A Jenzabar Alternative Built For Schools Rather Than Campuses

Jenzabar One is a campus wide ERP for higher education, thirteen products covering admissions, financial aid, advancement, human capital and retention analytics, and the number arrives after a demo. Managed Frappe Education is a thousand a month, printed on this page, on an instance that stays yours.

What Jenzabar was built to run, and who that leaves out

An institutional suite, a demo request, and no figure to plan against
Jenzabar has spent three decades building for colleges and universities, and the suite shows it. That focus is a real strength on a campus. It is also why a school with no registrar, no financial aid office and no alumni programme ends up being quoted for most of a system it will never open.
Icon representing software sold only to colleges and universities

The buyer is an institution, and a school is not one

Jenzabar One reaches across advancement, financial aid, human capital management, retention analytics and eLearning as well as the student record. Those modules exist because a college genuinely needs them. A private school, a training provider or a vocational academy is being sized for a campus it does not have.
Icon representing a suite made up of thirteen separate products

Thirteen products, and the quote turns on which of them you take

Advancement, Analytics, Chatbot, Communications, eLearning, Finance, Financial Aid, HCM, Recruitment, Retention, Student, Workflow and Campus Marketplace. Jenzabar lists all thirteen on its own site. None of them carries a price, so what you pay is decided in a conversation about which ones belong in the bundle.

Every route into the product ends at the same demo form

Get Started, Learn More and Request A Demo all arrive at one form. There is no trial, no free tier and no rate card anywhere on the site, so the first thing you can actually compare is a proposal written for you. That is ordinary in higher education procurement, and it is slow when you are not a university.

One suite quoted for a campus, one figure published for a school

Jenzabar is solving a larger problem than a school has. That is the whole comparison, and it genuinely cuts both ways.
On one side is a campus wide ERP with thirteen products behind it and three decades of higher education specifics baked in, priced in a proposal. On the other is an open source student system, one published monthly fee, and an engineer shaping admissions, programs, attendance, assessment, fee structures and the student portal around the school you already run.

Without Cascadia

A campus wide higher education suite sold module by module, with the total settled in a proposal nobody publishes.

Comparison

Cascadia vs Jenzabar
Every row below is about fit and cost rather than capability. Jenzabar is a serious platform with thirty years behind it, and several of these rows describe who it was built for rather than what it does. The four cards under the table carry the other half of the argument, so read those as well. All of the configuration work sits inside our managed Frappe Education service.

Software you can stand up and look at before anybody books a demo

A monthly figure published here rather than settled in a proposal

A price that does not move with how many modules you switch on

A student system you can run on your own hardware with no vendor involved

Sized for a school rather than a college with a registrar and a financial aid office

The person who configured your fee structure is the person who answers about it

Source you can read, change and keep running long after we have gone

One database holding the student, the invoice and the ledger entry together

A system that does not assume a campus, an endowment and an alumni office

A free fit review that can end with us telling you to go and talk to them

Jenzabar

Where Jenzabar fits

If you are a college running admissions, federal financial aid, an alumni fundraising programme and a registrar's office on one platform, Jenzabar has built for exactly that for thirty years and we are not in that race.

Where the campus suite starts to hurt

We are for the school where the student record, the timetable and the fee ledger belong in one place, where the budget has to be defended before the call rather than after it, and where nobody is ever going to open an advancement module.

Where Jenzabar is strong

Icon representing three decades of higher education specific software
Thirty years of higher education specifics you cannot shortcut
Financial aid packaging, degree audit, retention analytics and advancement are not things you bolt onto a student system later. They are the reason Jenzabar exists. Frappe Education does not have them, and on a campus that gap is the whole decision.
Icon representing one supplier covering an entire campus
One supplier across the whole campus rather than four of them
Jenzabar cites its own research that sixty seven percent of institutions would rather take several systems from one supplier, and Jenzabar One is built to be that supplier. Finance, human capital, recruitment and the student record under one contract is a real answer to a real procurement problem.
Icon representing an integration platform joining many campus systems
The integration layer is a serious product in its own right
The Jenzabar One API and the Unity Platform, a low code integration service built on Boomi, exist because campuses run dozens of systems nobody is going to retire. That is real engineering aimed at a real problem, and it is more than we put in front of a four hundred pupil school.
Icon representing implementation training and support sold as services
The services alongside the software are what we agree about
Jenzabar sells implementation, cloud management, training and staff augmentation as named services, and says plainly that a botched enterprise rollout can derail an institution. We think that is exactly right, because it is the argument this whole page rests on. They make it at campus scale with thirty years behind it.
None of that is grudging. Jenzabar is a good product and the people behind it understand higher education better than we do. What this page is about is the school that wanted a student system, was shown a campus platform, and could not find out in advance what any of it would cost.

What a flat thousand a month covers when nobody has to size your campus first

Icon representing a student system shaped around an existing school
Your programs decide the system, and it takes days rather than a semester
When intake, programs, student groups and a fee schedule have to mirror how a school actually runs, the platform answer is a configuration engagement, and at genuine campus scale that is honestly how it gets solved. At the size most schools actually are, it is a set of records, a workflow and a few days.
Icon representing one flat monthly price published rather than quoted
One figure, and no demo request standing in front of it
A thousand a month for Standard and two thousand for Priority. Take another intake, open another program, switch on everything we have configured. The figure at the bottom of the invoice does not notice, and you knew it before you ever contacted us.
Icon representing students and parents who cost nothing to add
Students and parents cost nothing, and nobody is counting them
Most of the people who touch a school system are students and parents checking a timetable or an invoice. Because Jenzabar publishes nothing at all, we cannot tell you what an enrolment number does to a quote, and we are not going to guess. On an instance you own each of them is a login, and there is nothing to reconcile.
Icon representing student fees and ledger entries sharing one database
One instance, because Frappe Education runs on ERPNext already
A fee raised against a student posts straight into the ledger that pays your staff, because the accounting and the academics are one system rather than two joined by an overnight job. No connector maintains that, because nothing is being connected.
Jenzabar will run a college well, with financial aid, advancement and a registrar's office all on one platform and the budget to match. Ours is the case where the student record, the timetable and the fee ledger belong in one place, where the price has to be defended in advance, and where the instance belongs to you. The same reasoning runs underneath the rest of our managed Frappe services.

Onboarding process

What the first sixty days look like when the student records move across

Standing the software up takes an afternoon. What follows decides whether a parent can find an invoice and a teacher can find a mark sheet, correctly, in the middle of a term.

1

We find out how your intake and your term actually work

Somebody in your school knows which admissions form is actually used, which fee has an exception nobody wrote down, and which report exists because one governor asked for it years ago. That conversation comes first, because a structure nobody can explain will not survive a migration.

2

Students, programs and fee structures cross first, with their history

Student records, guardians, enrolments, attendance and assessment history move into a copy first. Fee structures are the interesting part, because a sibling discount or a hardship bursary is a policy rather than a setting, and each one gets written down as a rule before we start.

3

Who can see a student record has to be settled before anything moves

A teacher, a head of year, a bursar and a parent should not see the same things, and in most schools that has never been written down anywhere. We map who can currently see what, separate real safeguarding policy from an accident of how the old system was configured, and rebuild the first group explicitly.

4

One real term cycle runs before anybody steps back

A real enrolment, a real attendance week, a real assessment and a real fee run, on your own instance, with us watching it happen. Handover comes after that has worked once, and not before.

Testimonials

Don't Take Our Word For It

Two ways a campus platform stops matching a school
Two situations with one thing in common. In both the platform was more than capable, and the shape of the purchase is what failed. If the finance side is the part that actually hurts rather than the academics, our managed ERPNext service is usually the better place to begin.
Somebody pausing at an office window with a decision still to make.

How this plays out

The shortlist closed before the demo could be booked

Scenario one. A business manager is asked to bring three student systems to the March board meeting with indicative costs against each. Two of them can be stood up and looked at that week. The third needs a demo booked into somebody else's calendar and a proposal after it, and it misses the meeting for reasons that have nothing to do with the product.
Two colleagues reading through a printed proposal together at a desk.

When this comes up

Most of the platform described a school they were not

A second situation. A four hundred pupil independent school needs admissions, timetabling, attendance, reports and fee invoicing. What comes back is built around financial aid packaging, alumni advancement and degree audit, none of which it is ever going to run.
1,000-2,000

Dollars a month, flat, published here rather than quoted after a demo

Everything from the first admissions review to the monthly report, and the figure was printed on this page before you contacted anybody.
0

Dollars of software licence, and no proposal to wait for before you can plan

Frappe Education is open source, so there is no licence to buy and the figure above covers the configuration work, the hosting and the support.
4-8

Weeks before a real enrolment, term and fee run go the whole way through

Four to eight weeks for most schools, and longer where several years of student records, transcripts and fee history are in scope.

Jenzabar alternative and managed Frappe Education FAQs

Frequently Asked Questions

What is a Jenzabar alternative?
Anything that can hold a school's student records and let the office actually run a term on them. That takes in the other systems on this hub, meaning PowerSchool, Blackbaud and Ellucian, the spreadsheet and shared drive arrangement a surprising number of schools still rely on, and open source systems such as Frappe Education. The first question worth answering is whether you are a school or an institution, because most of the rest follows from it.
How is Cascadia different from Jenzabar?
Jenzabar One is a campus wide ERP and student information system for higher education, sold as a suite of thirteen products and priced in a proposal. Cascadia builds you a student system and then runs it. We shape admissions, programs, student groups, attendance, assessment, fee structures and the portal around the school you already have, host it on Frappe Cloud and look after it from there. The price is one figure and it is printed above.
What does Jenzabar actually cost?
We cannot tell you. Jenzabar publishes no price, no tiers and no rate card anywhere on its site, and every path through it ends at a demo request. What you pay turns on which of the thirteen products you take and how large the institution is, and that is settled in a proposal written for you. We are not going to invent a figure or a break even point, because there is nothing published to compute one from. Cascadia is one thousand dollars a month for Standard and two thousand for Priority, at any enrolment.
Is Jenzabar cheaper than this?
We have no way to check, and neither do you until you have a proposal in hand. What we can say is that Jenzabar is not selling the same thing. The suite carries financial aid, advancement and campus human capital management, which is not usually what a four hundred pupil school asking for a student system has in mind. If it does come back cheaper for you, that is worth knowing, and you will only find out by asking them.
Is Frappe Education as capable as Jenzabar?
No, and it is the plainest limit on this page. Jenzabar One carries financial aid packaging, degree audit, alumni advancement, campus human capital management and retention analytics, built over three decades for institutions. Frappe Education does none of that. What it gives you instead is a system you control, source you can read, and a price you already know.
Why not install Frappe Education and run it ourselves?
You can, and there is no licence to buy. Standing it up is quick. What takes the time is deciding how your programs and student groups map to the way the school actually runs, which fee exceptions are real policy, who is allowed to change a published mark, and what happens when one family has three children on two different plans. None of that is in the documentation.
Should we buy this at all?
Often not. If you are administering federal financial aid, running a degree audit and managing an alumni fundraising programme, Jenzabar is built for exactly that and a school system will not solve it. The fit review exists to reach that answer honestly and it costs nothing.
Can we try Jenzabar's platform before deciding?
Not on your own. There is no free plan and no self serve trial anywhere on the site. What Jenzabar offers instead is a demo booked with their team, which is the standard way enterprise higher education software has always been sold. It is still a meeting you have to arrange before you can form any view at all, and that is a different kind of evaluation from standing something up on a Tuesday afternoon.
Do we have to migrate everything at once?
No, and staging it is usually the better idea. The current cohort, the live timetable and the fees being invoiced this term cross first, because those are what somebody needs on Monday morning. Leavers, archived transcripts and the long tail of historical records follow at whatever pace suits.
Does anything break while you take over?
No. Nobody loses a register they are marking and no parent loses sight of an invoice. We migrate into a copy, and the cut across waits until student counts and fee balances match on both sides and every permission has either been rebuilt or written down.
What if we already run Frappe Education and it was set up badly?
It happens more often than you would expect, and the work is a rebuild rather than a tidy up. We read the program structure, the fee schedules, the permission model, the assessment setup and whatever anybody customized, then say plainly which of it should stand and which should be built again.
Do you own the system or the data?
You do, on both counts. Frappe Education is open source, the instance and the database sit in your name, and the programs, fee structures and custom fields we build are yours as well. If you stopped paying us tomorrow nothing expires, nothing locks, and no contract has to be renewed for the school to keep running.
What is included at each tier?
Standard buys implementation, configuration, data migration, handover, customization, development work, Frappe Cloud hosting and support that does not stop. Priority adds a second concurrent request, quicker turnaround and a quarterly review of academic setup, fee reconciliation and portal usage. Neither tier meters students, programs or logins.
Most of our users would only ever be students and parents. Does that matter?
We cannot tell you what it does to a Jenzabar quote, because nothing about the way they price is published and we are not going to guess at it. What we can tell you is our side of it. On an instance you own a student is a login, a parent is a login, and adding either one costs nothing at all.
What does the monthly report actually contain?
The month's changes, what we built or configured, anything that still looks fragile and what we plan to do about it. Upstream Frappe Education release notes that will affect you go in as well, along with anything we noticed that you ought to know about. The month runs from your start date rather than the academic year.
What if I want to leave?
Thirty days notice, and there is nothing to disentangle. You hold the instance, the database and the configuration already, so nothing needs exporting and no contract needs winding down. What ends is our involvement.
