Folders and Files

The Files Page

Open Files from the app switcher. The top level shows your folders and Recent Files, the newest files in every folder you can see, each with the folder it is in. Select a folder to open it. The path above its name (Files, then each folder it is inside) takes you back up.

Opening a folder or the top level is action files.browse. It shows only folders you may see, and the files in them.

Folders

  • New Folder adds a folder where you are: at the top level, or inside the folder you have open. A folder can have a description, shown under its name.
  • Rename changes a folder's name and description.
  • Move puts a folder inside another folder, or back at the top level. A folder can never go inside itself or one of its own folders.
  • Delete deletes a folder and the files in it, for good, after you confirm. A folder with folders inside it cannot be deleted until they are moved or deleted. Only a person can delete a folder that holds files: an AI agent cannot.

Folders are records of the Folders module, so the Folders page in the menu lists them all, and each folder's history is kept like any record's (Records).

Uploading

Select Upload Files in a folder and choose one file or many, or drop files onto the folder's Files list. Each file shows a bar while it uploads. The bar fills only when the file is stored, then fades away and the file appears in the list. Files can be up to 10 GB each, and large files (such as meeting recordings) upload a piece at a time, so a slow connection never has to start over from the beginning of a big file.

If an upload cannot finish, the file's row says why, and nothing is kept: the pieces already sent are removed.

Previews and Downloads

  • Preview: select a file's name to see it in place. Pictures (PNG, JPEG, GIF, and WebP), sound, video, and plain text show in a pop up. Videos can be watched from any point without downloading the whole file. Other files, such as PDFs and documents, are downloads.
  • Download: the button shows "Preparing…" with a spinner until the file is ready, then your browser saves it.

Every preview and every download is written in your company's Activity Log, with who opened which file and when.

Renaming, Moving, and Deleting Files

People who may change a folder may rename its files, move them to another folder, and delete them. On phones these are under More on each file. Deleting a file is for good: it is gone from every screen at once, and its stored copy is removed straight after.

Who Sees What

Files uses the same roles as every app (Roles):

  • Owners and admins see every folder and file.
  • Manager: sees and changes every folder and its files.
  • Team member: sees and changes only the folders they own (the ones they made, or that were given to them), and their files.
  • Viewer: sees and downloads every folder's files, and changes nothing.

Whoever may see a folder sees its files. Whoever may change a folder may add, rename, move, and delete its files. A folder or file someone may not see does not show anywhere for them, including Recent Files and search.

For AI Agents

An AI agent you connect can open folders and search them (files.browse, files.search), see file names, and rename files. It can never open, download, upload, move, or delete a file, and it cannot delete a folder that holds files.
