Fillout alternative

Looking For A Fillout Alternative? We Run It Instead

Forms are how most of your work starts, and they are usually the least managed thing you own. Managed Zoho Forms puts the building, the logic, the integrations, and the reporting in one place we run for you. We design the forms, route every submission into CRM and the systems behind it, block the spam, and fix the connections before a week of leads goes missing.

With Cascadia you get

We build the forms
Submissions reach the right system
Spam gets handled, not tolerated
One place, one owner
Your account, your data
Integrations get monitored

The short version

Where a managed service beats running Fillout alone

Does the notification reach a person who will act on it, or a shared inbox nobody watches. Did the campaign parameters survive, so you can say which spend produced the lead.

What changes once we run it

Does the form still submit on a phone after the last theme change. And is the field count as short as it can be, because every extra question costs completions and most are asked out of habit.

Your account, your data

Nothing sits behind an agency account, so there is no export to negotiate and no leverage held over you. If you bring this back in house, it is already yours.

Integrations get monitored

We check the connections that carry your submissions outward, to CRM, to Slack, to Sheets, to whatever else, and we fix them before the gap turns into lost revenue.

We build the forms

You do not need to learn a form builder or argue with a layout on a Friday afternoon. Tell us what you need to collect and from whom, and we build it, test it, and put it live. The fiddly parts, logic and validation and formatting, get done by people who do it daily.

Submissions reach the right system

An entry that sits in a list is not much better than a voicemail.

Who this comparison is for

Operations teams running approvals

Requests, time off, purchases, and change orders all follow the same pattern, and all of them stall in somebody’s inbox.

Field crews collecting data on site

Inspections, deliveries, and site visits happen where signal is unreliable and hands are full.

Companies capturing leads from paid ads

When Facebook, Google, and Instagram all point at the same form, attribution lives or dies on hidden fields nobody set up.

How our managed Zoho Forms service works

Whether you are starting with one form or untangling twenty that different people built, the sequence is the same. We find out what exists, rebuild what should stay, then run it.

  1. 1

    We assess your current setup

First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.

  2. 2

    We inventory what is live

We start by finding every form connected to your business, including the campaign page from two years ago and the one embedded in a PDF somebody emailed.

  3. 3

    We rebuild and connect

We rebuild the forms worth keeping with proper logic, validation, and spam protection, then wire each one into CRM and whatever else needs the data.

  4. 4

We run it and keep it working

From there you send us changes and we make them, usually within two business days.

How Fillout works

What Fillout does, in their own words

Fillout is a hosted form builder that cut its prices during 2026. The figures below were read in September 2026, and older reviews still quote the previous structure.

Free plan, 1,000 responses a month (September 2026)Unlimited forms and seats, with conditional logic, payments, file uploads and PDF generation included. Fillout branding shows on forms.
Starter, $15 a month (September 2026)Around 2,000 responses, all question types, custom themes and scheduling.
Pro, $40 a month (September 2026)Around 5,000 responses, and the tier where their branding is removed.
Business, $75 a month (September 2026)Higher or unlimited response volume plus analytics and a custom domain, with Enterprise quoted above it.
Prices came down from $19, $49 and $89Reviews published earlier in 2026 still quote the old ladder, so check the date on any comparison you read.
Response counts differ between sourcesListings disagree on the exact allowance per tier, so confirm the limit for the plan you are considering rather than trusting a table.

Fillout alternative questions

Straight answers about switching, pricing, and what moves with you.
Is Cascadia a straight swap for Fillout?
Not quite, because we build and run your forms for you inside your own Zoho account. Nothing sits behind an agency account, so there is no export to negotiate and no leverage held over you. If you bring this back in house, it is already yours.
Yes. Gravity Forms, Contact Form 7, WPForms, and older plugins all get rebuilt in Zoho Forms and embedded back into the same pages, so your visitors see no difference. The gain is that submissions stop landing in a shared inbox and start creating CRM records with the campaign data attached. We keep the old form running until the new one is proven.
Public forms attract bots within days of going live. We configure CAPTCHA, honeypot fields, submission rate limits, and validation rules tuned so real people are not blocked. Then we watch what still gets through and tighten the rules. Where a form is a frequent target, we can put it behind an access restriction or require email verification before an entry counts.
Yes. Zoho Forms connects to Stripe, PayPal, Razorpay, and 2Checkout depending on your plan and region. We set up the payment fields on registration, order, and deposit forms, configure fixed or conditional amounts, connect the gateway, and test the full path from submission to receipt, so the first real payment is not also the first test.
Yes. Submissions that need a decision get routed to the right approver automatically, with reminders when they sit too long. Approvers respond from email or the mobile app, every decision is recorded with a timestamp, and the entry moves to the next stage or into CRM without anybody chasing it. Multi stage approvals with a different approver per stage are supported.
Yes. We connect forms to Slack, Google Sheets, Mailchimp, and most other tools through Zapier or a direct webhook, and we build the payload so the receiving system gets usable data rather than a wall of field IDs. We also monitor those connections, because a silent integration failure can cost a week of submissions before anybody notices.
Zoho Forms supports encryption at the field level, and HIPAA compliance features on the plans that include them. We enable field encryption for the data that needs it, configure consent capture and retention rules for GDPR, restrict who can view or export submissions, and document what is stored where. Signing a business associate agreement with Zoho is a step you take directly.
Yes. We add hidden fields that capture the UTM parameters, the referring page, and the ad platform that sent the visitor, and we carry those values through to the CRM record. Once that is in place you can report closed revenue against the campaign that generated it, instead of estimating which channel is working.
If Zoho Forms is the only Zoho app you use, the standalone plan is fine. Most companies collecting form data are also running CRM, Desk, or Campaigns, and at three or four apps the Zoho One license usually costs less than those subscriptions stacked separately. We will tell you which side of that line you are on rather than guessing.
You do. Every form, every submission, and the Zoho subscription itself sit in your organization account under your company name. We work inside your account rather than holding your data in ours. If you stop working with us, nothing needs to be exported or handed back, and we document how everything is wired so any provider can pick it up.
Most changes, such as a new field, a wording edit, a routing change, or a new notification rule, are done within two business days. A new form build or a new integration takes longer because it gets tested before it goes live. Anything that will take longer than a few days, we tell you up front.
