Zoho CRM SMS: How to Text Leads and Contacts from a Record

What Zoho CRM SMS Covers and Which Route to Pick

You add two-way texting to Zoho CRM with an extension from the Zoho Marketplace. The real choice is between Zoho's own SMS add-on, which runs on Zoho Voice numbers, and an extension that sends through a Twilio account you own. This is for admins and sales leads who want a text to go out from a Lead or Contact and the reply to land back on the same record.

Two Common Ways to Text from Zoho CRM

The first route is Zoho's own listing, SMS for Zoho CRM by Zoho Voice. The second is a bring-your-own-account extension, where you hold a Twilio account and the extension handles the CRM side. A third group of tools sends through their own platform and syncs messages back into Zoho, which usually means a second vendor holds a copy of your contact list.

All three can send a text. They differ in who owns the phone numbers, who bills you for the messages, and where the conversation history lives afterward. Those three answers matter more than the feature list, because they decide what happens if you ever switch.

Four questions sort the options quickly. Where do the phone numbers live, and do you keep them if you leave? Who bills for the messages, and is there a markup you cannot see? Does a reply come back onto the Lead or Contact, or into a separate inbox your team has to check? And does the price rise with each person you add? Write the answers down for each candidate before comparing features, since a feature gap is easy to work around and a numbers or data problem is not.

What Zoho's Own Add-On Offers

According to its Marketplace listing, SMS for Zoho CRM by Zoho Voice is published by Zoho Corporation and priced as free, with messages charged by usage. Local two-way SMS is available in the United States and Canada only, and international outbound SMS reaches more than 100 countries, per the same listing.

Zoho's Zoho Voice texting page also states that SMS and MMS are activated only for 10DLC registered business numbers, so carrier registration applies on this route too (both pages checked October 2026). If your team already uses Zoho Voice for calls and wants texting under the same account, this is the natural starting point.

When Your Own Twilio Account Is the Better Fit

The Twilio SMS extension for Zoho CRM works differently. It is written in Deluge, Zoho's scripting language, and runs inside your own Zoho CRM organization. You enter your Twilio Account SID, Auth Token, and number, so the numbers belong to you and Twilio bills you directly at its published rates. We never resell messaging. The extension itself is priced per organization, not per user, and billed through the Marketplace, so adding another person who needs to text does not change the price.

That arrangement suits teams that already have a Twilio account, want to keep their numbers if they ever leave, work under data rules that discourage copies of customer lists on outside platforms, or have an admin who wants to read the script that sends the messages. What a CRM Texting Extension Does Not Do

Be clear about the boundary before you buy, because most disappointment with SMS add-ons comes from expecting a different kind of product. This kind of extension sends one-to-one and bulk messages from CRM records, logs them, and logs replies. It is not a campaign platform. There are no drip sequences, no landing pages, and no attribution reports. It also sends no alert when a reply arrives unless you build one.

If long-running nurture campaigns with branching logic are what you need, look at a marketing tool instead. If the goal is a rep texting a warm lead within minutes and the conversation staying on the record, an extension is the right size. Sending, Receiving, and Fixing Delivery in Zoho CRM

Setup is short. Almost everything that goes wrong afterward traces to one of four things: the wrong Zoho organization, a badly formatted number, unfinished carrier registration, or a Twilio balance that ran out.

Install into the Right Organization and Connect Twilio

Install from the Zoho Marketplace as an administrator, so the extension can create the fields, modules, and related lists it needs. Check the organization name before confirming, because installing into a sandbox or a personal developer org is the most common false start. The extension then works perfectly on records nobody else can see.

Then enter your Twilio Account SID, Auth Token, and the number you want to send from. A fresh install has these blank, since no Twilio credentials are preloaded. The number has to be SMS-enabled and registered where your destination country requires it. Test with a colleague's mobile on a test Lead, and have them reply from the handset, so you confirm three things at once: the message left, the reply arrived, and the reply was written to the record.

Phone Fields and Number Format

CRM records rarely have one number. The extension looks at the Phone-type fields on the record, not only Mobile, and lets the sender pick which one to use. At least one Phone-type field needs a value or sending will not work.

Numbers should be in international format, for example +15555555555. The extension normalizes supported formats, and an invalid number produces a validation error on screen instead of failing silently. A frequent cause of messages that "send" but never arrive is an office landline sitting in a mobile field, since landlines and some VoIP numbers do not accept SMS.

Sending One, Many, or Later

For a single message, open a Lead, Contact, or Account and click Send SMS at the top right. For bulk, select records in the Leads or Contacts list, by hand or from a filtered view, and click Send SMS at the top. The composer lists the recipients under the message so you can check them before sending, and each recipient gets their own SMS History entry.

Templates live in a separate SMS Templates module, and both templates and one-off messages can carry CRM field placeholders. On a bulk send, placeholders are resolved for every recipient separately, so fifty people get fifty correct messages. Turn on Schedule Message to pick a date, time, and timezone. A scheduled message is written to SMS History as Pending, then flips to Sent when the processor picks it up, and the timing depends on your Zoho scheduler frequency.

Replies, Linking, and the Alert You Have to Build

When someone texts back, a new entry is created in SMS History. If the sender's number matches a Lead or Contact, the reply is linked to that record automatically, and also to the Account when the Contact belongs to one. That is the point of doing this inside the CRM: the next person who opens the record sees the whole thread.

There is no default notification for an inbound message. Build a workflow rule that emails someone, creates a task, or sends a Cliq message. This is the step most teams miss, and the symptom is replies sitting unread on the record for days. Wiring rules like this is ordinary Zoho automation work, and it sits on top of your Zoho CRM setup.

Register Before Your First Real Send

If you text United States numbers from an ordinary ten-digit local number, carriers expect an A2P 10DLC registration, a Brand that says who is sending and a Campaign that says what you send and how people opt in and out. Unregistered traffic gets filtered and can attract extra carrier fees. Toll-free numbers and short codes sit outside 10DLC with their own verification, so switching number type only changes which queue you stand in.

When a Text Shows Sent but Never Arrives

Work through these in order. First, the number: is the field empty, badly formatted, or a landline? Second, registration: messages that send but never deliver usually mean it is incomplete. Third, your Twilio balance, which is more common than anyone admits.

If those are clean, open the Twilio message logs and find the message. A status of delivered means sending is not the problem. A status of undelivered carries an error code that names the cause. Then check whether the person ever replied STOP, because opt-outs are honored upstream and silently drop everything afterward. If messages send but never appear on the record, compare the user profiles first, since the extension inherits Zoho permissions and a user who cannot edit a record cannot write history to it.
