In detail

What each part will do

The same extension the Zoho CRM and Zoho Desk versions run, built for projects and the people on them. It is written in Deluge and runs inside your own Zoho Projects, with no dashboard of ours in between. Schedules move. A text from the project record reaches the person affected without the update getting lost in a thread nobody reads.

Sending from the record

Open a contact on the project, choose a number and send. The message goes from the record your team is already working, rather than from a separate app they have to keep open.

Sending to many at once

Select the records you want, by hand or from a filtered view, and send once. Every recipient gets their own history entry, so the result can be reviewed person by person rather than as one batch.

Templates and dynamic fields

Reusable messages live in their own module and can carry placeholders. Each placeholder is replaced with that record’s value when the message is prepared, so a saved message still reads as specific to the person receiving it.

On a bulk send the placeholders are resolved separately for each recipient.

Scheduling

A message can be held for a date, time and timezone you choose. It is written to history as pending, then sent when it is due and marked as sent, with failures recorded rather than swallowed.

Replies that land on the record

When someone texts back, the reply is logged automatically and linked to the matching record in your Zoho Projects, so the thread stays with the customer rather than sitting in a separate inbox.

Numbers and history

The extension reads the phone fields the record actually holds instead of assuming one, and lets the sender pick. Sent, received, scheduled and failed messages all sit in your own Zoho account under your own permissions.

Your Twilio account, your credentials. You bring your own Twilio account and numbers, so Twilio bills you directly at their rates and no messaging is resold through us. This extension is not on the Marketplace yet. The Zoho CRM and Zoho Desk versions are.

Texting inside Zoho Projects compared with a third party SMS platform

Most SMS apps for Zoho will get a message out. What separates them is where your client data is stored afterward and who else has access to it.

What to compareHow it works here
Data stays in Zoho vs data leaves ZohoYour contacts and accounts are not synced out to a vendor platform, so there is no second copy of your client list sitting on infrastructure you cannot audit.
Your Twilio account vs resold messagingResold messaging folds the carrier cost into a per message price you cannot check, and walking away often means losing the numbers. With your own Twilio account you see the real rate and keep the numbers.
Flat org price vs per user seatsThe price is per organization, so adding a project manager who needs to text does not add to the bill.
Replies on the record vs a separate inboxThe reply is logged on the contact or account it came from. There is no second inbox to reconcile, and the next person to open the record sees the full exchange.
No vendor access vs vendor holds your dataYour messages never reach us, which means there is nothing for us to read.
Native Deluge vs an embedded web appThe extension is written in Deluge and runs on the Zoho platform. No embedded vendor screen or outside web application sits in the path of your data.

Cost

How it will be priced

This one is not on the Zoho Marketplace yet. Here is how the pricing works across the family, so there are no surprises when it lands.

The extension

Priced for the organization rather than per user, and bought through the Zoho Marketplace. Adding another person who needs to text does not change it.

The messages

Twilio bills you directly at their own rates, on your own account. We never resell messaging, so there is no margin added between you and the carrier.

Right now

Talk to us and we will tell you when it is listed, with the price at launch. Nothing to pay and nothing to install yet.

The Twilio SMS extensions for Zoho CRM and Zoho Desk are already listed if you need one of those today.

Managers chasing the approval that gates a task

A task sits unstarted because one client contact has not signed off, and the reminder is buried in their inbox. Send a text from the account you already have open and the answer comes back to the same record.

Agencies confirming dates before a milestone slips

When a milestone moves, every client contact on the account needs to hear about it quickly. Write the message once, select the records, and dynamic fields fill in each one from the account.

Teams that have to document where client data goes

Project work usually runs under a client contract that says where their data may sit. Here the answer is short: in your own Zoho account, and never with us.

1. Install from the Zoho Marketplace

Locate the extension on the Zoho Marketplace and add it to your org the way you would any other. A ten day free trial lets you try it on real client work before you decide.

2. Connect your own Twilio account

Enter your Twilio credentials on the setup screen and pick the numbers you want to send from. The account stays in your name, so Twilio bills you at its own rates and delivery records stay in your console.

3. Text a record and watch the reply land

Open a contact or account, pick a number and send. Messages you send often can come from a saved template, and dynamic fields fill in the details from the record.

Answers to common Zoho Projects SMS questions

Considering another tool as well? Our comparison pages take the main alternatives one at a time.
What is this Zoho Projects SMS integration?
An extension for Zoho Projects that texts your contacts and accounts through your own Twilio account. Look up one client contact and send a single message, or select a group and message them all at once. Replies are filed in the SMS History module on the record they belong to, so the conversation can be read inside Zoho Projects.
Portal notifications depend on someone logging in, and a client who answers by email often lands in an inbox nobody is watching. This extension sends a text, logs the reply on the record, and can message a whole group at once instead of one person at a time. It gives clients a channel they can answer.
Yes. You connect your own Twilio account and numbers, so Twilio bills you directly at its rates, with no margin added by us. The message records live in your Twilio console under your name, and you can switch numbers or providers when it suits you.
Contacts and accounts. You text the person on the record, not a project or a task, so the conversation belongs to the client relationship instead of a single piece of work. The thread stays readable as projects start and finish over the life of the account.
Yes. Select the records, write the message once and send it. Every selected contact receives it, and each send is logged on that contact, not in a shared pile. It is the quickest way to tell every client contact about a schedule change without writing the same message ten times.
In SMS History, as a new entry on the record that replied. Nothing needs copying over and there is no separate inbox to check. Because the history belongs to the record, whoever takes over the account later can read the whole exchange without chasing anyone.
No. There is no phone home capability. The extension runs in your Zoho environment and does not send your records, phone numbers or message content to us. We hold no copy and run no background dashboard collecting data, which is the main way it differs from most alternatives.
On the Zoho platform, written in Deluge. No embedded third party interface, no outside web application and no separate service stands between your data and Zoho. It all runs inside your own Zoho Projects deployment, so the data boundary is easy to explain to a security reviewer or an auditor.
Yes. Dynamic text reads values from Zoho Projects fields and places them in the message as it goes out, such as a contact name, a project reference or any other field on the record. An update to fifty client contacts still reads as though each one was written by hand.
Yes. Save the messages you send most as templates and choose one instead of typing it again. Templates work with dynamic fields, so each recipient still gets their own details, which takes most of the typing out of status updates and approval reminders.
Every phone field on the record is picked up, so there is no single default to work around. A contact with ten numbers on file shows all ten, and you choose which to text. That matters when the mobile number lives in a custom field instead of the standard one.
Yes. Write it now and set the date and time it should go. It sends then whether or not you are at your desk, which helps with time zones, business hours and anything that needs to arrive the morning before a deadline or a site visit.
From the Zoho Marketplace, like any other Zoho extension. Install it into your org, add your Twilio credentials on the setup screen, and you can send the first message from a record right away. There is nothing to host, no server to run and no package to install anywhere else.
Yes. The Zoho Marketplace listing has a ten day free trial for installing it, connecting Twilio and sending real messages before you commit. The trial cannot be extended, so have your Twilio details to hand before the ten days begin.
