Import from Zoho Desk

MountDev Ops Helpdesk documentation | Updated November 4, 2026

Bring every ticket of a connected Zoho Desk into Helpdesk, once, and check that all of it arrived. It is for owners, it only reads from Zoho, and nothing in Zoho Desk is ever changed, closed, commented on, or deleted. It is on Helpdesk, Settings (the Import From Zoho Desk card). Connect the Desk first, in Settings, Connections, Connected Services (Zoho Desk), and choose its departments: the move reads the departments the connection follows.

Bringing Tickets Over

Choose Start (action helpdesk.zoho.start). First every ticket in each of the connection's departments is listed, in all three of Zoho Desk's lists: the normal list, the archive, and spam. Then each ticket is brought in, with its whole conversation in order (customer emails and anything your team sent from Desk, each as it was designed), its files, and Zoho Desk's internal comments as notes. It runs a little at a time in the background. Pause (action helpdesk.zoho.pause) and Carry On (action helpdesk.zoho.resume) stop and restart it.

  • Quiet: nothing is sent to a customer, nobody is told, there is no receipt, and no event, webhook, or automation runs. Each ticket has a note saying it was brought in from Zoho Desk.
  • Status and dates: closed in Zoho Desk is Closed here, an archived ticket is Closed, a ticket in Desk's spam list is Spam, and the rest are Open. Every ticket and message keeps Zoho Desk's own date and time.
  • Once only: each ticket and message is kept by its Zoho Desk id, so running it again files nothing twice. A ticket changed in Zoho Desk since gets only its new messages. A ticket you deleted here is never brought back.
  • Matching the earlier move: a ticket already here from an earlier move (the same requester and subject, created within five minutes) is matched and left as it is, never filed a second time.
  • Linked to the connection: the live sync of the connection knows these tickets, so it never files them again and never writes to Zoho Desk about them.
  • Files: up to 20 MB each and 20 on a message, like any email. A file that is left out is named in the message, and the check counts it.
  • When Zoho slows down or cannot be reached, the move waits and carries on by itself; the card says so in a sentence.

Checking It

Check (action helpdesk.zoho.validate) lists Zoho Desk again and compares it with Helpdesk. The report has counts and Zoho Desk ids only, never a subject, a name, an address, or any words:

  • Tickets Zoho Desk has, how many are here (and how many of those matched an earlier move), how many you deleted here, and how many are missing, with the missing ids and the reason for each.
  • Tickets by list (normal, archived, spam).
  • For tickets that came over: messages, notes, and files Zoho Desk counts compared with what is here, and the ids of any ticket that is short. (These are compared when Zoho Desk gives a count for the ticket.)
  • Any list Zoho Desk would not let the key read, so you can see what was not checked.

Reports are kept; the card shows the latest.

Trying the Missing Again

A ticket that cannot be brought in is tried again after one minute, five, thirty, two hours, and twelve, then waits. Retry Missing (action helpdesk.zoho.retry) starts every missing ticket over at once. Repeat Check and Retry Missing until the report says it is clean.

The Status

Status (action helpdesk.zoho.status) is what the card reads, for each Zoho Desk connection: the state of the move, ticket counts (listed, here, matched, waiting, missing, left out), the reasons for anything missing, and the latest report.

What It Never Does

  • It never changes anything in Zoho Desk. Take Zoho's own full data backup of the Desk yourself, and keep it, before you end your Zoho subscription.
  • It never emails anyone, and it stays inside your own workspace and region.
  • It is never for AI agents or API keys, and only an owner can start any of it.
