Files keeps a folder for every record that has files: each project, task, company, contact, proposal, and any other record. You never make these folders or move files into them. They fill in on their own from the files on each record and the files attached to it.

Where to Find Them

Open Files. Below your own folders, Organized for You has a folder for each kind of record with files, such as Projects, Companies, Contacts, and Proposals. Open one to see a folder for each of those records, then open a record's folder to see its files.

  • Projects: a folder for each project, and inside it a folder for each of its tasks that has files.
  • Companies and Contacts: a folder for each company and contact.
  • Proposals: a folder for each proposal, named with its number and title, like "P-1001 Website Redesign".
  • Any other record with files, such as deals or tickets, gets its own folder the same way.

A folder is always named after its record, so renaming a project renames its folder. A record with no files has no folder.

Opening one of these folders is action files.organized.

Attaching a File to a Record

A file can be on more than one record at once, with no copies. Attach a contract to the company, the project, and the proposal it belongs to, and it shows on all three and in all three folders.

  • From Files: select More on a file, then Attach. The window shows where the file is now. Choose the kind of record (a project, a contact, a proposal, or any other), search for it by name, and select Attach. Select Remove beside a record to take the file off it.
  • From a record's page: on the Files card, select Pick from Files, search for the file, and select it.
  • In a record's folder: Upload Files adds a new file to that record, and Pick from Files attaches one you already have.

A file attached to a record says where it comes from, like "From Brand Assets". Remove takes it off that record only. The file stays where it is kept, and on every other record it is attached to. Deleting the file itself deletes it everywhere.

Who Sees What

  • Whoever may see a record sees its files, including the ones attached to it, and may download them. That is all: renaming, moving, and deleting a file stay with whoever may change the record it is kept on.
  • A record someone may not see, and its folder, never show for them. A file only on records someone may not see does not exist for them.
  • To attach a file to a record, you need to be able to see the file and change that record. The same goes for taking it off.

For AI Agents

An AI agent can open these folders (files.organized), find files, and see where a file is. It can never attach a file to a record or take it off.
