Looking for a RoboForm Alternative? We Run Zoho Vault for You

RoboForm is a low cost password manager with a Business tier for teams. We move your company logins into Zoho Vault, build the chamber and sharing structure, connect your directory and single sign on, enforce two factor, and review password health and audit trails each month. It all runs inside a Zoho account your company owns.

With Cascadia you get

  • Migration is included, not extra
  • Your team trained, not locked out
  • We will say when Vault is wrong
  • Access designed before anything imports
  • Your account, your data
  • Connected to the rest of Zoho

What Our Monthly Fee Covers

One published monthly plan pays for our work. Your Zoho license is billed by Zoho and we add no markup.

  • Somebody maps chambers and roles to your teams before the first password imports
  • Old logins are cleaned before they move, so dead entries do not follow you
  • Extension and mobile rollout done with your staff, with written notes for the next hire
  • Directory sync and single sign on wired up by us, not left to a ticket queue
  • Two factor enforced across the organization, with a grace period and instructions
  • A written password health review lands every month
  • Audit exports pulled when a client questionnaire arrives
  • The Zoho organization, subscription, and secrets stay in your company's name
  • Password policy and rotation schedule written down and revisited as you grow
  • Emergency access and recovery tested during week one

Where RoboForm Ends and Our Work Begins

RoboForm Business ships an Admin Center for onboarding, policies, and audits (October 2026). An admin center is a set of screens. Choosing what goes on them is the work we take over.

Structure Before Import

RoboForm lets you share through groups and set controls, but it cannot decide for you which teams exist or who may share outside the company. We settle that on paper, then build it.

A Person Who Reads the Reports

RoboForm Business lists activity logs and audit reports (October 2026). We read the Vault equivalents each month and tell you what changed, who gained access, and which credentials are weak or stale.

One Suite Instead of One More Login System

Zoho Vault lives in the same estate as your other Zoho apps. If your company already pays for Zoho One, Vault is part of that subscription, and we align it with Zoho Directory.

The Move Itself Is Included

Cleaning an export, retiring entries for systems you shut down years ago, and training the team on the extension all sit part of your monthly plan. There is no separate setup invoice.

Who Should Read This Page

Companies Whose RoboForm Rollout Stalled

RoboForm Business scales from 10 to 10,000 or more users (October 2026), and plenty of ten person teams buy it and never open the Admin Center again. We take over from there.

Teams Weighing RoboForm Against the Zoho Suite

If CRM, Desk, or Books already run on Zoho, Vault sits beside them and shares one directory. RoboForm sits outside that estate, and it has no Zoho connector on its business page.

Owners Who Need Evidence for a Client

RoboForm lists audit reports on Business (October 2026). A report only helps if someone configured the policies it measures, and that configuration is what a questionnaire asks about.

Choose RoboForm if

  • A free single device plan covers you
  • Your SSO runs on Ping or OneLogin
  • Your IT team wants 24/7 vendor support

Choose Cascadia if

  • Nobody owns policy and group design
  • You already pay for Zoho One
  • You want old logins cleaned before they move

How a Move Off RoboForm Runs

  1. 1

Decide Which Entries Are Company Property

RoboForm Business keeps work and personal vaults separate (October 2026). We agree the scope of the migration with you first, so personal logins your staff keep stay out of it.

  2. 2

    Export and Clean

We take the export from RoboForm, then strip duplicates, dead entries, and credentials for retired systems before anything touches Vault.

  3. 3

    Build and Import

Chambers, folders, and privilege levels go in first. The cleaned entries follow, then directory sync and single sign on.

  4. 4

    Train, Enforce, and Cut Over

Staff learn the browser extension and mobile app. Two factor enforcement starts with a grace period. Setup usually takes two to three weeks.

Questions About Moving from RoboForm

What RoboForm lists today, what Zoho Vault changes, and what you keep after we are done.

See Managed Zoho Vault

Still have a question?

What is RoboForm, and what do its business plans include?

RoboForm sells personal plans (Free, Premium, and Family) plus Business and Enterprise tiers for companies. Its Business page lists separate personal and work vaults, an Admin Center, SSO, SCIM provisioning, custom security policies, role-based access control, dark web monitoring, activity logs, audit reports, and priority 24/7 support (October 2026).

How much does RoboForm Business cost?

RoboForm lists Business at $3.33 per user a month, billed annually, with a renewal price of $39.95 per user a year (October 2026). Enterprise is custom, volume-based pricing. The Business page shows a first-year sale rate that varies, so confirm the figure on your own quote before comparing it with anything else.

What does the RoboForm Free plan actually cover?

Unlimited passwords, but on a single device (October 2026). Moving to Premium, listed at $2.49 a month billed annually with a discounted first year, adds unlimited devices. Neither is a business plan. A team that stays on personal plans has no Admin Center, so nobody can set policy or see who holds what.

RoboForm Premium is cheap. Why not just give everyone that?

You can, and for a three person team it may be enough. Premium renews at $29.88 a year and includes a 30-day money-back guarantee (October 2026). What you give up is central control. Each person owns an account, so a departing employee's logins leave with them unless they hand them over.

Which identity providers does RoboForm connect to?

RoboForm's business page names Microsoft Entra, Okta, Google Workspace, Ping, and OneLogin for SSO and SCIM (October 2026). Zoho Vault syncs with Zoho Directory, Active Directory, Microsoft Entra ID, Okta, and Google Workspace. If you rely on Ping or OneLogin, RoboForm lists them and our Vault service page does not.

How does RoboForm encrypt data, and how does that compare with Zoho Vault?

RoboForm states AES256 encryption with PBKDF2 SHA256, with decryption on your device, and cites a test by Secfault Security plus a bug bounty (October 2026). Vault also encrypts before data leaves the device, using a master password Zoho never stores. For two factor, RoboForm lists passkeys, hardware keys, SMS, email, and TOTP. Vault supports OneAuth, TOTP, YubiKey, and passkeys.

Can we try RoboForm Business before paying?

Yes. The Business pricing page offers a free trial and says no credit card is required (October 2026). That is a fair way to test its Admin Center on a handful of users. We do not run a free tier, but we will tell you on a first call if staying on RoboForm looks like the better fit.

What is the Family plan that comes with RoboForm Business?

Companies that buy 10 or more paid Business licenses also get a RoboForm Family plan, covering up to five accounts for personal use (October 2026). It is a nice perk for staff. It also means personal logins may sit in the same RoboForm environment as company ones, which we sort out when we agree the scope of a migration.

RoboForm lists a self-hosting option. Do you offer that?

RoboForm's Enterprise plan includes a self-hosting model for environments of 1,000 or more users (October 2026). That is a real differentiator for firms with strict data residency rules. Our service is different. We manage Zoho Vault inside a Zoho account registered to your company, so there is nothing for you to host.

We use RoboForm today. How would you move us to Zoho Vault?

We export from RoboForm, clean the data, and import to an agreed scope and date. Duplicates, dead entries, and credentials for retired systems get dropped rather than carried across. Then we build chambers, folders, and privilege levels, set up directory sync, and train staff on the extension and mobile app. Migration carries no setup charge.

How long does a move from RoboForm take?

Most organizations are live within two to three weeks. The first week covers vault structure, policies, and the migration. The second covers directory sync, single sign on, extension and mobile rollout, and training. Larger teams with more systems to import, or a stricter compliance requirement, can take four to six weeks.

Is Zoho Vault cheaper than RoboForm Business?

We cannot give you a clean answer without a Zoho quote, and we will not guess. Zoho bills the Vault license directly, and our monthly fee covers management only. If Vault is already part of a Zoho One subscription you hold, the software costs nothing extra. Otherwise compare RoboForm's $3.33 per user (October 2026) against Zoho's own price page.

What stays with us after Cascadia sets everything up?

Everything. The Zoho organization is registered to your company, the subscription is in your name, and the secrets belong to you. Nothing sits behind a Cascadia login. If you later bring Vault in house or move to another product, there is no handover to negotiate, because none of it was ever held on our side.

What will Cascadia not do?

We will not mark up your Zoho license, hold your master password, or keep your data behind our own login. We also will not push Vault where it fits badly. Our plans cover any mix of Zoho apps, Zoho One or individual apps, priced by hours of Zoho work rather than by users or apps.

Who handles a departing employee under each setup?

In RoboForm Business, an admin removes the user and manages the groups they held, using the console you configured. With our service, we write the offboarding runbook, transfer ownership of the chambers that person held, rotate the credentials that matter, and remove the account, so access ends the day they leave.
