Switching From SMS-Magic To A Team That Runs It

Two-way conversation that stays inside Zoho. Replies land on the record, and nothing about your customers leaves your own Zoho account: no vendor dashboard, no copy of your data, no phone home. Send one message or send to a whole list, and every reply lands back on the record in SMS History.

What makes it different

Nothing phones home
Two way, not one way
Your Twilio, your rates
Personalized at any volume
Every number, not just one
History follows the record

The short version

Where a managed service beats running SMS-Magic alone

Most texting tools for Zoho work the same way. You install a connector, and your customer data starts flowing out to somebody else’s platform so their application can send the message and hold the thread.

What our team takes on

Portal updates only reach the people who log in to read them, and the usual way to reach everybody else hands your contacts to an outside platform first. This extension inverts that arrangement: the message goes out of Zoho Projects, the reply lands back on the record in SMS History, and nothing is ever sent to us.

Every number, not just one

Records rarely hold a single phone number. The extension detects every phone field on a contact or account, including custom ones, and lets you choose which to text.

History follows the record

Messages are stored against the contact or account rather than against a single project.

Nothing phones home

We hold no copy and run no dashboard on our side. There is nothing for us to lose in a breach and nothing for you to ask us to delete, because we were never holding it.

Two way, not one way

Portal updates only reach the people who log in to read them. This one captures the reply.

Who this comparison is for

Managers chasing the approval that gates a task

Text them from the account you already have open. The reply comes back onto that record, so whoever opens the project next can see when it was asked and what was said.

Agencies confirming dates before a milestone slips

When a milestone moves, every client contact on that account needs telling the same morning. Compose once, select the records, and dynamic fields write each message from the account itself.

Teams that have to document where client data goes

Their contact details stay in your Zoho Projects deployment and your own Twilio account carries the message. Nobody in between keeps a copy, which is one line in a vendor assessment rather than a week of questions.

How the Zoho Projects SMS integration works

Four steps, and none of them involve standing anything up. You install the extension from the Zoho Marketplace, connect your Twilio credentials, and start texting from a record.

  1. 1

    We assess your current setup

First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.

  2. 2

    Install from the Zoho Marketplace

Find the extension on the Zoho Marketplace and install it into your organization the same way you would any other.

  3. 3

    Connect your own Twilio account

Different teams or brands can send from different numbers, so replies reach whoever should be handling them.

  4. 4

Text a record and watch the reply land

Open a contact or account, pick a number, and send. Use a saved template if it is a message you send often, and dynamic fields fill in the details from the record.

The difference that matters

No second account, no second system

Both options give you two-way texting on your Zoho Projects records, and on paper the feature lists look similar. The difference is architectural. SMS-Magic is a messaging platform you sign up for, and your conversations run through it. Ours is built in Deluge and runs inside your own Zoho account against your own Twilio credentials, so there is no SMS-Magic account to hold, no vendor dashboard to log into, and no copy of your customer data anywhere but Zoho.

If your objection to texting from Zoho Projects has ever been “who else ends up holding this data”, that is the question this answers.

How SMS-Magic works

What SMS-Magic does, in their own words

SMS-Magic is a messaging platform from Screen-Magic that plugs into Zoho through the Marketplace. Here is what their own documentation says it does.

It runs on an SMS-Magic accountTheir documentation covers signing up for SMS-Magic, adding users to an existing SMS-Magic account and IP whitelisting, so messaging is carried by their platform alongside your Zoho account.
Two-way SMS and MMSConversations run from the Leads, Contacts, Accounts and Deals modules, with replies threaded on the record.
You bring the carrierBring Your Own Number and Bring Your Own Provider are supported, including Twilio, Vonage and Sinch.
Templates with placeholdersPredefined templates merge record fields, and can be sent one to one or in bulk with image, video or PDF attachments.
More channels than SMSWhatsApp and Facebook messaging are offered alongside SMS and MMS, plus a separate SMS-Magic mobile app.
Automation through workflowsMessages can be triggered from Zoho workflows, with auto-responses and scheduling.

SMS-Magic alternative questions

Straight answers about switching, pricing, and what moves with you.
We already use SMS-Magic. What changes here?
What changes is that texting becomes a two way channel. Portal updates only reach the people who log in to read them. This one captures the reply.
No. The extension is built in Deluge and runs inside your own Zoho account, using your own Twilio credentials. Message content stays in your SMS History module, and we have no access to it.
Yes. Dynamic text pulls values straight out of Zoho Projects and drops them into the message body when it is sent. Contact name, project reference, or any other field on the record can be used. That means an update going out to fifty client contacts still reads as though it was written for each one individually.
Yes. Templates let you save the messages you send most often and pick one instead of typing it again. Templates work alongside dynamic fields, so a saved message still fills in each recipient’s own details at send time. It removes most of the retyping from routine work like status updates and approval chasing.
The extension detects every phone field on the record rather than assuming a single default. If a contact has ten numbers on file, all of them are available and you choose which ones to text. That matters for records where the mobile number sits in a custom field rather than the standard one.
Yes. Compose the message now and set the date and time it should go out. The send happens at the moment you chose rather than the moment you were at your desk, which is useful for time zones, business hours, and anything that needs to land the morning before a deadline or a site visit.
Through the Zoho Marketplace, the same way as any other Zoho extension. Install it into your organization, connect your Twilio credentials in the setup screen, and you can send your first message from a record right away. There is nothing to host, no server to stand up, and no package to install anywhere else.
Yes. The Zoho Marketplace listing offers a ten day free trial so you can install it, connect your Twilio account, and send real messages before committing to anything. Trials cannot be extended, so it is worth having your Twilio credentials ready before you start the clock on it.
It is a Zoho Projects extension that lets you text your contacts and accounts using your own Twilio account. You can search for one client contact and send a single message, or select a group and send to all of them at once. Replies come back into the SMS History module against the record they belong to, so the whole conversation stays readable inside Zoho Projects.
Portal notifications only work when somebody logs in, and a client who replies by email lands somewhere nobody is watching. This extension sends a text and captures the reply against the record, and it lets you message a whole group at once rather than one person at a time. That makes SMS a channel a client can actually answer.
Yes. You connect your own Twilio account and use your own numbers, so carrier charges are billed to you directly at Twilio rates rather than resold through us with a margin on top. It also means your message records sit in your Twilio console under your name, and you can change providers or numbers whenever you want.
