Kayako alternative

A Kayako Alternative with the Price on the Page

Kayako sells a help desk called Kayako One and an AI agent called Kay, and it asks you to book a strategy session before it names a number. Managed Zoho Desk is the plainer route. We publish our monthly plan, build the queue, SLAs, and help center in a Zoho account that belongs to you, and read your support data every month so the rules keep earning their place.

With Cascadia you get

  • A published monthly plan
  • No sales call to get a number
  • SLAs set against real hours
  • Help center built with the desk
  • Your account, your configuration
  • Context from the rest of Zoho

Where Our Team Picks up the Slack

Quote-based software is fine until you try to compare it. Here is what a plain plan changes.

You Can Compare Before You Call

Kayako directs buyers to a strategy session for pricing (October 2026). With us the plan is published, so your finance person can check the figure without booking a meeting.

AI That Does Not Bill per Ticket

Kay charges $1 for each fully resolved ticket and nothing for escalations (October 2026). That is fair on its face, but it makes the AI line grow as it succeeds. Zia in Desk is tuned inside our plan.

We Keep Working After the Rollout

Kayako describes a phased rollout of triage, answers, and learning. We take the same idea further and review your ticket data every month, retiring noisy rules and chasing slipping targets.

Plain Talk About Where Kayako Wins

If you want implementation engineers and prompt specialists training an AI on your tickets, Kayako's white-glove model is strong. We do not run that kind of AI program, and we will say so.

Who Should Read This Comparison

Buyers Who Dislike Pricing by Appointment

You want a number to put in a budget. A published plan and a Zoho license at Zoho's own rate give you one.

Teams with a Kayako Desk Nobody Maintains

Rules pile up, views multiply, and agents build their own filters. A monthly review prunes it.

Companies Already Standardizing on Zoho

Your CRM, invoices, and projects sit in Zoho. Tickets that see them need no connector work or middleware.

Choose Kayako if

  • You want Kayako's engineers to train an AI on your tickets
  • Paying $1 per resolved ticket suits your volume
  • A quote-based sales process does not bother you

Choose Cascadia if

  • You want a published price and no strategy session
  • You already run CRM and books on Zoho
  • You want someone reviewing the desk every month

How a Move from Kayako Runs

  1. 1

    Audit the Current Desk

We list Kayako's views, rules, macros, and help center articles, and mark each as keep, rewrite, or retire.

  2. 2

    Design the Desk Portal

Departments, SLA targets, ticket fields, and templates are mapped and approved by you before any data moves.

  3. 3

    Import and Parallel Run

Open tickets come first, then history. Kayako stays reachable while agents get used to Desk.

  4. 4

    Cut Over and Review

Once a full month runs clean, you close Kayako. We then review response times and reopens every month.

How Kayako Works

Kayako One and the Kay AI Agent

Kayako sells a help desk and an AI agent, and its site is selective about prices. Everything below was read from its own pages in October 2026.

Kay costs $1 per resolved ticket (October 2026)The page states no seat fees and no setup fees. A ticket counts only when Kay resolves it without a person, and escalations are not charged.
Kayako One has no listed price (October 2026)Pricing is handled through a strategy session, which the site describes as a sales call to review metrics and plan the rollout.
The desk covers the usual ground (October 2026)An omnichannel inbox for email, live chat, social, and voice, no-code workflow automation, a knowledge base with semantic search, SLA management, and analytics.
Security claims are specific (October 2026)SOC 2 Type II, GDPR, SSO and SAML, role-based access, and audit logs are listed.
Rollouts are hands-on (October 2026)The site describes implementation engineers, prompt experts, and a dedicated success manager, with Kay trained on your tickets before launch.
Kay can sit on other desks (October 2026)It is shown working over Zendesk, Freshdesk, Intercom, or Salesforce with no migration required.

Kayako Alternative Questions

Pricing, AI, rollout, and how a move from Kayako works.

See Managed Zoho Desk

Still have a question?

What does Kayako One cost?

Kayako does not publish a price. Its pricing page points to a strategy session with a pricing expert, and it says nothing on seats, usage caps, trial, or contract terms (October 2026). Ask for a written quote with the contract length before comparing.

How is the Kay AI agent billed?

At $1 per resolved ticket, with no seat or setup fees. A resolution means Kay solved the issue without a person, by action or by an answer the customer confirmed, and escalations and simple deflections are not charged (October 2026).

What is the difference between Kayako One and Kay?

Kayako One is the help desk. Kay is the AI agent that reads tickets, drafts replies, and takes actions such as refunds and password resets. Kay can also run on top of another desk, so you can buy it without moving (October 2026).

Does Kayako have a free trial?

Its pricing page offers a request-a-demo link and no self-serve trial (October 2026). We can run Desk beside your Kayako queue on real tickets, so you judge it on your own work.

What does Kayako say about security?

The home page lists SOC 2 Type II, GDPR, SSO and SAML, role-based access, and audit logs (October 2026). If those are hard requirements, ask Kayako for the current report. Zoho Desk publishes its own security documentation, and we help your admins configure roles.

How does Kayako describe its rollout?

As three phases: AI triage to classify and route, AI answers to draft replies, and continuous learning that escalates edge cases and learns from human resolutions. It claims most teams are live in days and 80 percent of repetitive tickets automated within 90 days (October 2026). Those are vendor claims.

Where does Kayako beat us?

On guided AI deployment. Its implementation engineers train Kay on your tickets before launch, and a dedicated success manager is part of the pitch. We set up Zia and tune it, but we do not run a bespoke AI training program.

Can you migrate us off Kayako?

Yes. We export tickets, customers, and help center articles, then rebuild views, rules, and templates in Zoho Desk after reviewing each with your team. Migration has no setup fee.

What does your plan cost?

Plans start at $250 a month, published, and do not change with ticket count. Your Zoho Desk license is billed by Zoho and sits outside our fee.

Will our help center articles move?

Yes. We copy them across, fix links and categories, and use your most-asked ticket topics to decide which new articles to write first. The aim is that customers answer themselves before they open a ticket.

What about our Kayako integrations?

We list every connected tool, check whether Desk has a native connection, and build the rest through its API or extensions. The list is agreed before cutover, so nothing disappears quietly.

Does the desk go offline during the move?

No. Kayako stays reachable until Desk has run a full month of live tickets. Open conversations move first so customers do not repeat themselves.

Who owns the account afterward?

You do. The Zoho account is registered to your company, and the tickets, rules, and articles stay yours if we part ways. Cancel any time, and the service runs to the last business day of that month.

How fast do you answer support questions?

Within two business days, on your published monthly plan. Anything that breaks live support is handled sooner by agreement at setup.

When should a team stay on Kayako?

When you want an AI agent trained on your history by Kayako's own engineers, and you are comfortable with a quote-based price. Then its white-glove rollout is the point, and our plan would not replace it.
