A TalentLMS Alternative For When The Platform Is Not The Hard Part

TalentLMS charges by user bracket, so the bill steps up as your headcount grows and the published figures all assume you pay for a year up front. We charge six hundred a month and count nobody. At forty people their entry tier is roughly a fifth of what we charge, and we would rather put that on the first screen than three pages down.
What TalentLMS charges for, and the number that decides your bill
The platform is priced by user bracket, and every published figure is a yearly one
TalentLMS is free for up to five users and then runs through Core, Grow, Pro and Enterprise. Core is one hundred and nineteen a month for one to forty users, Grow is two hundred and twenty nine for one to seventy, and Pro is four hundred and forty nine for one to a hundred with six dollars a head above that and brackets running on to a thousand. Enterprise starts at a thousand users and goes to sales. Every one of those figures is marked billed yearly, the page puts the annual rate twenty percent below monthly, and the monthly figure itself is never shown. The ready made course library is a paid add-on on every plan and every bracket.

Publishing a price at all is more than the rest of this hub manages

Docebo, LearnUpon and Litmos all route you to a sales call before they will name a number. TalentLMS puts three tiers, a bracket table and a per head rate on a public page, so you can work out your own cost before you speak to anybody. At the smaller brackets that number sits well below ours, and we would rather say so on the first screen than bury it in a FAQ.

The step between brackets is where the model bites

Each tier is quoted at its lowest bracket and the selector climbs from there to a thousand users. Above a hundred on Pro every extra person adds six dollars a month whether or not they ever open a course. A hiring quarter or an acquisition reprices the platform on payroll alone, with no reference to whether any of those people trained. The published rate also assumes a year of commitment, so the figure you budget from is one you have already signed for.
Icon representing a course library sold separately from the plan

The course library is sold separately and the AI tool is graded by tier

TalentLibrary, the ready made course catalogue, is an add-on on every plan and every bracket rather than something a tier includes. TalentCraft, the AI authoring tool, is graded rather than included, standard on the entry tier, premium above it and unlimited only on Enterprise, and the pricing page does not say what those grades mean in practice. None of that is hidden and none of it is unreasonable. It does mean the plan price and the price of using the platform the way it is marketed are two different numbers.
One company that sells you a platform, one company that builds you a system
TalentLMS solves delivery. We solve the system underneath it. Those are different problems
On one side sits a mature training platform with a course library to buy, an AI authoring tool graded by tier, and a bill set by which user bracket you land in. On the other sits an open source learning system with no licence, reshaped around the way your business actually runs enrolment, assessment and certification, for one printed figure that does not move when the headcount does.

Cascadia

Frappe Learning reshaped around your own enrolment rules, assessment logic, certification tracking and reporting, hosted on Frappe Cloud, then supported by whoever did the reshaping. One invoice. The figure counts neither learners nor courses nor seats.

Without Cascadia

A polished training platform, free below five users and then priced on how many people you have, with a course library sold on top and an authoring tool graded by tier. What it asks of you first is that an off the shelf platform can already express the way your training actually works.

Comparison

Cascadia vs TalentLMS
Every row below is about shape rather than quality. TalentLMS is well built, priced openly on its own terms, and ships an authoring and delivery experience we do not try to beat. Every cross marks a consequence of being a hosted product priced by headcount, not a fault. Read the four cards further down before you read this table, because they carry the other half of it. All of the configuration work here is covered by our managed Frappe Learning service.

A price you can pay monthly, with no annual commitment to reach it

Everything the software does is included, with no metered credits to top up

Configuration, migration, training and support all inside the one figure

Direct access to the database underneath, for reporting nobody anticipated

Behaviour changed by writing code rather than choosing from a settings menu

Whoever built the enrolment rule is who answers when it misfires

Source code you can read, change, and keep running without us

One database holding the learner, the course record, the project and the invoice

Being told plainly when the other product is the better purchase

A cost that stays flat when two hundred more people take the course

TalentLMS

Where TalentLMS fits

If you need a training platform running this month, with a library of ready made courses and an authoring tool your team can use unaided, TalentLMS is a strong answer and we are not going to pretend otherwise. Buy it, add the library, and stop reading here. This page is for the narrower case where the learning system has to fit a process that already exists.

Cascadia Web Services

Where a hosted platform stops being the cheaper one

We are for the narrower case. An ERPNext instance already running the ledger, certification logic nobody can express in a settings screen, or training records that have to reach a project and then an invoice. A subscription stops being cheap at exactly the point where what you need the system to do is not a setting anybody thought to expose.

Where TalentLMS is strong

Icon representing a training platform that runs the week you buy it
It is quick to get running, and it is not a stripped down product
Courses, learning paths, assessments, certificates, gamification and reporting arrive configured and working, and it is free below five users so you can try the whole thing before deciding anything. That is the same category of software we charge six hundred a month to run. If your training is standard enough that the defaults fit, buying TalentLMS and skipping us entirely is the obvious move, and we would tell you so during the fit review.
Icon representing a catalogue of ready made courses to buy
It sells a course library and Frappe Learning ships none at all
TalentLibrary is a catalogue of ready made courses on compliance, soft skills and workplace essentials, sold as an add-on on any plan. Frappe Learning ships no course content whatsoever. If what you need is somebody else's courses on fire safety or harassment training, that is a real product we do not have and cannot build for you at this price. Content is written by people, and no amount of configuration substitutes for it.
Icon representing an AI tool that drafts a course from an outline
The authoring tool is better than anything we would build you
TalentCraft turns a rough outline into a finished course with images, quizzes and layout, and it is graded by tier, standard at the entry plan, premium above it and unlimited on Enterprise. Building an equivalent authoring experience inside Frappe Learning is not something six hundred a month buys, and we are not going to claim otherwise. If your bottleneck is producing course content quickly, that tool is worth paying for.
Icon representing a free tier for teams of five or fewer
Below five users it costs nothing at all
TalentLMS is free for up to five users, with no trial clock attached to it. A small team can run real training on it indefinitely without paying anybody, ourselves included. Six hundred a month against nothing is not a comparison we win, and if five seats covers your entire training audience then this page is not for you. That is the same honest limit stated on every page in this hub.
All of that stands and none of it is grudging. TalentLMS does several things we do not do at all, ships a product most companies would be satisfied with, and costs nothing at the smallest size. This page turns on one question only, which is whether your learning system is a thing you use or a thing that has to be built.

What six hundred a month buys that a subscription does not

Icon representing a system reshaped rather than merely configured
The system is changed to fit you, rather than the other way round
A hosted learning product gives you settings. We give you the source. New fields, new doctypes, a certification that expires on a rule somebody invented years ago and never revisited, a completion record wired into the project ledger. That is development work, it sits inside the six hundred, and it is the entire reason anybody pays for a learning system when a decent one starts at nothing.
Icon representing open source software with no meter behind it
No meter runs behind any part of it
Frappe Learning is open source. Courses, lessons, quizzes, assignments, batches, certification and progress tracking are in the box, and none of it is graded by tier or bracketed by headcount. Add two hundred learners in a busy quarter and the invoice is the one you saw in the quiet one.
Icon representing one team that builds the system and then answers about it
Whoever built it is who picks up the phone about it
TalentLMS gives unlimited email support to every plan including the free one, with priority email, live chat, phone and an account manager arriving further up the tiers, and all of it is competent. What it is not is the person who wrote your enrolment rule. Here that is the same person who picks up when the rule enrols somebody nobody expected, at six hundred a month and at twelve hundred.
Icon representing learners, projects and invoices in a single instance
One instance, if ERPNext already runs the rest of the business
Frappe Learning runs in the same instance as ERPNext, so an employee, their training record and their certification are one record rather than three, and a completed course reaches a project and then an invoice with nothing sitting in between. TalentLMS integrates with your other systems rather than living inside them. If your ledger, your projects and your people already sit in ERPNext, that boundary is what the argument turns on. If they do not, ignore it.
TalentLMS will host your courses, sell you a library to fill them, generate lessons with AI and price the whole arrangement on how many people you employ. For a great many businesses that is exactly the right purchase. Our case is narrower. When the training record itself is the thing that needs designing, that is build work rather than a subscription tier, and the same reasoning runs underneath the rest of our managed Frappe services.

Onboarding process

What the first sixty days look like when the system is built to fit the training

The work is mostly ours. Any learning system installs in an afternoon and takes weeks to get right, because the difficulty lives in the exceptions rather than the feature list. Nothing here is billed per learner or per seat, so the pace is set by how complicated your training is and by nothing else at all.

1

Nothing is built until somebody has read how the training really operates

We sit with whoever assigns the training, chases the overdue certificate and signs off a competency, and write down what they actually do rather than what the handbook claims. That includes the exception applying to one department only, and the renewal rule somebody changed once and never wrote down anywhere.

2

Data comes across, then reconciles before anybody is asked to trust it

Learner records, course content, completion history and live certification status move across, then get reconciled against whatever you are leaving until both sides agree row for row. Nobody relies on a certificate in Frappe Learning until the expiry dates match.

3

Only the modules you will actually use get switched on

Frappe Learning carries courses, lessons, quizzes, assignments, batches, live classes, certification and progress tracking, all of it available at both tiers. Most businesses want some of that and not all of it, and leaving the rest dark makes the system quicker to learn. Turning one on later adds nothing to the invoice, because the invoice has one line on it.

4

A full cycle runs inside it before anybody signs anything off

The first live month runs with us alongside it, and a real enrolment, a real assessment and a real certificate all pass through before sign off. Your team learns the system on your own courses rather than in a demo company, which is the only way the awkward cases ever surface.

Testimonials

Don't Take Our Word For It

Two ways a per seat platform turns into the expensive option
Two situations with one thing in common. In both the software did exactly what it promised and nobody was mis-sold anything. What went wrong was the fit between the product and the process, not the product. If you are reading these and still choosing a first learning system at all, our managed Zoho Learn service is where that decision usually starts.
Hands checking figures on a calculator against a stack of invoices

How this plays out

The platform was cheap at the headcount it was bought for

The platform was bought at forty staff, on the lowest bracket, and the invoice looked trivial next to the alternatives. Two acquisitions later the company employed four hundred people, every one of whom needed an account whether they ever trained or not. Nothing was mis-sold and the rate per user never moved. The bill simply tracked the payroll, which is a number the training team does not control and was never asked about.
A stack of paperwork with no order anybody could follow

When this comes up

The renewal rule would not go into the system, so the rule changed

Certification ran on a rolling anniversary for the field crews and a fixed annual date for everybody else, with a grace period nobody could express in a settings screen. Rather than pay somebody to build it, the rule was flattened to one date to match the software. That saved a line of budget and cost a quarter of an argument with the field crews, who had had the old arrangement for nine years. A platform is only cheap where the process already fits it.
600-1,200

Dollars a month, with the build, the migration and the support already in it

Everything from the first requirement read to the monthly report sits inside that number, and it counts neither learners nor courses nor seats. Priority at twelve hundred adds two active requests at a time, faster turnaround, and a quarterly review of how the build is holding up against the way you actually work.
0

Dollars of software licence, with nothing you must buy alongside it

Frappe Learning is open source, so the software costs nothing and adding a learner to it costs nothing either. No onboarding charge, no minimum term, and no add-on you have to keep buying for the platform to do what it demonstrated.
4-8

Weeks in most cases before a full cycle runs inside Frappe Learning

Four to eight weeks in most cases, longer where years of completion history or a complicated certification matrix are in scope. The build starts the week we begin, rather than after a discovery phase that arrives as a line of its own.

TalentLMS alternative and managed Frappe Learning FAQs

Frequently Asked Questions

What is a TalentLMS alternative?
Anything that holds the training record and runs the processes around it. That covers the other platforms on this hub such as Docebo, LearnUpon, Litmos, 360Learning and Moodle, the spreadsheets most companies actually start with, and open source learning systems like the one we run. TalentLMS reaches furthest down market, because it is free below five users and genuinely usable at that size. The useful question is rarely the feature list. It is whether the delivery problem or the process problem is the one you actually have.
How is Cascadia different from TalentLMS?
TalentLMS is a product you subscribe to. We are a system somebody builds for you. They give you courses, learning paths, assessments and reporting configured and ready, priced on how many people you have. We reshape enrolment rules, assessment logic, certification tracking and reporting around how you already work, host the result on Frappe Cloud and support it afterwards. If getting training delivered quickly is the problem, they are the answer. If the process is the problem, we are.
How does your price compare to theirs, honestly?
We are six hundred a month for Standard and twelve hundred for Priority. TalentLMS is free below five users and their tier prices are published on their own site, so check them against your own numbers rather than ours. Their entry tier is a hundred and nineteen a month for up to forty users, so at that size they are roughly a fifth of us. What the tier counts is headcount rather than usage, so the figure moves when you hire and not when you train. The course library sits on top of every plan, and all three published prices are billed yearly. Our figure counts nothing at all. Whether that lands cheaper depends on how many people you employ and on how much of the system has to be built rather than configured.
Is TalentLMS cheaper than this?
At small sizes yes, comfortably, and below five users it is free outright. That is the honest answer and we are not going to dress it up. Where it stops being cheaper is at the point the system has to do something it does not do out of the box, or at the point the headcount climbs through the brackets and past the six dollars a head that starts above a hundred users. Then the choice is between bending your process to suit the software or paying somebody to bend the software. We are the second of those. Plenty of companies are better served by the first.
Does Frappe Learning come with any courses?
No, and it is the most important limit on this page. Frappe Learning is the system that delivers, tracks and certifies training, and it ships no course content at all. TalentLMS sells TalentLibrary as an add-on, a catalogue of ready made compliance and soft skills courses, and if that catalogue is the thing you actually want then buying it from them is the right move. We build the system and you or your subject matter experts write what goes into it. Most of our clients were always going to write their own, because the training that matters to them is about their own work.
Why not install Frappe Learning and run it ourselves?
You can, and there is nothing to license. Frappe Cloud will host it for a modest monthly fee, so the software and the server were always the cheap part. The install is not the hard bit and never was. Enrolment rules, assessment logic, certification expiry, batch scheduling and the reporting somebody in compliance will eventually ask for are the hard bit, and they want somebody who has built them before rather than somebody opening the documentation for the first time.
Should we buy this at all?
Often not, and now is a far better time to establish that than month six. If you have a small team, standard training needs and no process that a settings screen refuses to express, TalentLMS is the sensible purchase and its free tier probably settles it. The fit review exists to reach that conclusion honestly rather than to sell past it.
Do we have to migrate everything at once?
No. Learner records and live certification status normally go first, because that is usually where the pain is and where the benefit shows up soonest. Course content, historic completions and assessments follow when they are ready. Running Frappe Learning alongside your current platform for a while is normal rather than a compromise, and it is how most migrations actually happen.
Does anything break while you take over?
Nothing on your side goes dark and mandatory training in particular stays untouched. Anybody who needs a valid certificate keeps one throughout. Your existing platform keeps running until the completion records in Frappe Learning reconcile against it, nobody switches while the two still disagree, and the migration runs against a copy first.
What if we already run Frappe Learning and it was set up badly?
That is a common way people arrive here, and the work is rebuilding rather than tidying. We read the courses, batches, assessment rules, certification settings and every customization anybody added, then say what survives and what should be rebuilt. Often enough the honest answer is a fresh instance with the data brought across.
Do you own the system or the data?
No to both. Frappe Learning is open source, so the software is nobody's property to withhold. The instance is yours, the database is yours, and every course, certificate and custom field we build is yours. Stop paying us and it carries on running, which is not something anybody can say about a metered subscription.
What is included at each tier?
Two flat tiers with no meter behind either of them. Standard at six hundred covers implementation, configuration, migration, handover, customization, development, Frappe Cloud hosting and ongoing support. Priority at twelve hundred adds two active requests at a time, faster turnaround and a quarterly review. Neither tier counts learners, courses or seats, and no feature is withheld from the lower one.
Do you guarantee the implementation will go to plan?
No, and be wary of anybody who does. A migration turns up completion records that never reconciled, a certification rule nobody documented behaves differently in month two, and a real requirement surfaces late. What we do guarantee is that the price does not move when any of that happens, and that nothing you discover puts you on a different arrangement.
What does the monthly report actually contain?
What changed in the system, what we built or configured during the month, what is still fragile and what we intend to do about it. Anything in the upstream Frappe Learning release notes that will reach you goes in too. It runs on a rolling month rather than a calendar one, so it arrives on the anniversary of your start date.
How long before we see a difference?
Four to eight weeks to a first complete cycle in most cases, longer where years of completion history or a complicated certification matrix are in scope. What people notice first is usually not the software at all. It is that nobody is chasing a spreadsheet around the building to find out whose certificate lapsed.
What if I want to leave?
Thirty days notice ends it and nothing is stranded. The instance, the database and every configuration were always yours, so there is nothing to export and nothing to hand back. What stops is us. You would need somebody else for the work we were doing, and the system itself carries on running either way.
