What the Managed Part Actually Means

Stale postings are closed instead of quietly collecting applications nobody reads. Candidates get a reply either way, because the ones you turn down this year are the ones you want applying next year.

Job Boards That Stay Current

A filled role still advertised wastes budget and your reputation.

Screening You Can Defend

Knockout questions only help when they filter the right people out.

Your Account, Your Data

Every candidate record, resume, and career site page lives inside your own Zoho subscription under your company name. Nothing sits behind an agency account, so there is no export to negotiate and no leverage held over you.

Connected to the Rest of Zoho

An ATS on its own stops at the offer.

Who This Comparison Is For

Staffing and Recruiting Agencies

Agencies run two pipelines, candidates and clients, and most tools handle only one of them well.

High Volume and Seasonal Hirers

Hiring forty people in six weeks breaks anything manual.

Teams Already Running Zoho People and CRM

If your employees and your customers already live in Zoho, your hiring belongs there too.

Choose SmartRecruiters if

  • You hire at high volume and need the higher tiers
  • You want AI matching and advanced analytics
  • A five figure annual contract is within budget

Choose Cascadia if

  • You want implementation inside the fee
  • You would rather not wait out licensing changes under SAP
  • Your employees and customers already live in Zoho

How Our Managed Zoho Recruit Service Works

Whether you are moving off a shared inbox or inheriting a Zoho Recruit account somebody configured two years ago, the sequence is the same. We get the candidate data and the daily pipeline right first, then sourcing and screening, then everything else.

  1. 1

    We Assess Your Current Setup

First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.

  2. 2

We Audit and Load Your Candidate Data

We check the result against your own records before your recruiters rely on it, because a pipeline that quietly lost last quarter’s shortlist costs more than the migration saved.

  3. 3

We Build the Pipelines and Workflows

Next come the parts that make the system yours, meaning hiring stages and pipelines per role type, requisition approvals, screening questions and scoring, interview scheduling and feedback forms, offer templates, and the permission model that decides who sees which openings.

  4. 4

We Keep It Correct as You Change

From there you get the ongoing work, meaning new roles and pipelines configured when you need them, job board channels kept current, automation adjusted as your process shifts, integrations checked each cycle, and a monthly summary of time to hire, source performance, and anything still open.

How SmartRecruiters works

What SmartRecruiters Does, in Their Own Words

SmartRecruiters publishes one price and quotes the rest. The figures below were read in September 2026, and the company changed owner during 2025.

Essential is listed from $14,995 a year (September 2026)The only tier with a published rate. Directory listings also record an entry figure around $10,000, so confirm which applies.
Higher tiers are quoted, commonly $25,000 to $100,000 or more a yearProfessional, High Volume, and Complete all depend on headcount and hiring volume.
Median contract reported around $33,500 a yearMarketplace data puts most buyers between roughly $15,250 and $51,561.
AI features sit above the entry tierCandidate matching, AI screening, and advanced analytics are each gated to higher plans, which is worth checking against what a demo showed you.
SAP completed its acquisition in September 2025Partner guidance signaled a revised licensing structure with possible increases during 2026, so treat current figures as unsettled.
Implementation is separateReported at $5,000 to $20,000 or more, with buyer discounts described as modest at around 5 to 11 percent.

SmartRecruiters Alternative Questions

Straight answers about switching, pricing, and what moves with you.

See Managed Zoho Recruit

Still have a question?

Is Cascadia a straight swap for SmartRecruiters?

Not quite, because we also keep your job board listings current. A filled role still advertised wastes budget and your reputation. We connect your board channels so one opening publishes everywhere you pay for, applications land back in one pipeline with the source recorded, and closing the role pulls the listings down instead of leaving stale ads running.

Can candidates see where they stand?

Yes, if you want them to. We configure the candidate portal so applicants track their status, upload documents, and schedule what they need. Some clients prefer to keep status private and rely on automated stage emails instead. Either way we set the communication rules so candidates hear something on a schedule rather than going silent, which is what damages your employer reputation.

How do you handle applicant data and compliance?

We configure retention rules, consent capture on your application forms, and the EEO and audit trail settings Zoho Recruit provides, then set permissions so hiring managers only see their own openings. We are not your lawyers, so we implement the policy you give us and flag where your configuration and your stated policy do not match. Getting the legal position right stays your call.

What if we have a large recruiting team?

We scope the fee to your team, based on seat count and pipeline complexity rather than a formula, because a 30 seat agency running client pipelines is a different job from a 15 seat internal team. Tell us how you hire and we will recommend the plan that fits before you commit.

Should we get Zoho One instead?

If Recruit is the only Zoho app you run, any of our plans covers it. Our plans cover any mix of Zoho apps, Zoho One or individual apps, priced by hours of Zoho work rather than by users or apps.

What is managed Zoho Recruit?

Managed Zoho Recruit is a subscription where we run your Zoho Recruit applicant tracking system for you on a monthly plan. That covers the initial configuration, your candidate database, hiring pipelines, career site, job board publishing, screening rules, interview scheduling, and offer workflows, plus the ongoing changes as your hiring process shifts. You get an ATS configured properly and kept correct without hiring somebody to administer it.

What does Zoho Recruit actually do?

Zoho Recruit is Zoho’s applicant tracking system. It holds your candidate database and resumes, manages job openings and requisitions, publishes to your career site and job boards, parses applications, runs screening and assessments, schedules interviews and collects structured feedback, handles offers and e-signature, and reports on your hiring funnel. It works for internal HR teams and for staffing agencies managing clients alongside candidates.

How long does setup take?

Most clients are hiring through the system within three to four weeks. The first week covers the audit, the candidate and job data migration, and the pipeline structure. The second and third cover your career site, job board connections, screening rules, and interview workflows. Complex setups, especially staffing agencies running client side pipelines too, can take longer, and we tell you that before you sign rather than after.

Can you migrate candidates from our current ATS?

Yes. We migrate candidate records, resumes, application history, and job openings from most systems, including Bullhorn, Workable, Greenhouse, Lever, and spreadsheets. We map your existing stages to the new pipeline so history is preserved rather than everyone landing in a single default stage. We check the result against your own numbers before your recruiters start working in the new system.
