Teamwork alternative
The Teamwork Alternative, Run for You
Teamwork is a capable tool for client work, with a free plan and per-user tiers above it. Somebody on your side still has to build the templates, keep time honest, and turn hours into invoices. Managed Zoho Projects puts that work with us. We configure tasks, milestones, timesheets, and budgets, connect them to Zoho CRM and Books, and keep the setup correct as your work changes.
With Cascadia you get
- We build around your delivery process
- Hours that reach an invoice
- Approvals that cannot be skipped
- Client access set on purpose
- Your account, your data
- Connected to the rest of Zoho

Deal to Project Handoff
Inside the Monthly Management Fee
Every plan covers all of this work. The plans differ in monthly hours and a few extras, never in which of these we will do. Your Zoho license is billed by Zoho and sits outside our fee.
- Milestones and phase planning
- Gantt charts and critical path
- Kanban boards and custom statuses
- Timesheets and timer configuration
- Billable rates and budget tracking
- Invoicing through Zoho Books
- Blueprints for repeatable work
- Workflow rules and notifications
- Recurring tasks and reminders
- Zoho CRM deal to project handoff
Where Our Team Takes Over
A project tool only pays back when the hours get logged against the right task and make it onto a bill.
Templates Built from Your Last Five Jobs
Teamwork gives you unlimited project templates from Basics up (October 2026), but someone still has to design them. We look at how your recent jobs really ran, then turn the repeatable ones into task lists, phases, and roles a new project starts from.
Hours That End up on an Invoice
Teamwork offers basic invoicing from Accelerate and advanced invoicing from Optimize (October 2026). In Zoho we link Projects to Books, check the billable mapping, and set rates by person and project, so approved time arrives as a draft you review.
Approvals the System Enforces
A blueprint stops a task from moving on until the required field is filled, the sign off is given, or the next owner is named. The rule no longer depends on somebody remembering it late on a Friday.
A Plain Answer When Teamwork Wins
If you are five people or fewer with a handful of projects, Teamwork's free plan covers 5 projects and 5 users (October 2026) and costs nothing. We will tell you that on the first call rather than sell you a service you do not need.
Who Should Read This Comparison
Agencies Currently on Teamwork Basics
Basics lists billable time tracking and unlimited templates at $9.99 per user a month (October 2026). Invoicing from logged time is not part of it, so the billing step still happens by hand somewhere else.
Firms that need workload planning without a big per-seat bill
Workload planning and time budgets sit on Accelerate, at $24.99 per user a month with a five user minimum (October 2026). With us, utilization reporting is part of the monthly service.
Companies Already Running Zoho CRM or Books
When the deal and the invoice already live in Zoho, a project tool that sits beside them saves a re-keying step on every job.
Choose Teamwork if
- You are five people or fewer and the free plan fits
- You want a tool built for client work from the start
- Someone on staff will build templates and run it
Choose Cascadia if
- Your pipeline and accounting already live in Zoho
- Hours need to become draft invoices
- You want approvals the system enforces
How a Move from Teamwork Runs
Moving off a tracker your team knows is mostly about not losing context, so the order matters more than the speed.
- 1
We Read Your Teamwork Account
We go through your projects, task lists, templates, and time entries to see what is used, what is stale, and where hours go missing.
- 2
We Map and Move the Data
Open projects with owners, due dates, descriptions, and logged time move across. We reconcile the Zoho result against Teamwork before anyone works in it.
- 3
We Build the Structure and the Billing Link
Phases, roles, blueprints, rates, and the Books mapping are built and tested on one live project, then the client portal opens once the internal side holds.
- 4
We Keep It Correct as You Change
After launch you get process changes made when you ask, new templates as new project types appear, a billing check each cycle, and a monthly summary of utilization, budget against actual, and overdue work.

Teamwork Alternative Questions
What Teamwork costs at each tier, what it leaves to you, and how a move works.
See Managed Zoho ProjectsStill have a question?
What does Teamwork cost?
Teamwork lists a Free plan, then Basics at $9.99 per user a month and Accelerate at $24.99, both billed annually. Optimize and Enterprise are by quote. Basics has a three user minimum and Accelerate has a five user minimum (October 2026).
What does Teamwork's free plan include?
It covers up to 5 users and 5 projects, with 100 MB of file storage, 100 automations, and 150 API requests a minute. Task, list, board, Gantt, and table views are included, and so is time logging. Teamwork's support page also shows it as having no client users (October 2026).
Which Teamwork plan do I need for invoicing?
Teamwork's pricing page puts invoicing from logged time on Accelerate. Its plan comparison lists basic invoicing there and advanced invoicing on Optimize and Enterprise. Basics adds billable time tracking, but invoicing is not part of it (October 2026).
Does Teamwork have workload planning?
Yes, from Accelerate, which lists workload and capacity planning plus time budgets and retainers. Optimize adds resource scheduling by role or skill. Capacity reports are therefore a paid-tier feature rather than something the entry plans give you (October 2026).
Can clients log in to Teamwork?
Teamwork's plan comparison lists unlimited client users from Basics upward and none on Free. Collaborators are listed on every plan. Its client users page says clients can comment on tasks, add tasks, and log time, with access tailored to each client's involvement (October 2026).
What support does Teamwork include?
Its plan comparison shows live chat and email from Basics up. Enterprise adds premium support and a dedicated success manager, plus 10 hours of technical services. The Free plan shows no support line, though free expert training is listed for all plans (October 2026).
Is Cascadia a straight swap for Teamwork?
Not quite. Teamwork is software you buy and configure yourself. Managed Zoho Projects is Zoho Projects built around your delivery process by us, then kept correct monthly. Plans start at $250 a month, and your Zoho license is billed separately by Zoho.
What would we lose leaving Teamwork?
A free plan that costs nothing for a very small team, and a product designed from the start for client work (October 2026). You gain a setup someone else maintains and a direct link to Zoho CRM and Books.
Which type of company is Zoho Projects best for?
Teams delivering repeatable client or internal work where time, budget, and handoffs matter. Agencies billing hourly, contractors running multi phase jobs, and product teams tracking issues all get real use from it. The strongest fit already runs Zoho CRM or Books.
Can you migrate us from Teamwork?
Yes. We bring across open projects with owners, due dates, descriptions, and attachments, plus logged time where it matters, then reconcile the Zoho result against your Teamwork source before anyone works in it. A task list that lost its context creates more work than it saved.
How does time tracking work in Zoho Projects?
Time logs against tasks through timers or manual entry, is marked billable or not, and carries a rate set by user, role, or project. Managers can approve hours before they count. Budgets track against hours or cost, so a fixed fee project shows trouble early.
Can Zoho Projects invoice clients?
Not on its own, but it feeds the system that does. We connect Projects to Zoho Books so approved billable time and project expenses become draft invoices with the client and rates attached. You review and send instead of rebuilding the month from timesheets.
Does Zoho Projects connect to Zoho CRM?
Yes. We set it up so a won deal creates a project from the right template, with the client, contacts, and agreed scope attached. Delivery starts from what was sold, and sales can see progress without interrupting the project team.
What are blueprints in Zoho Projects?
A blueprint defines how a task moves through its stages and what must happen at each step. You can require a field, force an approval, or assign the next owner before it advances. We build them for the processes you repeat.
How long does implementation take?
Most clients are running live work in Zoho Projects within three to four weeks. The first week or two covers structure, templates, roles, and migration. Automation, timesheet and billing setup, and integrations follow while your team already uses the system. Changes you request later are answered within two business days.
