Zoho Billing at the moment of sending: the customer name, the amount, the due date, or any other field on the record. A message sent to two hundred accounts still reads as if it was written to each of them.
Yes. Save the messages you send most often as templates and choose one instead of retyping it. Templates still use dynamic fields, so each person gets their own details, which takes most of the typing out of payment reminders and renewal notices.
It finds every phone field on the record instead of picking one default. A contact with ten numbers on file shows all ten, and you decide which to text, which helps when the mobile number lives in a custom field.
Yes. Write it now and set the date and time it should go out. It sends on your schedule rather than whenever you happen to be at your desk, which helps with time zones, business hours and messages tied to a date, such as the week before a renewal.
From the Zoho Marketplace, like any other Zoho extension. Add it to your organization, enter your Twilio credentials on the setup screen, and you can text from a record right away. Nothing needs hosting and nothing gets installed outside Zoho.
Yes. The Zoho Marketplace listing includes a ten day free trial, long enough to install it, connect Twilio and send real messages first. Trials cannot be extended, so have your Twilio credentials ready before you start one.
