An AppSheet Alternative That Outgrows the Spreadsheet

AppSheet is a fast way to put a spreadsheet on a phone. When the spreadsheet is the weak point, a managed Zoho Creator build is the stronger answer. We design a proper data model, build forms and workflows, set up mobile and offline capture, and connect it to Zoho CRM and Books, then keep it current, inside a Zoho account your company owns.

With Cascadia you get

  • A real database, not a sheet
  • Field capture tested offline
  • Logic written and documented
  • Connected to CRM, Books, and Desk
  • Row limits designed around
  • Your account, your apps

Where We Add Value After the Prototype

AppSheet is excellent at the first version. The second year is where apps built on a spreadsheet start to strain.

Row Limits Stop Being a Ceiling

AppSheet lists 2,500 rows per database on Starter and Core, and 200,000 on Enterprise Plus (October 2026). Creator does not use a spreadsheet as its store, and we design the model around your real volumes.

A Fair Word When AppSheet Wins

If your team already lives in Google Workspace, AppSheet Core is included in most paid Workspace plans (October 2026). For simple apps over Sheets, that is hard to beat on cost.

Logic Gets Written Down

Expressions scattered across columns are hard to audit. We use workflow rules and Deluge scripts and keep notes on what each one does.

Public Apps Need a Different Plan

Apps without sign-in need Publisher Pro at $50 a month per app (October 2026). Creator portals have their own login and permissions, which we configure.

Who Should Read This Comparison

Teams Running an App on a Sheet

It worked at 50 rows. At several thousand rows, with five editors, the spreadsheet needs a real database behind it, and an app that can keep up.

Field Crews and Inspectors

Photos, signatures, barcodes, and offline sync matter more than a pretty form. These crews need an app that has been tested, not one that is hopeful.

Zoho CRM and Books Users

Customer records should flow to the app and back. Creator connects to both of them directly, without a spreadsheet sitting in the middle of the flow.

Choose AppSheet if

  • Your data lives happily in Google Sheets
  • AppSheet Core is already in your Workspace plan
  • Your apps are simple and a staffer can maintain them

Choose Cascadia if

  • Your sheet is straining under volume or editors
  • You want a builder on the account
  • Records should link to Zoho CRM and Books

How a Move from AppSheet Runs

  1. 1

    List What Each App Does

You show us the apps, the sheets behind them, and who uses them. We note the actions and automations that matter.

  2. 2

    Build the Data Model

Spreadsheets and AppSheet databases become Creator forms with relationships. You approve the model first.

  3. 3

    Rebuild Screens and Logic

Forms, views, and actions are rebuilt with workflow rules and Deluge scripts, then tested in a separate environment.

  4. 4

Move Users and Close the Old App

Crews switch with the mobile app installed. Once nobody opens the old app, you cancel the AppSheet seats.

How AppSheet Works

AppSheet Plans and Limits

AppSheet bills by active signed-in user and ties limits to the plan. Every figure below was read from their own pricing page in October 2026.

Building and testing is free for up to 10 users (October 2026)They say you can use the app editor and process designer at no cost and invite up to 10 test users.
Starter is $5 per user a month (October 2026)Basic app and automation features, spreadsheet and cloud storage connectors, and the AppSheet database. It allows 5 databases at 2,500 rows each.
Core is $10 per user a month (October 2026)Adds advanced automation, application security controls, and email support. It is included in most paid Google Workspace plans.
Enterprise Plus is $20 per user a month (October 2026)Adds cloud database and API connectors, governance controls, machine learning modeling, and priority support. It allows 200 databases of 200,000 rows each.
Publisher Pro is $50 a month per app (October 2026)For public apps with no sign-in, usable by an unlimited number of users. It leaves out user sign-in and security filters.
Users are counted by sign-in or by deviceSigned-in users are counted as unique individuals across your apps. Guest users are usually counted by device (October 2026).

Still have a question?

How much does AppSheet cost per user?

Starter is $5 per user a month, Core is $10, and Enterprise Plus is $20 (October 2026). Billing is monthly or annual depending on the plan. Core is included in most paid Google Workspace plans.

Can I build for free on AppSheet?

Yes. Their page says you can use the app editor and process designer at no cost, and invite up to 10 test users, for as long as you like during the prototype phase (October 2026). You pay when you deploy to the wider team.

How does AppSheet count users?

Signed-in users are unique individuals across all your apps. Guest users, who are not signed in, are usually counted by device, so one person on two devices can count twice (October 2026). Licenses must match the count.

What are the AppSheet database limits?

Starter allows 5 databases with 2,500 rows each. Core allows 10 databases at 2,500 rows. Enterprise Plus allows 200 databases of 200,000 rows each (October 2026). Larger sets belong in an outside database.

What is AppSheet Publisher Pro?

It is the plan for public apps that need no sign-in, at $50 a month per app, with unlimited users (October 2026). It includes Core features but not user sign-in or security filters, so it is not for sensitive data.

What support does AppSheet include?

Their feature list shows the community and help articles for all plans, email support from Core, and priority support on Enterprise Plus (October 2026). Response times are not stated on the page.

Does AppSheet work offline?

Yes, apps can run offline with background sync, and the feature appears in the basic list (October 2026). Whether your own app behaves well offline depends on how it was built, and we test that on real devices.

Can AppSheet connect to databases and APIs?

Enterprise Plus lists cloud databases, APIs, SaaS services, and enterprise data services, with OpenAPI, BigQuery, and OData among the features (October 2026). Starter and Core are limited to spreadsheets and file storage providers.

Can you move an AppSheet app to Zoho Creator?

Yes. We read the data sources and actions, build a Creator data model, rebuild forms and logic, and test on devices before cutover. There is no setup charge, and the migration is covered monthly.

What do we lose by leaving AppSheet?

A very quick prototype loop, a cheap per-user price, and tight Google Workspace links. In return you get a database that is not a spreadsheet, workflows that are documented, and someone to change them. For simple apps, that is not worth it.

How do Zoho Creator and AppSheet differ on logic?

AppSheet uses expressions and automation bots. Creator uses workflow rules plus Deluge, Zoho's scripting language, for custom functions. Our work is writing and documenting that logic so it is not a mystery after a staff change.

What will Managed Zoho Creator cost?

Pricing is one published monthly plan, from $250 a month, by hours of Zoho work, with nothing counted per user. Zoho bills Creator licenses separately. For a handful of users on AppSheet Core, our plan will cost more.

Will our Google Sheets data still be usable?

Yes. We import it into Creator forms and clean it on the way. If you want a sheet to remain a reporting source, we can connect it, though one source of truth is safer.

Who owns the app after the move?

Your company does. Your business is the named owner in Zoho, the Creator apps live in your account, and the data is yours. Your team signs in to Zoho directly, not through us.

When should we stay on AppSheet?

When your app is small, your data is tidy in Sheets, and a staffer enjoys maintaining it. Also when Core is already in your Workspace plan. A managed build would be paying for a problem you do not have.
