What Ships in the Standard Plan Here
Every plan covers all of this work. The plans differ in monthly hours and a few extras, never in which of these we will do.
- License & Usage Review
- Host Training & Monthly Review
- Meeting Setup & Scheduling
- Calendar & Invite Integration
- Audio, Video & Screen Share Setup
- Host & License Provisioning
- Webinar Production
- Registration Pages & Forms
- Reminder & Follow Up Sequences
- Polls, Q&A & Live Engagement
What the Managed Part Actually Means
Waiting rooms and join permissions are set so a client call cannot be wandered into. Calendar integration is tested against the calendar people actually use.
Registrants Become CRM Records
A webinar list sitting in a spreadsheet is not a pipeline. Registration forms map straight into your CRM with source tracking attached, attendance writes back against the contact, and the follow up splits by who actually showed.
Recordings Get Managed, Not Stockpiled
We name and file every recording consistently, set a retention policy you agreed to, and review the space monthly.
Host Licenses Stay Honest
We provision hosts properly, remove access the week somebody departs, reassign their recurring meetings so those do not fail silently, and compare each quarter what you pay for against what actually ran.
Your Account, Your Recordings
Nothing sits behind an agency account, so there is no export to negotiate and no leverage held over you. If you bring this back in house, it is already yours.
Who This Comparison Is For
Sales Teams Demoing Every Day
Reps lose time to scheduling email and lose context when calls never reach the CRM.
Firms That Must Record Client Calls
We turn on the consent notice, set who is allowed to record, file each session consistently, and hold recordings for the period you agreed rather than until the storage runs out.
Teams Running Webinars to Generate Leads
When the webinar is the offer, registration and follow up matter more than the call itself.
Choose Whereby if
- You want simple browser calls priced per host
- A median contract near $550 a year fits a small budget
- You need embedded video in your own product through their API
Choose Cascadia if
- Webinars and registration are how you generate leads
- Client calls must be recorded and kept to a policy
- You want every demo and registrant on a CRM record
How Our Managed Zoho Meeting Service Works
Whether you are starting fresh or cleaning up an account three people have administered, the sequence is the same. We find out what exists, fix what should stay, then run it.
- 1
We Assess Your Current Setup
First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.
- 2
We Inventory What Is Live
We start by listing every host seat, recurring meeting, booking link, webinar, and integration attached to your account, including the weekly sync somebody scheduled for a team that no longer exists.
- 3
We Configure and Connect
We set the security and recording policy first, because it decides everything downstream.
- 4
We Run It and Keep It Working
From there you send us requests and we handle them, usually within two business days.
How Whereby works
What Whereby Does, in Their Own Words
Whereby is browser-based video meetings, priced per host. The figures below were read in September 2026 and differ between sources, so treat them as a band.

Whereby Alternative Questions
Straight answers about switching, pricing, and what moves with you.
See Managed Zoho MeetingStill have a question?
Is Cascadia a straight swap for Whereby?
Not quite, because we also turn your registrants into CRM records. A webinar list sitting in a spreadsheet is not a pipeline. Registration forms map straight into your CRM with source tracking attached, attendance writes back against the contact, and the follow up splits by who actually showed.
Do attendees need to install anything?
No. Attendees join from a browser using the link in the invite, on desktop or mobile, with no account and no download. Hosts often prefer the desktop app because screen sharing and controls are smoother, and we set that up for the people running sessions. For webinars this matters a lot, since every install step costs you registrants who never show up.
How do requests and changes work month to month?
You email or message the request and we handle it, usually within two business days. Scheduling a webinar, adding a host, changing a registration page, fixing a broken calendar sync, and adjusting a recording policy are all handled within your plan's monthly hours rather than as separate quotes. Live event support needs a few days’ notice so we can run a rehearsal with your presenters first.
What is managed Zoho Meeting?
Managed Zoho Meeting is a monthly service where we run the platform for you. We handle host provisioning, meeting and webinar setup, registration pages, reminders, recordings, CRM logging, security settings, and reporting. You get a team that configures the account properly once and then keeps it working as your staff, your calendars, and your event schedule change. You send requests and we make the changes.
What is included in the monthly plan?
The plan covers ongoing management of your Zoho Meeting and Webinar account on a published monthly plan. That includes host and license administration, session and webinar setup, registration pages and forms, reminder and follow up sequences, recording and transcript management, CRM sync, security configuration, attendance reporting, and host training. Live webinar support is included for sessions you schedule with us in advance.
What is the difference between Zoho Meeting and Zoho Webinar?
They are two modes of the same product. Meeting is a two way session where everybody can talk and share, which suits internal calls, demos, and client work. Webinar is a broadcast where presenters speak and the audience interacts through registration, polls, and questions. Webinar plans carry larger audience limits plus the registration and reporting features events need. We manage both under the same plan.
Is Zoho Meeting free?
Zoho offers a free tier with limits on participants, session length, and recording storage, and it is genuinely usable for small internal calls. It runs out quickly once you need webinars, registration, longer sessions, or recordings you intend to keep. Our service manages whichever plan you hold, including the free one, though most clients need paid features within the first month of running real sessions.
How does Zoho Meeting compare to Zoom?
For most teams the in call experience is close enough that the decision comes down to everything around it. Zoho Meeting costs less per host, runs in a browser with no install for attendees, and logs straight into Zoho CRM without a connector. Zoom has broader third party integration and more name recognition with outside participants. If you already run Zoho, Meeting is usually the cheaper and better connected choice.
Do we need Zoho CRM to use this?
No. Zoho Meeting works on its own and we manage it either way. The service is worth more with CRM in place, because meetings, attendees, and webinar registrations log against real records and your activity history stops depending on whether a rep remembered to write a note. Without CRM we still handle scheduling, webinars, recordings, security, and reporting.
