A BambooHR Alternative That Does Not Count Your Employees

BambooHR is a capable HR platform with a per employee price attached to it. Under twenty five people that price is a flat two hundred and fifty a month, which is a quarter of ours, and saying so first seemed better than burying it. This page is about what the same product costs once there are sixty people inside it.
What BambooHR charges, and the two places the bill stops being simple
A published per person rate, a flat floor underneath it, and four products sold beside it
BambooHR prints its rate, which not every vendor in this category does. Core is ten dollars per employee per month, Pro is seventeen and Elite is twenty five. Under twenty five employees it is a flat rate starting at two hundred and fifty a month instead. Volume discounts apply automatically as headcount rises, registered nonprofits get a further fifteen percent, and more than thirty thousand companies are on it.

Under twenty five people it is flat, and it is cheaper than us

Two hundred and fifty a month is a real number and it is a quarter of ours. Twenty people, one country, no ERP behind it, and BambooHR at that price is a straightforward purchase we would not argue with. The shape changes at the twenty sixth employee, when the flat rate ends and a per employee meter starts running in its place.

Dedicated support is a plan you move up to, not a thing you buy

Premium Services, where dedicated customer support, new administrator training and annual data integrity hours live, is on the Elite plan only. Elite is twenty five dollars per employee per month. At forty people that is a thousand a month for the plan by itself, which is our entire Standard figure before a single add on is considered.

Payroll, benefits, time tracking and global hiring all sit outside the plan

Payroll, Benefits Administration, Time and Attendance and Global Employment are add ons rather than plan features, and none of the four carries a published price. Payroll and Benefits Administration cover United States employees only. Global Employment is delivered by Remote rather than by BambooHR. Bundling payroll and benefits takes fifteen percent off, which tells you what they were to begin with.
Two HR systems doing the same job and billing for it on different axes
BambooHR meters the record per employee. Frappe HR charges for the work, once a month
On one side sits a polished closed source HR platform with a per employee rate at every tier, caps on some of what it does, and four products sold beside it. On the other sits an open source HR system with no licence at all, where one monthly figure covers the configuration, the migration and the support, and does not move when you hire.

Cascadia

Frappe HR shaped around your own leave rules, shift patterns, approval chains and appraisal cycles, hosted on Frappe Cloud, and looked after afterwards by whoever built it. Configuration, customization, development, hosting and support arrive on one invoice with no headcount printed on it.

Without Cascadia

A finished HR platform covering records, hiring, onboarding, time off, performance and compensation, charged per employee per month with the heavier features held on the upper tiers. What it asks of you first is a headcount, and then the same headcount again every time it changes.

Comparison

Cascadia vs BambooHR
Every row below is about scope and shape rather than quality. BambooHR is a well built product used by thirty thousand companies and this page does not dispute that. Every cross marks something the pricing model or a plan boundary makes awkward rather than something done badly. All of the configuration work in it is covered by our managed Frappe HR service.

The monthly figure is identical at fifteen people and at fifty

No per employee licence, because the HR system underneath is open source

Implementation, migration, training and support all inside the one figure

Hiring in a second country without buying a second product to do it

Leave accrual logic that gets written rather than chosen from a list

The person who built your accrual rule is the person who answers about it

Source code you can read, fork and keep running after you stop paying us

The employee record in the same database as the projects and the timesheets

Being told plainly that the cheaper option is the right one under twenty five people

Recruitment with no cap on how many jobs are open at the same time

Where BambooHR fits

If you have fewer than twenty five employees in one country and want a finished HR system running this month, BambooHR at two hundred and fifty a month flat is cheaper than us and faster to stand up, and you should buy it. Above that line it becomes ten to twenty five dollars a head every month, and that is where this page starts having something to say.

Where the per employee meter stops making sense

We are for the case above that line. Sixty people rather than twenty, an ERPNext instance already running the rest of the business, leave and appraisal processes nobody can express in a settings screen, or an India payroll that Frappe HR ships complete. At sixty people on Pro the list price of the plan alone passes our Standard figure, and their automatic volume discount pushes that crossing point out by an amount nobody outside the company can calculate.

Where BambooHR is strong

Icon representing a finished HR product working on the first day
It is a finished product and you could be using it this week
Employee records, a custom report builder, workflows and approvals, applicant tracking, onboarding, e-signatures, time off, benefits tracking and an AI assistant are all in the Core plan and all work on the first day. There is no configuration project standing in front of any of it. Thirty thousand companies and more than a hundred and fifty integrations sit behind that, and none of it needs us.
Icon representing a published price with an automatic volume discount
A published rate, a small floor, and a discount nobody has to ask for
Ten dollars per employee per month for Core is printed on the page, and under twenty five employees it is a flat two hundred and fifty instead. Volume discounts apply automatically as headcount rises, with nothing to request and nothing to negotiate, and registered nonprofits get a further fifteen percent. We have no discount schedule at all.
Icon representing US payroll filing and benefits administration
Payroll, benefits and compliance work that we do not do at all
The Payroll add on files federal and state taxes for United States employees. Benefits Administration handles open enrolment, life events, election approval and carrier connections. Compliance Intelligence from VirgilHR answers legal questions and ships more than a hundred templates. Frappe HR does none of those three and no configuration will make it, which is the honest limit of this page.
Icon representing salary benchmarking against external market data
Compensation benchmarks we could not produce at any price
Elite carries salary benchmarking against Mercer data, levels and bands, and benchmark figures for turnover, age, gender and employee wellbeing measured across their own customer base. That is a data product rather than a software feature, it needs thirty thousand companies underneath it to exist, and there is no open source substitute for it.
All of that stands and none of it is grudging. For a small team in one country BambooHR is simply the better purchase, and we would rather write that sentence plainly than argue around it. This page turns on one thing only, which is what happens to that arithmetic as the company grows.

What a thousand a month buys when headcount is not an input

Icon representing one monthly figure covering configuration, migration and support
One figure covering the configuration, the migration and everything after it
Implementation, configuration, customization, development, Frappe Cloud hosting and ongoing support sit inside one thousand a month. There is no headcount to declare, no plan to move between and no implementation fee arriving separately. One figure, one company, and the same number at sixty people as at six.
Icon representing open source software carrying no per person licence fee
The licence is zero, and no feature is held back for an upper tier
Frappe HR is open source. Employee records, leave, attendance, shifts, payroll, recruitment, expense claims and appraisals are all in the box, none of them carry a per person fee, and none of them are reserved for a higher plan. Adding the twenty sixth person changes nothing about what the software costs, which is the structural difference underneath everything else on this page.
Icon representing the implementer and the support desk being the same people
The people who configured your leave policy answer the phone at both tiers
Dedicated customer support is an Elite plan feature at BambooHR and a general help desk below it, which is a reasonable arrangement for a product you configure yourself. Here the person who wrote your accrual rule is the person who picks up when it produces a number nobody expected, and that holds at a thousand a month as well as at two.
Icon representing HR records sitting in the same database as projects and invoices
One database, when the rest of the business is already living in it
Frappe HR sits inside the same instance as ERPNext, so an employee is one record rather than three, and a timesheet reaches a project and then an invoice with no integration in between. BambooHR has more than a hundred and fifty integrations and they work, but an integration is still a thing somebody has to keep working. If you do not run ERPNext this argument does not apply to you.
BambooHR will hold the records properly, run the reviews, track the time off and charge you again for every person you hire, and for a great many businesses that is exactly the right purchase. Our case is narrower and worth stating narrowly. When the employee record itself is what needs designing, that is configuration work rather than a per person fee, and the same reasoning runs underneath the rest of our managed Frappe services.

Onboarding process

What the first sixty days look like when nobody is counting employees

The work is mostly ours. An HR system installs in an afternoon and takes weeks to get right, because the difficulty lives in the exceptions rather than in the feature list. Nothing here is billed per employee, so the pace is set by your policies rather than by a renewal date.

1

Nothing is configured until somebody has read the policies as they really operate

We sit with whoever approves leave, builds the rota and handles a resignation, and write down what they actually do, step by step. That includes the exception that applies to one department only and the accrual rule that changed two years ago and never reached a document.

2

Employee data is migrated and reconciled before anybody has to trust it

Employee records, reporting lines, leave balances, salary structures and historical attendance move across, then get checked against the system you are leaving until the two agree. Nobody books time off in Frappe HR while the balances still disagree.

3

Only the modules your business will actually use get switched on

Frappe HR carries recruitment, onboarding, leave, attendance, shift management, expense claims, payroll and appraisals, and every one of them is available at both our tiers. Most businesses need some of that and not all of it, and leaving the rest switched off makes the system quicker to learn. Nothing about that decision moves the price.

4

You run a full cycle in it, including a real leave period and a real review

The first month of live use runs with us beside it, and a real leave request, a real shift and a real appraisal all go through before anybody signs anything off. Training happens on your own data rather than on a demo company.

Testimonials

Don't Take Our Word For It

Two ways a good HR system turns into the wrong purchase
Two situations with one thing in common. In both the software worked exactly as advertised and nobody was mis-sold anything. What changed underneath each of them was a number, and the number was never a feature. If you are reading these and still choosing a first HR system at all, our managed Zoho People service is where that decision usually starts.
Hands checking figures on a calculator against a stack of invoices

How this plays out

The flat rate ended and the budget line roughly tripled

Twenty two people, then thirty one over eighteen months. The flat two hundred and fifty a month turned into a per employee rate somewhere in the middle of that, and Pro was chosen along the way because performance reviews were wanted. Nobody did anything wrong and nothing about the product changed. The budget line roughly tripled while the amount of HR work stayed exactly the same size.
A stack of paperwork with no order anybody could follow

When this comes up

One reporting requirement repriced every employee on the account

Finance asked for salary bands and a compensation review cycle. Both exist and both sit on the top plan. Moving forty five people from Pro to Elite to reach them is a plan decision rather than a feature purchase, so the rate changed for every employee on the account including the thirty who were never going to open it. That is a normal way for tiered software to behave and it is worth knowing before you sign.
1,000

Dollars a month, with the configuration, the migration and the support already in it

Everything from the first policy read to the monthly report is inside that number. Priority at two thousand adds two active requests at a time, faster turnaround, and a quarterly review of how the configuration is standing up to the way you work.
0

Dollars of software licence, whether six people use it or sixty

Frappe HR is open source, so the software itself costs nothing and adding somebody to it costs nothing either. No onboarding charge, no minimum term, and no volume discount to negotiate because there is no volume being counted.
4-8

Weeks, in most cases, before a complete cycle runs inside Frappe HR

Four to eight weeks in most cases, longer where several years of attendance history or a complicated salary structure are in scope. Configuration starts the week we begin rather than after a discovery phase billed separately.

BambooHR alternative and managed Frappe HR FAQs

Frequently Asked Questions

What is a BambooHR alternative?
Anything that holds the employee record and runs the HR processes around it. That covers the other platforms on this hub such as Gusto, Rippling and Deel, the payroll bureaus people start with, and open source HR systems like the one we run. The useful distinction is rarely the feature list, because most of these do broadly the same things. It is whether the bill counts your employees, and where the boundary falls between the HR record, payroll filing and benefits administration.
How is Cascadia different from BambooHR?
They sell a finished HR platform priced per employee per month. We configure and run an HR system for a business at a flat price. BambooHR is bought, switched on and used within the shape it ships with, which is a real virtue when that shape fits. We shape leave rules, shift patterns, approval chains and appraisal cycles around how you already work, host the result on Frappe Cloud and support it afterwards, and the number of people using it is not part of the calculation.
How does your price compare to theirs?
We are one thousand a month for Standard and two thousand for Priority, billed monthly. BambooHR is ten dollars per employee per month for Core, seventeen for Pro and twenty five for Elite, with a flat rate starting at two hundred and fifty a month for companies of twenty five employees or fewer. At twenty five people on Core that is two hundred and fifty against our thousand, so they are cheaper by a wide margin and it is not close.
Is BambooHR cheaper than this?
Under about sixty people, yes, and often by a lot. The list prices meet near sixty employees on Pro and near a hundred on Core, and their automatic volume discount pushes both of those further out by an amount we cannot calculate because the schedule is not published. If your question is purely what an HR seat costs, they win it and it is not close.
Does Frappe HR file our payroll taxes?
No, and it is the most important limit on this page. Frappe HR does not calculate or file United States payroll taxes and no amount of configuration changes that. It ships a complete India payroll module and handles salary structures, payslips and payroll entries in general, but the US federal, state and local filings are not in it. BambooHR sells a Payroll add on that does file them for United States employees, at a price it does not publish. Most of our United States clients keep a payroll bureau for the filing and run Frappe HR for the employee record, the leave, the attendance and the appraisals.
Why not install Frappe HR and run it ourselves?
You can, and there is nothing to license. Frappe HR is open source and Frappe Cloud hosts it for a modest monthly fee, so the software and the server were always the cheap part of this. The install is not what goes wrong. Leave accrual, holiday calendars, shift types, salary structures and approval workflows are what goes wrong, and they want somebody who has built them before rather than somebody reading the documentation for the first time.
Should we buy this at all?
Often not, and now is a far better time to establish that than month six. If you have twenty people in one country and want a working HR system this month, BambooHR at two hundred and fifty a month flat will do that, and we are not going to pretend otherwise in order to win the work. The free fit review exists to reach that conclusion honestly rather than to sell past it.
Do we have to migrate everything at once?
No. Employee records and leave usually go first, because that is normally where the pain is and where the benefit shows up soonest. Attendance, shifts, recruitment or appraisals follow when they are ready. Running Frappe HR alongside your current platform for a period is normal rather than a compromise, and it is how most migrations off a tiered product actually happen.
Does anything break while you take over?
Nothing on your side goes dark, and your payroll in particular is untouched. Whatever files your returns keeps filing them throughout. Your existing HR platform keeps running until the balances in Frappe HR reconcile against it, nobody switches while the two still disagree, and the migration runs on a copy first.
What if we already run Frappe HR and it was set up badly?
That is a common way people arrive here, and it is rebuilding rather than tidying. We read the leave policies, the holiday lists, the shift types, the salary structures, the approval workflows and every customization somebody added, then tell you what survives and what should be rebuilt. Often enough the answer is a fresh instance with the data migrated across.
Do you own the system or the data?
No to both. Frappe HR is open source, so the software is nobody's property to withhold. The instance is yours, the database is yours, and every leave policy, salary structure and custom field we build is yours. Stop paying us and the system keeps running, which is not something anybody can say about a subscription to a closed platform.
What is included at each tier?
Two flat tiers and no meter behind either of them. Standard at one thousand covers implementation, configuration, migration, training, customization, development, Frappe Cloud hosting and ongoing support. Priority at two thousand adds two active requests at a time, faster turnaround and a quarterly review of the configuration. Neither tier counts employees, modules, open job postings or pay runs, and no feature is withheld from the lower one.
Do you guarantee the implementation will go to plan?
No, and treat anybody who does with suspicion. A migration turns up leave balances that never reconciled, a policy nobody documented behaves differently in month two, and a genuine requirement gets found late. What we do guarantee is that the price does not move when any of that happens, and that nothing you discover puts you on a different plan.
What does the monthly report actually contain?
What changed in the system, what we built or configured, what is still fragile and what we plan to do about it, plus anything upstream in the Frappe HR release notes that will reach you. It runs on a rolling month rather than a calendar one.
How long before we see a difference?
Four to eight weeks to a first complete cycle in most cases, longer where several years of attendance history or a complicated salary structure are in scope. What people notice first is usually not the software. It is that nobody is chasing a form around to find out who approved what.
What if I want to leave?
Thirty days notice ends it and nothing is stranded. The instance, the database and every configuration were always yours, so there is nothing to export and nothing to hand back. What stops is us. You would need somebody else to do what we were doing, and the system itself carries on running either way.
