Zoho Tables for Base Design, Linked Records, and Team Workflows

A monthly service where we design, build, and run your Zoho Tables bases. It covers table structure and field types, links between tables, each team's views, automations, intake forms, permissions, backups, and connections into Zoho CRM and the rest of your stack, all in a Zoho account registered to your company.

Zoho offers a free tier with limits on rows, storage, and workspaces, enough to try it or run one small tracker. Paid plans are billed by Zoho directly. Our monthly plan pays for the design and running work and is separate from the license, which we do not mark up.

For data with relationships, yes. A spreadsheet does not know the client in column C is the client on another tab, while Tables stores one linked record you update once. For a flat list that never changes, a spreadsheet is still fine and we will tell you.

A linked record is a field that points at a row in another table instead of repeating its text. If each job names its client, changing the client's address once updates it everywhere that client appears, and a lookup can pull the address into the job without anyone retyping it. You need links as soon as the same thing, such as a client, a part, or a site, appears in more than one list.

The core ideas carry over directly: linked records, views, and automations. Airtable is more mature and has more third-party connectors. Zoho Tables costs considerably less, comes with Zoho One, and sits next to Zoho CRM, Desk, and Analytics, which usually outweighs the feature gap for a company already on Zoho.

Yes, and it is a frequent reason people call. Tables, fields, links, and views are rebuilt in Zoho Tables first, then the data moves across with relationships intact instead of as flat exports. Both systems run in parallel while your team checks the result, and only then do you cancel the old subscription.

We clean it before it moves. Duplicated clients, free-text values that should be a choice, and dates stored as words are sorted out during import, and the field types and validation in the new base stop them from coming back. If part of the history is not worth carrying, we say so and leave it in the spreadsheet for reference.

Yes. The Zoho account, bases, data, and subscription sit under your company with full admin access for you throughout. Moving in house or to another provider leaves nothing for us to hand over.

It works natively with the Zoho suite. Beyond that we use Zoho Flow to reach a few hundred third-party applications, send data to Zoho Analytics when reports span several sources, and add webhooks where an outside tool must read or write records directly.

Yes, and we set it up for most clients. Table records can match the right account, deal, or contact in CRM, and you choose which direction updates travel, so the project record and the deal record do not tell two stories about one customer.

Most organizations have a working base in two to three weeks. Week one maps what you track and designs the structure, week two builds views, automations, and forms, and week three covers import, testing, and training. A migration from Airtable or a pile of spreadsheets can add a week, depending on how clean the source is.

Both, and you set the balance. Some clients want us to make every structural change while they use the views we built. Others want staff adding records, building personal views, and making small edits. We train on what people will touch and leave written notes behind.

Roles, permissions, and sharing are set deliberately, so some people can edit, some can only view, and a new hire does not inherit everything by default. We review access when people join or leave, and the base keeps versions and backups so a mistaken bulk edit can be rolled back.

Yes, Tables is part of the Zoho One suite. On Zoho One there is no added software cost to start, only our management fee. If you run several Zoho apps separately, check whether Zoho One would be cheaper overall.
