Citrix ShareFile alternative
A ShareFile Alternative for Firms Not Selling Portals
ShareFile charges per employee and builds its higher tiers around client portals, signing, and compliance packs. If your team mainly shares files internally, with a few clients on the side, that is a heavy tool. Managed Zoho WorkDrive puts one monthly plan around the job. We migrate your folders, build Team Folders, scope guest access, roll out TrueSync, and review sharing every month, inside a Zoho account your company owns.
With Cascadia you get
- ShareFile folders migrated and tidied
- Guest access scoped to a folder
- Signing through Zoho Sign
- Offboarding that actually runs
- Storage reviewed monthly
- Your account, your files

What a Managed Plan Adds
ShareFile is priced for firms that treat client exchange as the product. If that is not you, you may be paying for it.
Employee Seats Drive the Bill
ShareFile lists unlimited client users on every plan, and charges per employee user (October 2026). A 12 person firm on Premium at $26 a month pays $312 a month. Zoho bills WorkDrive by its own rules, and our fee is separate.
Signing and Workflows Are a Tier Up
ShareFile includes e-signature, requests, tasks, forms, and workflow automation on Premium and above (October 2026). With us, signing runs through Zoho Sign and file workflows through Zoho Flow.
A Fair Word When ShareFile Wins
If your clients live in a branded portal, send encrypted email, and ask for HIPAA, FINRA, or SEC support, ShareFile Premium lists exactly that (October 2026). Accountants and advisers often need it.
Tidy Before You Move
Client folders accumulate like attic boxes. We clear dead shares first, so WorkDrive starts organized.
Who Should Read This Comparison
Firms Paying per Employee
If clients upload a few files a week, a portal tier may be more than you need. Paying for every employee to share a few files is hard to justify.
Teams Facing a User Minimum
ShareFile lists a minimum of 3 users on the first three plans and 5 on the Virtual Data Room (October 2026). Small firms pay for unused seats.
Zoho One Companies
WorkDrive ships with the bundle, so a move can retire a subscription. The files come over with their folders, and the monthly bill gets smaller.
Choose Citrix ShareFile if
- Clients work inside a branded portal every day
- HIPAA, FINRA, or SEC support is required from the vendor
- Encrypted email is part of your workflow
Choose Cascadia if
- Most sharing is inside the team
- You want to stop paying per employee seat
- You already pay for Zoho One
How a Move from ShareFile Runs
- 1
List Clients and Shares
We export your folder tree and client user list from ShareFile, then mark which shares are still active.
- 2
Design Team Folders and Guest Rules
Client work gets folders with named roles. Guests are scoped to one folder each, and you approve the map.
- 3
Migrate and Compare
Files move in batches with counts compared on both sides. Client shares are recreated and clients told what changes.
- 4
Retire ShareFile
Staff switch to TrueSync. Once clients use the new links, you cancel the ShareFile plan.

See Managed Zoho WorkDriveStill have a question?
Is ShareFile the same as Citrix ShareFile?
Their current pricing pages use the name ShareFile and do not mention Citrix (October 2026). The product we compare is the same cloud file sharing service many firms still call Citrix ShareFile.
How much does ShareFile cost per user?
Advanced is $16.50 per user a month billed annually, or $18.15 monthly. Premium is $26 or $28.59. Enterprise is $35 or $42. The Virtual Data Room is $69.30 or $77 (October 2026). Each lists a 3 user minimum except VDR at 5.
Are ShareFile client users free?
Their FAQ says all plans have unlimited client users. Client users are external people who upload and download files. Employee users manage the account, and they are the ones who are billed per seat (October 2026).
What does ShareFile Premium add?
E-signature at no extra cost, requests, tasks, forms, workflow automation, an enhanced client portal, HIPAA, FINRA, and SEC support, and AI document automation (October 2026). That jump is why it is the most popular plan.
What does ShareFile Enterprise add?
User provisioning automation, security monitoring tool integration, data loss protection, centralized monitoring, and faster unusual-activity detection (October 2026). On-premises or hybrid storage is available through Enterprise sales.
How much storage does ShareFile include?
Plans start with 3 TB of account storage, built from 1 TB per license aggregated. Extra storage comes in 3 TB packs (October 2026). The Virtual Data Room gives 1 GB per license with a 5 license minimum.
Can I switch ShareFile billing from annual to monthly?
Their FAQ says a billing cycle stays fixed for the term. You can upgrade from monthly to annual or multi-year, but downgrading back to monthly is not supported (October 2026). Read your renewal date before leaving.
Does ShareFile offer a free trial?
Each plan on the pricing page carries a Try Free button (October 2026). The length of the trial is not stated in the text we read, so confirm it when you sign up.
How does ShareFile handle encrypted email?
It encrypts the body as well as the attachments, and recipients do not need ShareFile accounts to view or reply (October 2026). WorkDrive sharing uses links with passwords and expiry, which we configure.
Can you migrate our ShareFile folders?
Yes. We export your folder tree and client list, design Team Folders, copy in batches, and compare file counts on both sides. Expect two to four weeks from kickoff to cutover. The monthly plan absorbs the migration, and no setup fee is added.
What happens to our clients when we move?
They receive new links or guest invitations scoped to their folder. We write a short notice for them and keep the old ShareFile plan open until the last active share has moved.
What do we lose by leaving ShareFile?
A branded client portal, unlimited free client users, encrypted email, and vendor-listed HIPAA, FINRA, and SEC support. You gain a simpler team file model and upkeep from a named person. Advisory firms may lose too much.
What will Managed Zoho WorkDrive cost?
Our monthly plan, published and starting at $250, is built on hours of Zoho work, with nothing counted per user. Zoho bills the WorkDrive license separately. A three person firm on ShareFile Advanced pays far less than our plan.
Who owns the account afterward?
Your company does. The Zoho organization is held by your business, the Team Folders live in your account, and the files are yours. Your sign in belongs to you alone.
When should we stay on ShareFile?
When clients use a portal daily, when regulators expect vendor-listed compliance, or when encrypted email is routine. A move would trade a portal for folders. Tell us if that is your situation, and we will say so.
