Twilio SMS for Zoho Desk

Two-Way SMS Inside Zoho Desk

Your agents can text a contact or account from the Zoho Desk record already on screen, sending through a Twilio account you own. Message one customer or a selected group, and every reply is filed back on that record in SMS History.

In detail

What each part actually does

The extension is written in Deluge and runs inside your own Zoho Desk. There is no dashboard of ours to log into, and no third party sits between Desk and Twilio. Here is what happens when your agents use it.

You text people, not tickets

Messages send from a Contact or an Account rather than from a ticket, so the conversation belongs to the customer relationship instead of to one case.

One issue closes, another opens six weeks later, and the whole thread is still in one readable place. The agent picking up the new ticket can see what was said last time without opening a closed case.

Sending to one, to several, or to a list

Send to a single customer from their record, to a set you select, or to a defined list when the same message has to go out to everyone affected.

Each recipient gets their own history entry, so a broadcast can still be reviewed person by person.

Composing without retyping

Dynamic text pulls values straight from the Desk record, so a message carries the name, account, reference or date without anyone transcribing it. Under pressure, transcription is where the errors are.

Reusable templates keep wording steady across a team that writes very differently, which matters more on a support desk than almost anywhere else.

Scheduled delivery

A message can be held until a time you choose. On a desk that usually means two things: maintenance notices that should land before the work starts, and follow-ups timed for when the customer is likely to be free.

Which number you appear to be

Support records carry more phone numbers than most, and that is a trap. An Account often holds a main switchboard number while the Contact holds a direct mobile, and a text to a switchboard fails silently. No bounce, no error, nobody answering.

Automatic phone field detection shows the agent which number fields the record actually holds, so the choice is deliberate. You also choose which of your Twilio numbers the message sends from.

History that survives the ticket

Every message, outbound and inbound, is logged against the record, and replies are logged automatically rather than depending on somebody remembering to file them.

Because it is stored against the Contact or Account rather than one ticket, you end up with a relationship history rather than a case attachment. Tickets are episodes. Customers are not.

Your Twilio account, your credentials. Nothing ships with our Twilio details in it. You enter your own Account SID, Auth Token and number at setup, and the number has to be SMS enabled and compliant where you are sending. We support the extension. Twilio account, deliverability and compliance questions go to Twilio.

Texting inside Zoho Desk compared with a third party SMS platform

Most SMS apps for Zoho Desk can send a message. The gap shows on the second contact, when an agent needs to know what was said last time and it sits in a vendor inbox instead of on the account.

What to compareHow it works here
Data stays in Zoho vs data leaves ZohoContacts and accounts are never synced out to another platform. The extension works on the records where they already are, so there is no second copy of your customer list to audit.
Your Twilio account vs resold messagingResold messaging hides the carrier cost in a per message price you cannot check, and leaving usually costs you the numbers. Your own Twilio account keeps both the pricing and the numbers in your hands.
Flat org price vs per user seatsOne price covers the organization. Adding another agent who needs to text does not raise the bill, however much the team grows.
Replies on the record vs a separate inboxReplies land on the contact or account, not in a second inbox that someone has to keep in step with the help desk, so the next agent sees the whole exchange.
No vendor access vs vendor holds your dataMessages never pass through us, so there is nothing for us to read.
Native Deluge vs an embedded web appDeluge running inside Zoho does all the work. No embedded third party interface or outside web app ever touches your data.

Cost

What you pay, and who you pay it to

Two separate bills, and neither of them is a per seat charge from us.

The extension

Bought through the Zoho Marketplace, priced for the organization rather than per user, and billed by Zoho. Adding another person who needs to text does not change it.

The messages

Twilio bills you directly at their own rates, on your own account. We never resell messaging, so there is no margin added between you and the carrier.

Before you commit

Install it into your own Zoho Desk org and use it on real work first. The Marketplace listing shows the current price and any trial on offer.

Purchase happens on the Zoho Marketplace listing, where local taxes are added. Twilio charges appear separately on your Twilio account.

Support teams working urgent tickets

Customers answer a text faster than an email. An agent can message someone from the account they already have open, and the back and forth stays there, so whoever takes the ticket next knows exactly where it was left.

Support leads handling outages and escalations

During an outage everyone affected needs to hear at once. Pick a template, let the dynamic fields fill in each customer from their record, and schedule the send ahead of a maintenance window.

Teams working under strict data rules

Support desks hold the details a customer would least like copied elsewhere: account numbers, and whatever they typed into a ticket while they were frustrated. Here those details stay in your Zoho Desk and are never sent to us.

1. Install from the Zoho Marketplace

Search for the extension on the Zoho Marketplace and install it into your org as you would any other. The ten day free trial gives you room to try it with real customers before you decide.

2. Connect your own Twilio account

Paste your Twilio credentials into the setup screen and choose the numbers to send from. The account is yours, so Twilio charges you at its own rates and the delivery records sit in your console.

3. Text a record and watch the reply land

Open a contact or account, choose a number and send. Common messages can start from a saved template, with dynamic fields pulling the details off the record.

Answers to common Zoho Desk SMS questions

Looking at other options too? Each comparison page sets us against one of the main alternatives.
What is this Zoho Desk SMS integration?
A Zoho Desk extension for texting your contacts and accounts through your own Twilio account. Agents can look up one customer and send a single message, or select a group and send to everyone at once. Replies are logged in the SMS History module on the right record, so the conversation stays readable inside Desk.
Zoho Desk can push SMS notifications out, but when a customer replies there is nowhere useful for the answer to go. This extension catches that reply and logs it on the record, and it lets an agent message a whole group instead of one notification at a time. SMS becomes something customers can answer instead of an alert they can only read.
Yes. You connect your own Twilio account and numbers, so Twilio bills you directly at its rates and we add no margin. Your message records stay in your Twilio console under your name, and you are free to change numbers or providers at any point.
Contacts and accounts. You text the person on the record, not a ticket, so the conversation belongs to the customer relationship instead of a single case. As tickets open and close over the life of the account, the thread stays in one place.
Yes. Select the records, write the message once, and each person receives it, with every send logged on its own record. It is the quickest way to reach every affected customer about an outage or a maintenance window without opening a ticket for each one.
In SMS History, as a new entry tied to the record that replied. No one copies anything over or keeps an eye on a separate inbox. Because the history sits on the record, any agent who inherits the account can read the whole exchange without asking around.
No. The extension has no phone home capability. It runs inside your Zoho environment and sends none of your records, phone numbers or message content to us. We hold no copy and run no dashboard collecting data in the background, which is what most sets it apart from the alternatives.
On the Zoho platform, written in Deluge. There is no embedded third party interface, no outside web application and no separate service for your data to pass through. It all happens inside your own Zoho Desk deployment, which makes the data boundary easy to explain to a security reviewer or an auditor.
Yes. Dynamic text takes values from Zoho Desk fields and puts them into the message at send time, such as the customer name, a reference number or any other field on the record. An update to two hundred customers still reads as though each one was written individually.
Yes. Agents save the messages they send most as templates and pick one instead of retyping it. Templates work with dynamic fields, so every recipient still gets their own details. That covers most routine replies, like acknowledgments and status updates.
The extension finds every phone field on the record instead of assuming one default. A contact with ten numbers on file shows all ten, and you pick which to text. That helps when the mobile number is kept in a custom field rather than the standard one.
Yes. Write the message now and set when it should go. It sends at that time whether or not the agent is at a desk, which helps with time zones, business hours and anything that has to arrive before a planned maintenance window.
From the Zoho Marketplace, like any other Zoho extension. Install it into your org, enter your Twilio credentials on the setup screen, and an agent can send the first message from a record right away. There is nothing to host, no server to set up and no package to install elsewhere.
Yes. The Marketplace listing includes a ten day free trial, which is enough time to install it, connect Twilio and text real customers. It cannot be extended, so gather your Twilio credentials first and spend the ten days on actual use.
