Private Folders

Part of the MountDev Ops Files documentation. Updated October 14, 2026

MountDev Ops Files documentation | Updated October 14, 2026

Make a folder private and only the people you choose see it: the folder, every folder inside it, and every file in them. Nobody else does, whatever their role, including owners and admins you did not choose.

Making a Folder Private

Open the folder and select Who Sees This. Check Private, then check the people it is for, and select Save. You are always one of them. The folder's page then says Private at the top, and the button says Private, so you can change who it is for or share it again.

Whoever may change a folder may make it private. Once it is private, only its own people can change who it is for or share it again: they open Private, check or uncheck people, or uncheck Private to share the folder with everyone who has access to Files again.

Making a folder private is action core.files.private.set, sharing it again is core.files.private.clear, and the window is core.files.private.get. Only a person uses them, on their own screen: never an AI agent, an assistant, or an API key.

Folders Inside a Private Folder

Every folder inside a private folder is private too, with the same people. Moving a folder into a private folder makes it private at once; moving it out makes it shared again.

A folder inside a private folder can be made private as well, to fewer people. Then a person must be one of the people of both folders to see it.

What Nobody Else Sees

For everyone a private folder is not for, it is as if it did not exist:

  • Files: it is not in Files, its folders and files are not in search, Recent Files, or Pick from Files, and opening its address says the folder does not exist.
  • Other records: a file in a private folder never shows on another record's Files card or in Organized for You, even when it was attached there before the folder was private.
  • Search and the API: the workspace search, the records lists, and the API never return it.
  • AI agents and assistants: they never see a private folder or its files, not even for one of its people.
  • Exports: Export Everything leaves private folders and their files out.
  • The Activity Log: what happens in a private folder is written without the names of its files or folders, and earlier lines that name one of its files are shown only to its people.

Files Stay Inside

A file in a private folder is never attached to another record, published for your websites, or sent with a shared link. A link made before the folder was private stops working. To share a file, move it out of the private folder first.

Files Brought In

Files brought in from another system can go straight into a private folder for the people named with them, and files brought in earlier can be put there, without deleting anything.
