A Blackbaud Alternative That Publishes The Number, Not Just The Method

Blackbaud states plainly what moves the price: your size, your number of users, which modules you take, and how much support you want. It does not state the price. Managed Frappe Education is a thousand a month, printed on this page, on an instance that stays yours.

Four things move a Blackbaud quote, and a school grows all four

The method is published in detail and stops one step short of a number
Blackbaud has built for private and independent schools for more than forty years, and the products show it. This page is not an argument about capability. It is about a purchase whose cost rises on four separate axes at once, and about what that does to a school trying to plan a year.
Icon representing a price that rises with the number of people who log in

The quote moves with how many people hold a login

Blackbaud names number of users as one of the factors its pricing is calculated on. In a school most of the people who ever open the system are students and parents looking at a timetable or an invoice. A growing roll is the single thing a school is most actively trying to achieve, and here it is also a cost line.
Icon representing school software licensed one module at a time

Seven school products, and the quote turns on which of them you take

Enrollment Management, Tuition Management, Billing Management, Financial Aid Management, the Student Information System, the Learning Management System and the School Website System. Blackbaud lists each as its own product and says selected solutions or modules feed the price. None of them carries a figure, so what you pay is decided in a conversation about which ones belong in the bundle.
Icon representing a support level chosen and paid for as a tier

Support is a level you choose, and choosing it changes the price

Blackbaud says the figure depends in part on the level of support and services desired. That is a fair way to sell software. It also means how much does it cost turns partly on how much help you think you will need before you have ever used the thing. A school buying its first student system is poorly placed to answer that, and it is the axis most likely to be revisited later.

A method you can read in full, and a number you cannot read at all

Blackbaud explains how it prices more openly than most of this market bothers to. It still ends at a form.
On one side is a set of separately licensed school products, forty years of private school experience behind them, and a total assembled from your size, your users, your modules and your support tier. On the other is an open source student system, one published monthly fee, and an engineer shaping admissions, programs, attendance, assessment, fee structures and the student portal around the school you already run.

Cascadia

One open source student system, configured around your programs and fee structure, hosted and supported, at a figure you could read before you contacted anybody.

Without Cascadia

School products licensed separately, with the total set by your size, your headcount, your modules and how much support you buy.

Comparison

Cascadia vs Blackbaud
Every row below is about the shape of the purchase rather than capability. Blackbaud is a mature platform built deliberately for private schools, and several of these rows would read quite differently if we were comparing feature lists. The four cards under the table carry the other half of the argument, so read those as well. All of the configuration work sits inside our managed Frappe Education service.

Software you can install and use before anybody schedules a call

The price on the website rather than in a quote written for you

One price whether you use one part of the system or all of it

A system you can host yourself with no supplier anywhere in the loop

A figure that does not rise as your roll grows and more people hold logins

Support included at one level rather than selected and priced as a tier

Code you can read and change, and keep running long after we have gone

The student, the fee and the ledger entry in one system rather than three

A student system that does not assume a development office and an annual fund

A free fit review that can end with us sending you to them instead

Where Blackbaud fits

If tuition billing, chasing late payments and awarding financial aid are the real daily work, and you want all of it on the same platform as the student record and the parent portal, Blackbaud has built for exactly that for forty years and we are not in that race.

Cascadia Web Services

Where the module by module quote starts to hurt

We are for the school where the student record, the timetable and the fee ledger belong in one place, where the budget has to be defended before the call rather than after it, and where every extra person holding a login is meant to be good news.

Where Blackbaud is strong

Icon representing four decades of software built for private schools
Four decades of private school specifics you cannot shortcut
Tuition billing with delinquency follow up, financial aid awarding with automated document review, and admissions built around independent school enrolment contracts are not things you bolt onto a student system later. Frappe Education does not have them, and for a school charging tuition that gap can be the whole decision.
Icon representing enrolment, billing, academics and the website under one supplier
One supplier across enrolment, billing, academics and the website
Blackbaud sells enrolment, tuition, financial aid, the student record, the learning platform and the school website, and ties them to the business office and the development office as one connected solution. Buying that from one supplier on one contract is a real answer to a real procurement problem, and we are not pretending otherwise.
Icon representing an open API and a marketplace of school integrations
The API and the marketplace are serious products in their own right
The SKY API and the Blackbaud Marketplace exist because schools run lunch, medical records, summer camps and a learning tool nobody is going to retire, and Blackbaud publishes free developer tooling for all of it. That is real engineering aimed at a real problem, and it is more than we put in front of a four hundred pupil school.
Icon representing training, a named success manager and support around the clock
The people around the software are what we agree about
Blackbaud gives you in person and online training, a dedicated customer success manager, technical support around the clock and a community of thousands of other schools. We think a student system lives or dies on exactly that, because it is the argument this whole page rests on. They make it at a scale we do not.
None of that is grudging. Blackbaud is a good product and the people behind it understand private schools better than we do. What this page is about is the school that wanted one number it could put in a budget, and was given a method instead.

What a flat thousand a month covers when none of the four axes apply to you

Icon representing a student system shaped around an existing school
Your programs decide the system, and it takes days rather than a term
When intake, programs, student groups and a fee schedule have to mirror how a school actually runs, the platform answer is an implementation engagement, and Blackbaud is right that the work is real. At the size most schools actually are, it is a set of records, a workflow and a few days rather than a project with a name.
Icon representing one flat monthly price published rather than quoted
One figure, and none of the four axes move it
A thousand a month for Standard and two thousand for Priority. Enrol another year group, open another program, hand out another two hundred parent logins, switch on everything we have configured. The figure at the bottom of the invoice does not notice, and you knew it before you contacted us.
Icon representing students and parents who cost nothing to add
Students and parents cost nothing, and nobody here is counting them
Most of the people who touch a school system are students and parents checking a timetable or an invoice. Blackbaud names number of users as a pricing factor and publishes no rate against it, so we cannot tell you what your roll does to a quote and we are not going to guess. On an instance you own each of them is a login, and there is nothing to reconcile.
Icon representing student fees and ledger entries sharing one database
One instance, because Frappe Education sits on ERPNext already
A fee raised against a student posts straight into the ledger that pays your staff, because the accounting and the academics are one system rather than two licensed products with a subledger between them. No connector maintains that, because nothing is being connected.
Blackbaud will run a tuition charging private school well, with enrolment, billing, financial aid and a development office all on one platform and the budget to match. Ours is the case where the student record, the timetable and the fee ledger belong in one place, where the price has to be defended in advance, and where the instance belongs to you. The same reasoning runs underneath the rest of our managed Frappe services.

Onboarding process

What the first sixty days look like once the student records start moving

Standing the software up takes an afternoon. What follows decides whether a parent can find an invoice and a teacher can find a mark sheet, correctly, in week six of a term.

1

We find out how your intake and your term really work

Somebody in your school knows which admissions form is actually used, which fee has an exception nobody wrote down, and which report exists because one governor asked for it years ago. That conversation comes first, because a structure nobody can explain will not survive being rebuilt somewhere else.

2

Students, programs and fee structures move first, with their history

Student records, guardians, enrolments, attendance and assessment history move into a copy first. Fee structures are the interesting part, because a sibling discount or a hardship bursary is a policy rather than a setting, and each one is written down as a rule before anybody configures anything.

3

Who can see a student record gets settled before anything moves

A teacher, a head of year, a bursar and a parent should not see the same things, and in most schools that has never been written down anywhere. We map who can currently see what, separate real safeguarding policy from an accident of how the old system was configured, and rebuild the first set of roles explicitly.

4

A whole term cycle runs before anybody steps back

A real enrolment, a real attendance week, a real assessment and a real fee run, on your own instance, with us watching every one of them. Handover comes after that has worked once, and not before.

Don't Take Our Word For It

Two ways a quoted platform stops matching a school
Two situations with one thing in common. In both the software was more than capable, and the shape of the purchase is what failed. If the finance side is the part that actually hurts rather than the academics, our managed ERPNext service is usually the better place to begin.
A school leader running a meeting at a boardroom table with an open notebook in front of her.

How this plays out

The board paper needed a number and the number needed a meeting

Scenario one. A business manager is asked to bring three student systems to the March board meeting with indicative costs against each. Two of them publish a figure that can go straight into the paper. The third needs a demo booked into somebody else's calendar and a quote after it, and it misses the meeting for reasons that have nothing to do with the product.
Two colleagues walking along a sidewalk outside an office, talking something through.

When this comes up

Half of what was quoted covered offices the school does not have

A second situation. A four hundred pupil independent school needs admissions, timetabling, attendance, reports and fee invoicing. What comes back is priced across enrolment, tuition, financial aid, the student record, a learning platform and a website rebuild, and most of that is either already in place or never going to be opened.
1,000-2,000

Dollars a month, flat, published here rather than assembled from four factors

Everything from the first admissions review to the monthly report, and the figure was sitting on this page before you contacted anybody.
0

Dollars of software licence, and nothing to wait for before you can plan

Frappe Education is open source, so there is no licence to buy, and the figure above covers the configuration work, the hosting and the support.
4-8

Weeks before a real enrolment, term and fee run complete end to end

Four to eight weeks for most schools, and longer where several years of student records, transcripts and fee history are in scope.

Blackbaud alternative and managed Frappe Education FAQs

Frequently Asked Questions

What is a Blackbaud alternative?
Anything that can hold a school's student records and let the office actually run a term on them. That takes in the other systems on this hub, meaning PowerSchool, Jenzabar and Ellucian, the spreadsheet and shared drive arrangement a surprising number of schools still rely on, and open source systems such as Frappe Education. The first question worth answering is what you are actually being charged for, because most of the rest follows from it.
How is Cascadia different from Blackbaud?
Blackbaud sells a set of school products, enrolment, tuition, billing, financial aid, the student record, the learning platform and the school website, each licensed separately and priced together in a quote assembled from your size, your users, your modules and your support level. Cascadia builds you a student system and then runs it. We shape admissions, programs, student groups, attendance, assessment, fee structures and the portal around the school you already have, host it on Frappe Cloud and look after it from there. The price is one figure and it is printed above.
What does Blackbaud actually cost?
We cannot tell you, and neither can Blackbaud until it has spoken to you. Its pricing page is unusually clear about the method and completely silent on the number: the figure is calculated from organisation size, number of users, the solutions and modules you select, and the level of support and services you want. Blackbaud says that a quote typically includes implementation, training and ongoing support, and that there are no hidden fees. We are not going to invent a figure or a break even point, because there is nothing published to compute one from. Cascadia is one thousand dollars a month for Standard and two thousand for Priority, at any enrolment.
Is Blackbaud cheaper than this?
We have no way to check, and neither do you until you have a quote in hand. It might well be, particularly for a small school taking one module. What we can say is that the four factors Blackbaud prices on are four things that grow as a school succeeds, so the comparison worth making is not this year against this year but year five against year five. If it does come back cheaper for you, that is worth knowing, and you will only find out by asking them.
Is Frappe Education as capable as Blackbaud?
No, and it is the plainest limit on this page. Blackbaud carries tuition billing with delinquency follow up, financial aid awarding with automated document review, enrolment contract management and a school website system, built over four decades for private schools. Frappe Education does none of that. What it gives you instead is a system you control, source you can read, and a price you already know.
Why not install Frappe Education and run it ourselves?
You can, and there is no licence to buy. Standing it up is quick. What takes the time is deciding how your programs and student groups map to the way the school actually runs, which fee exceptions are real policy, who is allowed to change a published mark, and what happens when one family has three children on two different payment plans. None of that is written down in any documentation.
Should we buy this at all?
Often not. If tuition billing, chasing late fees and awarding financial aid are the parts that actually hurt, Blackbaud has spent forty years on exactly those and a general student system will not solve it. The fit review exists to reach that answer honestly and it costs nothing.
Can we try Blackbaud's platform before deciding?
Not on your own. There is no free plan and no self serve trial anywhere on the site. What Blackbaud offers instead is a customised demo booked with their team, which is how school software at this level has always been sold. It is still a meeting you have to arrange before you can form any view at all, and that is a different kind of evaluation from standing something up on a Tuesday afternoon.
Do we have to migrate everything at once?
No, and staging it is usually the better idea. The current cohort, the live timetable and the fees being invoiced this term cross first, because those are what somebody needs on Monday morning. Leavers, archived transcripts and the long tail of historical records follow at whatever pace suits you.
Does anything break while you take over?
No. Nobody loses a register they are marking and no parent loses sight of an invoice. We migrate into a copy, and the switch waits until student counts and fee balances match on both sides and every permission has either been rebuilt or written down.
What if we already run Frappe Education and it was set up badly?
It happens more often than you would expect, and the work is a rebuild rather than a tidy up. We read the program structure, the fee schedules, the permission model, the assessment setup and whatever anybody customized, then say plainly which of it should stand and which needs building again from scratch.
Do you own the system or the data?
You do, on both counts. Frappe Education is open source, the instance and the database sit in your name, and the programs, fee structures and custom fields we build are yours as well. If you stopped paying us tomorrow nothing expires, nothing locks, and no contract has to be renewed for the school to carry on running.
What is included at each tier?
Standard buys implementation, configuration, data migration, handover, customization, development work, Frappe Cloud hosting and support that does not stop. Priority adds a second concurrent request, quicker turnaround and a quarterly review of academic setup, fee reconciliation and portal usage. Neither tier counts students, programs or logins.
Most of our users would only ever be students and parents. Does that matter?
It may matter a great deal. Blackbaud names number of users as one of the factors behind a quote and publishes no rate against it, so we cannot tell you what two thousand parent logins do to a figure and we are not going to guess. What we can tell you is our side of it. On an instance you own a student is a login, a parent is a login, and adding either one costs nothing at all.
What does the monthly report actually contain?
The month's changes, what we built or configured, anything that still looks fragile and what we plan to do about it. Upstream Frappe Education release notes that will affect you go in as well, along with anything else we noticed that you ought to know. The month runs from your start date rather than the academic year.
What if I want to leave?
Thirty days notice, and there is nothing to disentangle. You hold the instance, the database and the configuration already, so nothing needs exporting and no contract needs unwinding. What ends is our involvement.
