Nextcloud alternative
What You Get Instead of Running Nextcloud Yourself
Nextcloud is open source software you host yourself, with optional Enterprise subscriptions on top. Managed Zoho WorkDrive is the other route: Zoho hosts the platform, and we design the Team Folders, move your files across, set the sharing rules, and review access every month. It all runs inside a Zoho account your company owns.
With Cascadia you get
- Migration is included, not extra
- Your team trained, not confused
- We will say when WorkDrive is wrong
- Structure designed before anything moves
- Your account, your data
- Connected to the rest of Zoho
Cascadia vs Nextcloud at a Glance
Three Questions That Decide It
Does a sysadmin own PHP, the database, and upgrades?
Do you need 24/7 phone support with a one hour response?

What the Monthly Fee Covers
Nextcloud hands you software and leaves the operating to you. Here the operating is the product, and the list below is what we do with it.
- Workspace and Team Folder structure drawn up before the first file moves
- Folder naming rules and labels, so search finds things
- Role based permissions on every Team Folder
- Guest access and external sharing rules, reviewed monthly
- Audit trails and access reporting you can hand to an auditor
- Retention, versioning, and recovery, with a restore tested during setup
- Two factor enforcement, device controls, and download limits
- Directory alignment with Zoho Directory and Zoho One
- Flow automations and Sign and Writer document workflows
- Monthly change requests, plus training for staff and administrators
Where Self-Hosting Costs More Than the License
Nextcloud itself asks little. The effort sits around it: patches, upgrades, backups, and the settings page that turns red when something drifts. We take the equivalent work off your plate.
The Platform Is Not Your Problem to Host
Nextcloud’s own requirements page lists a 64-bit Linux server, PHP 8.3 to 8.5, a database, and Apache or nginx (October 2026). WorkDrive removes that whole stack from your side. What remains is configuration, and that is our part.
Nextcloud Wins on Control, and We Say So
It is open source, supports custom apps and theming, and its Enterprise tier offers up to 5 to 10 years of long term support (October 2026). WorkDrive is a hosted product you configure rather than modify.
Zoho Is the Daily Surface, Not a Plugin
Documents sit beside CRM records, Desk tickets, and Sign envelopes in the same Zoho account. Nothing needs an app store connector to get there.
The Account Stays in Your Name
The WorkDrive subscription, the files, and the version history belong to your company. We administer inside it, so leaving us does not mean exporting anything from our systems.
Who Should Read This Comparison
Under 100 People, with No Sysadmin
Every Nextcloud Enterprise Files plan lists a 100 user minimum (October 2026). A smaller company either runs the open source server unsupported or looks elsewhere. This is where a managed WorkDrive account tends to fit.
An Installation That Has Outlived Its Builder
The person who set up the server moved on, PHP is two versions behind, and nobody has tested a restore. We would rather move that content into Team Folders than inherit the server.
Teams That Already Live in Zoho
If CRM, Desk, or Books are open all day, files saved in WorkDrive show up beside the record. A separate Nextcloud server means separate logins and a connector to maintain.
Choose Nextcloud if
- You have an administrator who wants to run the server
- You need 24/7 phone support or 5 to 10 years of long term support
- You have 100 or more users and want to customize the code
Choose Cascadia if
- Nobody on staff wants to patch and upgrade a server
- Your team is under 100 people
- Your daily tools are already in Zoho
Moving Off a Nextcloud Server
A Nextcloud move is mostly about what is on the server, not how it is built. The files are the easy part.
- 1
We Read the Server Before Touching It
We ask for the folder tree, the user and group list, the external shares, and the version of Nextcloud in use. Then we find out which folders people open every week and which ones nobody has touched since the last upgrade.
- 2
We Scope the Move in Writing
Nextcloud is not on our list of common source systems, which names Google Drive, Dropbox, Box, OneDrive, SharePoint, and file servers. So we agree the export method and a date on paper before starting, and typical moves run two to four weeks.
- 3
We rebuild it as Team Folders and map the sharing
Groups become roles on Team Folders, old external shares are reviewed one by one, and the retention and recovery settings are chosen on purpose rather than carried over by default.
- 4
We run both side by side, then you cut over
Staff get TrueSync or the mobile apps, a short training session, and written notes. The Nextcloud server stays yours to switch off when you are satisfied.

Nextcloud Comparison Questions
Plain answers on Nextcloud plans, limits, and what moving to WorkDrive involves.
See Managed Zoho WorkDriveStill have a question?
What is Nextcloud?
Nextcloud is open source file sync and collaboration software. You install it on a server you control, or buy an Enterprise subscription that adds vendor support and early security patches (October 2026). WorkDrive works the other way: Zoho hosts it, and your team configures it or hands that job to us.
How does Nextcloud Enterprise pricing work?
Files plans are priced per user per year, with a 100 user minimum (October 2026). Standard is 71.29 euros, Premium is 104.99 euros, and Ultimate is 204.75 euros. At 200 or more users those fall to 53.17, 81.99, and 183.75 euros. Those are Nextcloud’s figures, not ours. Our fee is separate and quoted to your setup.
Can a 20 person company buy Nextcloud Enterprise?
Not on the published Files plans, which list a 100 user minimum on Standard, Premium, and Ultimate (October 2026). At 20 people you would run the open source server without a vendor subscription and depend on your own administrator. That works fine if you have one. If you do not, this is the gap we fill.
How fast does Nextcloud support answer?
It depends on the plan (October 2026). Standard promises a two business day response by email in business hours. Premium shortens that to one business day with extended hours and optional phone. Ultimate offers 1, 4, 12, or 24 hour options with 24/7 phone. Our replies come within two business days, so for urgent phone support, Ultimate is faster.
What does running a Nextcloud server involve?
Per the current admin manual (October 2026), a 64-bit Linux server such as Ubuntu 26.04 LTS or Red Hat Enterprise Linux 10, PHP 8.3 to 8.5, MariaDB, MySQL, or PostgreSQL, and Apache or nginx. It recommends 512 MB of RAM per process. The admin overview also flags HTTPS, HSTS, and memory caching, so somebody has to read it regularly.
Can Nextcloud skip a version when upgrading?
No. The upgrade guide says you cannot skip major releases (October 2026). You move to the last point release of each major version in turn, and run cron.php two or three times to let background migrations finish before the next step. It also advises a fresh backup before every upgrade. Teams that fall behind face a chain of upgrades rather than one.
What has to be backed up on a Nextcloud server?
The admin manual lists five pieces: the config folder, the custom apps folder if you have any, the data folder, the theme folder, and the database (October 2026). Maintenance mode should be on while you copy, so sessions lock and files stay consistent. On WorkDrive, we set retention and recovery and test a restore during setup.
Does Nextcloud have retention rules like WorkDrive?
Yes, through the Files Retention app. It deletes files carrying a collaborative tag once they reach a set age, counted from creation or last modification, and can warn owners a day ahead (October 2026). The documentation advises restricted or invisible tags so users cannot dodge deletion. We configure WorkDrive retention separately, as part of the monthly work.
Is there a file size limit on Nextcloud uploads?
The admin manual gives a default upload ceiling of 512 MB in the browser, raised by changing php.ini values such as upload_max_filesize and post_max_size, plus web server limits (October 2026). The sync client is not affected, because it uploads in smaller chunks. We cannot quote a matching WorkDrive figure here and will not guess one.
Is Nextcloud better than WorkDrive at anything?
Yes, several things. You can host it where you choose, modify it, add custom apps, and theme it. Enterprise subscribers can get long term support of up to 5 to 10 years and 24/7 support (October 2026). WorkDrive is a managed cloud product with less room to bend, which is the trade for not running it.
Can you migrate us off Nextcloud?
We can scope it. Our service page names Google Drive, Dropbox, Box, OneDrive, SharePoint, and local file servers as common sources, and Nextcloud is not on that list. So we agree the export method and timeline in writing first. After that the work is the usual one: clear duplicates, rebuild Team Folders, and map sharing onto WorkDrive roles.
What will Cascadia not do for a Nextcloud setup?
We do not patch, host, or administer Nextcloud servers, and we do not sell Nextcloud subscriptions. Our work starts when the destination is Zoho WorkDrive. We also will not promise 24/7 phone support: replies come within two business days. If you want to keep Nextcloud, hire a Nextcloud partner.
Do we still need to buy WorkDrive separately?
Yes. The WorkDrive license is a Zoho subscription held in your company’s name, and our monthly fee covers the running of it. Some businesses already own it through Zoho One without having set it up. We check which situation you are in before you commit to anything.
Does WorkDrive edit documents the way Nextcloud does?
Nextcloud’s Enterprise page lists partner add-ons such as Collabora Online and ONLYOFFICE for editing (October 2026). WorkDrive ships with the Writer, Sheet, and Show editors built in. Nextcloud gives you more choice of editing engine. WorkDrive gives you fewer pieces to install and keep compatible.
