Most of the people who touch a student system are students checking a timetable, a grade or a balance. Ellucian publishes no pricing at all, so we cannot tell you what enrolment growth does to a renewal and we are not going to invent a rate. We find out how your admissions cycle and your term really work

Somebody in your institution knows which application form is actually used, which fee has an exception nobody wrote down, and which report exists because one trustee asked for it years ago. That conversation comes first, because a structure nobody can explain will not survive being rebuilt somewhere else.

Students, programs and fee rules cross first, and bring their history

Student records, enrolments, attendance and assessment history move into a copy first. Fee structures are the interesting part, because a scholarship band or a hardship waiver is a policy rather than a setting, and each one is written down as a rule before anybody configures anything.

A faculty member, a department chair, a bursar and a student should not see the same things, and in most institutions that has never been written down anywhere. What is an Ellucian alternative?
Anything that can hold an institution's student records and let the registrar actually run a term on them. That takes in the other systems on this hub, meaning PowerSchool, Jenzabar and Blackbaud, the spreadsheet and shared drive arrangement a surprising number of colleges still rely on, and open source systems such as Frappe Education. The first question worth answering is what you are actually being charged for, because most of the rest follows from it.
How is Cascadia different from Ellucian?
Ellucian sells an end to end higher education platform: recruiting and admissions, student aid, student success, curriculum and the student information system, with Finance and HCM alongside it and three named groups of services around all of it. Cascadia builds you a student system and then runs it. We shape admissions, programs, student groups, attendance, assessment, fee structures and the portal around the institution you already have, host it on Frappe Cloud and look after it from there. The price is one figure and it is printed above.
What does Ellucian actually cost?
We cannot tell you, and nothing on Ellucian's site will either. There is no pricing page, no tier list and no rate card anywhere in the student product. What there is instead is a value calculator that will model your return on moving to Ellucian Student, which is the other half of the sum and not the half you were missing. Every route to a number runs through Request a Demo or Let us talk. We are not going to invent a figure or a break even point, because there is nothing published to compute one from. Cascadia is one thousand dollars a month for Standard and two thousand for Priority, at any enrolment.
Is Ellucian cheaper than this?
We have no way to check, and neither do you until you have a quote in hand. It might well be, particularly for a large institution where the cost of an enterprise platform spreads across a lot of students. What we can say is that nothing about the shape of the purchase is visible in advance, so the only honest advice is to ask them and set the answer beside the figure on this page. If theirs comes back lower, that is worth knowing.
Is Frappe Education as capable as Ellucian?
No, and it is the plainest limit on this page. Ellucian carries federal financial aid packaging, degree audit, transfer articulation, advancement and a student success suite, built for institutions serving twenty one million students between them. Frappe Education does none of that. What it gives you instead is a system you control, source you can read, and a price you already know.
Why not install Frappe Education and run it ourselves?
You can, and there is no licence to buy. Standing it up is quick. What takes the time is deciding how your programs and student groups map to the way the institution actually runs, which fee exceptions are real policy, who is allowed to change a published grade, and what happens when a student withdraws mid term with a partial refund due. None of that is written down in any documentation.
Should we buy this at all?
Often not. If federal financial aid administration, degree audit and accreditation reporting are the parts that actually hurt, Ellucian has built for exactly those and a general student system will not solve it. The fit review exists to reach that answer honestly and it costs nothing.
Can we try Ellucian's platform before deciding?
Not on your own. There is no free plan and no self serve trial anywhere on the site. What Ellucian offers instead is a demo booked with their team, and a value calculator you can run beforehand. The calculator is genuinely useful and it is still not a trial. You cannot form a view of the software itself without arranging a meeting first, and that is a different kind of evaluation from standing something up on a Tuesday afternoon.
Do we have to migrate everything at once?
No, and staging it is usually the better idea. The current cohort, the live registration and the fees being invoiced this term cross first, because those are what somebody needs on Monday morning. Alumni, archived transcripts and the long tail of historical records follow at whatever pace suits you.
Does anything break while you take over?
No. Nobody loses a class list they are grading and no student loses sight of a balance. We migrate into a copy, and the switch waits until enrolment counts and fee balances match on both sides and every permission has either been rebuilt or written down.
What if we already run Frappe Education and it was set up badly?
It happens more often than you would expect, and the work is a rebuild rather than a tidy up. We read the program structure, the fee schedules, the permission model, the assessment setup and whatever anybody customized, then say plainly which of it should stand and which needs building again. Nothing is charged separately for that reading.
Do you own the system or the data?
You do, on both counts. Frappe Education is open source, the instance and the database sit in your name, and the programs, fee structures and custom fields we build are yours as well. If you stopped paying us tomorrow nothing expires, nothing locks, and no renewal has to be negotiated for the institution to carry on running.
What is included at each tier?
Standard buys implementation, configuration, data migration, handover, customization, development work, Frappe Cloud hosting and support that does not stop. Priority adds a second concurrent request, quicker turnaround and a quarterly review of academic setup, fee reconciliation and portal usage. The change management work is part of the job rather than a separate line.
Most of our users would only ever be students. Does that matter?
Possibly. Ellucian publishes nothing at all about how it prices, so we cannot tell you whether two thousand student logins change a renewal and we are not going to guess. What we can tell you is our side of it. On an instance you own a student is a login, a faculty member is a login, and adding either one costs nothing at all.
What does the monthly report actually contain?
The month's changes, what we built or configured, anything that still looks fragile and what we plan to do about it. Upstream Frappe Education release notes that will affect you go in as well, along with anything else we noticed that you ought to know. It runs from your start date rather than the academic calendar.
What if I want to leave?
Thirty days notice, and there is nothing to disentangle. You hold the instance, the database and the configuration already, so nothing needs exporting and no renewal needs unwinding. What ends is our involvement.
