Pleo alternative

Pleo Alternative Without the Card Programme

Pleo bundles expense with its own cards, vendor cards, and payment tools, priced per user from £8 on Start to £18 on Optimise, with FX and reimbursement fees on top. That is a spend platform, and it suits companies that want the cards too. Managed Zoho Expense is narrower: your own cards, a Zoho Books ledger, and our team writing the rules and matching charges.

With Cascadia you get

  • Works with the cards you already hold
  • No payment or FX fee schedule
  • Posts into Zoho Books
  • Policy and approvals written for you
  • Card lines matched monthly
  • Your account, your content

What You Avoid by Staying Narrow

A spend platform earns its money in many places. Expense reports should earn it in one.

No Fee Table to Read

Pleo lists a payment fee of £1.50 on Start, an international payment fee of £8 or £6, and a card FX fee between 1.49% and 2.00% (October 2026). Our fee is one monthly plan with no per transaction schedule.

Reimbursements Without a Percentage

Direct reimbursement through Pleo carries a 0.90% fee on Build and Optimise and is not included on Start (October 2026). Reimbursement stays inside your own payroll or bank process with us.

Keep Your Own Banking

Pleo credit limits, sub-accounts, and cash position tools come with its cards. We connect the card feed you already have, so you move no money.

One Ledger, No Bridge

Entries post from Zoho Expense to Zoho Books, with account and tax mapping we build and test.

Who Should Read This Comparison

Teams on Pleo Start

Start is £8 a user with one admin at most and monthly billing only. Build costs £14, bills yearly, and needs three users, so the step up is real.

Companies Not Using the Cards

If you pay Pleo mainly for the expense workflow, the vendor cards, credit limits, and cashback features are cost with no return for your business.

Teams Outside Europe

Pleo says it is trusted by companies across Europe and prices in pounds on its UK page. A US company may find the fit and support hours awkward.

Choose Pleo if

  • You want expense and company cards from one vendor
  • You pay suppliers through the platform
  • A small team fits the £8 Start tier

Choose Cascadia if

  • You keep your existing cards and bank
  • Your books are in Zoho Books
  • You want rules and matching handled for you

How a Move from Pleo Runs

  1. 1

Decide What Happens to the Cards

First we settle whether Pleo cards stay, move to your bank, or get replaced. We do not issue cards, so this is your call.

  2. 2

Rebuild the Rules in Zoho Expense

Categories, limits, and approval chains are rebuilt. The card feed from your bank or card provider is connected.

  3. 3

Test a Month into Zoho Books

A sample month posts to Books and is compared with your last Pleo export, so mapping gaps appear before launch.

  4. 4

    Switch at a Boundary

Staff move to the Zoho Expense app at a month end, Pleo is wound down on your schedule, and we review the first two cycles.

What Pleo costs once its fees are counted, and how a move to Zoho Expense works.

Still have a question?

What does Pleo cost per user?

The UK page lists Start at £8, Build at £14, and Optimise at £18 per user a month. Start bills monthly, and the other two bill yearly. Build and Optimise need at least three users (October 2026).

What are the limits on Pleo Start?

Start has one included user, a maximum of one admin, one vendor card, and one transfer rule. It has no sub-accounts or cash position and no direct reimbursement (October 2026).

What extra fees does Pleo list?

Local payments are £1.50 on Start, with ten free a month on Build and twenty on Optimise, then £0.95. International payments are £8 on Start and £6 on the others. ATM withdrawals are £5 on Start (October 2026).

What is Pleo's foreign exchange fee?

Card and invoice FX is 2.00% on Start, 1.75% on Build, and 1.49% on Optimise. A company paying suppliers in several currencies should price that against its annual volume (October 2026).

Does Pleo charge to reimburse employees?

Direct reimbursement carries a 0.90% fee on Build and Optimise, and is not included on Start (October 2026).

What support does Pleo include?

The help center and email support are on every plan. Live chat is listed on Optimise only (October 2026).

Which accounting systems does Pleo connect to?

The integrations page showed Xero, NetSuite, QuickBooks, FreeAgent, XLedger, and Twinfield, with a Show more button. Zoho Books did not appear in the visible list, so confirm before you plan around it (October 2026).

Is there a Pleo free trial?

The pricing page offers Try for free on Start and Build without stating how long the trial lasts (October 2026).

Where does Pleo beat Managed Zoho Expense?

It issues cards, sets credit limits, handles payments and sub-accounts, and prices a small team at £8 a head. If you want expense and a company card program from one vendor, we do not compete on that.

Does Pleo work outside Europe?

Its page says it is trusted by 40,000+ companies across Europe and displays prices in pounds for the United Kingdom. It does not list countries on the pricing page, so check your location before you commit (October 2026).

How does Zoho Expense reach Zoho Books?

Each approved expense becomes a Books entry on the account its category points to. Pleo reaches an accounting system through its own integrations, so we line up a trial month against your last Pleo export. Tax, reimbursement entries, and monthly checks follow.

Can you keep our Pleo cards?

We can connect a card feed to Zoho Expense when your provider supports it. We do not run Pleo cards for you, so an unwind of the card program is your decision and your bank's.

What does your plan cost compared with Pleo?

Plans start at $250 a month plus your Zoho license, priced by hours of Zoho work. For a team of five on Pleo Build that is about £70 a month, so Pleo is cheaper at that size. The gap closes as policy and card work grow.

What will Cascadia not do for a Pleo shop?

We do not issue or manage cards, and we do not move money. We configure Zoho Expense and its link to Zoho Books and stop there.

When should a team stay on Pleo?

When the cards and payment tools are why you chose it, you are in a country it serves, and the fee table works out small for your volumes. In that case the per user price is a fair buy.
